Content Type choices

Hi all,
I have created some content types in Task list. To choose the content type, I need to click on the new item in ribbon and choose the one I need. It is inconvenient. The "new task" button just show the original one only. Could I click on it and
then choose the content type like the "Edit item" support?

Hi,
Based on your description, my understanding is that when you click new task in tasks list, the content type choice field missing from new form.
There is no OOTB method to make the content type choice field display in the new form.
When we click the new task button we are by default selecting the default content type so the content type field is not available.  Users will need to click the dropdown in the ribbon and select the correct content type.

    I just now started using content types in document libraries instead of folder structure.  The structure I was given is as follows:
    Master group (library name)
    L.A.
      South Street
           Number 1
           Number 2
      North Street
           Number 1

    Boston
      West Street
           Number 1
           Number 2
    East street
           Number 1
           Number 2
    India
      North Street
           Number 1
           Number 2
      West Street

    So, I created a Content Type called Areas (which included LA, Boston, and India) and I created choice field values for each columns (South street and North street).  Then, I gave the choice values as Number 1 and Number 2.
    Now, the complexity was in terms of permission levels, wherein the client was accustomed to using folder structure.  And hence, they had given a set to users to have access only to Number 1 of West street of Boston.  Now that I have the content
    type structure in place, how do I configure the granular permission for the 3rd level of the hierarchy?

    Thanks for your post. I had already done this via Windows Explorer, and it works for all of the My Docs files
    but not Acrobat files, which still come up in List View. I am running Windows XP still, is that a factor?

    I've only done this one but I seem to recall packaging these up as XML as normal columns and sompl referenced them in the Content type definition.  Having had a quick look on the inertubes for a refresher, I think this might point you in the right direction.

  • External Content Type (BCS) with a dropdown column choices from a different table

    I want to create an ECT with Create/Update method using SPD.
    The dropdown choices should be also from another table in the database.
    How can I achieve this?

    Hi,
    It is not supported to create External Content Type with a dropdown column by OOTB. 
    For a workaround, you can use Custom Field Controls and jQuery to add
    Drop Down List to External List Form.

  • Content type (Audio) not appearing as choice for document properties in a document set

    We've created a document set for which there are currently 11 Content types. When we upload a document to the document set we have the following problems:
    one of the content types is not available (A customized Audio Content Type).
    we can't seem to set the order in which the content types appear in the list (incomplete though it is)
    we also can't set the default content type for uploaded documents.
    Is there a way to resolve these issues?
    Notes:
    Three are several document sets in the content hub but only one in the library where this content type is used.
    We're running SP2013

    Hi Barry,
    Based on your description, my understanding is that the content type called Audio is not available when uploading a document to the document set.
    I recommend to check if the content type is added to the Allowed Site Types of the document set content type.
    Please follow the steps below:
    Make sure that the content type has been added to the library.
    In Library settings page of the library, click Document set content type under Content Types.
    Click Document Set settings under Settings.
    Check if the content type called Audio is included in the Content Types allowed in the Document Set. If not, please add it to the allowed content types.

  • Content type, list definition and List instance - query

    Dear all,
    I created a list content type, list definition and list instance for a SessionsList.
    I did mistake when created a event receiver file where field name is RegistrationsInfo - did typo error as RegistrationInfo. This field I want to make it as false in the ShowInNewForm= false
    When I deploy it with event receiver file - I am getting stack trace error stating that the RegistrationsInfo field is missing.
    Without event receiver file - when I deploy the solution and checked the field name - it is showing rightly as RegistrationsInfo.

    Hi Sathya,
    Seems the field “RegistrationsInfo” is not been found when deploying with Event Receiver, a possible reason is that it might be damaged.
    As a workaround, I suggest you retract the solution from your farm, make sure the “RegistrationsInfo” field is deleted using PowerShell, then create another project with the same
    content and perform the deployment again.

  • Recommendations, samples, etc for creating a "Vendor Invoice" Content Type.

    I am developing a "Vendor Invoice Approval" application in SharePoint 2013. My development platform is "Visual Studio 2013". This will be an "Intranet only" application running only on our internal SharePoint
    2013 Farm.
    I am planning on using a "Document Library" to store all of the Invoices. I believe the "correct" approach (or one of many, probably, lol) would be to create a "Content Type" called "Vendor Invoice". The "content
    type" would then need to have the following functionality:
    Custom Columns. Some columns would be "required", some would be "optional".
    Vendor Name - Chosen from a “Vendors” list (a SharePoint "custom" list that contains "Vendor Name" and "People Responsible" (which will be a "People" type column and allow multiple choices/people from
    a SharePoint Group called "Vendor Invoice Person Responsible"). The user may also enter a new Vendor Name.
    Person Responsible - Limited to the users in the “Vendor Invoice Person Responsible” SharePoint Group. Will allow the selection of 1 or more "people" from that Group. (When a Vendor Name is "chosen" (above), this field
    should be populated with the values from the "People Responsible" record for that Vendor. The user can then ONLY choose between those users or choose them all. Optionally, I may just store a single Person in the "Vendors" list and use that
    to populate this field with a "default" value, but then allow the user to pick ANY user from the "Vendor Invoice Person Responsible" SharePoint Group).
    Invoice Number (Will probably renamed the “Title” column.)
    Invoice Date
    Invoice Amount
    PO Number (When entered, look it up in our ERP system and populate as many fields as possible, such as the Vendor Name, Account Number and Plant.)
    Status - Most likely this field will only be adjusted via "workflows". Choices are:
    “Created” – The initial Status when an Invoice is created (BEFORE any “Issue” or “Approved”).
    "Pending Issue" - An "Issue" needs to be resolved. (See "Issue" below.)
    “Issue Resolved” – The current “Issue” has been resolved. The next status could be “Pending Issue” (if there is another Issue to resolve) or “Approved”.
    “Approved” – All Issues have been resolved.
    “Issue Check” – The Invoice was “Approved” and a check may now be issued to the Vendor.
    “Completed” – The Invoice has been “Approved” and the vendor has been issued a check.
    Issue - Chosen from an “Invoice Issues” list (a SharePoint "custom" list that contains "Issue" and the name of a "WorkFlow" to execute on the "Invoice" in order to resolve that particular "Issue").
    When an Issue is chosen, this will trigger a "Workflow" (or more than one?? probably only one...) to start.
    Account Number
    Plant (Choices: 1-New York, 2-Los Angeles,99-Headquarters)
    Invoice Notes
    Template/Forms (Insert/Update)/Development/Event Receivers/Display Template/"UI". This is the part that I am unsure of and where "Visual Studio" will be used. (I have quite a bit of experience developing "SharePoint
    Solutions". I am not interested in using the new "App Model". I have read about it, studied it, setup a local "App Store", etc, but for this particular application, I am going to stick with the "old" Solution based model.
    I am more familiar with it and "believe" it will give me the most "power" and "flexibility". As I said.... I am unsure how to "categorize" the following "needs", so I am just going to lump the rest of the "features"
    I need into the list below and ask for any feedback and/or help. :)
    Adding Invoices - Ideally, the "drag and drop" feature will (can) be utilized by the user to add the new Invoices (I can force them to only add one Invoice at a time). If this is just "too much trouble", I
    could require the user to only add them using the "Upload Document" control. Or, I could develop the UI  (or just the Insert/Update UI) using traditional "ASP .Net" controls and insert/update the data using the Server
    Object Model or the Client Object Model (CSOM).
    Preview Invoices - There are several times I would like to show the Invoice (pdf) as a "preview" (when the Invoice is being Added or Edited, when the user is "Approving" or "Denying"
    on Invoice via a "WorkFlow", or when an Invoice is "hovered" over in a Document Library View). Basically, anytime the Invoice needs to be acted on by a user, I would like to show the PDF in a "preview" window and
    I don't mean just open it in a separate Tab or Window. I mean use something like an "IFrame" in a certain area of the page (depending on what the page is doing: Inserting/Editing/Viewing/etc) to show that preview.  (For the "hover
    preview", I believe I can use the same skills I learned when modifying how the "Enterprise Search Center" works with PDFs. Basically, it involved adding a new Display Template for the Search Item and referencing that template
    in a new "Search Result Type". The new Display Template created an "IFrame" and populated it using our Office Web App Server via "WOPI". Anyway, I believe I can simply do the same thing in a Document Library View and most
    likely in whatever "form" or "page" is responsible for the Insert/Edit. I suppose I am just looking for someone to tell me if this is "doable" (and as "easy" as I think it might be), what the "best"
    way to accomplish it would be, or if it is a bad idea, etc. etc.)
    "Auto Populate" the columns. When a new Invoice is added, I would like to use the (Enterprise) Search functionality (OCR and "graphic matching") to somehow populate as many of the columns (metadata) as possible.
    This might involve looking for some particular "text" or graphic(s) (like a company logo?) to determine the Vendor. Then, once the Vendor is determined, I might be able to figure out other items, such as the "Invoice Number" and "PO".
    Usually our Vendor Invoices don't change very often. This would only serve as "default" values, so it wouldn't have to be 100% correct. Anything I can do to save the user time or make it easier to enter new Invoices will go along way towards
    acceptance of this application. (Currently, they use an Excel Spreadsheet, along with email. So, from their point of view, the existing "system", "works" and is very "easy" to use,  etc....)
    More uses for the "Search Index Results". It would also be "nice" if we could setup some "weighted rules" on a "per Vendor" basis to help determine who the "responsible user" is. (For instance,
    we may get Invoices from a single Vendor that could possibly go to 1 of several "responsible users". In order to determine the correct user, I would like to setup some "rules" for each vendor to give "weighted" values to
    certain "keywords". For instance, if the word "Computer" appears on the invoice, that might be worth "100 points" towards the "IT Manager". So, when the user is selecting the person responsible for this particular invoice,
    I could order the list they are choosing from by the "total points" (as calculated from the "weighted rules") which would put the "Person" who is most "likely" the "Person Responsible" at
    the top of the list, followed by the second most likely, and so on. I don't think this be that "hard" to do. I would simply need to store "keywords" and "values" and have access to the "Search Index Results" for the
    document (Invoice) the user is currently adding.
    **Another "option" I have for developing this application is to basically develop it using a traditional "ASP .Net" framework and controls (which I definitely have more experience with, but as I mentioned, I also
    have quite a bit (4-5 years) of SharePoint development experience) and just using the "out of the box" features of SharePoint (and Custom Lists, Document Libraries, SharePoint Security Groups, WorkFlows), etc. What I am trying to describe is that
    I would develop the "UI" (add/change/delete) using traditional "ASP .Net" controls and just use SharePoint for my "Data Source". (I DO need to AT LEAST use SharePoint as the "Data Source". This is for reasons that
    I don't want to get into here and just bog down the discussion. I certainly realize this application could easily be a "traditional" "ASP .Net" application using "SQL" for the Data Source. So that part really isn't what I am looking
    for "advise" on.)

    You should generate the XSD form the DTD files. Also you should list values unless necessary. XMLSpy is good tool I use.
    You can send the XML schema file to me if you can't register it to XML DB. I will help you take a look.

  • Multiple "Workflow Task (SharePoint 2013)" content type found

    Users on one specific sub-site reported that they are unable to add site columns to content type. When user clicks "add existing site column" user get error message - upon looking up on ULS, it indicate there were duplicate column "System.ArgumentException:
    No two choices should have the same ID". I came across similar issue on different site before and resolved it by deleting duplicate column, plus that site column was not used on any list or associated with any content type but this time duplicate
    column is "Task outcome" column which is associated with "Workflow Task(SharePoint2013)" content type. So looking up these two specific site column and content type I noticed there are 8 occurrence of each at affected site
    level (see below on image).
    Similarly there are 8 "Task Outcome" columns under Site Columns. So I refreshed staging env with prod copy and tried to delete "Workflow Task(SharePoint 2013" content type and got error message as shown below. Under Site features, I noticed
    "SharePoint 2013 Task List" feature was enabled, hoping this will do the trick I disabled it as we still use SharePoint 2010 workflows, but to no avail.

    The content type "Workflow Task (SharePoint 2013)" is part of an application feature.
    Not sure how it got started and something will try to find out but any advise on how to fix this issue?

    Hi Sin,
    According to your description, my understanding is that the users got an error when clicking “add existing site column”.
    For deleting the duplicate “Task outcome”column, you need to go to the “Workflow Task(SharePoint 2013)” content type, click the “Task outcome” column, and remove it from the content type.
    Then go to site columns, find the duplicate columns, and delete them and make sure only one “Task outcome” column exists.
    After the above, re-add the “Task outcome” into the “Workflow Task(SharePoint 2013)” content type.

  • Content type "Link to a Document" to content type Document SET

    Hello,
    Could you please assist.
    I have a customized document sets.
    I added the content type "Link to a Document” to content type Document SET.
    I uploaded several documents to each document set.  There are several identical documents in different document sets.
    How can I arrange for uploading just a link to the documents, but not the additional documents?
    In other words, how to arrange for convenience for users to download a link?
    I mean them not to enter

    but a certain “dropdown” appeared, a kind of menu with a choice of downloaded documents.
    Suppose, I added to each file its own attribute link and this link. I want to present  in form of creation “Link to a Document”
    There are 2 forms of creation. The first one is where we point a link. The second one is where we point the attributes.
    For example:
    I have two document sets: Project 1 and Project 2.
    There are 2 documents “instruction.doc” and “invoice.xls” uploaded to Project 1.  Each document has a field – link (a link to this very document).
    I want to add a link to “invoice.xls” in Project 2.
    I want to do it in that way a user could choose a list of links from a dropdown menu.

    Lookup column is the attribute of file. Attribute can not be upload! . Did you try to use the content type of link to document? If yes, you can understand my question. I want to change uploaded.aspx ( link of document) and add lookup column to this form.

    I am trying to establish connection to an Access 2013 DB from SharePoint 2013 Designer.
    I am in External Content Type. My database is on local drive. When I click on Add Connection, I have the following choices,
    .Net Type
    SQL Server
    WCF Service
    Which one shall I choose for access. What would be the Database Server. The database is local.

    Hi Mayank,
    If you want to use ECT to display the data of the Access database, per my knowledge, you need to import the Access database table into SQL server, then use to ECT to connect to the SQL server table.

  • Upgrade SharePoint Content Types / Site Columns declaratively in SharePoint hosted apps

    Hi!
    I have a question where I was unable to find any official guidance for. I have created a SharePoint hosted APP where I have multiple site columns and content types (declared in XML). The APP installs and functions just fine. 
    Now I have a requirement to change a site column (Choice field, just add some more choice values). I was able to update the site column but the changes will not be reflected on the list column (I think because there no way to push the changes).
    So is there an "official" way of changing site columns?
    Any help is appreciated!

    i need to create look up column in SharePoint 201o using XML, my problem is i need the look up column to reference certain content type on the list instead of referencing the list itself, can we do that ????

    Hi,
    According to your post, my understanding is that you wanted to create a lookup column reference content type instead of list.
    Lookup Fields obtain their values from an existing list. Each Lookup Field is being linked to its list using the list's ID. As the ID's are being generated after creating the instances there is no way to provision a Lookup Field linked to a newly created
    list during Solution deployment.
    However, we can use the Feature Receivers to achieve it.
    Feature Receivers are nothing more than custom code you can attach to events triggered by a feature. Provisioning a custom field programmatically works exactly the same as doing it using the GUI: first you need to create a Site Column and then you need
    to attach it to the Content Type of your choice.

  • Not able to crawl all items from External content type

    Hello All,
    "All the records in my external content source are not getting crawled, only 1/3 rd of the data are getting crawled."
    Steps:
    I created "External content type" using sharepoint designer which connects to a SQL Server database.
    Have written a SQL View joining 2 tables, which return 9,00,000 rows when executed using the SQL Server management studio.
    I used the default "Business Data Connectivity Service" and "Search Service Application" and made sure the necessary permissions are set.
    Created a External Content source for the search service application and selected the "Business Data Connectivity Service" -> "Crawl selected External datasource" -> <my external datasource i created in sharepoint designer>
    Issue
    When i ran the full crawl for the first time it crawled "3,49,923" records in 01 hour and 07 seconds. And returned 1 error "Error crawling LOB Contents.(Error caused by exception: System.InvalidOperationException. There is an error in XML
    document...)
    Later i removed the below item from the index and started a full recrawl, this time it crawled "3,49,924" records 1 record extra from my previous crawl
    and no errors were returned.
    Please let me know what could be the issue. It doesn't look like the permission related issues as i am able to crawl the 1/3rd of my total data. Also i am able to search the crawled data. I also set the throtteling limit for the "Business data catalog"
    to -maximum 10000000 -default 1000000 which is less than the data it has to crawl.

    I started the change suggested in the link shared by you, but got stuck at a point,
    The field which i set as identifier in BCS earlier is not having unique values. Total rows returned by the sql view is 899000, but the unique values present in the column that is set as identifier is
    3,49,923, which is equal to the number of rows crawled. - Is this the reason why it didnt crawl all records?
    The table that is used in the sql view has composite key, - Is it possible to have multiple identifier in BCS as well?
    Is it possible to make BCS to ignore the identifier? i mean creating BCS without an identifier column?
    Please let me know your suggestions on this.

    Yes, BCS needs a UID. This is so it can figure out changes over time to a single record. Otherwise all changes to a row could be a potential new row without BCS knowing any better.
    Yes, or just have it run off the composite key instead of the field you're using now.
    Nope, BCS needs a UID field like in answer 1 :)
