Inbound Idoc Create/Change Purchase Order

Hi All,
I have to do a inbound Idoc scenario for create as well as change Purchase Order.
Which is the IDoc type for Create/Change purchase order.
I went through this form found that ORDERS05 can be used but I am not sure this can be used for both create as well change Purchase Order.
If ORDERS05 can be used then which is Process code,Function Module and Message type for both create and change Purchase order.
I also found that IDoc type PORDCR102 can be used for  create Purchase order and PORDCH02 can be used for change Purchase order,but i don't want to use two Idoc types.
Please suggest.

Hi John,
For creating a IDoc for PO, whenever a PO is created/Changed, it has to be configured in Parter Profile(WE20) for a particular Partner in Outbound Paramtrs tab.
Give ORDERS05 in Message Type and select the line & go to Display.
In the screen which appears , choose tab Message Control and give the Process code
ME10 - Creation of PO
ME11 - Changes to PO & check the Change Message.
Give respective Output Message Type & Application(VF) for PO.
Create Output types for a vendor in T.Code MN04, else take help from MM Consultant.
Create a PO & save. Then make some changes in Po & again save.
Now IDoc will be created while saving the Po & IDocs will be created whenver you make changes to PO and saving it.

    When we are trying to create or change import purchase orders, an error message pops up saying " Enter rate USD / INR rate type for 07.04.2008 in the system settings".
    Currently we had upgraded from SAP 4.6C to ECC 6.0.
    The exchange rates are maintained valid from 01.04.2008 using T-code OB08.
    Could anyone point out the reason for this problem.

    there is no exchange rate setting apart from the OB08 setting
    Just check the exchange rate type used is maintained or not.
    Recheck the dates & currency conversions

  • Creating a Purchase Order using ORDERS05 Idoc

    I need to create a purchase order using ORDERS05 Idoc, with the data I am using a sales order is gettig created but I need to create a PO insted of SO.
    Please let me know what is difference between a PO and SO while using ORDERS05. Also please let me know what are all the fields that needs to chaged in the Idoc.

       I'm looking at a similar problem, can we use ORDERS05 IDOC basic type to create a Purchase Order?
       What is the inbound processing FM?  I tried IDOC_INPUT_ORDRSP, but it seem to only allow changes to a PO, and not creation of a PO.
       For IDOC_INPUT_ORDERS FM this one seem to only create Sales Orders?
       Which inbound FM should i be using?

  • PORDCH01-change purchase order Idoc

    Hi all,
           I require some suggestion pertaining to PORDCH01-change purchase order Idoc. The vendor raises a claim purchase order in his system and eventually a return sale order is created at the central system and i am using a custom program to generate idoc's of type PORDCH01 and propagate it back to the vendor , while doing so I need to change the value of the field LFRET(Delivery Type for Returns to Vendors) , the Idoc doesnu2019t seem to have this field in any of its segments and even if i extend this idoc , i donu2019t have appropriate exits in the inbound function module which let me map this data field to  the required field EKPO- LFRET.I donu2019t want to go for a custom solution so Your help is much appreciated .

    Just a further question in that case
    Can I used Message type ORDRSP and basic type ORDERS05 on both the sides i.e. SD side and MM side?
    Any changes made in sales order should update the PO.
    As with the current situation i can not use PORDCH idoc on SD module side. Pls let me know.

    The requirement is whenever user creates a Purchase Order in the current SAP system an IDOC needs to get created and be sent to another SAP system where a Sales Order will be created.

    Hi Meghna,
    Your requirement is SAP standard function which means you don't have to use any user exit.
    What you need to do is configure output control, then when a PO saved, a idoc will send to vendor automaticly.
    Here is a step brief
    1. configure output type in NACE
    2. Add condition record in NACE
    3. Setup partner profile in WE20

    Hi,
    While creating the inbound delivery (VL31N), intially all the items will be shown, see the advance shipping notfication - from the vendor for which he has send confirmation & rest items you can delete simply & save. & next time when the vendor sends rest advance shipping notifcation (confirmation), you can receive them.

    3. When I have tryed with an existing Inbound Idoc(On R/3 Side) its showing Satus 51 what should I do?(Error: There is no article description for item 000010)

  • Inbound Idoc segment change

    Hi All,
    How can We modify or append a segment to the inbound IDOC. The scenario is as follow
    We have an inbound IDOC to create/change contract order. There are some segments in the IDOC to hold the error records.
    while processing the inbound IDOC we need to fill these blank segments with relevant data, so that we can reprocess the IDOC with ease.
    I am trying the modify the IDOC_DATA inside the processing function module. Till the end of the function module IDOC_DATA is having the added segment data, however when I am checking from WE02, the segments are appearing to be blank.
    Please let me know, what is missing above.

    Which exit / BAdI are yous using for adding the segment & what is your inbound processing function module ?
    Anyways i also had the same problem a few weeks back i was trying to delete a segement though
    My understanding is in WE02 it displays the data from EDIDC & EDIDD. In your I/B processing FM you only modify the data in the IDOC_DATA table & not in EDIDD.
    Check in EDIDD, the segment would not be there.

    hi, when im creating a purchase order and also producing an invoice for it obviously i want the item cost to be used rather the the selling price. however, for some reason the system continues to uses selling price, so when it comes to paying an invoice i need to change all the prices to the cost, which is very annoying.

  • Creating a Purchase Order, is there any help out there?

    I am creating a purchase order for our sales team that can be utilized on iOS. I have two issues:
    1) Some of our sales will be exempt and will need to be toggled off. How do you go about doing this while not destroying the end total?
    2) Our sales tax varies due to county's jurisdiction. Is there a way to change that once the form is ready to be filled out?

    Below is how my form is being set up, mind you this is an import from excel.

    I don't see a way for you to currently specify that an item is exempt...
    Maybe add another column with check-boxes for the exempt status. However,
    implementing this in the calculation will require a custom-made script.
    As for the sales tax, you can place that in a text field as well and use it
    in your calculation directly. It's even possible to set it up so that a
    selection in a county drop-down will automatically populate the Sales Tax
    field with the correct value.

    We are creating return Purchase order through MIGO for Non-ordered items.
    Purchase Order is created automatically by SAP.
    I need to change its Purchase Order type  , Net Price , Order Price Unit .
    Is it possible to modify the content before the creation of this PO.

    We are not using BPA ; is there any solution involving ASL and/or Sourcing Rule which can be used to meet the User requirement.There certainly is. It involves using either Blanket Purchase Aggreement (which you don't have) or using Quotes.
    Once you have created either of those, simply create an ASL entry for the item(s), attach the Quote or BPA to the ASL entry; create a sourcing rule.
    Once these setups are done, when a requisition is created and approved, it will get converted into a PO automatically.
    And depending upon the value you enter in the "Release method" field on the ASL screen (and your PO workflow attributes), the PO will be created in incomplete status or it can be automatically submitted for approval.

    Business Process Description Overview
    A purchase order is a legal document issued by the buyer to the vendor to supply materials or service at the agreed price, terms and conditions. The Purchase Order forms the basis for all follow-on activities like Goods Receipt, Invoice Verification, etc. The Purchase Orders can be created directly by entering all the required data, copying already created purchase order, with reference to an RFQ/Contract or with reference to a PR.
    Purchase Order creation is possible only if sufficient budget allocation is there for the Fund Centers. It is not possible to create Purchase Orders for a Vendor who is blocked for procurement or not maintained in source list for that item. Also it is not possible to create PO for Quantity more than the PR quantity.
    All the price components which are to be paid to vendors and requires to be inventoried has to be included in PO.It is possible to add different vendors for delivery costs. The tax codes should be correctly maintained in PO for the purpose of Cenvat availment etc.
    The payment term defaulted from Vendor Master or RFQ has to be verified and changed if required.
    The incomplete Purchase Orders can be saved as HOLD document and later completed and saved thru Change PO menu

    The Purchase Orders can be created directly by entering all data required for creating PO or by copying another PO or with reference to RFQ/Contract/PR.To create a purchase order by copying existing document (PO/RFQ/PR), you can either select the desired document in the document overview   .and adopt it in the current purchase order in the right-hand area of the screen using the ADOPT button   .In addition you can drag it onto the shopping basket symbol   with the left-hand mouse button. 
    Click the Personal Settings button on the tool bar, this function is for default information for purchase order header data and also purchase order item data.  This will reduce the amount of redundancy in the data entry, i.e. plant, company code.
    One Purchase Order may be created for several purchase requisitions
    Procedural Steps
    1.1.     Access transaction by:
    Via Menus     Logistics èMaterials ManagementèPurchasingèPurchase OrderèCreateèVendor/Supplying Plant Known.
    Via Transaction Code     ME21N
    1.2.     Double-click   
    On screen “Create Purchase order”
    On screen select Domestic Purchase order in this screen . You can also select other document if you want to create other. Here drop down menu is available.
    Click   to enter the organization data.
    Screen will change in the header; enter data as given in the table below:

    It will be automatically be picked up from the material group
    You can change it also.
    Unloading Point     O     Specifies the point at which the material is to be unloaded.
    Recipient     O     Specifies the recipient for whom the material is destined.
    Click   to see and to change the Tax Code at item level.
    Select    to view the taxes applied on the line item.
    click   to go back to the previous screen .
    On the main screen in the same tab if you want to change the taxe select the tax code from the drop down available
    After selection again, Select    to view the taxes applied on the line item.
    If you want to add more conditions click   tab and enter the conditions from the drop down
    You can also maintain the text at item level by clicking   tab.
    After completeing this all click   to check wether here is any error in the purchase order , If there will not
                             ↓
    any error then on the screen following line will appear.
    If there will be some error the system will throw the message on the screen
    select the line item and click   to see the detail of the error.
    close this window now and goto main screen to rectify the error.
    After rectifying the error again click   to check wether here is any error in the purchase order.
    Now click   to save the purchase order, after clicking the button the following message will appear

    I want to create a purchase order (ME21N) using an existing PO.

    Hi,
    In the item overview of the purchase order creation screen (ME21N), you have a column Purchasing Doc and next it item no.  You can give the existing purchase order number here with item no which will create a purchase order, and changes can be made wherever you require.

  • BAPI or FM for changing Purchase Order

    Does anybody know a BAPI or FM to change Purchase Order item details. I looked for  a BAPI but only found for creating and listing.

    I think this is becuase the BAPI for PO change has not been "released". If you use transaction BAPI, then click the filter button, then select "All", the PO change bapi will appear int he MM-> purchasing-> purchase order hierarchy. (BAPI_PO_CHANGE)
    Although it is not officially "released", neither is the function module to do the same task. We use the BAPI on a regular basis, and it works fine. I think unreleased just means you will get no support if you use it, and SAP can change it at any time.
    I am not sure what makes a BAPI go from un-released to released...
