Link Invoice Document using Easy Document Management

Hi All, is there any way to use Easy Document Management System to attach a scanned document like a PDF to an invoice document.
If it is there, is it easy to customize?
We are trying to evaluate different scanning solutions and trying to see if we can make DMS work without purchasing any other software.

Wrong module. DMS is not designed for invoices. DMS is designed for documents that change and need versioning.
ArchiveLink is the correct solution/module. This allows you to link incoming invoices directly to the object in SAP in MIRO and FB60.
If its outgoing invoices, you can link them to sales orders. The document is stored in the GOS (generic object services) area of SAP and will appear in the attachment list. If you go to GOS you will see an option called "Store Business Document" which will be made available when you have configured this properly.
There is no easy way to customise. You have to install a content server (See SAP HTTP content server) and then configure the document type and which object it will be linked to. You also have to configure the method of processing. I.e. early archiving, late archiving.
It is possible to set this up using no external software except the SAP HTTP content server which is free with your SAP licensing.

    so  when i am linking the  that invoice to this incominig payment  the error will be generated " SERIES PERIOD DOES NOT MATCH  CURRENT PERIOD"

    What the error means
    The document numbering series have been linked to a posting period which is not currect
    Have you created the posting periods for 2008?
    If so please verify by going to General Settings > Posting Periods ... Click on the yellow arrow next to the Jan 2008 period and check the Period Indicator and make sure that it matches the one used on Document Numbering for this document.

  • Tables to link MM & Document Management System

    Hi All,
    I would like to know which table should i join to MARC / MARA to obtain the document information. I tried linking DRAD table with MARA / MARC, but the material number is stored as a key & i cannot directly join these tables.
    Hope my question is clear, await inputs.

    Thanks for the inputs, but as mentioned in my initial post, i tried joining MARA / MARC - MATNR with DRARD - OBJKY in SQVI just to check, but the system prompts the link cannot be made.
    I am not quite sure what you mean by filter DRAD table? Are you suggesting that instead of linking the tables, i should write ABAP lines to filter the table & then build the link with the code?
    It would be helpful, if you let me know how to do it, as the system does not allow a direct link of these 2 fields.
    Note for Mr. Nathan: Will check the table mentioned by you & let you know if it helps.

  • SAP Easy Document Management 7.0

    I am implementing SAP document Management and have tried using SAP Easy DMS version 6.0. I understand that there is Easy DMS version 7.0 but i dont know were to find it so that i can download it, the link that i found on help.sap.com could not open so i am kind of stuck now can someone help me please.
    My second problem is that on initial login to SAPeasy DMS the Private and Public folders are not being created as folders, its like the system is creating the files right but i cannot open the files because they are not like the Folder icons that i should see. even when i go back to the backend using SAP GUI and and selecting the document via Browser the icons of the two folders are just like for other documents and i cannot open the files.

    Please follow the following steps to download and install the Easy  Document Management 7.0.
    1.Go to SAP service market place (http://www.service.sap.com).
    2.Click on "Software Download" available under the SAP Support Portal Group.
    3.On the left hand menu, Click on "Download" and navigate to "Support   Packages and Patches" -> "Entry by Application Group".                 4.On the righ hand frame, Navigate to "SAP Application Components" -> "SAP ERP" -> "SAP ERP Enhancement Package" -> "EhP4 for SAP ERP 6.0"
    5.Select Entry by compopnent -> SAP EASY DOCUMENT MANAGEMENT
    There you will find the link to download the installation files under   "SAP EASY DOCUMENT MGMT 7.00"

    Have you ever considered doing this in Oracle Application Express (free on top of the Oracle database)? How about something like:

    Index the files using the CONTEXT index, and perhaps the docs' meta with it using the Oracle Text MULTI_COLUMN_DATASTORE, and then when you write your query for a report on the documents include a search string.
    I've created a number of APEX-based document management systems and it is quite easy once you get the hang of using this environment. I suggest looking at some of the tutorials/how-to documents and you'll be on your way quickly.
    Start with the upload application. Once you can get your documents in, create a report that shows everything except the document. Verify all of this works correctly.
    Add some "items" to the page for the report, and include them as bind variables in the where clause.
    After that, add your Oracle Text index to the database, and toss in a "text-field" item to the APEX page. Modify your report query, adding the CONTAINS clause, and use the newly created item as a bind variable. There's your keyword search.
    Linking to Oracle Apps is done through API's and may be over database links.
    Hope it helps. Though not a step-by-step how to document, this should point you in the right direction. Get familiar with APEX as that covers most of what you described.

  • Using PSE as a document management system

    I used a program on my old computer with Windows Vista to file and organize scanned pdf documents. I could readily assign tags to a document, and then find the document using the tags. The tagging worked well. It was quick and intuitive.
    I now have a new computer with Windows 7. I now realize that the program I used to tag documents will not run under Windows 7, and cannot be relied on to be useable in the future under Windows 15 or 20. So, I'm looking for a different system to file my electronic, scanned pdf documents that will be durable and long-lived, but not overly complicated or expensive. I'm dreading converting (probably meaning rekeying) approximately 1,500 documents filed in the old computer to a new filing system.
    It occurred to me I could use Elements as a document management system. I could create a separate catalog for the filed documents, and use Elements to tag and find tagged documents. It wouldn't be as easy as the tagging system I had on my old computer, but my guess is that Adobe and Elements will be around for many years and are more likely to be functioning 5, 10 or 20 years from now. If it disappears, there is enough of a user base of Elements users that it seems likely there will be some means to convert from Elements documents to some other application using tags and captions.
    Does this make sense? Has anyone else traveled this path?

    Now can you tell us what this program was called so that we can tell you if there is an update for it to run on Windows 8.1.
    PSE13 is for photos/images and it can tag them and sort them and you can do wonders with it but the learning curve is quite steep especially if you are not computer geek.  If you want to try it before spending any money then I suggest download a full trial version and run it free of charge for 30 days.  You can post questions here if you get stuck with it and people will try to help you with it.

  • Using the Document Manager Rich Text Editor

    I'm wondering whether there is a reasonable way we can use the Rich Text Editor (based on CKEditor) that is contained within the Document Manager task flow (primarily for editing Wiki pages) outside of the Document Manager itself? We have another type of content we need a Rich Text Editor for, but it would be great if we could use the inline image links, tables, links to documents in the content repository, etc.

  • Using Sharepoint as an archival and document management

    Hello, 
    I was asked by my manager to look for possible solutions to convert our archive paper file cabinets that are full of student records into digital format. We do not utilize sharepoint yet at the school but I was researching and found that sharepoint does a good
    job in archiving and content management. The ultimate goal for us is:
    1-  to be able to scan the documents in the file cabinets and save them into folders on sharepoint. We want to be able to create a folder under a specific students' name and then scan all documents related to that student into that specific folder. 
    2- Give permission to specific staff members to access and search for docs by student name. 
    I wanted to ask if  and how this is possible to achieve by Sharepoint knowing that we have an estimate of 120,0000 paper docs to scan.

    The types of documents range from "documents" in proprietary SAP format typically stored in the SAP database (such as financial documents, purchase orders, closed master records) to documents usually created, viewed and/or edited by applications other than SAP, though they may have some significance or bearing on business processes within the SAP system
    itself (for example, technical drawings referenced from bill of materials stored in the SAP database).
    Also, we could use external content server to store enormose data  with out affecting the performance. also her we could extend[scale up] Content server.
    this is like similar to Windows, user need not know full SAP. even though can work EDMS.
    By using EDMS, we can integrate to Logisic  [SAP] copmonents.
    Also by Interfacing with, third party applction software like Acad, UG, Lous note........etc

  • Easy Document Management - Check In of documents question

    Hello everyone,
    I am dealing with Easy DM 6.00, SP12 and I have one specific request from my customer. My customer still doesn't have content server implemented, and he would like to learn and use Easy DM. Since it is not a good idea to check in large quantities of documents to DMS_C1_st storage location, we were thinking about one slightly different solution.
    We would like to set up Easy DM to work in the following way: When "drag-and-drop" function is used, we don't want to check in document. We just want to create a link to the original file on local computer (in our client's case to their shared folders).
    Is it possible to change some settings, so that this happens automatically when creating a new document through Easy DM?

    The problem is that my client doesn't want just to use it for testing purposes. He wants to use it for some time until he implements content server.
    Since they are working with CAD drawings, their files can be fairly big, and their SAP database could be full of documents in a very short time - which would have for consequence slowing down the SAP system.
    So, we need to turn on this functionality somehow.

    Hi Martin,
    Within table DRAD you can see all linked objects to a specific document info record (DIR).
    To be able to link objects to DIRs you have to maintain the correct objects in customizing.
    First of it is necessary to maintain the correct screen numbers for all needed objects within the customizing. Therefore go to transaction SPRO and select
    Cross-Application Components
    > Document Management
    > Control Data
    > Maintain Screen for Object Link
    Here you can enter all needed SAP objects with the name and
    the related screen number. If you do not know the object or the screen number you can display a list of all SAP standard objects in transaction SE80 under function group CV130 ("Screens").
    So for material master you maintain the following entry:
    SAP object Screen Description Auth.
    MARA 201 material master 1
    Please note that the system automatically adds the leading "1" which is displayed in function group CV130 under
    "Screens". So for object MARA you just have to enter 201 instead of 1201.
    The value "1" in the column "Auth." is necessary to grant that always the latest dynpros and authorizations were used when linking this object to an document info record. This will avoid different problems by displaying linked documents from the object side.
    The next step is to decide which objects should be used in the different document types. Therefore please go to transaction DC10 and choose the relevant document type. Afterwards please select "Define object links". Here you can
    add all needed objects only by entering the object. The correct screen number is taken automatically. Also note the blue information buttons in the upper right corner which contain further necessary information about the possible settings of the current screen.
    After doing these settings in customizing you should be able to link the maintained objects to document info records and oppositely by using the DMS transaction CV02N (tab "object links") or the object related transactions.
    Important notes regarding the object link functionalities are:
    Note 880077: Performance problem using object links
    Note 885977: Extension to note 867241 on object links
    Note 926060: Extension of note 885977 for object link Purchase Order
    Note 960202: Object Links Deleted While Adding New Objects
    Note 1002648: Wrong behavior while using RFC_CHANGE_DOCUMENT_MASTER

  • Document Management Using TFS?

    We are currently using TFS for our software development projects. The developers can check-out/check-in code in Visual Studio, and the testers can create work items in the web interface. This is working like a charm. However, now we would like to expand
    our usage. We have a project that consists of a lot of binary files from other applications. We'd like to have version control around these, including check-out/check-in. We need people who don't use Visual Studio to have check-out/check-in capability. 
    What are the best options for this?
    Here are the options I'm aware of, and a bit of discussion around each:
    TFS web interface (http://server:port/tfs...) - would be great if it supported check-out/check-in, but it doesn't.
    "Team Explorer" - this would work, and is free, but it feels like overkill in our case.  I really don't want to have to 1) install it on all user machines, nor 2) train all the users how to use it.
    Power Tools Shell Extensions - still requires too much 1) software installation on the client and 2) training
    SharePoint - I believe there are actually two possibilities here:  1) using SharePoint exclusively (i.e. no need for TFS, since I understand SharePoint has document management of sorts built-in), or 2) SharePoint integration with TFS.  (If that's
    not true, please feel free to correct me.)  The biggest problem with this route is that our IT department is reluctant to introduce SharePoint into the organization because of 1) greater server demands and added complexity and 2) additional cost.
    I think we would prefer a web interface for its simplicity and lack of client footprint, but I'm not aware of a good, simple one with low back-end requirements and relatively low cost. Any thoughts, ideas, and opinions appreciated.

    Yes, uses can use the free Team Explorer to control that files in your TFS Source Control, I think it’s easy to install and use.

    Yes, you can use SharePoint integrate with TFS Sever, then you can create team project portal and store that files in team project portal>>Libraries node(or other place), then users can connect to team project portal from their client, and check in/out

    Option 2 and 4 are both ok, if you cannot install Team Explorer on each client and want users check in/out files using browser, you need install and integrate SharePoint product with TFS Server. But if you store the files in team project portal, all the
    files will store in SharePoint product database(not in TFS database). If you will upgrade or move your TFS Server in the future, you may 
    need upgrade your SharePoint product and reintegrate it with your new TFS Server again, if you want still use the files which stored in team project portals. If you install the Team Explorer for your users, all the files can store in TFS Source Control
    using Source Control Explorer, in this case, all the files stored in TFS database, it’s easy to upgrade or migrate TFS Server in the future.

  • Hello and HELP! Over the years I have saved Invoices in my Documents. I have just tried to open them and all I am getting is " cannot be opened, Invoice**** is used by another user, do you want to make a copy?" That's on all my invoices.

    Can someone help please.
    I have just "lost" ( cannot open) all my saved Invoices in the Document folder.  All I am getting is " cannot open, Invoice ** is used bey another user, do you want to make copy? " That doesn't work either. I can't get anything on the time capsule either. How can I reset to an earlier time? Or what can I do?

    Did you recently reinstall the OS then copy all your files back over? Do a Get info on one of the documents and see if your current UserName is listed and has Read & Write permissions. If not select the Documents folder and check that for Read & Write permissions for your UserName. If it doesn't have R & W permissions Add it so it does.

  • SAP Easy Document Management icon not created

    Hi
    We have problem with a PC (running Windows 7) where the Easy Document Managment icon is not created on the desktop after installation.
    It is not created as a Folder in Windows Explorer either.
    But it seems to have been installed correctly.
    Have tried to uninstall and installed again.
    Yes, we have re-booted.
    Any idea why the icon is not created and why It is not in Windows Explorer either?
    It is ok on other Windows 7 PC's

    But I think there is something that makes the installation procedure not able to update everything as it shall.
    Is there some manual steps we can do after the uninstall, to be sure EasyDMS are totally remove from the PC?

  • Easy Document Management crash when logon to the system

    Hello gurus.
    I have a problem with SAP Easy Document Management.
    I double-click on the icon of SAP Easy Document Management I get the SAP logon window, then enter the username and password and then click on "Access the system."
    It seems that explorer.exe is trying to connect when I get the following error message:
    Microsoft Visual C + + Runtime Library
    Runtime Error!
    Program C:\WINDOWS\explorer.exe
    This application has Requested the Runtime to terminate it in unusual way. Please contact the application's support team for more information.
    My system is Windows XP and the version of SAP Easy Document Management 7.0.6.1 (Unicode).

    Hi,
    we have also the similar problem with Windows 7 and EasyDMS 7.1.4.2. The Explorer crashes the first time when you try to login after starting the PC. When you then restart the Explorer and try a second login it will be successful and EasyDMS works fine all day. If you restart the PC the Explorer crashes again when you try the first login.
    We have no crashes under Windows XP with EasyDMS 7.1.4.2 !
    The problem of this issue is found by SAP and the solution will be implemented in the upcoming EasyDMS 7.1 SP05.
    Meanwhile on our Windows 7 PCs following workaround is working for us and prevent us from the crash problem:
    We add on all Windows 7 PCs to the environment variable "Path" the entry ";C:\Program Files\SAP\EasyDmsInterface\Unicode".
    And there are no crashes anymore.
    I hope this will help you or others which have similar problems.
