Archiving Older Email Messages in Apple Mail

Hi,
I have searched here and the Internet, but I can't find an answer.
I am using OS X 10.8.2 and Mail 6.2. I have emails dating back to 2008. I want to clear out my Inbox so, I was hoping that I could archive my old emails, but still have them available (or easily restore-able) should I need them.
I created smart mailboxes by year, 2008, 2009, etc. I was hoping that I could archive each smart mailbox and then delete the emails from my Inbox. However, it doesn't look like Mail will allow me to do that. I tried right-clicking the smart mailbox, but there is no archive option. If I highlight the smart mailbox the 'Archive' option under the Message Menu is grayed out.
There must be a way that I can accomplish archiving in Apple Mail.
Any suggestions?

If you're not using IMAP, Mail is still communicating with the mail server, so even if you see those types of messages, nothing abnormal is going on. There's no such thing as invisible email, so if there were really anything being sent or downloaded, you'd see it.

  • How can I always display duplicate email messages in Apple Mail?

    I would like to have Apple Mail ALWAYS display "duplicate" messages without having to click on the duplicates link in the upper right of the message. 
    Apple Mail identified a series of messages as "duplicates" when in fact they were not duplicates.  I would have otherwise missed out on very important information and the only reason I even knew to look for this was because I saw them on my iPhone.  I want to avoid this issue in the future.

    Comfortable with terminal...know how to edit using TextEdit:
    Open up a Terminal and use the following commands to change your Mail.app preferences file to an XML format – the default format is binary, and you can't edit this.
    cd ~/Library/Preferences
    plutil -convert xml1 com.apple.mail.plist
    Then, open this file com.apple.mail.plist with a text editor of your choice, preferably one that highlights XML syntax, but you can also use TextEdit:
    open -a "TextEdit" com.apple.mail.plist
    Now, look for the key called MailAccounts. It's value is an array, with dict children. Here, you'll find all your mail accounts in the order they were created in.
    You can now manually move these dict children around. Save the XML file and reopen Mail. Now, your Mail account order will be changed.

  • Linking a iCal event to an email message in Apple Mail?

    I often find it would be very helpful if I was able to link a mail message to an event in iCal (ie: someone sends me an email regarding an upcoming event, which I then add to my iCal calandar, but for the specific details regarding the event I still need to refer back to the original email).
    It seems like this would be a commonly used and desired feature, yet I can't seem to find it...
    Apple included it in iCal with the URL linking feature...maybe some variation on this will let me accomplish what I want...?

    I HAD two accounts because of this problem.  I completely removed the problem account from the Apple Mail client.  Guess what is happening??  That's right - Mail is still sending from the other account that no longer exists on my computer, and I have absolutely no idea how this is happening.  This is incredibly frustrating.  When a recipient chooses to reply to my message, quite often I won't get it now because it is going to the other account that has now been deleted from my system.  COME ON APPLE!!! WHAT'S THE DEAL WITH THIS???

  • How Do highlight text in the body of an email message in Mac Mail?

    Can anyone tell if IF and HOW I can highlight text in the body of an email message using Mac Mail (in Yosemite).  I do NOT mean MARKUP an attachment.  I want to highlight a word or phrase in the body of my email message.  I know I can change the font color, but can't seem to add a highlight!  Thanks!

  • How do I find duplicate messages in Apple Mail?

    Hi,
    How do I find (and delete) duplicate messages in Apple Mail ?
    I will have to verify about 1000 messages in different mailboxes, all in Apple Mail.
    My system: Mail 4.5 (1084) and Leopard 10.6.8.

    in any window on a mac, if you just type a letter on the keyboard, the selection in that window will go to a file beginning with that name.   In Eudora, if mail window was sorted by NAME and you typed "E" the selection would move to the last email received from a person who's NAME began with "E",  if you typed "El" it would move to the most recent email received from a person named "El"  if you typed "Ela"  the selection would move to the most recent email received from a person named "Ela".   If mail was sorted by SUBJECT, it would move to the SUBJECT with those same beginning letters.   In mac mail the selection doesn't pick the most recent email, but a completely random one, and it doesn't differentiate between subjects and senders.   If I type "josh" it goes to an email with subject: josh, from 2011, not the most recent email from my friend josh that I got yesterday, even though I have my mail sorted by name.   If I type "Karen", selection moves to an email received from Karen in 2010, not the one I received 2 weeks ago.    In other words, it's completely random and useless. 
    only way to find something in macmail is to type a name into search box, then organize by name, then scroll to that name, only sometimes those name emails are not sorted by date, so you have to look through to find the most recent one.  then once you found it, you need to delete what's in the search box, and reset the sortation to be by date in order to have a chronological listing of you emails.  In other words, many complicated steps instead of one simple one.

    Up till at least OS X Lion, if there were duplicate email messages, there would be a blue link in the header of the message in Apple Mail that you could click on to reveal the duplicate messages.
    Im currently running Mavericks and Apple Mail 7.3.
    By default, there no longer seems to be any indication that there are duplicate messages??  Is that correct???
    I have found the Terminal commands that will allow me to "ungroup" duplicate messages:
    To disable automatic grouping of duplicate messages, quit Mail then run this command in Terminal:
              defaults write com.apple.mail AlwaysShowDuplicates -bool true
    To revert to the default setting, run this command:
         defaults write com.apple.mail AlwaysShowDuplicates -bool false
    or simply delete the setting altogether with this command:
              defaults delete com.apple.mail AlwaysShowDuplicates
    If you want to see how Mail behaves with this setting enabled, but without modifying your preference file, start Mail from Terminal with this command:
              /Applications/Mail.app/Contents/MacOS/Mail -AlwaysShowDuplicates YES
    These seem to work fine as far as listing the duplicate messages in the message list.
    HOWEVER . . .
    What I am wondering is . .
    Is there no way to leave the duplicates "grouped" so there is only single entry in the message list BUT have the link in the header that indicates that there are duplicates and allow you to click on that link to reveal the duplicates in the message list???    I find having the link in the header easier to work with rather than having ALL of the duplicates ungrouped in the message list.
    ALSO - for what it's worth:
    I also tried setting the "Show Header Detail" option in Mail Preferences to "Custom" which includes an entry called "Duplicates" in the list of times displayed in the custom header but I still do not get any indication (that I can see) that there are duplicate messages . . .

    Maybe some of these might help,  hope. I had as imilar issue, I deleted my mail and recreated it.

  • Empty messages in apple mail

    One of the email lists that I subscribe to frequently contains messages with images. It's a moderately high volume list with 20-30 messages per day. Inevitably, a few of those messages with attached images (according to the paperclip icon in the messages list) will arrive with no headers and no raw data. The display of the message in Apple Mail shows only the sender's name/address and the subject, nothing else such as the usual warning, "This message contains no content."
    The people who run the mailing list don't think that the problem is on their end so I am here asking whether this  is happening to anyone else and, if so, is there a way to correct it.

    Here is some add'l info that may or may not shed light on this issue.
    I tried to follow Lin's suggestion to see if the message was intact in web view. Unfortunately, I was unable to find it. This is an Office 365 account. Apparently, messages are deleted as they are sent to my MaxOS X 10.10.1 account.  I could only find two messages for today when Apple Maile shows more than a100 incoming. Thus, I was unable to cross  check in this way.
    However, I was able to replace this issue o/s of the mailing list server and Office 365. What I did was log into my iCloud web account and use Pages to send an email with an ePub attachment. I sent his twice, once to my @me.com address and one to my Office 365 account.  The one sent to my iCloud account arrived intact. The one sent to my Office 365 account was empty – no attachment whatever. So this issue has to do with attachments as handled by Office 365.
    Unlike the previous cases, I was able to see both the Headers and Raw versions of the email.
    I see no clues in these data sets but include them here in case I have missed something. Here goes:

  • Searching Gmail messages in Apple Mail 8.0 and hiding All Mail

    As recommended by several tech sites, I enabled All Mail from my Gmail account to show in IMAP, and Apple Mail 8.0 created a new archive under the Trash icon named "All Mail (Google)". It took several hours to downloaded all my 63000 messages and they are now all stored there (based on the mailbox size in Library>Mail) but still show (as aliases I guess) in the respective mailboxes that I originally assigned them to.
    Now, when I search for a message in Apple Mail, it finds it but shows its location as in "All Mail" instead of the mailbox (or label) that I had assigned it to. Is there a way to hide the All Mail archive so that the search function does not look there first?
    I used to have All Mail disabled in IMAP, and the search worked as I wanted, but the issue was that all my 100 mailboxes had to be synchronized every time a message arrived, was deleted, or was moved from any Gmail mailbox. This means that it constantly cycled in the background through my mailboxes and new mail sound notifications were delayed until all mailboxes had been synced.
    Enabling All Mail to show in IMAP has solved the issue of constant syncing to all mailboxes, but it has introduced the problem with searching my mailbox. It has also meant that every new message that arrives is displayed both in the Inbox and in the All Mail, and I don't need the latter.
    I opened a ticket a year ago about the syncing issues to all mailboxes with bugreport at Apple, and nothing has been solved. Thanks for any help on how to hide the All Mail Google archive without disabling All Mail in IMAP, or any other workaround to search messages by mailbox without having syncing issues.

    Which particular .msi file does the message go on to say cannot be found? (Several different .msi files might be mentioned in this context: itunes.msi, bonjour.msi, AppleSoftwareUpdate.msi, etc.)

    I have customers that fill-out a request form online, then the data is sent to our database on our server, and another copy is sent to my email account. The server database got corrupted and is now lost. The only data left are in my email app called APPLE MAIL. I have created Filtered Folders so the data is just in one Folder, not mixed with all other emails. Is there a way to export the email names & addresses from APPLE  MAIL to a CVS file or Excel file?
    Again this is not a question related to Apple Address Book. This is ONLY for Apple MAIL exporting!

    The script to use from the collection of scripts is Add Addresses (Mail) which adds addresses found in the selected messages (in the header fields "From", "To", "Cc", and "Bcc") to the Address Book. This is much more flexible than the "Add Sender to Address Book" available in Mail and provides a convenient way for creating mailing lists.

    You know , I am an OCD . I alway's close my Mail app and miss many important new emails .

    What I do is open the Mail.app, then click the red traffic light (upper left corner of the main Mail.app window) to close that window. The app itself will remain running and you will get updates - this helps keep the desktop tidy while while the mail app remains running. When an update is received, simply click the either the mail icon in your dock or go to the Mail.app menu and click Window > Message Viewer.
