How do I save a pdf form that can be updated by multiple users

I work for a company that is trying to digitize all of their paper forms. As I am creating these forms, I need to know how one person can open and fill in information, then email the form to another person who can continue to fill out the same form. Any ideas? I already tried enabling usage rights in adobe reader, but we can only have one person fill out some info and once they save it, no one else can make any changes to that specific form.

They are using the original reader. One employee was able to save it where it could still be filled in (I just found out), but another user tried to do save as for the info that was put into the form. So I don't know if she saved it as a pdf and it cleared all the original formatting or not. Any ideas of what happened at that point?
@GiladD:     There are no special apps, this is just opening up as a pdf on a PC desktop. The second user opens the file and it's a normal pdf with no more fields to fill in.
@Bill@VT     We are trying to get the issues resolved before more employees start filling this out on their iPads.

    Thanks everyone for responding.  I should have supplied more information.
    I was hired by my client to create PDF forms that can be downloaded from their website, filled out electronically in Acrobat Reader, and then saved (with all the form fields filled in) and emailed.
    I was supplied with scanned forms as the base for creating the form fields in Acrobat Pro.  These web visitors that will be filling out the forms and emailing them will only have Acrobat Reader, most likely.
    I created the forms in Acrobat Pro, and they worked great when I tested them ( in Acrobat Pro) - I could save the form field data.  However, my client has come back to me with numerous complaints from their web visitors - they cannot save the form once they have filled it out in Acrobat Reader and keep the data they have entered.  Instead, they have to print the form physically, scan it, and email it that way (kind of low tech for the year 2013, and not easy for these people).
    So, my end goal is to update these forms in Acrobat Pro so they can be filled out by folks only using Acrobat Reader and saved with the form field data intact.  Seems like a no-brainer that Acrobat Pro should have this capability without purchasing additional extensions.  However, in my research online, I have found several posts that suggest that purchasing "Reader Extensions" is the only way to enable Acrobat Pro to be able to do this.
    Can someone please clarify if I need to buy something to program these forms in Acrobat Pro to enable other people using Acrobat Reader to fill out these forms and save them with the form fields intact?
    If I do need to buy something, what is it exactly?  How do I find out clear, consise, specific information about buying it/the cost/the licensing?  I am a sole owner/employee of a graphic design firm and these forms are for my client, which is a locally-owned regional hospital.
    If this needs to move to the LiveCycle forum, fine, but I don't really know what that software is and since I'm only using Acrobat Pro (and the users, Acrobat Reader) I felt this was the appropriate place to post.

    You can indeed create a PDF form that can be opened, filled out and saved by users of Adobe Reader. It simply requires one of the later versions of Adobe Acrobat. It has a function to enable this ability in PDF's.
    The one down side is that there are usage limits (how many times form data can be collected) that you would want to familiarize yourself with in advance to be sure you don't violate the EULA. Exactly how thos limitations work are up to interpretation...

    I only have Adobe Reader XI. Do I need to purchase Adobe Acrobat Pro in order to make a PDF form that can be filled out and saved by others? or is it possible to do this solely through Illustrator, InDesign, and/or Adobe Reader?

    InDesign can export to a filable form, assuming you add the fields in InDesign (6/CC) and export as an interactive PDF. You can't create a form with Reader or Illustrator. You also can't Reader-enable with anything other than Acrobat, so Reader users will have to use version 11 in order to save a filled-in form.

    I am creating a very straight forward fillable form and want to add a description of each field that can be visible to the user, but goes away when the person enters the appropriate data in the field. I have tried to suggested custom scripts. The script command were: if (!event.value) event.value = event.target.name; and
    if (!event.value) {event.value = event.target.name; event.target.display = display.noPrint;} else {event.target.display = display.visible;}. Both allow the lables to be visible but neither allow the user to either replace the label with the relevant information and if it does, then the replacing data does not print/remain viewable.
    I am confident this is doable as I have seen forms that say something like "add your name here" and when you enter the data that field label is replaced with the information I enter.

    I have tried this. What I get is a field label, and I can type into the field, but the label does not go away and the page prints blank. Should I try: if (!event.value) {event.value = event.target.name; event.target.display = display.Print;} else {event.target.display = display.visible;}, removing the .noPrint?
    You have no idea how frustrating it is to try this and have such a simple function not work. Is there anothe script I can try?

I've got the form on the ipad and it opens and I can complete it and e-mail it without problem but when I go back to the "master" it has retained the info entered previously.     Use the Duplicate command.
    Click on Documents on the left, then click the Edit button on the upper right.
    Select your document (red check appears), then click the Duplicate button (second from left).

  • How do I create a text field that can be manipulated by the user?

    I have created a form that will be changed by the user from month to month. In this form they may have the need to make some of the font bold.
    The text fields that will end up being bold will not be the same every time so I can't format the field to be bold.
    Is there any way to allow the user to be able to choose whether a text field is bold or not?

    Thanks GKaiseril. When I do that and go to preview the form I see where the properties are listed as an option, but they are in light gray so I can't select them. Any idea why this is happening?

    I am in the process of creating a “service excellence feedback” form.  The idea of this form is to have a blank form living in our company’s intranet page to be used by multiple departments that receive feedback and then have a chain of updated investigations and follow up to be documented within the same file.              
    The top portion is to be filled out by the department receiving the feedback. It collects all the pertinent data needed including the person giving the feedback’s First and Last name. Once the top portion of the form is filled out I want to have a “submit” button that will do; 
    1. Save the pdf automatically to a designated folder AND automatically save it under the last and first name that is entered in the form. So the form will be saved in the designated folder under “Smith, John.pdf”.  I have already figured out how to format the button to “save as” however I would like to eliminate the person filling the form out to have ANY responsibility to naming and saving the file to the correct folder. 
    2. After it is saved I want it emailed to a specific email address (which I have figured out.)              
    Once the steps above are completed and it is emailed an investigation will be performed by me and I will document my findings and then send it by another “submit” button which will save the document (writing over the previously saved version with this new version) and then emailed on to the next person to provide the next step of follow up. When the next person in line finishes they will hit another “submit” button that will again save the new version and send it back to me.  We continue this back and forth with a few more follow-ups performing the same save and send options.                  
    I need help in how to write a script/java to perform this task of saving. I have already figured out how to program the button to email the form.  Help please!!!  I am using Adobe Acrobat XI Pro

  • How do I save edited PDF forms as editable PDF templates?

    We need to download empty pdf forms, add some generic details (eg our company name and address) and then save that as a template so we can then open it and fill out through the year for different clients with their own individual data without having to fill in our own address again.
    Preview cannot do this. On Tiger you can save the edited file, but it prevents it from then being editable again; in Leopard you can fill in the form with your data, save it, then open your saved file and edit it again but none of the data you added the first time has been saved.
    We have to go into Windows and fire up Acrobat Reader 4.0 which has this functionality. All versions of Acrobat above v4 on both Windows and Mac were unable to do this so Preview isn't alone. It is frustrating though as we have to do this all the time - we fill out tax return forms for many different clients each year and really don't want to have to add our data manually each time.
    Any suggestions? Any settings I can tweak anywhere?

    There's a huge difference between reordering existing pages and altering their content. The PDF specification is quite vast and Apple doesn't even attempt to support much of it because of the work involved.
    The bottom line is that Preview doesn't do what you want it to and that's certainly not going to change anytime within the next year, so it's up to you to decide what to spend your money on. Since it seems that you are using this for business purposes I'd say it's a little silly to gripe about such a trivial investment, but again, it's up to you.
    You could also hire someone to put together your templates for you.

    Does anyone know if it is possible to do the following:
    - First of you create PDFs that you would put on to a web site.
    - The user would then fill in fields on this PDF form when they access it.
    - This would create a completed form which the user could then print but they would be unable to save it.

    Someone mentioned Adobe LiveCycle Designer to me. Can this be used to achieve all this? Or what software would be needed or would you recommend to do this?

    You can use Acrobat to add interactive form fields to a PDF. In Acrobat 11 you would normally do this in form editing mode: Tools > Forms > Edit
    If you want to have Reader users (prior to version 11) be able to save the filled-in form so it can be emailed, the document will need to be Reader-enabled, which is done in Acrobat 11 by selecting: File > Save as Other > Reader Extended PDF > Enable More Tools

    I keep track of my page history with a collection plus a few named application items.
    On pageload, i push the current page number onto the top of the stack (unless it is already there due to a reload). So any page can return whence it came by branching to the item below the one on top. I have additional logic to recognize when you are traversing "backwards" so that I reduce the depth of the stack each time rather than adding to it indefinitely. For coding convenience, I keep the most recent 3 or 4 pages in named elements as well so that they can be directly addressed. So every page implemnts the Cancel function by redirecting to a page, where the pagenumber is in the application item &<MYAPP>_PAGELAST.
    This is handy for many reasons, I find it more practical than breadcrumbs if you have pages that can be invoked from many places in your application. And this saves you from submitting the current page before executing the branch which saves time and is safer (no need to remember not to update the database!).
    I normally add links to various master record display pages from within my reports, and the technique described above is perfect for that, because you can link from one page to another and another and then cancel, cancel, cancel your way back. I can post the source code if you think it might be useful.
    I am curious to know how you are using your form from within reports. Does it act as some soft of common subroutine to the reports, or is it just a display page for data common to many reports?
