External activity and service activity

I have a very basic question. How often a external activity is uniquely used that cannot be covered by an service activity. My point is that is there a business case that cannot be taken care of by service activity. External processing activity is actually a service received from a vendor, extra thing is some goods movement perhaps? Can anybody give an clear explanation of how these two are different and what difference does that make to a project.

Whereas external activity allows you to procure only one specified service, a service activity enables you to plan and procure several services and to enter data for services that has not yet been specified in detail. For this purpose you must create service specifications when creating a service activity (do search on service specification further).
This is the major difference, the rest remaining the same.

POC calculations of internal activity and service activities

Hi,
I need some help regarding POC.
In the scenario, I am using two activities----Internal and service.
The internal Activity is used only for scheduling and confirmation of activities. There is a work center attached to it, but there is no cost attached to it.
The service activity is only related to cost.
Now, I want to calculate the POC for internal activity similar to the MSP i.e, POC calculated at the activity level will role up to give the POC at the WBS level ( this POC will be related to the POC as per the confirmation of the work that is the actual % of completion).
To calculate the EV only the cost from the service activity will work. i.e, the actual cost which is coming from the RA Bill (ML81n) and the planned cost from the services in the service activity. So this POC will be different from the POC calculate in the internal activity confirmation.
How to map both the scenarios in the same project ?
Kindly furnish some idea.

Hi Abhra,
You can use both activity types if required but I would recommed you to look up on the three types of activities so that you are able to choose the best option that fits your business requirement:
1) Internal
2) External
3) Service
You can use confirmations for both service as well as internal activities. This will help you with your POC calculation as the values will be aggregated to the WBS level. I tried to inquire from you which EV method you are using because that may assist you in determining the POC of activities (either service or internal) based on specific requirements.
Now for EV to work you need to plan cost at the activity level for fair reflection (please note that this is also aggregated at the WBS level therefore if you do not plan cost at activity level, you will however get some estimated value at the WBS) of earned value. Based on your statements, I assume that EV is being calculated for the service activity correctly (as it has planned and probably actual cost) but not for the internal activity. I'm afraid without planned and actual cost, EV cannot be calculated. Have you tried using cost from the work center (which is assigned to a cost center)? You may use activity types in the confirmations as well.

Route mail and Active Directory Sites and Services configuration

Folks,
I have a problem in the internal email routing. My network is spread across various regions and the branch offices are connected together in a mpls network (full mesh). Every region has its own Exchange Server with all roles installed and the smtp connection
to the outside world is linked to two Exchange servers in the headquarter server farm.
The problem is that internally I often see emails going across the Exchange Servers in the branch offices where there is low bandwidth (from 3 to 5 Mbps), thus email are sent first to these servers instead of going immediately to the Exchange hosting
the mailboxes of the intended recipients. This happens also with inbound emails.
This causes slowness in the email system and sometimes also the network with these branch offices suffers from packet loss or very high latency.
I know that Exchange is a site-aware application and uses the Active Directory topology for message routing and to communicate with the services that are running on other Exchange 2013 computers. For this reason I have checked the Active Directory Sites
and Services and surprisingly I have found that there are no sites, no subnets, nothing has been defined but the default settings, included the Inter-Sites transport which contains the default DEFAULTIPSITELINK.
Apart from the fact that clients use logon servers which are not supposed to use in the far remote offices, I am concerned of changing the Exchange Infrastructure whilst the email system is running and I would like to ask your opinion about my next steps:
1) Create subnets for every office
2) Create sites and then link them to the subnets done in point 1
3) Delete the DEFAULTIPSITELINK and create new site links based on the costs (network speed) in order to determine the best routing server. I have 5 remote offices with 5 different network bandwidth, so I'll have to create 5 IP site links: high cost for
link with slow network, low cost for fast network.
4) (Optional) Configure the Exchange-specific cost using the Set-AdSiteLink cmdlet to the AD IP site links created previously
Apart from the valid questions on why the previous Exchange Administrator have forgotten to set up the Active Directory (Topology) Sites and Services...
...And why have chosen to install all Exchange Roles to each server when there was no reason to do that (there are two servers connected to the external smtp gateways in the headquarter, so in my opinion the Exchange Servers in the remote branch offices
should have had only the mailbox and the cas role)...
As a matter of fact, my idea is to go further and create the sites,subnets and the ip site link. If I still notice a wrong email flow, I can configure an ad-hoc Exchange-specific cost using the Set-AdSiteLink cmdlet. Does this sound reasonable to you guys
or I am taking the wrong decisions?

Thank you very much for your link. This is exactly the page I have read just before posting my question here. It is not easy for me to understand why this has been setup this way by a Microsoft certified engineer.
There are specific rules to follow when Active Directory and Exchange are located in multiple sites and I am not a skilled Exchange Administrator... he keeps saying that it is correct and also tells that if I go forward with my ideas there is the
risk to increase the level of complexity. I prefer more complexity than default setting, and as a consequence of that, connectivity problems!
Hopefully everything goes well. I will post my results here once I have done the changes

This happened a few days ago and we are pretty sure nobody was using the file as this is a production application server... and then it happened again several days later...
We have to kill the process and restart the service to get things going again.
Any help would be greatly appreciated as this is not a viable way of doing things for us.

Is there maybe an anti-virus software running on the server, which accesses the file at the same time? If so, you may exclude the log file in the AV software.

Activity means e.g.. sales call, customer visit etc.
But service process means after you sale your product if some service related issue arrives then that is taken care by this transaction.

I seen many AD enviroments and know that when you have mutiple DCs you use Active Directory Sites and services to replicate using the NTDS Settings. If you have a Domain and sub domain do you need to do this as well or does it sync up automatically because
it's a sub domain? A see a couple of domains where the NTDS settings isn't being used to snyc with the child domain. Just wondering if that is normal or will it cause authentication errors?

Two way transitive trusts are configured automatically when you create a child domain or tree root domain. You don't have to worry about site/subnet or replication part at least from trust perspective. But make sure site's names are unique in each domain.

Maintenance Activity Type and Service cost

Hello friends,
Is there any relationship between Maintenance Activity Type[MAT] and Service Cost ?
Actually all the PM02 - Preventive Maintenance Order with MAT as Cost collector are actually accounted under service cost unlike other MATs.
Please let me know more information regarding the above.

Scenario in our company is something like below:-
1.All the maintenance activity is done internally and no Serivces involved in the order
2.Some of the Non-codified materials for order consumption are Purchased.
With above, When I do the Cost Analysis MCI8 for all PM02 - Preventive Maintenance Orders for last year I could make the below observations:-
1. Till Jun08 there is no service cost [which is normal]
2. From Jul08 there is Service Cost involved , which am not able to understand.

Datasource for Maintanance Order and Service Activity

Dear Experts,
I have a requirement to create report to show cost of services used in Maintanance order.
For the same I want a datasource which gives Maintanance Order and Services against each Maintanance Order.
Can anyone tell me which standard datasource I can use for the same?

Hi,
depends on the settings in Source System.
Usually you can gen structural information out of the LIS extractors 2LIS_18*.
In most cases the costs ar processed in CO-Overhead-Management.
Check Extractor 0CO_OM_OPA_6 with CO-Number (0COORDER) = Number of Service-Document.
If you get all required data by this depends on the settings in Source System.
Probably you've got other CO-Applications (Like ABC or WBS). Then check in these Applcations for other extractors.

PS subcontracting with external activity

Hi,
I have a couple of questions about "PS subcontracting with external activity" I have not found any information about this for PS subcon flow, I was looking for a subcon PS Wiki but no succeed.
The scenario is to use a external activity to a subcontractor and put the material components to deliver in the external activity and check the subcon check box. Then use the valuated project stock for holding the materials.
For material components there is an option in tab "Proc. Param" and fiel "Mat. Prov. Ind." = "Material Provision Indicator", do you know if this option can be use or be available in PS? This field is grey so I can not do anything with it, so my guess is that option use only by a BOM, could you confirm that for me?
Right now I have a problem in the system so I can not save a project when creating a external activity and use the subcon check box, this is at OSS right now. But I was wondering if I put the material components in a external activity, how will it be represented in the PO?
Will it be only one item in the PO, the service from the external activity? and inside this item will hold all my material components? this can be found in tab "Material data" -> "Components".
Please share if you have some information about this,

I'm talking what you can do in the system, there is 3 posibilities I have in mind:
Alternative 1
Is when I will send all the parts, thats right separated parts to be one. The material which will be the final material, is not in my stock/company. It is a new material Im manufacturing with the help of a subcontractor.
In PS I want to create a subcontracting external activity, create a PR from PS, create a PO and deliver it to the receiver in other words the subcontractor who will put it together to the final material.
For this alternative I think I have to create the material which the subcontractor will put together and have it as a head material in a BOM. The BOM will represent the parts Im sending for assembly, so when the material is deliver back to me, I will do a goods receipt of the head material.
My question is in this if I have thought this right, if you have experience of this please contact me.
Alternative 2
Is when I will send a existing material and all the parts which will be use to maintain/repair this particular material from my stock/company to a subcontractor who will do the work. This material will have the same material no. when I do the goods receipt.

For this alternative I think I can use a BOM, create a BOM of this existing material which will be maintain/repair with the parts I will send.

This alternative is almost the same as alternative 2 with the exception that the material Im sending will change the material no when its back from the subcontractor. So I will send a existing material and all the parts which will be use to maintain/repair this particular material from my stock/company to a subcontractor who will do the work. This material will get a new material no. when I do the goods receipt.
In PS I want to create a subcontracting external activity, create a PR from PS, create a PO and deliver it to the receiver in other words the subcontractor who will maintain/repair the material.
For this alternative I think I can use a BOM, create a BOM of this existing material which will be maintain/repair with the parts I will send. Then I have to put the new material in my external activity as a material component with negative quantity as part of the subcontracting delivery

External activity deletion error

I am having a problem in deleting externa services associated with control key PS04.
I have created PR thru CJ20N and pulled service from contract.Now BOQ contract is updated.How can I delete these service
I m trying to delete PR thru me52n but Delete icon is not visible.

Your statement is really contradictory
You are saying you have created an internal activity with the OLA assigned,
1. Actually i have created internal activity and then i i pulled services from the outline agreements ok.
Again saying that you are trying to delete the external activity.
4.Started deleting externall processed objects.
can you please be clarified your self, what you are doing?
And for deleting the PR, you can simply delete the Service number line items at the external activities,
select the External activity, click on Detail button at the bottom, then click on Service button (don't click on PR button), then select the service numbers line times in the next screen.

I created External Activity for procuring some material. This material will be suppose to send outside after receive from supplier .When I create ext. activity then 1 PR item created against that external activity . What is use of such PR item number because this PR number is not specific to any material or service ,how to avoid to create such PR.

External actvity is used when you are using some external services from a contractor and it is not done inhouse. it may include labour as well material in scope of external contractor. usualy u hav contracts or inforecord for such vendors. In this case external activity is used...
For inhouse activity internal activity is used and material is assigned to same.

In External activity activity qty is maintain as a not mandatory

Dear All ,
In my project i am using external activity ,when i was trying to release the external activity, system takes activity qty as a mandatory field ,i have not touched the fields status but it's shows as a mandatery.if i fill the qty and unit then system allows me to release the external activity but in the PR system it create one more line item with out having any material. As per client requirement activity qyt is not mandatory and with out material system is not creating the line item. Please suggest me.

Hi,
external processing activity is another type of service procurement where you can proceed without any specification/service master, If you want tocreate PR only with service switch on the "service" option on Ext.Processing activity don't use Ext. processing activity.
still you can stop creating PR upon releasing if you put "Reservation Relevance/Generation of Purchase Requisition" in to never, this is appearing on Procurement Param. tab of ext.Proc.activity
