DMS without KPro

Hi,
I know the fact that in DMS Document configuration, if we don't tick the checkbox "Use KPro" the attachment is saved to SAP database, Vault or Archive. T-code DC20 decides that. I have tested the same for Vault and it works fine. But when I don't provide any Storage Category to BAPI "BAPI_DOCUMENT_CREATE2", I am not able to access the attached file. where does the attachment go in this case - Archive or SAP DB?

Hi Chao,
As per my experience and best practice, I will suggest you to use Kpro for your requirement.
ftp file server or external DMS server are used when volume is large(i.e. in TB)
The difference is while serching a document kpro will respond quickly than external system.

  • Using a URL as the original application file in DMS/KPRO

    DMS and KPRO
    Has anyone had any experience with creating a DIR that points to a document stored on another server via a URL.  Such that the original document is not physically checked into the DMS vault.  When I enter the URL as the orginal application file the DMS checks the file into the vault and the URL is lost.  Is there possibly a better way to try and reference the URL so that I can get to the document and utilize the functions/features I need from SAP?

    I've followed the thread because we have the same problem. We made all the suggested changes but unfortunately we were not able to add URLs as original applications. We received an error message - which does not say much: "E:26:504 com URL". After some debugging we found out, that the URL http://www.sap.com was treated as a file with the extension .com -> this resulted in the error message. We've made a number of screenshots, with all our customization settings. Can you tell us what to do to add URLs.

  • How to customize DMS for EH&S using KPRO

    Hi all,
    I am triing to configure DMS for EH&S using KPRO. It seems there are some specificities link to EH&S for using DMS with Kpro.
    Id like to find documentations and / or help to know the different steps to achieve for configure DMS for EH&S using KPRO.

    Hello Ludo,
    As Documentum is a separate document storage system, it requires a connector (Standard Interface) to connect to SAP-DMS.
    As I am not expert in this field so will not be able to help you but still I have some information like, Documentum will be used as the Main Application & all data & objects will be created or linked to SAP objects in the Background and the Content Services for SAP application integrates the Documentum content management system with the SAP R/3 system. It is an interface to the SAP R/3 system based on SAPu2019s standard DMS and ArchiveLink interfaces.
    I think your question is more relevant for DMS forum. May be you can post your theread there, so that you can get right answer or may be on this forum someone else can help you who has worked on this scenario.

    I am working on DMS. I am a fresher in this domain. I need some help to understand the different options available with DMS.
    I need clarification on the following front
    1.  Can we use DMS without Content server ? If yes then how ?
    2.  If we use DMS with Content server then how this is Linked with Knowledge management in Enterprise Portal ? through KPRO (Knowledge Provider) ?      Can we access all the DMS functionality through EP then ? How we can integrate DMS in EP ?

    A. YES, you can use DMS without Content Server, You can store your originals (Attached applications Files like .WRD, .XLS, .ACD etc) in your SAP Cache server itself i.e. in Storage Category "DMS_C1_ST" which is a standard storage category in DMS.
    A.(2). YES, when you use DMS with Content Server(storeing External Application Files separately) you can link with EP, YES you can access all the DMS Functionality through EP.

  • Documents upload in DMS

    Hello All
    Is it possible to upload the Document in SAP DMS without creating from CV01N transaction?
    Also my requirement is to upload around 2.1 GB documents in SAP is it possible to upload it in one transaction?
    User want to just upload the docs in SAP system so that he can viewed it any time or if user want to add or delete the document any time he can do it
    How to upload or attached ZIP file in DMS from CV01N? Is there any configuration need to do for zip file attachment?
    Currently I can attached zip file from CV01N but if I tries to open the documents from CV02N or CV04N transaction system is giving the error that docs can not be opened.
    Could any one give me step by step solution for above two requirements as I am completely new for DMS module

    - If you have some DMS documents already created then you can attach to that doc (CV02N), if not then you have to create a DMS doc and attach it.

    - For Users uploading & display document in DMS is very convenient. You have to define in your workstation application for zip format & bypass the indicator of authorization. zip format should be defined in workstation application.
    Currently I can attached zip file from CV01N but if I tries to open the documents from CV02N or CV04N transaction system is giving the error that docs can not be opened.
    - What is the error?

  • Transfering Documents (mostly .jpg) from Services for Object to DMS

    Hi,
    We are presently in the process of finalizing document attachments via DMS system. We still have a high quantity of documents that were attached through the "Services for object" function (mostly .jpg ) and would like to transfer these to DMS without having to export them for every single object (mostly equipments). Is there any way to do this i.e. mass export of these attachments with their link (ex. at the top of the dialog box: AttachmentFor0000000...) so that they remain .jpg to be able to re-upload quickly in DMS system ?

    we have in the current system merger project a developer from SAP who is programming this feature for us, so I am pretty certain that there is nothing in standard that can do this job.

  • DMS with vault how to ??

    I try to implement to use DMS with a vault. we already use DMS without a vault and that works perfectly. for the other application we want the document not on our fileserver but in a SAP vault.
    we did all the customizing in DMS but still with the new document type linked to the vault. the document attached still remains on our fileserver instead of being uploaded to the vault and specified dir on the unix server.
    is there a quick guide on 'how to ?' perhaps
    as av vault path we have /usr/sap/C30/SYS/gen/opt %chmod 644
    and DVA server is left blanc .
    any input is greatly apreciated

    How can we configure KPRO in our landscape ?
    What are the requirements for it to configure and how does it work.
    I want use a separate content server on AIX .
    DO i need to use Apache server also for this to work ?
    I am new to KPRO so need info regarding this for using it in our landscape.
    Please help me understand this what are the requirements related to hardware and software.

    Hi Dev,
    *Note: "Gurus- Let me knwo if I am wrong".
    KPro is the Knowledge Storage for secure check-in.
    For example if you are not using a seperate Content Serve of SAP or any other 3rd party conten servers, then you will have to use the KPro in order to check in all files into default storeage location of DMS.
    KPro setting will be under:
    SAP reference IMG under SAP Netweaver--> Application server u2192 Basis Services u2192 Knowledge Provider

  • Some DMS question

    I have a requirement that I have to somehow implement
    I have to be able to upload a document in the DMS without actually specifying the document type. Later on the user will be able to change it.
    The first one is impossible since we should always have a document type prior to creating the document. So I'll workaround this by just creating an intermediate document type.
    The second requirement however requires me to be able to change the document type after the document is actually uploaded. I searched but couldn't find any resource on how to do this. It seems that no change is possible even when a new version is created.
    Has anyone here had the same problem before and how did he cope with it? I'm currently thinking of implementing the document type change via:
    - creating a new document - a copy of the old one with the changed document type
    - deleting the old document
    - replacing the references (DOKAR, DOKNR, etc.) to the old document with the new one in all my tables where such information is stored
    Any better ideas are highly appreciated

      Since the DOCTyp/ Doc Number/Part & Version are the key field in DMS system also the documents are catogorize using Doctype as a key control element , Once you create the document with one document type it is not possible to change the document type for the same document .  You can create the same document with different document type and so you will get a brand new document.
    You can delete the old document with intermediate document type using program MCDOKDEL.

    I am getting an error message when I try to save a document using CV01N. It says:
    "An Error occured while creating the original attribute for XXX"
    Can someone please help me here ?

    We get the same error message sometimes but then the documnet already is created. Trouble then is that s an inconsistence in the KPRO.
    There is an incomplete/orphaned LOIO (logical object identifier), incomplete means that there is no original associated to it.
    Don't know why this happens but we fix by doing following.
    I run transaction SE38 and execute program DMS_KPRO_CHECK1
    In bottom of the result list there is a section called: Loios in DMS without reference to KPRO.  These documents have a LOIO but no original.
    This can be checked running transaction SE38 and execute program DMS_KPRO_READ.
    When the document is checked in DMS_KPRO_READ I go back to DMS_KPRO_CHECK1, and delete the LOIO.
    The inconsistency will then be cleared.

  • Latest version of Content Server

    Hi All
    I need some assitance in understanding what the latest version of the Content Server is. I know 640 is probably the one, but what confuses me is the content Server Service on SICF on the ERP system for example. Now, does that mean the content server is integrated to the system or do we still need to install a stand alone Content Server.  What other way can we implment DMS without the use of the content server, i.e. can the portal knowlege Management achieve the same? if so, what are the prerequisites and pros and cons?

    Response to your second question: Portal Knowledge Management is a stripped down version of DMS. It provides basic content management features with embedded asynchronous and synchronous collaboration(review,rating,feedback,discussion etc).
    SAP DMS (with content,cache server setup) typically cater to a long term Document Management strategy involving designs, drawings, technical specifications etc with rich features like Markup and redlining,Document life cycle definition, Distribution strategies, Digital signature, SAP R/3 Object linking,CAD integration etc. The storage options in SAP DMS are:
    1. 'DMS Storage' option(may store in SAP DB,Vault,RFC Archive), you can store upto 2 originals/documents and 99 additional files.
    2. 'kPro Storage' option(may store in SAP DB,HTTP Content Server), you can store 'n' originals/documents and 'n' additional files
    NOTE:
    HTTP content server
    Either the SAP Content Server or a third-party content server can be used.
    SAP database
    If you want to store your documents in the SAP database, you need a content table. All your documents are stored in this table in the SAP database. The content table can be cross-client or client-specific.
    RFC storage system
    RFC is used for storing documents in the context of SAP ArchiveLink, the Archive Development Kit (ADK), or an application that uses SAP ArchiveLink or the ADK.
    Logical repositoryThis storage type allows access to different physical repositories, independently of the client and the system ID.
    Structure repositoryThe structure repository is only used in the SAP Knowledge Warehouse environment.
    The content server is available for free on SAP marketplace for exisiting SAP customers. This needs to be setup on a separate hardware(specifications can be arrived at after contentserver sizing). The storage limit using content server can be scaled upto 50+ terabytes of data.

  • Authorization check for Easy Document Management

    I'm using ECC6 without cProjects or any other implementations regarding the authorization concept in Easy DMS. I'm trying to use authorization control inside the Easy DMS GUI but these settings won't work. I need document based authorization and it seems like ACL's are used for this. The problem is, I do not know which route to follow. I have viewed note 798504, but I could not make sure it will do the work for ECC6 also. My DMS is integrated to a Windows 2000 Content Server 6.3 and I have done its settings accordingly.
    Could anyone please kindly show me which way this is done, using only a ECC6 SAP system and Easy DMS without any need of SAP internal roles and authorizations?
    What I need is a step-by-step instructions, as I'm quite new to SAP.

    i had done same things as mentioned below
    For document distribution between SAP USERS in SAP DMS
    1) I maintained communication type and address for RML.
    2) Maintained distribution type activated it and makes it default
    3) Also checked: Activating Event type linkage.
    4) Maintained the value '2' as processing type for RML
    5) Created recipient list and started distribution in Tr. Code CVI8
    6) Initial Order is generated, got message document sent successfully.
    what is missing, is it necessary a RFC connection & workflow for document distribution within SAP users in same client.
    the problem is that in tr. code SBWP document is not received and in distribution log document is shown with yellow flag & "SY" status

  • DMS_KPRO_CONVERT

    We are trying to migrate documents into KPRO using DMS_KPRO_CONVERT.
    The documentation for the program states there are 2 possible ways to run the program 1-Complete migration or 2 Step-by-step migration.  When we execute the program - we do not see any place to designate which choice we want. We want Complete migration. Upon execution it appears that the Step-by-step method has ran.  I can see that the documents have been converted to use KPRO but that they appear to not be "Checked In".  Must we use the integrated viewer and Check in each individual document? (have close to 10,000 of them to be done) Additional documentation suggests that we run DMS_KPRO_CONVERT2.  When we execute this program nothing appears to have taken place.  I have been unable to find any SAP Help documentation or SAPNOTES that would provide more details. Can anyone provide or point me towards some helpful information

    I am an ABAPer and our DMS 'module owner' has asked me to help them figure out how to migrate the old docs into the new Content server using KPRO. I'm not very familiar with DMS and KPRO.  I had noticed the program notes that you included in your reply. We ran the DMS_KPRO_CONVERT and it appeared to run with no errors.  My DMS user could see that the docs were properly checked to now use KPRO but the content server didn't show that the docs were physically stored. We then ran DMS_KPRO_CONVERT2 from the same users PC in foreground. We do not get any error messages, but there is no feedback that the program did anything.  When I go to SLG1 and check the Display logs, I see a record of when I ran DMS_KPRO_CONVERT2 with a Green box  to the left. I can expand this record and I see another Green box and the text "Problem Class Other".  I can not find any details or documentation that tells me what this means. When I doubleclick this line, the bottom part of screen displays each individual record with "Start conversion...." followed by each document object id or something like that.  So I guess I am asking how do I get this to continue on ? and what ever I have to do to continue this migration, can it be automated to do all or must it be done manually to each individual record?

    I need your help. I have moved original documents from 1 KPRO server to another using DMS_RELOCATE_CONTENT. Now this works quite well. Now for some other reason, i have some documents missing and they used to exists in the old KPRO. Is there anyway i can get back the originals?

    Follow the steps,
    In order for you to use document types from earlier Releases with the new storage categories you must carry out the following steps:
    1. Enter in Customizing for Document Management the required settings for the the new storage systems: Maintain storage system , Maintain storage category
    2. Call the program: DMS_KPRO_CONVERT (Migration DMS storage into storage of the Knowledge Provider).
    3. Press the button |@K8@ (Settings).
    Enter the new transport target (storage category) for the old storage data.
    *Make this entry for all old storage data where the selected document type can be found
    If you want to carry out a complete migration, set the indicator Physically transport the original   application files during migration.
    *If you want to transfer old audit versions (checked-in content versions) into the new storage system, set the indicator Transferaudits during migration from DMS to KPRO.
    Save your entries and go back to the initial screen of the conversion program.
    1. Enter the data in the intial screen of the conversion program.
    Enter one or more document types whose document info records and possibly original application files you want to transfer to the new storage system.
    You can also make a test run of the migration with a simulation by setting the indicator test run .
    If you have already run the conversion and only want to convert corrupt documents from the table DMS_CONV2KPRO2, set the indicator to Only documents with errors.
    You can see information in the messgae about the progress of the migration when you set the indicator progress indicator. This will, however, impede performance.
    Enter the settings in the application log.
    The application log contains information about which documents were converted.
    Assign a log ID number. This is the number used for identifying the log of the conversion.
    Enter a temporary directory where the original application files can be saved.
    Start the conversion by pressing |@15@. .
    2. Because the logs are saved in the application log you can view them at a later time (transaction Evaluate appication log).
    Enter the Object as CV.
    Enter the Sub-object as CONVKPRO.
    A list appears that shows the status of each individual conversion.
    Check whether conversions have errors.
    The corrupt original application files are put into the temporary directory that you entered in the initial screen.
    3. If a conversion was not carried out successfully you must convert the corrupt documents.
    Set the indicator Only documents with errors in the initial screen of the conversion program.
    4. When the conversions for all documents of the document type have been executed successfully the system automatically sets the indicator Document storage using the Knowledge Provider (Customizing of Document Management, detail screen of the document type Define document type).
    Verify this indicator.
