Inputs to propose SharePoint for scanned Document Management System

Hi All,
My client has a project requirement and i am thinking of proposing sharepoint for their requirement.I need some selling points for proposing sharepoint.
Here is the requirements.Any help is much appreciated.
Client has huge documents stored in the File system in windows server(800GB-Scanned copy of drawings stored in tif format)
For each of the scanned drawings there is a 3 page details that needs to be filled, which will go and sit in the oracle DB.These pages are created using power builder.These pages capture the details like search details for each drawing, a common file number
that is mapped between the information in the DB(Oracle) and the scanned copy.
There is a search UI where the user will be able to search through the drawings.When user clicks on search, the information from the oracle DB is searched and based on the common file number the scanned drawing is displayed in the search results.The drawing
is displayed in tif format and  each drawings might run into multiple pages.
The search page is provided in clients Intranet portal created using oracle application server.
The entire application is security trimmed.
I need inputs to convince client to go with SharePoint2010.

    We are planning to implement a document management system Oracle Application Server. Here are the high-level requirements:
    · High availability (24x7)
    · 3000 users, worldwide, on WAN
    · 600 GB of documents
    · Workflow
    · Alerts e-mailed on document adds/updated, for workflow
    · Search of document titles, properties, keywords, content
    · Daily backup of new/updated documents
    In regards to Oracle Application Server (Portal), can someone provide me the following information:
    1. What Oracle AS server architecture would we need to handle the above requirements?
    2. What is the Oracle recommended method of scaling up our current Oracle Portal instance in regard to:
    a. Capacity
    b. Achieving 24x7 availability
    3. When documents are stored via an Item upload in Oracle Portal, are they stored in the database or as the actual file?

    Lot of this features are already implemented in Oracle Portal, Collaboration Suit and Oracle Content Management SDK.

    Generally this products stores documents in database BLOB field.
    I personally don't like this approach.
    We developed a media library that stores the files in filessystem, but the metadata is in database. The database references to the file in filesystem with a BFile field

    The system is very fast so I think it was a good decision to store the media this way.
    If you use this approach you have to create database and filessystem backup also.
    Filessystem backup is much faster and there are several very good tools to make an incremental backup.

  • I'm looking for a document management system

    Hi there,
    I'm looking for a way to organize, sort, and make searchable about 1200 Microsoft Word Documents. The way our company uses them is to search for individual documents, and also to group them to create customized packets that are used for training.
    Once a group is created, I need a way to print easily. The other problem is that 60% of the documents are designed for learning so they have an instructors filled in part, and a learners blank part.
    Question 1: Should I separate each document, make the instructor version a separate file? Today, it is one file, with page 1 for the instructor and page 2 for the learner (some docs have more than one page.
    Question 2: Does anyone know of a web plugin or app that will take a collection of word documents, and automatically combine them into 1?
    2 years ago, we created a php searchable system and uploaded all docs into it. It workds pretty well for organizing, searching, grouping, and adding comments about the docs... BUT when it comes time to print, it only downloads a folder filled with all the SEPARATE word files. They are numbered, but because they are not one doc, page numbering is a bear, and each doc has a instructor and learner page... for printing, the trainer needs to tell the office staff which page to print for each handout. the instructor copy or leaner copy. Once a master is made, we photocopy it. So the question: Is there an easier way to create 1 file with all the pages? Like convert to PDF or to a single MS Word document?
    Any suggestions are welcome!
    PS: while we are an all mac shop, we do have a dedicated webserver running linux that we could use.
    PPS: I will have interns this summer, so if the solution involves converting all of our MS word docs into something else like pages, I'm all for it...

    It sounds to me like DevonThink might just replace the php system that you already have.
    One way to tackle this might be to look at automating the combining process, rather than changing the overall management system. Various thoughts:
    If the docs were pdfs, a program like CombinePDFs would let you drag and drop all the files onto a screen, re-order them if necessary, and then hit Merge (actually, I think Preview would let you do this, in Leopard). That might help. However, I don't think it would put on page numbers.
    I'm pretty sure Acrobat would let you combine the PDFs and add page numbers, or perhaps take the combined pdf file and just add page numbers to that. (Not sure if this might require Acrobat for Windows)
    Alternatively, you could tweak the docs themselves so that they use a form of chapter numbering, eg: "PDF Introduction-1, PDF Introduction-2" and "PDF-Advanced-1, PDF-Advanced 2" and then not worry about the page numbers. I wouldn't exactly recommend this, as it's pretty useless to say "turn to page PDF-Intermediate 3" and have people find that page, but it's been done.
    Since they are already Word docs, though, it might be best to stick with Word. Word 2008 has Automator and Applescript, and it should be possible to write an Automator or Applescript such you just drop the documents on an Automator app, and it combines them, adds or updates the page numbers, maybe creates a Table of Contents, and spits out an assembled document.
    That said, I don't know how to do that. There is a Combine Word Documents automator action, certainly. You could try asking over in the Word forums:

    This will work best if all the docs are formatted consistently, based on the same template. If they are not consistently formatted, then the formatting will probably change when you combine them in Word, and that would be an argument for converting them to PDF before combining them. It should also be possible to create an Automator action that will convert all the docs in a folder to PDF.
    I doubt there is going to be anyway to automate the instructor/learner copy--someone will have to do that manually, but it does suggest that if you create separate files for each one, it will be easier to do the search, download the found files from the resulting folder, and then manually just delete the learner file from the folder rather than having to open up the instructor file and delete part of it.
    So, some potential experiments to try. Hope that helps.
    Automator to convert the docs to PDF and then Acrobat to combine and number the pages might be your best bet.

    There was, but it has been removed as it "no longer followed recommended coding practices and security". However it appears that these recommendations on coding practices and security do not apply in China as the packaged applications are still available from Oracle's Chinese site.
    @Oracle: When are sample packaged applications returning. These apps are out there and (if Arie's comments are correct regarding what are now perceived to be outdated about them) they still constitute a largely useful resource. Why not make them officially available again through the relevant previous version archives?

    To call the archiving functions for document info records from the standard R/3 menu, choose
    Logistics _ Central functions _ Document management _ Environment _ Archiving.
    You can set a deletion flag for document info records that you no longer require for managing
    documents and their original application files. Archiving object CV_DVS enables you to archive
    these document info records. After the archiving run, you can delete the archived document info
    records.
    The document info records that you archive and delete with archiving object CV_DVS are
    identified by the following data:
    Document,Document type,Document part, Version
    When you use archiving object CV_DVS, you archive data from the following tables:
    Table    Description
    DRAD   Link between document and object
    DRAO   Originals for document
    DRAOZ  Additional files for original for document
    DRAP    Document log file
    DRAT     Document descriptions

  • Setting up a Document management system in SharePoint 2013

    Hello All,
    I have come across a scenario where Customer needs a Document management system for their organization.
    They want to keep the documents of different departments like sales, HR,Finace in corresponding folders and want to include a workflow for approval of the Documents. Also, Documents related to particular department can be modified or added by users in that
    department.
    I thought of creating a seperate site collection for this purpose & document libraries of each department, setting up the permission on document library level. Is this a correct approach?
    I am new to Enterprise content management system of sharepoint. Can anybody give me a guidance on this how to get started.

    Is DMS (Document management system ) available for loans management?
    We are entering loans in General loan. We want the documents related to
    loans like agreement, Interest advices, etc to be uploaded in the SAP
    and should be accessed in that particular loan itself. Is there any
    system available to attach the documents uploaded (through cv01n) in
    SAP to loan? Is standard object for loans is available for this purpose? Object is to

    Hello!
    I'm just a regular home user with a bunch of incoming snail (paper) mail. To get rid of the hassle to file the incoming stuff permanently I plan to scan it immediately and dispose afterwards.
    I would prefer a document management system to just putting the scanned files in a folder. All DMS I found so far I rather enterprise grade (like Alfreso, Agorum Core).
    EDIT:
    Desired features would be:
    - Tagging (hierarchical)
    - Key - Value pairs attachted to the document
    - Preview
    - Indexing (of text documents)
    Since I've never used a DMS before I'm not sure what is desriable.
    How do you handle similiar situations?
    System is KDE. Maybe there is a possibility to use the nepomuk tagging system...

    Customizing settings can be collected by processes into Business Configuration Sets (BC Sets). BC Sets make Customizing more transparent by documenting and analyzing the Customizing settings. They can also be used for a group rollout, where the customizing settings are bundled by the group headquarters and passed on in a structured way to its subsidiaries.
    BC Sets are provided by SAP for selected industry sectors, and customers can also create their own.
    When a BC Set is created, values and combinations of values are copied from the original Customizing tables into the BC Set and can be copied into in the tables, views and view clusters in the customer system. The BC Sets are always transported into the customer system in which Customizing is performed.
    Advantages of using BC Sets:
    1.     Efficient group rollout.
    2.     Industry sector systems are easier to create and maintain.
    3.     Customizing can be performed at a business level.
    4.     Change Management is quicker and safer.
    5.     Upgrade is simpler.
    To create BC sets follow the below step:
    Choose Tools ® Customizing ® Business Configuration Sets® Maintenance in the SAP
    menu, or enter the transaction code SCPR3 in the command field.
    Choose Bus.Conf.Set ® Create.

    The file system is controlled by the operating system. Thus if you want to manage permissions at that level then you must use the OS.
    There are no "other" technologies for that. You can buy or find management applications which allow you to do the same thing that the OS does but via different user approach. Most will be specific to the OS because that allows the most features.
