PMS - OSA: Creation of appraisal document

Hi Experts,
While creating the appraisal document we have to mention "validity period" and "execution period".
Kindly explain the difference between the both periods.
1. Do we need to mention validity period and execution period same, while creating appraisal document?.
2. In which scenario we can mention different validity period and execution period, while creating appraisal document?.

Hi Harish,
1. Validation Period refers to the period of the appraisal. For example, you may create an appraisal document for an employee for his/hers performance in the year of 2013 - in that case the validation period may be 01.01.2013 until 31.12.2013.
You may refer to the Validation Period as the BEGDA and ENDDA of the appraisal document (similar to HR Infotypes).
The execution period is the period in which the appraiser can access the document and assess the appraisee. For Example, you can determine the Execution Period as 01.09.2014 - 30.09.2014  -in that case the appraiser/s can edit the document only in these dates.
2. Validation Period is mandatory. Execution Period is optional.

    Hello HR Experts,
    I want to create appraisal documents in bulk. After an investigation I come to know that, It can be achieved using BAdi HRHAP00_DOC_PREPARE2 and just I need to create a copy of the standard program RHXHAP_APP_DOC_PREPARE_ORG.
    Is am going in right direction? Please guide!! Also I need to add my logic also. Where should I add the same?

    I am going to copy the original report and making the changes in new one and calls that report in my BAdi implementation which is similar to the HRHAP00_DOC_PREPARE2.
    But I am confused in where to put the logic to get the pair of pair of attendee and line manager in that report. and while creating appraisal document, should call to a function module 'HRAP_DOCUMENT_CREATE' is necessary? or is there any other alternative?

    I think you can take the abap'ers help in creating the program. But u need to provide them the exact functionality and the required specifications in creating the appraisal document.
    Even tcode also u can get it prepared by Abap'ers.

    I have done appraisal document creation for bulk using txt file.
    this fm used for single for creation in standard tcode (phap_prepare):  'WZ_HRHAP_0DOC_WZ01_START'.
    So create ztcode  usinh this fm for single form then record BDC for this tcode and called this tcode in that bdc for bulk creation .
    While recording for single I have used manual option instead of automatic .

  • Unable to view the appraisal document in PMS

    Hi,
    We have upgraded our system from 7.01 to 7.4 and ECC from EHP4 to EHP7.
    After upgrade we are not able to open the appraisal document from
    Appraisal Inbox (Performance management) page/Employee & Reviewer Inbox
    page but getting blank screen.
    We had refer the note 1600380, according to the note we had checked the objects in all pages mentioned.
    But then also unable to view the appraisal document.
    Refer the attachment.
    Kindly guide us to resolve the issue.

    Hi ,
    Before upgrade it was working fine, There is no change in the authorisation in the backend.
    Kindly specify what kind of authorisation are required, so that we can check at our level.
    No error messages and logs are generated related to this.

  • Other Users need access to Appraisal Documents in OSA

    Hi,
    We are implementing Objective Setting and Appraisals and have found that when a user logs into the Portal, they are only able to enter Appraisal documents where they are the Appraisee or Appraiser.
    We have the need to allow other users to enter Appraisal documents, for example, the Next Higher Supervisor.  When they log into the Portal, they can see all their subordinates, but it looks like no one has an appraisal document, when in fact, they do.
    What do we need to change to allow these extra users to be able to see that appraisal documents do exist so that they can select them?
    Any help is appreciated.

    Hi Rachel,
    Hopefully I will answer your questions. 
    We currently have a custom implementation of the column owner badi because we found that the choices delivered (AE-for appraisee only, AR-for appraiser only, etc.) were not enough for us.  We determined that our requirements for column access needed an owner of the appraisee sometimes and an owner of appraiser sometimes and possibly even other participants (like a Power User, Delegate, etc.).  So, right now we created an AL choice for 'All Users' and then in the column owner method check_column_owner, we have code to see if 'myself' is the appraisee, the appraiser, or a further participant.
    If he's the appraisee, we pass an 'E' in the export parameter column_owner.  If he's the appraiser, we pass an 'R', and so forth.
    Then we have these values in our custom zcol_access table.  This is so that the column access badi can pull the column availability from zcol_access for the particular column_owner per column/status/substatus.  This allows for columns to be hidden, display only, or changeable for particular people at particular status/substatuses.  We do have the template field also in the zcol_access table so you could separate the column access per template also. 
    I hope this makes sense.  It is working for us so far, now the issue is how to get the further participants to be able to enter the correct set of appraisals and get the right columns and custom pushbuttons.  We would like to use the hrhap_others table, because it works well with our column owner and column access design, but our further participants can change their roles often, so we don't want them permanently tied to an appraisal.  More research and trial and error needed.

    We like to unlock all the locked appraisal documents for every half an hour.
    For the above functionality our ABAPer has written a Z program to unlock all the appraisal documents and wanted it to be scheduled for every half an hour.
    Functionality of the  above program.
    1) Go to Tcode PHAP_ADMIN and execute.
    2) Go to the tab  Goto-> Locked appraisal documents, Then it will show all the locked appraisal documents.
    3) Select all the locked appraisal documents and then press unlock, then all the appraisal documents will be unlocked.
    The same above functionality is incorporated the program, so if it is scheduled for every half an hour,then the appraisal documents will be open to the employees for every half an hour.
    As the process is not any way related to SM12 TCode (which consists of all the locked objects),the other objects other than Appraisal documents will not be unlocked.
    Goto-> Locked appraisal documents is only specific for the appraisal documents. 
    But as per our knowledge SAP Standard is unlocking all the appraisal documents for every one hour.
    If we schedule this Z Program for every half an hour, then both the standard and the Z Program will clash for every hour which is not required.
    Can any one tell me where to change that one hour limit to half an hour in the standard it self.
    or will there be any problem if both the programs clashes for every hour
    Please let me know how SAP Unlocks the Appraisal Documents for every hour, (Using a background job or Is it a configuration)If it is a background job please let me know the standard job, so that we can change the time of the standard job.

    I have searched the Tcode RZ11, there for the parameter what you have specified, the value is 1800 seconds.
    But when I observed in the system, I have logged in to the portal, we are displaying the appraisal document through a custom BSP application.I opened the appraisal document, then in the back end it is locked, after that I have kept the portal session idle for 1 hour. Later after 1 hour I have noticed that the appraisal document was unlocked but the portal session is still active(not Auto logged off). By this observation I think that there might be no connection between auto logoff parameter and Unlocking appraisal documents.
    I have gone through other parameters in the table TPFYPROPTY, but I couldn't able to find out the actual parameter.
    I think the parameter might be of the type Enqueue, because it is regarding locking.
    Can you please help me out in this issue or provide me any document related to  the parameters and their working.

    Hi,
    Why would you want to do this? This is dangerous and can cause major inconsistencies. The standard unlocks in the web after 30 minutes as per default, but thats a configuration setting.
    I would not recommend to have this report running in a productive environment.

    this is possible with a correct customizing in the template. In PHAP_cATALOG, select your template and go to tab Processing. In section Follow up processing, you have the possibility to 'Adjust Qualifications (from validity start date on)' or 'Adjust Qualifications (from validity end date on)'.

  • PMS OSA - Part appraisal at any state

    Hi Experts,
    One of our requirement is to get feedback from part appraisers at any stage of the appraisal process i.e., 'In Planning', 'In Review' and 'In Process' states. However, as per help, i read that feedback from Part Appraisers can only be obtained when the appraisal form in state 'In Process'. This is one of our key requirement. How can we achieve this?

    HI Anupama,
    Please ensure that you are accessing the part appraiser document, only for the Part Appraiser document the Part Appraiser ID  adn roles are shown.
    Be dafault Phap_admin_pa only shows the main appraisal document. In order to view the part appraisal documnet, add the part appraisers in the selection screen besides the part appraisrs and then execute, the output will give u all part documents and appraisal document type should be "part document".

    Hi Chris,
    This component must be deployed in Portal because have a lot of services which need ESS in order to work properly. According with note 1408243 you must add those business components in your iView and only are available in that component. Once you deploy this component you do not need to assign any special role to users. The business object component is in Content Administration --> Portal Content --> Business Object --> ERP Common Parts --> Human Resources --> Employee.

    I'd like to transport some appraisal documents - located, for example, in the transaction code PHAP_ADMIN - from the QAS SAP to the Production SAP and I don't know how to do that. Please, could you send me the required steps?
    The release of our systems is ECC 6.0 and the level of the software component SAP_HR is 0058.

    there is no other solution , only report RHSOBJCH can be used
    Report RHSOBJCH adjusts the transport objects PDST, PDST_LSO,..., that
    are used to transport personnel planning objects. The transport objects
    need to be adjusted, whenever a new infotype is delivered by SAP or
    created in the customer system. We can't deliver the adjustment, because
    the transport object contains both the SAP infotypes as well as the
    customer infotypes.
    Therefore you should select all entries in report RHSOBJCH and add them
    to the transport object. This needs to be done after each upgrade and
    after the creation of a customer infotype.
    You should run the report both in source and target system BEFORE
    transporting the appraisal templates.
    When transporting PD objects to your productive environment
    you should pay attention whether objects are involved in the transport,
    which already exist in the productive system.
    This is described under 5.a) in note 138411,

  • Appraisal documents access control

    Hi All
    i am working on PMS in EHP 6 environment.As per configuration , the participants of the appraisal documents are employee , appraiser and reviewer. Our requirement is such , we want HR admin to have the change access to the appraisal document. The documents are available in the queue of the participants on portal. Can we have these documents in the HR Admin queue with the change access to it. If yes , please suggest how can we proceed further.

    When executing transaction: phap_prepare_pa, one can prepare Appraisal documents with Org Units or with Templates, Appraiser, Appraisee. We want to prepare these with Jobs; say for Executives and for Admin. Staff. How would one go about this

    OSA functionality in 4.7 is available as Extension set.
    How to find the extension set?
    Go to System>Status>Component Version
    Click on Details icon. Under column 'Software component', look for EA-HR. If the release is 110, then the version is 1.1. If it is 200, the version is 2.0.
    There is a lot of difference between the functionality available in Version 1.1 and 2.0. Check out which version you are using.
    I cannot send you the Appraisal config document as that is owned by the client and I am not allowed to distribute that. But I can send you some documents which will help you in the configuration. But first of all, let me know which version you are working on.
