Aperture photo re-organization final advice

i am about to put the final organizational efforts into my Aperture database. they are currently sorted into PROJECTS by "topic" or "theme". basically i had to do it this way since they all came in from my PC organized under thematic folders to a very large extent. in this sense there never was an organization that grouped them by "date' or by "shoot".
so, right now i have everything organized into a correct Project and this Project is named by "theme". these Projects are also organized under a parent folder which is titled by "topic" (for instance "Personal", "Business", "Construction" or whatever). i have also then gone ahead and created albums (or slideshows) with these photos and then these albums are currently being used to organize my images or to post them to Flickr or whatever.
what i would like to do now is to TAG each image in each project with both the name of the Folder it is in (for instance "Personal") and to also TAG the image with the name of the Project it is in. this way i am imaginging that all my images will have TAGS that will then let me sort in a similar manner to the organization i have now.
once i do this i would like to SORT the images by DATE and then move "like dates" together so that my images are then effectively organized by "Shoot" which i understand to be the conventional organization for Aperture.
i am wondering if anyone can suggest issues that may come up with this or anything that i need to be aware of before i do it or even a brief numbered step by step explanation of how they suggest i do this. one thing i can see is that i won't have my nicely organized Folders and Projects on the left hand side and instead i will have to find this organization by sorting via TAGS in Aperture. since i haven't used any kind of tagging system it is hard for me to envision how this works. i am also imagining that all my ALBUMS and SLIDESHOWS will stay intact as losing these would be a huge problem.
the database is 70,000 items plus and it represents the sum total of my work life (not to mention personal photos) so i would ideally like to get a couple of pros to OK this re-organization before i attempt it.

i am actually just now finishing up this "organization by project" sort so i thought to take some time in thinking through a properly considered reply after hearing your very helpful comments. since i expect i will be using this database for many, many years to come it would be wonderful to make sure i /optimize/ the organization.
here are my thoughts (please correct me where you think i may be in error). at the end i summarize the steps i am considering taking:
1. one thing i am noticing is that this method is /requiring/ met to put images in a Project. basically they come in as an arbitrarily named project (for instance Untitled Project, Untitled Project (1) etcetera) and then i have to go in and manually sort the images in each incoming new Project. so right now i am getting to the end of this sort but i still have a lot of Projects to get through since i have had a lot of imagery coming in as i have tried to get things together.
1A. i am seeing a couple of problems here. first off i am not able to put an image into more than one Project "Theme". so if some images should be in "manuscript" but also could be in "creative images" or even in "international architecture" - right now i am choosing to put them into a single project since i don't want to copy them to a new project. basically these are in one single project and only then do they go out to Albums. however it is sort of inconvenient to have to always make a decision about puttitng them in one single Project.
so i am wondering if your mentions of setting up SMART ALBUMS would be helpful. this way i am thinking i could bring in images "By Date" and they could stay in this "By Date" Project forever. then when i had the time or i wanted to i could go in and assign TAGS that were basically based upon my existing "Project Themes". if (as you indicated) i then had a Smart Folder set up with the Theme Name this image would automatically populate the Smart Albums.
AND i would be using my "Manual Albums" as i have been using them all along. however, the Smart Album would both let me have an image show up in multiple albums but it would also let me allow the images to sit in Projects "By Date" and i would only add them to the Albums either by assigning a Tag or Tags (so they then go to a Smart Album or to Multiple Smart Albums) /or/ by MANUALLY sorting them into Albums as i have already been doing. right now if i don't sort them they sit in an arbitratily named Project and then they /have/ to get assgined into a Project.
it seems to me that this new method would give me an ability to multiply tag the images (so they show up in multiple smart albums) /and/ let images that may not need a tag stay where they are (so i don't have to sort them).
1B. i am also seeing that in my effort to organize things that i sometimes need to create a new "Theme Project" and since Aperture does not allow me to create a new Project i am finding that i have to bring in an image from my desktop to create a new Project which i then name with the new Theme. this is sort of awkward and i would like to avoid it.
2. i am also thinking that there is a utility to leaving all the images in a sort that is effectively Chronological based upon the Projects as they are imported (or as they are re-sorted into "Projects by Shoot"). i am imagining that this lets me allow the images to stay in these Projects so that i am not forced to clean them up by sorting them and that i only have to assign tags when i want but also that it allows me to see my images chronologically easier. for instance right now i might take a road trip and i have images of architecture or something during the road trip but i also have pictures of friends or family in this "Project by Date/Shoot" - whereas right now i would have to make an effort to see how things related chronologically and even when i do they are listed in a rather inconvenient "list view" that is not optimal. it seems like the database is sort of unnecessarily segregated in this way.
anyway, in all honesty i am not looking forward to spending more time organizing this database but i would very much like to do it right.
can i ask you if - after creating a smart album - i can just drag and drop my images into this album and have them tagged by this album (or albums)? i mean, one thing i would LOVE to keep is the ability to drag and drop organizationally and if i have to go through a manual tagging process i will probably do it but i would like to tag by dragging and dropping - as i am doing now when i create a new ALBUM. do you know if it is possible to set up a Smart Album and to then add a Tag by just dragging the images?
i mean, would a new sort look something like this:
Step A. i am imaginging setting up SMART ALBUMS with the name of the PROJECTS that i currently have, then (if i can in fact do this) dragging and dropping the images from this Project into the Smart Album. then these will show up in this album.
Step B. get into LIST VIEW and sort by oldest date first. set up a NEW PROJECT with the oldest date and MOVE the images in the list view from whatever Project they are in to the /new/ Project that has the oldest date. then repeat this for all DATES so that all images are in a "Project by Date".
Step C. select each of the old "Project by Themes" and make sure there are not images in there, then DELETE the old Projects.

    After the upgrade I really love the option to be able to sort my Aperture photos by EXIF date or file name. It was a frequent request and great Apple listened to its customers, now I finally can use ATV in my photo business.

    Interesting...I had read elsewhere that the new ATV update Take 2 does not play nice with Aperture-based photo organization. I heard that it just dumps all your Aperture photos into AppleTV, with no regard for Project folders, etc. Is that not the case in your experience? Can you give very specifically, what are you able to do with the Aperture hierarchy of projects/albums/photos...

  • Aperture photos not showing up in other apps

    I just noticed that all my aperture photos arent showing up in other applications that provide an aperture hook. EXCEPT for the latest images that I have imported.
    All my images are the and I can see the folders fine in other apps, but they show empty. I did have to do an archive and install lately so am sure that I had some files that didnt make it over..
    How can I recreate my library in order to fix this?
    am not missing anything in aperture, just the integration with other apps, I tried exporting and then importing my library but lost all the organization that i had done. so reverted

    I had updated the previews with no luck, I just restored my library from the vault and it is rebuilding everything now.
    that worked! maybe update previews was different than a rebuild of previews, but i didnt see that option.

    You wouldn't be adding it, you'd be replacing iPhoto with it.
    It does all the jobs that iPhoto does, and then some. You'll also find yourself using Photoshop less.

  • Aperture photos don't show on iTunes synch

    Synching with iPhoto works fine, butI can't see any photos when attempting to synch to Aperture. As noted in another post, Projects don't show up. It does see smart albums, but with a zero photo count for all. Any thoughts on why? Do Aperture photos have to be managed in the library vs referenced in order to be seen and synched? [All of my photos are references to outside image files.] Does it matter that the Aperture library is maintained in a non-standard location?

    in the photos tab of the A-TV setup, there's a label near the top that says, "Sync photos from:" and a pull-down menu next to it. from here you can choose either iPhoto or Aperture. you have to have Aperture selected in order to sync them and see your albums.
    also, make sure that you've got at least Aperture 1.5, but preferably 1.5.2 and that you've got previews turned on and being generated for new albums. finally, there's also a setting in the preferences to share the previews with other iLife apps. i think iTunes needs that to be able to see/sync photos.

  • Aperture photo book vs iPhoto quality

    Hi, will photo books printed from Aperture give me better quality than photo books from iPhoto 6? This will help me decide if I should buy Aperture or not.
    Is it true that Aperture prints books at 300 dpi and iPHoto at 150 dpi?
    Any advantages to printing photo books in Aperture (what does Aperture photo books do that iPhoto doesn't)?

    Recently I uploaded and had printed a hardbound book that had been designed within Aperture. Prior to this, I have used iPhoto to produce 10 such books starting back in 2002. I have always chosen the picture book format because it provided the largest images.
    This time I used Aperture because it allows large images with small captions and a good deal or freedom of length and placement.I particularly appreciated the good snap placement between the pictures and other captions. The ease of producing 2 page spreads was impressive. The book ran 84 pages and the quality of the resulting was very good–on a par with my other Apple photo books.
    On only one occasion have I had a problem with quality control of these books. In that case an a good high resolution image was pixelated. In that case, I was able to call Apple and speak to someone, who after hearing my description, asked me to send my copy back and issued a reprint order.
    My only bit of consternation with this order is that I found no such contact information enclosed with the book.
    Finally, I haven't seen any specific suggestions within this formum for third-party print houses that can produce good quality books. Just assertions that alternatives do exist. I would be willing to strip down the .pdf file of the book I have just created to some of the trickier images and see how these one of these print houses fare.

I want to add a second external hard drive and load my Aperture Photo Library on to it so that the library can be shared by both me and my wife. Is there a way to automatically backup the photo library that will be on the second hard drive to the Time Machine hard drive?

    I am going to be switching from windows to Mac. I currently use Photoshop Elements 9.0 and I have approximately 9000 photos in Organizer. I would like to continue to use Elements as my photo editing program and iPhoto to catalog my pictures. Is there a way to transfer ohotos from Organizer to iPhoto, keeping the tags I used to catalog my pictures in organizer?

    I don't use the app but I'd ask on the support of whoever does.
    The process of exporting from any app makes a new file. You would then import that file to iPhoto. Then trash both the ones in organiser and the exported copy.
    As I'm not familiar with organiser I can't comment. But in your case I would export 50 shots from organiser and import them to iPhoto and explore.
    I have tried to import from iphoto to the organiser but it seems to bring all files over each time even though some info on the net suggests it can select events

    I had also used the faces feature in iphoto, but organiser doesn't seem to import these tags and wants to do face recognition again.
    None of these apps can share Faces data. They all use their own system and there is no standardisation.

  • Can't Seem to Get My Photos Into Organizer

    I am feeling dumber than a clock!  I am new to PSE and have version 10.  My photos are organized by year and within a year by dates and events.  I cannot seem to bring those pictures into the Organizer.
    I have succeeded in bringing a single photo into Organizer but would really like to bring in entire folders at a time.
    What am I doing wrong?

    There's a learning curve to the software, for sure.  Don't hesitate to ask more questions.
    When you have the Help open, look in the upper right corner for an icon that's labelled "View as PDF".  Click on it, and when the PDF finishes loading, you can save the PDF onto your computer.  The PDF is great because you can search for terms in it.  Note:  There are separate PDF Help files for the Organizer and the Editor.

  • Raw files in aperture photo books

    Hi,
    I'm creating my first aperture photo book. I uploaded raw files to aperture, made adjustments, and then placed the versions into the book. It is these versions (with all crops, adjustments, etc.) that will show up in my photo book, correct? (That's what it looks like when I preview the book, but I just want to make sure I didn't need to convert them to jpeg or anything before I spend over $100 on this book!)

    When you create a version in Aperture it automatically creates a jpeg, so you don't have to do anything else. It is all automatic.

    Have a look at your import setting specifically Store Files:
    Make sure it is set to where you want the originals to go.
    Message was edited by: Frank Caggiano - Don;t empty the system trash. The originals that you deleted from the Desktop are in there and are the only copies you have unless they are still in the camera.

    Why does Flip-Pa Scanner's SD card down load photos to Organizer even though the photos are already in Organizer.  My preferences are to not load again photos already in Organizer.  My camera SD card loads photos only one time.

    My daughter has had her Razr for about 9 months now.  About two weeks ago she picked up her phone in the morning on her way to school when she noticed two cracks, both starting at the camera lens. One goes completely to the bottom and the other goes sharply to the side. She has never dropped it and me and my husband went over it with a fine tooth comb. We looked under a magnifying glass and could no find any reason for the glass to crack. Not one ding, scratch or bang. Our daughter really takes good care of her stuff, but we still wanted to make sure before we sent it in for repairs. Well we did and we got a reply from Motorola with a picture of the cracks saying this was customer abuse and that it is not covered under warranty. Even though they did not find any physical damage to back it up. Well I e-mailed them back and told them I did a little research and found pages of people having the same problems. Well I did not hear from them until I received a notice from Fed Ex that they were sending the phone back. NOT FIXED!!! I went to look up why and guess what there is no case open any more for the phone. It has been wiped clean. I put in the RMA # it comes back not found, I put in the ID #, the SN# and all comes back not found. Yet a day earlier all the info was there. I know there is a lot more people like me and all of you, but they just don't want to be bothered so they pay to have it fix, just to have it do it again. Unless they have found the problem and only fixing it on a customer pay only set up. I am furious and will not be recommending this phone to anyone. And to think I was considering this phone for my next up grade! NOT!!!!

  • Can't Get Photos in Organizer 7

    I'm running PSE7 on Windows XP SP3.
    I created a movie with my camera.
    I downloaded the .avi file to my pc.
    Then I brought the .avi file into Windows Movie Maker.
    I captured four still images from the .avi file and created .jpg's from them.
    So I ended up with four jpg's.
    I then tried to do a 'Get Photos' in Organizer by navigating to the folder with the images.
    When I tried to import them I got an error indicating that the files were either already
    in the catalog or they were not the correct type.
    I checked the catalog by filename (using Find) and the files were not there.
    Then I opened the file in PSE Editor. They opened fine.
    I then Saved them using the option to include in Organizer.
    The images now show up in Organizer just fine.
    Any ideas whey my jpg's were rejected by Organizer initially?

    Here's what I think the problem is.
    WMM adds a couple of pieces of EXIF data to the image.
    One is 'Date Modified' and the other is 'Firmware Version'.
    If I modify the 'Date Modified' information with an EXIF editor I can then
    successfully Import the jpg into Organizer.
    The WMM tag looks like 'Sun Jul 12 09:46:20 2009'.
    The EXIF editor (Exifer) changes that tag to look like:
    'Sunday, July 12, 2009'
    '09:46:20 AM'.
    My guess would be that PSE7 Organizer doesn't like the way that tag
    is constructed by WMM.
    I did try Premier Elements for capturing my jpg's. That seems to
    work fine. The jpg's get placed back into Organizer.
    I'll have to practice a bit more with PE to see if I can get
    comfortable with using it. PE seems to have a lot more
    functions.
