Numbers for invoicing

Hi,
I've been using numbers to do my invoicing for a few years now and I think it works well.
I'd like to add a little sophistication to my invoicing system, but I'm not quite sure how to do a couple of things. Here is my setup...
All of my invoices for a given year are in one document. Each invoice is a new sheet in that document.
I'd like to have some automation, where everytime I insert a new sheet (new invoice) it will...
A. Assign the new sheet a new invoice number in a specified cell, that number being one higher than the last invoice number.
B. Add a new line(s) to my master sheet (still in the same doc) with that new invoice number and a couple of other details from the invoice, like total, client name, etc.
If I can just get started with one of these.. I'm sure I can figure out the rest.
Any ideas?

I apologize but it seems that you are using a wrong terminology.
Sheets have no cell. A sheet is a container in which we store tables.
So, I guess that your document's structure is in fact :
one sheet containing
one main table
and several invoices tables.
I'm busy on a script doing what you ask for.
May you send to my mailbox a sample document with the main table and one invoice table ?
I would be able to build the script according to your documents structure.

I'm mainly interested by the location of the total in the invoices.
Is it in a footer row or in a standard one ?
Creating a table with a footer row is not an easy task if the document was not created from a templates defaulting on a table with such a row.

    You want WE  numbering will be same on material/accounting document creation.
    Use t.code: OMBT, Click Financial Accounting Number ranges
    Example: number range available is  48
    4800000000 to 4899999999
    Now again back use t.code: OMBT, Click Financial Accounting Document type > click WE > enter number Range 48 in properties TAB & save.
    Now use t.code: OMBA
    Click Group in menu bar-- > maintain -- > again click Group in menu bar --> Insert
    Enter Text as GR Docs
    Year  u2026u2026From u2026u2026u2026u2026u2026u2026u2026u2026TO
    9999u2026u2026.4800000000 u2026u2026u2026u2026u2026. 4899999999
    Now Double click WE & select check box of GR Docs and click Element/Group & save
    (See the WE is assigned to GR Docs after assigning)
    Also need to assign WE document type  in MIGO_GR t.code in by using  t.code: OMBT by double clicking Goods Receipt Document Type & save.
    Now try ur transaction GR.

    For a particular purchase order, there are 2 invoice numbers in the R/3 system. But when i am running a certain BW report, which displays the invoice numbers for a PO, it is showing ony one invoice number. Please advice.

    I think ur BW report shows the cleared Invoice no. The second invoice no. might not have been extracted to BW system. Check your order no. in Cube whether it has two invoice nos.

    The requirement is Division wise Separate numbering range required for invoices. For e.g  like 11 Steel Fabrication, 12 Aluminum Fab, 13 Carpentry & Join, 14 GRP/GRC, 15 Stone & Marble
    Already a table ZSD_NUM_RANGE with fields like Client, Plant, Number range in the case of internal number assignment
    Presently number range is based on plants.
    I understand that Division field SPART is to be included in this table by using the exit given below:
    User Exit For Billing
    USEREXIT_NUMBER_RANGE (Module pool SAPLV60A, program RV60AFZZ)
    The internal number range used in the standard system is specified in the billing type table and can be changed in this user exit. This user exit is only called when the billing documents is created.
    May I know how far this is feasible to shift plant wise no. range to division wise no. range.?
    Also if we do division wise number range, How about shifting to new invoice numbers in the middle of the FISCAL year?

    Ideally speaking, invoice number range should be per plant and the user exit what you had indicated holds good.  May be you can try with the same user exit.

  • Invoice numbering for Romania

    We have rolled out our SAP installation to a Romanian subsidiary and we are facing a lot of issues with legal regulations. One of them is invoicing. We are told by accountants in RO that we need to define on a yearly basis a number range for invoices and that for this number range all numbers must be accounted for.
    The problem is that we are using a common number range for all companies in SAP. I am FI consultant, not SD, but from what I can see customizing only lets us define different number ranges if we use different billing types.
    Can anyone explain what exactly are the legal requirements and how can we conform to them in SAP - hopefully without too much redundance and new customizing?

    @Raja: Thanks for the hint - I will probably need that if it turns out to be neccesary to separate the number range:-)
    @Vrajesh: We have already been through the localization documentation and the country manual, but it is very vague on this point and therefore not of much help:-( SAP Romania says to ask our auditor as the legislation is open for interpretation(!), so that will be our next step.
    @Vignesh: I do have acces to the IMG and I do know how to change number ranges. My question is, whether or not it is neccesary to use a different number range for Romanian invoices and the easiest way to achieve this - avoiding new document types.
    I would still very much like to hear from anyone with Romanian subsidiaries!

    There is a requirement where for a Check Number for example 2345 and there are 4 invoice numbers ABC 1013280,CBD 1013456,DEF 5101234 and XYZ 6101234.
    I joineds ap_checks_all,ap_invoice_payments_all and ap_invoices_all.I want the data to appear as in CONCAT Invoice Numbers for partilcular Check Number
    For example the Check Number 2345 the data should appear as
    CHECK_NUM INVOICE_NUM
    2345 ABC 1013280,CBD 1013456,DEF 5101234,XYZ 6101234

  • DI Server GetByKey for Invoice not returning Serial Numbers

    Hi,
    I am running SBO 2005 SP01 PL36 and I have entered an Invoice through the Business One front-end, selecting the relevant serial numbers for my items.
    I want to use the DI Server to get the invoice that was added and use the serial number information to automate some other business processes. But when I do a GetByKey for the Invoice it returns ok but the serial numbers are not returned in the response.
    When I call GetObjectXmlSchema I am returned the Business Object schema that has a SerialNumbers Element within it.
    Is this a bug within the DI Server or is there another way in which I can get the Serial numbers for the Invoice?

    I have faced this problem too. Not sure if it is a bug or not in DI Server, but there is a workaround available:
    All the documents tables have two columns, one called the 'DocEntry' and the other called the 'DocNum'. The 'DocEntry' is the internal key (which is used for GetByKey and all XML requests). If you want the DocNum, you can run an SQL Query against the appropriate table, something like (for the Purchase Orders table):
      SELECT DocNum from OPOR WHERE DocEntry = <the key from GetByKey>

    I know there is no standart way in SBO for Serial numbers for packaging association
    ( associat s/n in every package of Delivery\Invoice)
    Is there another way to do it??

    You can use packaging form avaialble on Delivery to pack the product as per serial no.
    and you also get the standard report of package content with serial no.

    Solution :
            1) Go to SE16 - Table Name : EKBE (PO History)
            2) Field - BUDAT (Posting Date)
            3) Transaction event Type:
                             - 1 (Only GR's )
                             - 2 (Both GR and IR)
            4) We can fetch both GR Numbers and also PO Numbers for which IR has not been done if transaction event - 1.

    we are printing it on the invoice output. on debugging it is known that it comes from the table AUSP, after checking the table CABN.

                      I hope you have neigther read my reply completely nor understood correctly.
    Let me tell you, maintaining record in J1ID in Plant address details doesnt declared that plant is registered under Excise act until unless you maintain ECC details. ( ECC -Excise Control Code number which will be alloted by the Central Excise dept).
    You will find CST / VAT fields in J1ID which is actually given to maintain Plant address details for INDIA localization.

    I am trying to use Crystal reports to bring in Batch Numbers for Line Items, I have the following Query but it is not quite working correctly and I cant work out how to ensure the Batch No it Shoes is correct and matches to those in the Right Click Batch Details on an AR Invoice. Can anyone point me in the right direction at all ?

    When you work with invoice lists, you need to be familiar with the following concepts:

    Structure of an Invoice List
    Changing header and item data
    Integration with financial accounting (FI)
    Prerequisites
    You can only process invoice lists if the following prerequisite data is defined by your system administrator in Customizing for Sales:
    Condition type RL00 (factoring discount) must be maintained and, if required, also the condition type MW15.
    An invoice list type must be assigned to each billing type that you want to process in invoice lists. The standard version of the SAP R/3 System includes two types of invoice lists: LR for invoices and debit memos, LG for credit memos.
    Copying requirements must be defined (for example, the payer, terms of payment and other fields that must be identical in the documents to be included in the invoice list)
    In addition, before you process an invoice list, you must maintain the following master data:
    A customer calendar must be defined, specifying the time intervals or dates on which invoice lists are to be processed.
    The customer calendar must be entered in the Billing Sales Area view of the customer master record.
    Pricing condition records for the condition type RL00 and, if necessary, (e.g. in Germany) the condition type MW15 must be maintained.
    Output condition records for condition types LR00 and RD01 must be created.
    Relationship to Pricing
    The system processes factoring discounts in invoice lists in exactly the same way as other kinds of pricing elements. The data for the factoring discount is stored in condition records. Controlling during document processing is carried out via condition types, pricing procedures and access sequences. This control data is defined in Customizing for Sales by your system administrator.

    Structure of an Invoice List
    An invoice list represents an individual billing document. It consists of a document header and document items. Each item represents a billing document that you have included in the invoice list. The header contains an overview of summary information, such as the net value of all documents in the invoice list, the value of the factoring discount, details of taxes, and so on. It also contains information on partners and output.
    Changing Header and Item Data
    You can change some of the header data - for example, the billing date - when you process the invoice list. You can change an item - either an individual or collective invoice - and display document details. However, you cannot change any data in individual billing documents once they are part of an invoice list.
    It is possible, however, to make certain global changes to output in all items in an invoice list.
    For further information on output, see  Communication in Sales and Distribution Processing.
    Integration With Financial Accounting (FI)
    The documents that you want to combine within an invoice list must already have been billed and forwarded to Financial Accounting. Here the billing documents intended for an invoice list are blocked for normal dunning transactions.
    The dunning block on FI documents is lifted as soon as you create an invoice list and transfer it to FI . The system then calculates the new dunning date for the invoice on the basis of the invoice list date.
    In addition, the system enters invoice list numbers in the FI documents as reference numbers. Invoice list numbers can then be entered for incoming payments.
    When you save the invoice list, the system automatically creates an accounting document for the factoring discount and possible taxes and posts it to the corresponding G/L account in FI.

  • Numbers for iPad crashes when entering data

    I have the same issue as described in this thread:

    Basically Numbers crashes almost every time I tap on a cell to input data. It doesn't seem to happen if the cell contains text, or a cell that is the output only of a formula, but it does crash (almost always) whenever I tap a number that's an input into a formula, or a cell with star-value. Sometimes Numbers crashes when I tap an empty cell (even if there is no formula attached to it), but not always.
    This occurs in every spreadsheet that I use, including the default "Getting Started" spreadsheet, spreadsheets that I created using templates found in Numbers, and spreadsheets that I imported from my MacBook created in (the most recent version of) Numbers. It's my perception that it first occurred infrequently in Numbers 1.1, and got worse over time.
    I use Numbers mostly for a single spreadsheet that keeps track of my invoices. I never use any graphics in the spreadsheets. The formulas are all pretty simple.
    (The spreadsheet is used to track sales, so each line has a cell for the dates of order and payment, the number of items, the name of the item, the items total, and at the bottom there's the invoice total. Small stuff like that)
    Right now there are about 12 invoices in the spreadsheet. Each invoice is a separate sheet on the same spreadsheet, and I periodically make a duplicate sheet in which I can change some of the values and text (btw, text boxes are unaffected). There are like on average 30 populated cells per sheet, so the total is like 400 populated cells on this spreadsheet.
    Unfortunately, due to this bug, I cannot use Numbers for this purpose at all. I can make a duplicate of a (blank or filled-in) Spreadsheet, but as soon as I start adding values to the chart, the screen goes black and I am returned to the iPad home screen. This problem also occurs on my very first invoices, even though they were created just fine at the time (using Numbers 1.0).
    I only have four other spreadsheet files in Numbers and they all suffer the same problem. One is the default Numbers "Getting Started" spreadsheet. It crashes on the "Table Basics" spreadsheet when I tap the pink box as instructed.
    I created a "Budget" spreadsheet from Numbers's templates. It crashes when I enter data in the "Budget" column in the first ("Categories") chart, but not the "Actual" and "Difference" columns. It also crashes each time I enter data into the "Amount" column of the second ("Transactions") chat, but not any of the other columns ("Date," "Description," and "Category"). So, this spreadsheet is unusable on the iPad.
    (I did export this sheet to Numbers on my Mac, and it worked fine.)
    I created two other spreadsheets in Numbers about a month ago and I had no problems. They are just two-column charts that I printed out to display some information. One has 30 populated cells, the other has about 100. On both of them, I can edit a cell that has text-only, but I cannot enter any data into an empty cell! It crashes! Also, FYI, there are Japanese characters in the text-fields.
    I hope this is not too much information or too little. Just trying to get some help for myself or to help whoever might work on this problem.
    Any ideas? Any more info needed? This is on a 3G 32gb iPad using version 3.2.2, and Numbers 1.2.

    The issues you describe have nothing to do with the other posting you are referencing. They state they have the following problem:
    (numbers on ipad) drops several of the important features that I created in the laptop version such as headers and footers, fonts, steppers, sliders, etc.
    It sounds like your having no data entry at all. There is a known issue with certain formulas causing crashes, but not every data entered like you seem to be stating.
    I might have missed it, but did you delete and reinstall Numbers on your ipad?
    If not, please write down EXACTLY the steps used to reproduce the problem, then go to http://www.apple.com/feedback and input this into a bug report for ipad numbers. Be very specific as to the steps involved to get to the crash point.

    When i am creating invoice list (T.Code:VF21),I got the error that"the document is not relevant for invoice lists". i entered  invoice list type per billing document type (transaction OVV7).
    I already did those settings in the IMg. But still its not working, i really appericiated that you look into the query.

    -- Check in  Customer Master Record (XD01) in billing tab the invoicing list Dates & Invoicing dates fields
    --Go to T.Code OVT0 & check these fields are included in your account group
    --Maintain the Copy controls for Proforma Invoice (F8) to Invoice list(LR) in VTFF
    --in header Copying Req 016
    --check mark on copy item numbers
    --Pos/neg qty is +
    ---Go to VF21 and enter the billing document No & Billing Type as LR & Execute
