Post Dated Cheques

Scenario:
Post dated cheques (say cheque issued on 1st jaunary 2009) is issued. Cheque date is 31st january 2009. At that time (i.e. on 1st January), they do not post any accounting entry. Recording is done in excel.
When cheque date (31st Jan 2009) arrives, payment entry is posted in the books of accounts.
Entry passed on 31st January:
Vendor A/c Dr .... XXX
   To Bank A/c
How to map In SAP:
Now in SAP, i 1st created check lot from Tcode FCHI
Then i entered TCode for cheque issue. But it is asking me payment document number. But till now i have not passed payment document entry. As per client policy, i will have to pass the entry on cheque date (i.e. 31st January) & not on 1st January...
So tell me, is possible to create check manually before passing payment document.

Post dated cheques are noted items.
Create one alternative recon acc for the PDCs
First create a special GL indicator for PDC in Tcode OBYR, there specify your original vendor recon acc and alternative recon account in the account determinations.
Then go to Tcode F-57 (Vendor noted item)
there enter header data, and change the posting key from 39 to 29.
enter enter the other required fields.
When you post this document, system will generates only one single line itsm, as it was a noted item.
According to SAP, noted items were statistical entries, since these transaction will not update transaction figures in the correspondant ledgers.
with F-57 entry line item is      PDC recon acc DR (PK 29 and your spl GL indicator)
When the due date comes you need to reverse this F-57 entry and pass your payment entry.
after passing this payment entry only, you can issue check manually through FCHI.

    Hi Arabinda Pal,
    the current balance in the CoA will always reflect the balance of all transactions, not just the transactions up to the system date.
    To make a postdated cheque outgoing payment, the dates on the payment should be that future date. As soon as you post the payment, the balance of the gl account will be affected. To see the balance of that account up to a certain date, clickon the orange arrow to get to the account balance window. In the criteria, tick By Posting Date & in the 'to' field, enter the date until which you want to see the transactions. Scrolling to the bottom of the window will give you the balance of that account at that date.

  • Posting the Post dated Cheque

    Dear Experts,
    Pl explain whether  following procedure for posting Post Dated Cheque (PDC) is correct
    1)Post vendor invoice( Vendor A/c Cr and Expense A/c Dr)
    2) Post PDC in F-40 with separate Spl GL Indicator created for PDC and clear the invoice line item created in step (1).Here, entry is created as follows:
    Cr Vendor X with PK 39 Spl GL Ind Y
    Dr Vendor X with PK 25
    Further, Cr line item of 39Y will stand open.
    My query is, is there any transaction that needs to be posted after above two?
    and how can we clear Cr line item of 39Y?
    And how do we give credit to bank a/c

    Hi,
    On the date of the payment (when the date on the PDC has approached) you make an entry debiting the Vendor 39Y account and crediting the Bank. This is as if we had issued the check on that day. And when it is actually presented by vendor in the bank however, it comes under Reconciliation as usually.

  • Printing of Post Dated Cheque through APP

    Hi,
    I have a requirement where i want post payment document and print the POST DATED CHEQUE according to the DUE DATE of the Invoice from F110.
    E.g.: Invoice 1 is due on 21.01.2011 for Rs.20000/-
    Invoice 2 is due on 23.01.2011 for Rs.30000/-
    Then, APP program should post the payment document for 1st invoice on 21.01.2011 and the Post dated cheque should get printed with date 21.01.2011 while for 2nd invoice payment document should be posted on 23.01.2011 and the Post dated cheque should get printed with date 23.01.2011
    Anybody can guide how to proceed for getting this post dated cheque with different dates printed from SAP.

    As per my knowledge, you don't need any specific confirguration for this,
    Assuming to day is 20-1-2011, your F110 run date, and your "Net payment run date" is 24-1-2011, system will automatically post the payment document and create a post dated cheque for invoice due on 21 and 23rd. the only thing you need to keep in mind is the next payment run date should be 24th.

    In case of noted item we have to reverse the same on due date.but i want something where we dont have to reverse it will automatically reverse & account the same.

    I think post dated check can be handled through Special purpose Gl indicator like we handle guarantees which statistical posting to SAP.

    1.  Define account in Tcode OBXY input details like account type , special GL indicator , special GL account
    2. Maintain settings in OBXT provide clearing account.
    Then from the point of enduser
    1. FB21 is used for entering statistical posting
    Dr. Customer account
    Cr. clearing account
    It will post a debit to  the special G/L account automatically.
    The system makes the offsetting entry to the clearing account.
    2.  Reversal of statistical posting Tcode FB22
    The system posts the guarantee amount to the customer and to the special G/L account as a credit entry in each case.
    The offsetting entry is made to the clearing account.
    I understand that the post dated check can be handled in similar fashion like guarantees.

  • Due invoice paid through post dated cheques

    I have a case where my client wants that if any customer pays him on the due date through a post dated cheque, then till the cheque is ready for presentaion (till the cheque date), the customer balance should be shown as having an overdue to the amount of cheque. Is it possible?

    Hi Jaics,
    Create the Payment as a 'Payment on Account', meaning you received it but you did not match it against any Invoice or other outstanding amount. 
    The Invoice will remain open and still be part of the ageing. When the date comes reconcile the Payment with the Invoice.
    The Cheque will however be part of the total balance of the BP.

I received a post dated cheque from my customer .If i enter this as incomming payment then my customers liability ends.But I want to hold his liability till the cheque cleared.How to treat this in Business One.If i will not post this then how to track of receiving of cheque.

    Actually, the way you are trying to handle the post dated check is not very common and there is no simple solution to do this.
    One thing you have to realise here is you have to credit a GL account and debit another.
    In real world it would be credit Customer and Debit Bank / Clearing Account.
    If you want the customer to not get a credit, then you have to process an incoming payment by using the account option (radio button).
    You will need to create an interim GL which is more like a temp AR.  So create a GL in the Assets drawer. Use this account to process the Incoming Payment by selection this G/L Account.  In the payment means window I believe you will use the Clearing Account.
    When you are ready to credit the Customer, open the Incoming Payments window, select the customer and the invoice/s and in the Payment means window change the GL from Clearing Account to the temp AR account you used earlier.
    The end result
    First transaction
    Debit Clearing Account
    Credit Temp AR
    Second transaction
    Debit Temp AR
    Credit Customer
    The Temp AR account is automatically wiped and through the deposit step the money from the Clearing GL gets moved to your Bank Account

    This is reg the rasing of sale order for out station parties(stockiest)  from C&Fs .Now the the requirement is
    the system should not allow to rasie  sale order if PDC details  (post dated cheque with no date & amount ) from the stockiest are not available.
    Can any one suggest how can i address this in S&D ?

    When the sales order is created, where are these PDC information being stored. Are these fields texts at header/item level or additional data A/B or etc.
    You have two ways.
    1. Once define incompletion procedure to check PDC for that customer is there or not. If No put the order on delivery header block.
    2. Second what ever scenario may be if the order is PDC, then order is created with header block and with special reason for rejection and then some authorized person once has confirmed PDC cheques confirmation from Bank and customer can release orders.

    Your are saying that u r posting for vendors, then how come you are using Account type D it is for customers, u have to use Account Type K. Then that error will not come.

    Received  inputs for the required queries. However, issue is answered.
    1. Promise-to-Pay : Only one comment can be given for Sales Bill, if there are several Post dated Cheques / Issues for Single transaction.
    Soln : In this situation consolidated value and last date of the PDC (Postdated cheque) has to maintain in SAP.
    2. Cancellation of 'Promise-to-Pay' is not possible.
    Soln : You cannot cancel the Promise to pay but you can always withdraw the same if status is open
    3. When & How does the 'Promise-to-Pay' get Broken.
    Soln: If customer fails to pay by promised date system will automatically update as Broken in status column.
    4. Details required for Column Broken & Distribution.
    Soln: Distribution functionality provided by SAP to select multiple Invoices of the Customer and maintain the Promise to pay value Invoice wise rather than doing one by one.

  • Print post-dated cheque

    Hi,
    I added a few post-dated invoices through 'A/P invoice' module for rental payment. For example, an invoice dated Jan 1 2011 was added.
    Then I tried to print the chque for the payment of this invoice. I went to Banking -> Outgoing Payment -> Checks for Payment),and I enter a future posting date (Jan 1 2011), the following error message is displayed: Posting date later than system date, and it is not possible to add this Check.
    The Allow Future Posting Date check box is already checked (Administration -> System Initialization -> Document Settings -> General tab).
    Then I tried another way. I went to Banking -> Outgoing Payment -> Outgoing Payment, chose the vendor I need and enter posting date Jan 1 2011 in the right up corner, and click the checkbox in front of the invoice which will be shown up, and click the cashbag in the top menu bar. the following error message is displayed: No matching records found 'G/L account' (OACT) (ODBC-2028) [message 131-183]

    You can have the solution over this is When you give PDC to your Vendor then you can save such Check Payment as draft whose Due Date or Posting date is Later than system Date. When the cheque gets matured for clearing then you can have an Alert where Cheque equal to System Date and you can punch your entry by making sure that cheque is cleared.
    in order to avoid mistakes you can apply some validations also........
    In order to get the post dated cheque print, you can get it from Payment Draft report in banking reports....

    My clients want to enter post dated cheques into the system and clear the open invoices automatically on the date of the cheques. Is this supported in the system?
    If not then atleast give me a place where they can just key in and store all the post dated cheques for future references without clearing the open items.

    You cannot clear the noted item against the open invoices on the date when PDC become in force. You need to reverse the noted items and manually clear the invoices.
