E-recruiting Terminated Employees

Hi,
  when an employee is terminsted  in HR  and the changes are moving over to E-recruiting by change pointers..
hrp1001 relation bt S & P in HR is having an endda - as termination date..        -
in HR
- HRP5102 is_active flag is changing to 'X'                                          -
  in e-rec
- and reference user of the employee is changing to EXTERNAL ...   -
  in e-rec
but the hrp1001 relation bt S & CP is still having endda 12/31/9999 though the idoc processed successfully.. 
i dont know why it's not changing the endda to termination date
is there anything i am missing here..  any help will be appretiated...

perhaps I can help you with the mechanics behind switching internal candidates to external when a employee leaves the company. I'll describe for EhP 3 and earlier. If you are already on EhP 4 the technical implementation differs a bit but the functional / business logic is basically the same. 
The change from internal to external candidate is processed in the E-Recruiting specific implementation of the IDoc inbound BAdI.
If an employee is terminated a personal action is processed. This is creating a change pointer which causes the report for periodical data tranfer (RBDMIDOC) to create an Idoc and send it to the e-recruiting system. When the IDoc is processed in the e-recruiting the BAdI implementation is called. This implementation checks the value the field STAT2 of infotype 0000. If this field has the value 3 the employee is active and has to be an internal candidate if not it is no longer active and has to be an external one.
If the candidate is currently not the type it should be the system sets the field IS_INACTIVE of infotype 5102. If the candidate should be external it is set to X otherwise to space (the employee id relation is not touched so you can rehire former employees). Furthermore the system assigns the matching reference user to the candidate defined in the role customizing (table T77RCF_ROLE) to adjust the authorization to the new candidate type.
As speciality the switch between internal and external candidate is the only time dependent function in the ALE processing for E-recruiting. While every other change is directly done in e-recruiting (e.g. you give an employee a new address starting in 6 months, he gets the new address in e-rec today!) Future changes of type external / internal are stored in table T77RCF_P_STAT and a periodical service processes them at their actual date. Processing is the same set IS_INACTIVE field and the reference user.
If you give me information on the release you are using i could supply more detailed technical information where this is done in the coding.

    Require a standard solution to delete or delimit the candidate objects for all terminated employees.

    Hello Sudhir,
    the candidate for an employee is still active in the e-recruiting system even when the employee is terminated - this has to be this way. But if you configured the integration correctly the candidate should get the flag IS_INACTIVE in HRP5102 set to X. With this flag set the candidate is treated as external candidate in e-recruiting an can no longer apply to internal publications but to external which is correct. Please check if the flag is set for the candidates, if not check you integration configuration.

    When I terminate an employee, is it possible to default the field "type" on "Person type and assignment status for terminated employee" section into another value? Its default values is: "Ex-Employee released".

    Navigate to Work Structures -> Status and query for all rows with system status Terminated Assignment. select your required assignment status as Default. Untick the other default.

  • Terminated employees retrieval

    Hi All!
    I need to retrieve terminated employees without creating any FM on target system.
    As I understand, there is an identifier of terminated employee: infotype IT0000 has end date of '31.12.9999'
    How should I read this data from IT000? HR_INFOTYPE_OPERATION FM in not RFC-enabled. Are there any BAPIs of FMs that are RFC-enabled and capable to read this information?

    You need to delimit IT0588 sty 0001... . till 19.2.2014.... (i.e separation date)
    e.g
    Joining date 1.1.2010
    Termination date :- 19.2.2014...
    Delimit the info type with period as 1.1.2010 to 19.2.2014...

    How can I easily grant access to a terminated employee's mailbox including deleted items? If I have the terminated employee's mailbox on litigation hold the deleted items are in the recovery folder, but can the recovery folder only be viewed through
    e-discovery process?

    Thank you for your question.
    We could run the following command to grant full access permission on terminated user:
    Add-MailboxPermission –Identity <terminated user> -User <your name> -AccessRights FullAccess –InheritanceType all

  • Terminated employees assignment not being end dated

    Dear Gurus,
    I have terminated an employee and his status is shown as Ex -Employee but his assignment is not being end dated till the termination date. I dont know what is the problem? in fact is is even letting me open assignment form after the termination date where as in normal cases it does not even allows us to go to assignment form after the termination date.

    Hi Muhammad,
    There are 3 important dates on the Terminations form -
    Actual Termination date(ATD)
    Last Standard Process date (LSPD)
    Final Process date(FD)
    If all the above are the same, then you cannot navigate into the Assignment form, after the termination date. i.e. the assignment is end-dated as of the termination date.
    If the LSPD or FD are later than the ATD, then you can still navigate into the assignment form as the assignment is still active with a termination status.
    There is a special use-case, for the above scenario. Consider this -
    You have terminated an employee as of 15-Apr-2012 (ATD). Now you can process the employee payroll only till 15-Apr-2012, if all the above dates are the same.
    Now, if you want to process some elements like Termination-pay or Leave-salary, which you want to calculate at the month-end, then you can give the LSPD as 30-Apr-2012. And at the month-end you can process the payroll.
    Say, you want to process an element called commission or Extra-pay for a terminated employee, 6 months after his termination, then the Final process date can be changed to the month you want to process the element(If you see closely, the FD is the only date which can be amended on the termination form).
    So depending on your use-case, you need to enter the dates.

    Hi Janhavi,
    For terminated employees I generally create a custom hiring action (e.g. X1) which includes only minimum infotypes that are required to be maintained for a terminated employee (including IT0001, IT0002, social security number). then I record an LSMW or BDC first running the X1 hiring action and then running the leaving action afterwards.

    Dear Bashir,
    It depends upon a preference (Self Service Timecard Status that Allows User Edits - set it to Assignment up to Final Termination) and on the Final Process Date.

  • Unable to find terminated employees

    Dear Gurus,
    We are facing following issues.
    Firstly
    Some of the users cannot see terminated employees. They can see them when they are active but not when they are terminated. We have customised responsibility for them and i think the issue is with the responsibility but we cant identify .
    Secondly
    Same Users can run their payroll along with the active employees (since all employees are in assignment set) but it always goes into error for terminated employees (gives formula error). When i run payroll of those employees with global responsibility then the run is completed and no error is faced. I cant understand what is the issue!

    It is a formula error. But strangely when i run it does not occurs and when the user with restricted resposibility runs it the payroll goes into error. The error occurs in the basic salary formula at line 52.
    But if it is a formula error then why does it not happens for me and occurs for the user?

    AS per standard SAP, feature MSN20 is used for withdrawal which can be assigned to action.
    Path:- SPRO > PM > PA > Customizing procedures > Action > Set up personal action > personal action type > under column "check" give feature for action Termination > Then system will throw error/warnimg message based on your requirement.
    Then how to set error/warning to feature
    Path:- PE03 > MSN20 > create another feature which is copied from MSN21 > then under stat2 assign your employment status > give return value W(warning) or E(Error) based on your requirement.

  • Pay out Terminated Employees expenses

    Hello!  We have had an ongoing problem with trying to pay out travel expenses to terminated employees.  When employees leave the company, 80% of the time, they have expenses in process.  Some of this is due to our direct bill credit card, and the data is imported into the buffer sometimes even after the employee leaves.
    So, our bus. process, is that the back-end in Accounts Payable finishes the expense reports.  However, sometimes we cannot get the repors to pay out through payroll (which is where we pay out all expenses).  Payroll has already tried to extend the pay through date, which was a good process.  But somewhere along - this was not good enough anymore.  I have two question - first - who else has a terminated employees process and pays through payroll?  next - what else can we try to change in the back-end (that can be a proces or  change to a program) that will allow these expenses to rest??

    Hi Prashanth,
    Once the Person is terminated, you cannot navigate to the Assignment form beyond the Final process date.
    Thre dates on the termination form are important -
    ATD - Actual term date
    LSPD - Last std process date
    FC - Final close
    If all the three are the same, then you cannot navigate to the assignment form after the termination date.
    If the LSPD or FC are different(always greater) to ATD, then you can navigate to the assignment form only till the FC date, but cannot amend any data, as you've already terminated the employee. All you can do is make some element entries and process payroll till FC date.
    For your case, why can't you reverse terminate the employee, make all the changes as you need and then terminate the employee as of the correct date ?

    Hi Dorianne,
    Are you using time evaluation? If yes check whether your time evaluation have triggered for any previous period for these employees. The most possible reasons are; you might have run any report / year end activity including the workschedule rule update (Possibly removed any holidays from the calendar rather restricting it for previous year) irrespective of the employment status.

  • Display TE Reports in detail for terminated employees

    Hello
    Do you know any other report we can use to display the travel expenses in details for the employees already terminated?
    I know that we can do that throug PRTE (trip details) but we would like have another option if there are any other way.
    The other reports under Trip statistics"  does not alow us to display the information in detail as the IT00017 is already delimited in past. The users could check in PR05, but they can check that only for people with travel privilleges that is not the case of terminated employees.
