New in DMS

Hi, i know nothing about DMS but i would love to learn about the topic. I tried to find really hard in the web for free material that could help to start with the topic and even learn more than the basics. But i failed, all i could find is a book in amazon about DMS, but it isnt an online ver ><.
So i was wondering if by any chance any of the DMS experts here could lend me a web or place to find info about DMS, any material is really appreciaated.
P.D: i tried sap help but i was hoping for a easier material to learn about the topic

Dear Friend,
First of all are you new to SAP or New to SAP DMS?
If New to SAP Then follow the procedure.
1. Get an overview of SAP DMS. There are lot of ppt and info available on net and [www.SAP.com] and [www. service.sap.com .
for [www. service.sap.com ] you need user id and password. Hope you have this if you are part of project team.
2. Once you understand the concept, there would be Some training materials available from net or from your own collegues or friends. Practise all the exercises in the training materail. This will get you more idea on SAP DMS.
3. Once you are famaliar with the functionalities of SAP DMS, then start to work on exploration on Customization (IMG) of SAP DMS. for this check link [http://help.sap.com/saphelp_erp60_sp/helpdata/en/c1/1c31a243c711d1893e0000e8323c4f/frameset.htm]
4. Side by side always keep yourself updated on the SAP DMS forums. This will help you to take sap DMS knowledge to a next level where you will find different issues and requirements faced by consultants during a project or learning. This will be as good as a project experience.
5. Visit SAP DMS Wiki where you will get some more detail info on the SAP DMS.This is very good site and always keep yourself updated on this wiki. [http://wiki.sdn.sap.com/wiki/display/PLM/SAPDocumentManagementSystem%28CA-DMS%29]
Any learning is step by step process and there are no short cuts. Follow these steps and you will be a good SAP DMS Consultant one day and would be on top contributors in SAP DMS Forum.

Hello,
Released status canbe defined in SPRO settings.
Following is the path--- Cross-application component --- Document Managment ---Control Data -- Define Document type-
You will get a list of document types configured.
Select document type & click on Define document status.
Here we can define status network for document type as per requirment.
For e.g. created- checked- approved----Released.
On status Released we can set lock so that after document release no more changes are possible.
After document release, it can be sent to recepients maintianed in recepient list.

This is kumar.I'm new to DMS.
pl explain the process flow of DMS.
I have created document- cv01n, document structure.
My queries are;
1. How to attach the document- relevant status
2.Where i can see the attched documents(object links),like i can see the attched document in Material Master(Additional Data- Document Tab)
i require your guidance in where i can see the documents in BOM,Equipment BOM,Functional Location,WBS BOM and other objects.
3.When i attached the documents the lock (unlocked)- how to lock and its significance.
4.How i can store the information i.e document

As per my understanding giving answer for your questions.
1. Don't Understand.
2. In BOM you can link/View documents in three place.1) Head material Details 2) Item Material Details & 3) Component level.
In WBS element in PS - Structure you can view document.

DMS is Cross application component.

DMS Error - Error occurred when I try to download document from storage.

Hi, gurus
I'm new to DMS and using 3rd party content server now but I faced error.
let me explain my symtom.
First, I created Content Rep. EL
Document area: DMS
storage type: HTTP content server
Version: 0046
(note that connection test is successful.)
then, I created storage category , using content rep. EL
Finally, I registered document to the content server I created, using T-CODE CV01N - Display
but after that, i can not download the registered document from content server
I just faced error message u2193
File c:\temp\_IT300807.pdf could not be accessed
However, when I select storage Cat. to DMS_C1_ST(Default DMS storage),
I can download registered document
I think I need to make some settings to use 3rd party content server.
Can I know what setting is necessary to use 3rd party content server?

Documents upload in DMS

Hello All
Is it possible to upload the Document in SAP DMS without creating from CV01N transaction?
Also my requirement is to upload around 2.1 GB documents in SAP is it possible to upload it in one transaction?
User want to just upload the docs in SAP system so that he can viewed it any time or if user want to add or delete the document any time he can do it
How to upload or attached ZIP file in DMS from CV01N? Is there any configuration need to do for zip file attachment?
Currently I can attached zip file from CV01N but if I tries to open the documents from CV02N or CV04N transaction system is giving the error that docs can not be opened.
Could any one give me step by step solution for above two requirements as I am completely new for DMS module

- If you have some DMS documents already created then you can attach to that doc (CV02N), if not then you have to create a DMS doc and attach it.

- For Users uploading & display document in DMS is very convenient. You have to define in your workstation application for zip format & bypass the indicator of authorization. zip format should be defined in workstation application.
Currently I can attached zip file from CV01N but if I tries to open the documents from CV02N or CV04N transaction system is giving the error that docs can not be opened.

DMS and Filenet

Hi! All,
We have a requirement at work which is to create PO attachments at the PO Item level. I'm new to DMS and I've read that DMS can be integrated with Filenet via SAP Archivelink and we already made several config changes in Archivelink and DMS. Here are my questions:
1) I noticed that business documents can be attached via "Services for Object" in the DMS txn (CV01N and CV02N). Id this the proper way? Also, the document is always in ALF format. How can this be changed to DOC or XLS?
2) Any ideas on how to attach a document to PO item level using DMS and Filenet?

Acsap is used to connect the filnet, this is the filenet component for SAP - you have to pay it extra.

DMS - File attached for FI posted document

Hi All,
I am new for DMS .
My requirement is - we have web application in .net . Vendor update entry in web application , attached some file with that page and go to submit .
It comes in SAP through proxy and posting in FI has been done .
But the file attached in .net application is stored in .net application server .
So now requirement is when we open posted document in SAP we need that file attached with posted document (available in GOS for that t-Code) .
My question is -
1 - how we create entry in DMS dynamically ( we got posting confirmation in SAP through proxy and we got that file in SAP application server through file transfer ) . But how to entry maintain in DMS (we have multiple document for single posted document ). Even I know how to create document type for DMS n basic thing of DMS .But I need algo .
2- How that entry link maintain to that FI T-Code .

you need to customize in OAC3 the Documenttyp link to FI Object.
e.g
ObjectType Doc.type Status Cont. Rep. Link Doc.class Ret.per.
BKPF #ZXYDOC# X C1 TOA01 PDF 180
From your Server you need to call am FM (something like ALINK_CREATE_ASYNCHRON_META" on your SAP System via RFC to save the File after you created the Object.

Hi DMS Chekin : Help Need (Urgent)

Hi Guys,
I am new to DMS , but i started to explore DMS to integrate it with XI system to upload Documents.
Scenario is like this:
FileServer (Client) ---> XI --- > DMS System
I use "BAPI_DOCUMENT_Checkin2" to checkin Document : After working with this bapi quiet some time , i came across many strange behaviour.Well intially i was not able to checkin documents , by debugging i found that there is some bad objects table filled with sets a flag for which i was not able to checkin document, so introduced a flag and made the badobject table clear and atlast was able to see the file in the transaction "cv02n"
1) Now when i try to open the document it says :Error while checking out:
C:\DOCUME1\9000031\LOCALS1\Temp\_WIPKISHORE09.pdf
2) I tested and experienced this FM doesnot see the physical availabilty of the file in the docpath specified , it just put the file.
I think before when i was not using that check box mark , it said error in checking the Document , now since in set the paramater and force the checkin to happen this happened.
can any one give any advices and views.
present i see the document name but when clicked it throws above error

DMS security object c_drad_obj

Hi DMS Gurus,
I'm hoping someone can help me. I've been testing different scenarios all day and just did a web search to see if anyone has posted anything about this in the past. I came up with zero on both counts.
We are new to DMS at my company. Our objective is to give some users full access to DMS and others no access. I have found that our existing user roles already pull in Document Management security object CV, I think because the user has access MM03. For example our sales role has the c_drad_obj object assigned, but we don't want this role to have access to DMS. No matter what I change the options to in the security object, it doesn't have any effect.
I was under the impression that I can restrict the activity / document type / linked SAP object / document status in the c_drad_obj object. But as I previously said, no matter what I set these to, even to disable the object itself, it doesn't seem to matter.

You do realize that C_DRAD_OBJ is relevant only for Object Links stored in table DRAD? Not all documents will have Object Links. See Authorization Objects for Documents - Document Management - SAP Library for details on DMS authorizations. The main table for documents is DRAW.

Use of SAP DMS & SAP Archive Link both together

Dear DMS Experts,
I am little bit new to DMS and have very less idea about functionalities and capabilities of SAP DMS & Archive Link.
I have got few questions:
1. Is it possible to use both SAP DMS & SAP Archive link togther.
For example, there are certain objects like GRN, Invoice, Employee etc which are not supported in standard DMS.
However, they are supported in archive link.
But at the same time, there is requirement of setting and resetting of some statuses of the documents attached with PM notification or with PR / PO. This functionality is available with SAP DMS.
So I want to know, is it possible to use SAP archive link for few objects and SAP DMS for other objects.
2. In case of SAP archive link configuration, we need to define link between Object Type, Document type and content repository
in node "Edit Links" under "Basic Customizing" under "ArchiveLink".
Here we can not use all the content repository which we have created normally. But we can use only limited content repository ID.
How does system decides, which content repository id can be used.? Where can i define that.?
3. With SAP archive link, can i store my documents in the same content repository in which I am storing my all the documents with SAP DMS. I mean to say, both the SAP DMS & Archive link, can share the same content repository.
We are having a seperate content server and requirement is to store all the documents in content server only.
Would request you all to please help.

Yes,you may use Archivelink for static documents that would be required purely for reference while DMS can be configured to handle documents that are more dynamic in nature (that require status change,version,revisions et-al)
..both the SAP DMS & Archive link, can share the same content repository.We are having a seperate content server and requirement is to store all the documents in content server only...
Yes,you may store DMS and Archivelink documents can reside on the same Content Server.Content repository is a logical area/partition,hence you may create one content repository for DMS and another for Archivelink(on the same Content Server).

Access DMS documents from MDM ??

Hello folks
We have a customer that has SAP DMS (Document Management System from SAP ERP) where the product image files are stored on a SAP Content Server.
We are planning to implement MDM for rich product catalogue whereby end-users access MDM via Portal, but we need to access some documents on DMS too.
I know that there is standard PLM iviews that shows DMS documents linked to a Material, can we use these iviews to modify them so that they are launched on request of user after browsing in MDM iviews (managing same material numbers) ?
Has anyone of you made this ?
Any hint/help on this is most welcome !

We can get the Product ID from MDM Standard iview through EPCF Eventing. Based on that ID, we can fetch the documents from DMS.
I am new to DMS. Can you please share some information on fetching document links from DMS through standard or APIs?
In my scenario, i have to fetch the documents link from DMS for all Master records and store the link in MDM. Also, when a new master s created in MDM, I have to attach/upload documents for the master record and store the document link in MDM. The actual document is present in DMS. When I send the newly created Master data to ECC, I have to link the Master data and the documents in ECC also.
