A/R Invoice with freight Linked to A/R Down Payment invoice

Hi All,
scenario:
SAPBO 2007 SP1 PL 12
A/R Down Paymenti invoice  100 + tax20 = 120 (it is paid)
A/R Invoice :
80 + 20(freight) + 20(tax) = 120
When I linked the a/r down payment invoice  the system returns this error:
"Total amount of this payment must be less than amount of invoice"
because It compares 100 with 80 not considering the freight of 20.
I tried in SBO 8.8 SP0 PL 14 and it works correctly!!!
Any idea???
Simona.

Hi Simona,
New version has changed certain process based on users request. If 8.8 is working for you, upgrade 2007 version soon.

  • Clearing customer Items with Special G/L Indicator 'A' (down payment)

    Hi All,
    I've to clear two items of a customer by t.code F-32:
    Both items, that I dysplays by t.code FBL5N (u20AC 20.000,00 and - 20.000,00), are with Special G/L Indicator 'A' (down payment).
    Only the first one contains a 'tax amount' equal to 4.000,00.
    When I process the open Items of the customer by t.code F-32, I expect to see the two items as follows
    20.000,00
    - 20.000,00
    Instead, SAP displays as follows
    24.000,00
    - 20.000,00
    So, I can't clear them as 24.000,00 is not equal to 20.000,00
    Could anyone tell me ho to solve?
    Thanks

    Hi Maurizio,
    first of all, thanks for your answer.
    I've checked the tax category in the G/L account master data of the special G/L
    account used for down payments (A). Tax category is equal to '+ '.
    According to this setting, I posted a customer credit memo as follow:
    Item 01; posting key 11; Customer account XXX; Amount 24.000,00
    Item 02; posting key 09; Customer account XXX; Special G/L Indicator A; Amount 20.000,00 (tax code 20%)
    Item 03; posting key 40; Debit tax account; Amount 20.000,00 (tax code 20%)
    Now I've to clear the item 02 of that credit memo. When I try to do it by t.code F-32, SAP displays the amount 24.000,00 (with tax amount) and not 20.000,00.
    Clearing that item, the system create a automatic posting for tax account of 4000,00.
    This is my issue: SAP shouldn't create this posting for tax account.
    Thank again.

  • With holding tax should deduct on down payment

    hi gurus,
            Pls help me out regarding this issue,  while iam paying down payment to vendors, i will cut the TDS and i will pay it to him, while raising an invoice the TDS should automatically adjust the invoice amount. pls send me the configuration steps.
    Points will be awarded for help ful answer,
    thanks in advance,
    Regards,
    sandeep.ch

    Hi Sandeep
    In the SPRO, select central invoice prop.
    After posting the vendor invoice, clear the down payment against this document using F-54.  The amount deducted when posting advance will get adjusted with invoice TDS
    TDS will not automatically adjust against invoice.

  • Down Payment Invoice & Incoming Payment docs print with Sales Order

    Hi,

  • Down Payment AR Invoice freight Missing Functionality

    Freight does not transfer to down payment invoice. Here is the scenario:
    Create a sales order (item or service type). Add freight charges.
    Create a down payment invoice - copy from sales order. All items transfer except no freight charges.
    This is a large problem as it causes descrepancies between customer account.

    Hi Keith,
    my suggestion would be following (combination of yours and my words):
    1. Customer places an order for a new oven for a restaurant kitchen. Order is for product and installation.
    2. Sales order is entered for $100,000 + freight $2000.
    3. Down payment invoice is created 1/3 based on the Sales order. The price in the grid of the DP invoice is increase so the total of DP Invoice is $35,000
    4. Customer pays the down payment invoice and payment is applied for $35,000.
    5. More work is done on building the oven and client wants to invoice another $33,000 but still has not shipped anything. DP Invoice is created based on the Sales Order and DP Invoice grid is adjusted so that the total value of DP Invoice is $33,000.
    6. Payment is received from customer and applied to the second down payment invoice.
    7. Oven is completely built and will be shipped so they want to invoice another $25,000. DP Invoice is created based on the Sales Order and DP Invoice grid is adjusted so that the total value of DP Invoice is $25,000.
    8. After oven arrives at customer site, installation is performed so they want to invoice the final amount. They can create the Final Invoice based on the Sales Order: $100,000 + freight $2000 and system automatically propose the Down Payments in the aggregated value: $35,000$33,000$25,000=$93,000
    So the total of the Final Invoice which should be paid is $120,000-$93,000=$27,000.
    The limitation of this proposal is that the total DP amount paid should be less than net amount of the Final Invoice ($100,000 in this case), because of the "net approach" for the DP allocation....

  • Down Payments & Delivery relevant invoice

    Hi!
    The problem is to create a down payment request to the customer through an SD order (this can be done with billing plan, item category TAO, condition type AZWR, invoice type FAZ) but we want to create the actual invoicing with a <u>delivery relevant invoice</u> and not an order relevant invoice.
    I do not see how this is feasible, if it can be done!
    Thanks in advance for you reply

    I have now a better understanding of your solution.
    But then the more "standard" solution of creating down payment through FI (F-37) is about the same, as it is using two different unrelated documents.
    What I had in mind was:
    1/ Create an order (with delivery block)
    2/ Create a down payment request related to this order (VF01)
    3/ Cash in the down payment and remove delivery block
    4/ Deliver
    5/ Create the delivery related invoice. (This invoice would of course then be able to remind customer that a down payment was done, down payment accounting clearing would be also done).
    I know, I might be dreaming. But if I am not the only one…

  • Down Payment  with P&L setup

    Hi Gurus,
    need some help here, currently im using sales contract creation with periodic billing setup and issue Down payment request from VF04 for billing due.
    1. im intend to setup DownPayment which have P&L account being setup. Currently i cannt see any P&L During request or Payment received. please adv.
    2. When i create downpayment request from Sales contract , its created as noted item.
    should i proceed with F-29 and continue with F-39?
    when i proceed with F-29 , should i match with document from sales contract to clear off?
    when i manage to clear-off the payment and request, is it necessary proceed with F-39 still?

    1. F-37 Customer Down payment request. Noted Item.
    [R] GL entries appear using my customer number instead of Special GL Account.
    is that normal?
    2. F-29 Customer Down payment with reference to customer DPR (Button 'Request' )
    posted item and SP GL Item.
    [R] what is "posted item and SP GL item" meaning?
    i did select request and simulate and continue with post action.
    3. F-22 customer Invoice.
    [R] what posting key that i should put?
    should i choose "post with reference"?
    4. F-39 Clear the customer down payments.
    5. aginest Invoice clear the customer down payment is called clearing of DP.
    [R] what is "aginest" mean?
    what is step no.5 should do ?
    is this will bring P&L account?

  • Delete PO Line Item with Down Payment Existing in Header

    Hi SAP Guru,
    We have a PO with 6 line items.  A down payment was set up in the header level and is already paid to the vendor in the previous year, 2014.  There is no Goods Receipt yet for this line item in the PO.  One line item in the PO will be cancelled.  When we cancel the line item, it would not allow us to do so because there is already a down payment posting.  How do we cancel the line item of the PO with downpayment?
    Thanks,
    Matt

    Dear Matthew,
    Now if you want to delete the PO line item and down payment exist for the line items then you need to reverse the down payment and delete the PO line items.
    If you have paid to vendor in previous year, then plz take help of your FI person if any way you create debit note in system against that payment. If possible
    In Standard way, you need to 1st reverse the clearing items appearing in FBL1N. After this the line item will appear in open items. Then cancel down payment request in FB08 and then try to cancel PO line item.
    Regards,
    Priti.

    Hi,
    I tried in my system and its working fine allowing to change the amount in MIRO. My doubt is whether it was client requirement during implementation to set such an error message..
    It might has something to do with the Partial Inv. field in the Account assignment category in PO item level..
    Are u using Derive from account assignment category???

    Dear Experts,
    While punching a delivery or A/R invoice with freight values, i get the following error:
    Cannot add or update this document, rows are missing [freight code missing for line 0]
    I have assigned a particular tax code to freight and im using it for the freight values.
    Kindly help me on this issue.

    HI,
    I have checked and all the codes do exist.
    Apart from that, the entries do not show an error when passed using the manager login, but when i try to punch the entry with other user id the error comes up. The other user also has full authorizations.
    What could be the issue?

  • AR Down Payment Invoice overpays when paying in full, with freight

    We entered a sales order, then selected AR Down Payment Invoice from the Sales Order Copy To options. In this case, we decided to invoice for the full amount, including the freight.
    A Down Payment was created for 100% of the total, yet an invoice remains for the freight, which was already included in the Down Payment invoice. This causes the customer to be billed twice for freight.
    Has anyone come up against this before?
    SAP 2007A
    Thanks
    Mike

    Mike,
    A down payment, based on the definition, should be < full amount.  If your business case decide to charge full amount up front, better using deposit or payment on account option.  Then you don't need to deal with this Billing Twice situation.
    Thanks,
    Gordon

  • A/R Invoice that link with Down Payment document have reversed GST from DP

    Hi All,
    I am buzzle on why SAP has changed their function for down payment in 8.81 version. For example, if SO amount is $1000 and GST is $70, but company request their customer to pay $500 as deposit (add GST $35). In SAP 8.81 version, the double entries will be as below:
    Down Payment Invoice
    Dr Customer                        $535
    Cr GST                                         $  35
    Cr Down Payment Clearing Acct $500
    Incoming Payment
    Dr Bank                              $535
    Cr Customer                               $535
    Invoice (final)
    Dr Customer                                 $535
    Dr Down Payment Clearing Acct $500
    Cr GST                                                 $70
    Dr GST                                          $35
    Cr Sales                                              $1000
    In the final invoice, why there is a reversal of GST amount from Down Payment invoice? In previous version, final invoice will only calculate the GST amount base on balance amount instead of currently credit with full sales amount's gst and reverse previously posted gst amount from down payment invoice.
    This will cause problem if down payment invoice and final invoice are few months apart. Company will have paid the down payment invoice's gst amount. Anyone knows the logic for current changes? Appreciate if anyone can help, thanks.

    Dear Expert
    Let me clarify my client's scenario more to see whether you could give advise.
    My client's business is project based and the invoicing flow is as below:
    Phase 1 -
    Invoicing  30%
    Phase 2 -
    Invoicing  30%
    Phase 3 -
    Invoicing  40%
                                                   Total 100%
    However, invoice for phase 2 maybe issued before invoice for phase 1 is paid and so do invoice for phase 3.
    There is also possibility that invoice for phase 1 is paid while invoice for phase 2 is not at the time when whole project is completed. Invoice for phase 3 therefore has to be issued before invoice for phase 2 is paid.
    The installments for A/R is not applicable in this case since sales would be realized at the time when the A/R invoice is issued.
    My client would have to realize the sales upon completion of project phase. A/R down payment invoice almost satisfy this scenario however, no A/R invoice of the balance with reference to the down payment invoices can be issued before the down payment invoices are settled.
    Can anything be done to overcome this limitation?
    Regards
    Elton

  • Transfers Delivery to ARInvoice with Freights rows

    Hi,
    I'm having a hard time to transfers the Freights of the delivery to the ARInvoice from the DI API
    I did try all kind of things from that code :
                        // Seems to work WITH and WITHOUT FREIGHT but I'm not sure of the procedure to do it and on SDN forum there's no explaination
                        // and the documentation is silent about it :(
                        if (DeliveryDocument.Expenses.ExpenseCode != 0)
                            ARInvoiceDocument.Expenses.ExpenseCode = DeliveryDocument.Expenses.ExpenseCode;
                            ARInvoiceDocument.Expenses.LineTotal = DeliveryDocument.Expenses.LineTotal;
                            ARInvoiceDocument.Expenses.TaxCode = DeliveryDocument.Expenses.TaxCode;
    to that code :
                            //// Trying to add the Freights rows but getting No matching record found...
                            //if (DeliveryDocument.Lines.Expenses.Count > 0)
                            //    for (int iFreight = 0; iFreight < DeliveryDocument.Lines.Expenses.Count; iFreight++)
                            //        DeliveryDocument.Lines.Expenses.SetCurrentLine(iFreight);
                            //        ARInvoiceDocument.Lines.Expenses.ExpenseCode = DeliveryDocument.Lines.Expenses.ExpenseCode;
                            //        ARInvoiceDocument.Lines.Expenses.LineTotal = DeliveryDocument.Lines.Expenses.LineTotal;
                            //        ARInvoiceDocument.Lines.Expenses.TaxCode = DeliveryDocument.Lines.Expenses.TaxCode;
                            //        if (iFreight < DeliveryDocument.Lines.Expenses.Count - 1)
                            //            ARInvoiceDocument.Lines.Expenses.Add();
    this commented code gives the error : No matching records found
    All this to say that I really don't know how to transfers the Expenses from Delivery to AR INvoice
    when there are multiple Freight rows
    For everything else it works perfectly.  I mean,  BaseLine, BaseEntry etc..
    if I do not play with Freight, the transfers occur perfectly.
    Even the first piece of code above works for just 1 Freight
    but as soon as there are more then one line in Freights, it is a mystery !
    Not that I didn't check in the Documentation,  which is very silent about it and on the forum here, well nothing clear about to do it.
    Thank you for any help.
    Meanwhile, I'm still trying all kind of things.

    Seems that even if I do a SetCurrentLine a still have the problem.  I tought that .Add() place the SetCurrentLine on it automaticly.
    here's the actual context in which I'm trying that :
                        // Now lets link the lines from the base document that means, the Invoice lines will be those from the Delivery document
                        // This is the way SAP works when time comes to transfers a Delivery to AR Invoice.
                        for (int iLine = 0; iLine < DeliveryDocument.Lines.Count; iLine++)
                            DeliveryDocument.Lines.SetCurrentLine(iLine);
                            ARInvoiceDocument.Lines.BaseType = (int)BoAPARDocumentTypes.bodt_DeliveryNote;
                            ARInvoiceDocument.Lines.BaseEntry = DeliveryDocument.DocEntry;
                            ARInvoiceDocument.Lines.BaseLine = DeliveryDocument.Lines.LineNum;
                            //// Trying to add the Freights rows but getting No matching record found...
                            if (DeliveryDocument.Lines.Expenses.Count > 0)
                                for (int iFreight = 0; iFreight < DeliveryDocument.Lines.Expenses.Count; iFreight++)
                                    DeliveryDocument.Lines.Expenses.SetCurrentLine(iFreight);
                                    ARInvoiceDocument.Lines.Expenses.ExpenseCode = DeliveryDocument.Lines.Expenses.ExpenseCode;
                                    ARInvoiceDocument.Lines.Expenses.LineTotal = DeliveryDocument.Lines.Expenses.LineTotal;
                                    ARInvoiceDocument.Lines.Expenses.TaxCode = DeliveryDocument.Lines.Expenses.TaxCode;
                                    if (iFreight < DeliveryDocument.Lines.Expenses.Count - 1)
                                        ARInvoiceDocument.Lines.Expenses.Add();
                                        ARInvoiceDocument.Lines.Expenses.SetCurrentLine(ARInvoiceDocument.Lines.Expenses.Count);
                            TotalBeforeDiscount += DeliveryDocument.Lines.Price;    // Calculating the Total before discount...
                            for (int iUDF = 0; iUDF < DeliveryDocument.Lines.UserFields.Fields.Count; iUDF++)
                                ARInvoiceDocument.Lines.UserFields.Fields.Item(DeliveryDocument.Lines.UserFields.Fields.Item(iUDF).Name).Value = DeliveryDocument.Lines.UserFields.Fields.Item(iUDF).Value;

  • GRPO with Freight gives an error ...

    Hello Experts,
    When I post a GRPO without Freight it gives no error, but when I try to add with Freight Amount it gives an ERROR.
    Inventory Account is not defined [Goods Receipt PO - Rows - Warehouse Code] Message 173-77.
    Freight Setup: for that perticulat Freight that I am using... is Revenue and Expense Accounts are defined... Distribution and Drawing Methods are Quantity and Stock Check Box is CHECKED.
    Help Required...
    Thanks & Regards

    Hello Nazir,
    If your the items are set up with 'GL accounts managed by warehouse' (this is defined under the Inventory Tab of the Item Master Data), you should check that all the accounts for the warehouse have been set up under Administration => Set Up => Inventory => Warehouses => Accounting Tab.
    In particulary you should check that you have defined an Expense Account for the specific warehouse in the GRPO document.
    Also since you have chosen to affect the stock with additional expenses you need to specify an offsetting G/L account to the Stock account for clearing journal entries created by A/P Invoices and Goods Receipt POs.
    I hope it solves your issue.

  • No Freight cost on AR Down Payment Invoice

    Hello,
    My customer needs to create an 100% AR Down Payment Invoice based on a Sales Order with freight costs. But this is not copied across, plus you don't have the option to add this either..
    How can this be done, I don't see an option.
    Regards,
    Petronella

    Hi,
    Could that be manipulated with SDK?! (The down payment module does not have the option to add additional expesnes. It will only work with Line item totals.)
    Thanks for the other option, I'll advice the client about this.
