Authorisation of FBL1N

Hello SAP Guru,
We have a  separate Purchase dept. for Raw Material, Engg. Stores, Packing Material etc. We want to give authorization of FBL1N (Vendor Line Item display) to each purchase department. We have given separate Vendor code for Raw material vendor, Packing Material Vendor, Engg. Vendors etc.
We also have created employees as a vendor with separate vendor code.
My query is
1. How do we block vendors view of a purchase department which is not relevant to that dept.
2. If the above is not possible at least suggest me the way out of not authorizing purchase dept. to view employees ledger. Do we need to maintain any field while creating employee vendor masters.

     Its possible if you give the plant and purchase organisation it will display only purchasing relavent vendor balances and company code wise also you will control first you will check the what r the authorisation is availble you will sit with your basis person you will check for this transaction code is PFCG.other wise you will maitain the activate work list.

    Hi Friends,
    We have one requirement to restrict the Document type authorization in FBL1N for one user.
    Since in SAP we have created the employee as the Vendor so we are passing the salary voucher vendor wise.
    We have tried to check the the authorization object through SU24 for transaction code FBL1N and found the F_BKPF_BLA after that, one authorization group is assigned to Document type in OBA7. there after, in table TBRG the authorization group has been assigned to authorization object. Now that authorisation group is being removed from the user id.
    but the same is not working.
    Please help.

    Hi Janeet,
    You can able to restrict those values in 2 methods.
    1. Create document type authorization object in OBA7 and exclude this authorization object to business user through mentioned object F_BKPF_BLA
    2. Create separate account group for Employee vendors and assign one authorization group in Vendor master and restrict those values in FBL1N through authorization object F_BKPF_BEK
    You have to exclude those object from obhjects.

  • FBL1N Report

    Hi
    one of our user executed FBL1N report with open items an parked options, when i am clining on teh documetn for display of documetns in the FBL1N report, user is getting an error message that "you are not authorised to use transaction FV63"
    I need to know whether this is essential part of another process and whether to give authorization or not. but when i execute this transaction in the system it says  Transaction FV63 is not supported for direct access.
    please help me on this

    when ever you get this type of authorization error message you can send the screen shots.  use the transaction SU53.
    and send this screen shot to BASIS person.  they will give the authorization.
    this is the right process to geting authorization

  • F_LFA1_BEK not working with FBL1N

    Hi Gurus,
    I am trying to restrict the object for vendor account authorization for FBL1N. The objects status is set to check and proposal is set to yes in SU24 already. It works fine in XK03 which also has the same status. When I try to restrict the report FBL1N on basis of this vendor account auth. group it does not work. However since its status in SU24 is set to check and proposal is yes, I would have expected it to check this object before  the report moved ahead. However I even tried to debug the code, I didn't find any Authority Check programmed for this object.
    Has any one faced a problem in restricting FBL1N with respect to a vendor auth. group before.

    What you need to understand is the meaning of the word "optional" in the documentation.
    Lets try RTFC ...

  • Disable Standard Tool bar from FBL1N

    Hi everyone!!
    I have a doubt with transaction FBL1N. My user want to disable from the standard tool bar the Print Button. I know it's a crazy idea but I have to investigate It.
    I 'm trying to do it by a Transaction Variant ( SHD0) but although I disable  all the print functions the button continue active.
    Anyone have any ideas about it?

    You may be able to block it using authorisations - maybe you can ask one of your authorisations team to investigate as well?

  • Vendor invoices (FBL1N)

    Hi experts,
    i have  to make a simple ABAP program which extract open and cleared items and display like FBL1N report.
    My new report must contain some extra functionalities like if a document(invoice) was checked or not.
    My questions are:
    - Is there any BAPI function or anything else which display a document(invoice) details? (type,date,reference,amount) like FBL1N ??

    Hi Peers!
    Is there any report were i can authorise the payments to which vendor and which invoice i can pay today like that.
    Ex: Say my higher authority wants to select the open items vendor wise to pay the due. so that i will check that invoices and pay through outgoing payment.

    There are so many age wise analysis reports are there for analysing the customers or vendors open items. out of those, F.41 for vendor open items there you can find all the relevant data including business area level also satisfied because in some cases higher management wants the particular business area wise required for analysis. similarly f.21 for customers.
    I hope it will be suffice your requirement.

  • Reset Cleared Documents and Vendor Open Items Report FBL1N

    Hi all,
    I have following scenario:
    - In last month, we had 2 documents (invoice and payment) cleared against each other. We created open items report as well as open items correspondence sent to Vendor. Obviously, the docs were not included in report.
    - In this month, we have reset and reverse clearing document of the documents. We create report again with the open key date as in last month. It should not include the 2 docs but it did with whichever key date we chose.
    Is there any setting that open item report doesn't include cleared item at the key date when we run report for previous month?

    Hi Dau,
    If i understand you correctly then you posted and paid invoice in Jan 2012 and generated the open line item report for Jan which correctly did not include this cleared invoice.
    Now in Feb 2012 you reset and reversed this payment document.
    The issue is when you execute the report FBL1N again then you get the open line item for this invoice correct. Please confirm what is the open item key date that you are using here for generating this report
    If you keep it 31.01.2012 then definetly this invoice should not appear in the report but if you keep that 29.12.2012 then this line item would for sure appear.
    The importance of key date is to limit the report to certain date. The system selects all items posted up to and including the specified key date and open for this period.
    so I think your issue is with the key date.

    I need vendor wise open items and cleared items in ALV Grid format in excel sheet.
    I'm Trying that in T Code FBL1N, After the execution. I had select ALV Grid format like this From the menu bar->Settings-> Switch list.
    After that i get ALV  Grid format, Then i'm doing export the data to excel sheet. like this From the Menu bar->List->Export->Spread sheet.
    That time i'm getting Error Message no. 0K064, Filter criteria, sorting, totals and subtotals are not taken into account.
    I want vendor wise sorting totals and subtotals,
    How can i over come this Error please let me now.

  • Simulair report for FBL5N and FBL1N for new general ledger on segment level

    We are working with segments in new G/L ledger. We want to run a open item report where we can combine customers and vendors by segment. The vendors and customers are linked in the master data. In the "old"  reports FBL5N and FBL1N you can do this but not by segment.I found the following report on segment level:
    - S_PCO_36000218 - Receivables: Segment
    - S_PCO_36000219 - Payables: Segment
    What I'm missing is to run 1 report for Customers and vendors. What I'm missing to is that there are only some fields available on line item level. (I like to have invoice number, documentype,.......)
    Is there a standard report for this in new genaral leger?
    Is it possible to ad additional field to th list viewer.

    What is this user license type?  All financial transactions need professional license.

  • Doubt in fbl1n transaction

    hi i have a doubt....
    in fbl1n transaction, there are open items and cleared items.
    in it the cleared items  for certain document types such as invoice etc is not present in the open item table (bsik)
    however the cleared items for document types such as general  voucher its present in the open items table (bsik)
    is this possible as all cleared item entries shld b present in the open item table with an indicator set for cleared or not...
    plz exlain!

    There are 2 tables(open and Closed Items)  in FI for Account Payables and Account Receivables and GL accounts
    1.Account payables: BSIK is Open Items and BSAK is Closed items
    2.Account Receivables; BSID and BSAD for OPEN and closed items
    3/GL accounts :  BSIS and BSAS  for Open and Closed Items

    I'm a bit new to this discussion group thing although I've been using Macintosh computers for many years (showing my age).
    I handed my MacBook Pro to be repaired at an authorised apple service centre. When I handed it in they said they needed to keep hold of it to run some diagnostics and requested my password. I've owned various models of mac for the the past 17 years and this is the first hardware problem I have encountered, hence I have never bothered to set up user accounts. 
    As I live in quite a remote part of Sweden I am paranoid that some untrusted technician is going to make a copy of my music (11,000 tracks) or share some of my personal information (scanned copies of my birth certificate, passport, certificates, photos, etc.) on the web. Is there a way of finding out what activity has taken place whilst they've had it in their possession?
    I appreciate any advice you guys can offer.

    PS: I've already thought about the 'recently opened' menu and The machine in question is a MacBook Pro 17" (2011) running OS X 10.6.8 (need Rosetta).

    If you put your info into the computer and hand it to another, you have to assume they will copy everything.
    Why are you putting scanned copies of valuable identity information into a computer than can be hacked, stolen, lost or compromised by a dirty tech?

    Is there a way of finding out what activity has taken place whilst they've had it in their possession?
    No. The tech would just deny it if he did, or tell the truth which the answer would be "NO" in either case.
    The employer won't ask that sort of questions without solid proof, less they make a enemy of the employee and/or risk being sued for defamation of character.
    It's not like they bother to have a team of people watching over his shoulder that he doesn't stick a USB thumb drive of your data into his pocket to take home.

    If it's iTunes music, it has your personal ID embedded into the song files. Most IT techs know this though.
    I appreciate any advice you guys can offer.
    Too late now, all you can do is not worry about it.
    Take your personal info out of the machine and if you need it, burn cd/dvd copies, a few USB thumb drives, Iron Keys or self encrypting external storage drives with key and/or keypad.

  • HR Authorisation Management for different companies in the same client

    Hi,
    Could anyone please help in this....
    My client has two companies. They want to restrict the authorisation to both the companies so that no one can see each other companies data and at the same time access tha data.
    For Eg, there are two payroll officers, each in both the companies, If i give authorisation to run Payroll driver(PC00_M40_CALC), anyone of them can run payroll for any of the companies. (though,their Payroll area is different). There are many restrictions to be maintained like Maintance of Master data, Maintanance of OM structure as assignement of position, running Payroll, viewing the payslip etc...
    How can this all be restricted so that, the respective  companies can view and access their own data without interfering in to the other company.
    I could only find object P_PYEVRUN which helps me restrict to view the created documents of posting for other company code.
    Can anyone put light on how i should proceed further... I heard we can restrict HR master data, but what all i know is we can restrict at infotype level. My problem is, two persons should access PA30(each from different companies), but should not be able to edit other companies data.

    If you are creating the another company undar the same client . then you can not use different no. range.
    or if you are going different client for different compnay code then you can use different number range for material master.
