Post journal entry automatically when a certain account is posted

Dear all,
Thanks for your attention.
I would like to post an Journal entry automatically at the same time (or just after) a certain account is posted.
Certain account means an account ID for Payment Difference of Payment for Invoice.
I would like to reverse payment difference amount and post same amoount with another account ID.
What we need to do is to catch the event of each posting and if find the account ID, post another journal entry by using action "post".
But I have no idea where to catch posting occurs.
Could you tell me if anyone know what I should do for this?

Hi Mai,
If you go to General ledger work center and click on Journal Entries view.
Here you can do advance filter  and find the journal entry type of posting ( Cash Disbursement for instance) and you can make a note of the diff amount that got posted may be due to payment difference/exchange rate diff etc.,
(One way of finding out which is the journal entry id, you can find this id by going to invoicing & in its document flow.)
Now create a manual Journal entry voucher for this diff account and as you want to move this to another account, select it as offsetting.

  • "View Journal Entry" line when "Export"shows 'Account Description' as TEST?

    When use "Line Drill Down" of Journal Entry line from GL & click on "View Journal Entry" button. The Journal line that appear when "Export" shows 'Account Description' as TEST in the excel or csv file. This issue is happening in Production. Is there any setup thats bringing this 'Account Description' as TEST or Oracle is defaulting this 'TEST'? What is the reason for this?

    Please could you go in Administartion > Set Up > Fixed assets > GL
    Account Detemination and check the settings of  'Clearing Acc. Asset
    Acquisition' account, which is used when creating Journal Entry for
    'Acquisition without vendor'.
    Could you check if there is a 'Default VAT Code' assigned to this
    account. In this case could you to clear the Default VAT Code assigned
    to this account and try to do 'Acquisition without vendor' again?
    Also,please try to check below option to see if that could help:
    1)Check asset Class Land
    2)Check GL accounts settings
    3)Check the checkbox "Permit Other VAT Group"

  • FSCM 9.0: COBOL Process GLPPPOST does not post Journal Entry correctly

    Folks,
    Hello. I am workin on FSCM 9.0 General Ledger module. "Edit Journal" is AE program that works correctly. But "Post Journal" is a COBOL program that does not works correctly.
    COBOL process GLPPPOST posts only debit accounts of a Journal entry into table PS_LEDGER but does not post credit accounts of a Journal Entry into table PS_LEDGER. When run the Ledger Report, the report has only column headers and has no data.
    Does FSCM 9.0 have a problem or COBOL process does not work correctly ? Can any folks help me ? Thanks.

    Hello. Thanks a lot for replying.
    I linked my Ledger Group RECORDING with my Business Unit BU01 using "Set Up Financials/Supply Chain > Business Unit Related > Ledgers For A Unit". Then linked UserID VP1 with BU01 in User Preference. I have checked all information about the 3 concepts (VP1, BU01 and RECORDING) and don't see anything wrong.
    I suspect the problem is in the Journal Line page because its Chartfileds belong to 2 SetID (SHARE and FEDRL) and 2 Business Unit (BU01 and BU02).
    When define Chartfields value using "Setup FSC > Common Definition > Design Chartfield > Define Value", I see Chartfields "Fund", "Class" and "Program" with SetID "FEDRL", and other Chartfields with SetID "SHARE". The 2 SetIDs are default in the system.
    Because one Business Unit (BU01) can link to only one SetID (SHARE), I create one more Business Unit BU02 and linked with SetID "FEDRL". Thus, when create a Journal entry using "General Ledger > Journal > Create Journal ", we type in Business Unit (BU01) and Ledger Group (RECORDING) in Header page, but in Line page, some of Chartfields link with SetID SHARE and BU01, and some of Chartfields link with SetID FEDRL and BU02. The journal entry indicates "Inter/Intra Unit Journal". When select "Edit Journal" and click "Process", the message comes up as follows:
    "Ledger Group RECORDING is not valid for Business Unit BU01. Ledger Group defined for this journal is not valid for the Business Unit BU01".
    My question is: That the Chartfields in Journal Line page link with 2 SetIDs and 2 Business Units causes the above error ? Can any folks help ? Thanks.

  • Add Customer Field while posting Journal Entry

    BSEG-KUNNR is not exposed while posting journal entry using FB01. It is not available in the field status group also. How to add customer number field in the field status group to make it available during posting journal entry using FB01.

    1, There is a known issue in a lower version before  2005A SP01 PL30when you try to run a retirement operation for a fixed asset with Net Price equal to the Net Book Value, it failed and you got the following error message:
    21141 error while posting journalentry: -5012 /Unbalanced Transaction.
    If you are in this scenario, please upgrade your Fixed Assest to the latest patch.
    2. If you are not in above scenario, this problem is possibly caused by the incorrect configuration of accounts in G/L
    Account Determination.
    There should not be 'Default VAT Group' related to these accounts except for account 'Default Revenue Acc. Retirement' in G/L Account Determination.
    1) Go to Administration - Setup - Fixed Assets - Open G/L Account Determination;
    2) Select an Account Determination Group;
    3) Under the G/L Account Determination window, open the account linked to 'Balance Sheet of Asset Acc.' by clicking on the yellow arrow;
    3) The Chart of Accounts window will open, click on the'Account Details' button beneath the window to open G/L Account Details;
    4) Empty the field 'Default VAT Code';
    5) Execute the Retirement functionality again.

  • PARK & POST  Journal Entry and auto reversal

    Dear All,
    Our auditors has offered the following changes to be implemented in SAP system.
    1. JE approval: Configure the system functionality to place journal entries in a u201Choldu201D status when entered into the system, then the supervisor/manager review and approval then required to release the journal entry from the u201Choldu201D status and post the entry to the general ledger. The reviewer should not have the ability to initiate a journal entry.
    2. JE reversals:  Utilize the functionality to automatically reverse journal entries, booked in prior month as u201Creversing,u201D when new period is opened.
    3. 3-way match: Utilize the SAP functionality to perform an automated 3-way match process between invoice, purchase order, and goods receiving documentation. If invoices meet the 3-way match criteria based on established variance thresholds, invoices should automatically be approved for payment. If variances are noted, which exceed tolerance thresholds set by Management within the system, work flows should be used within the system to automatically route the invoice for the require approval.
    How this changes can incorporated in the system.

    For point 1, there is a functionality in SAP where all parked documents will be blocked and then released by the authorized person. There is a standard workflow for that. You may want to check Make and CHeck Settings for Document Parking. If this doesn't satisfy, then there's a need to create a customized workflow. Plus authorizations must be checked so that the users will not be able to Post but only Park. Note that, there is another functionality in Document posting called "Hold" this one, system doesn't assign any financial document. You can assign any reference/number to the document.
    For point 2, there is a Mass Reversal functionality in SAP called the F.80. For accruals, you may use FBS1 which you can input the reversal date and run F.81 to run the reversal.
    For point 3, it is a standard SAP functionality. You must set tolerance as to qty or price variance and the system automatically blocks the invoice for posting and the authorized person is required to release the approved invoices to remove the block for payment. In SAP, when you enter the PO for a particular invoice, it will give you how much or how many is actually goods received for that particular PO. in that sense you will be able to see whether the invoice is completely billed for the whole PO or not.

  • Posting Journal Entry in v4.2SP4: Strange Issue. Anyone?

    Behaviour:
    The post button doesn't work. You can click it but it does nothing
    When opening the journal manager and selecting the journal id and then posting, it says: "You cannot post/unpost until finishing journal post"
    After this, you cannot post any journal entry on any application.
    (multiserver environment)
    Has anyone had this behaviour?

  • Not able to post Journal Entry in Hyperion

    We try to post an entry in Journal Task, but not save or post, and also receive "voilated integrity constraints on column table"... Any idea?

    Is the issue happening on a database that was created using the copyapp utility? If so, check out the artcile below in the Metalink KB (which essentially states to patch the software and/or try a newer version of the copyapp utility).

    I have a scenario to share with you all.
    This is regarding journal entry postings during close periods. The Business Units will submit the data, check for errors and make adjustments. They continue to do these steps during the close process. However, the corporate want to prevent the Business Units from posting the journal entries. But the business units can mke a journal and save the journal entries.
    After few days corporate will let them post the journal entries they saved the system.
    Is BPC work status is the best way to control this process? Can anyone say what specific steps (beyond the work status set up in BPC) to be included in the system to achieve this?

    Hi Rosa,
    Create a work state, say Locked. In that work state, mention locked for all the interfaces, including JRN. Now, once the period is closed, then the assigned person will change the work status to Locked for this particular period.

  • Error while posting journal entry: -5012/unbalanced transaction

    Hi everyone,
    I got this error message when trying to add a FA Retirement.  FA is dated 26.May.08, depreciated for the month of May 2008 and would like to be retired on 01.June.08 (sale with customer).
    FA G/L Account Determination is completely defined.

    I have to update one field(Header- User defined) in journal entry using DI API for each and every transaction. I know how to update journal entries using DI API but my issue is under which event i will write my update code when system post Journal entries automatically
    or
    How I will update journal entry which is posted by system using DI API.
    I dont want to write update query in Transaction notification Procedure also.

    Hello Firoz,
    The problem:
    Documents using integration booking (JE-s) are notified by SP_TRANSACTIONNOTIFICATION,  but JE.-s are not recorded there. So you cannot monitor the creation of JE-s.
    But, some logic you can find the JE-s booked by Integration
    You monitor the et_form_data_Add  event on all forms,
    -  if you are before action, record the journal entry autokey from ONNM (object type 30)
    -  and when this event executed, you can compare the autokey of journal entries in ONNM table as you have recorded. If the number is difference, you have a background posting happened, so you can call your DI API update procedure.
    What i would do in this situation (running logic of the addon)
    1. Create an SQL table for storing the updated JE keys
    2. Check the OJDT table by time to time (ET_FORM_DATA_ADD event is a good)
    3. Update JE headers and record the updated keys in the SQL table created in point 1.
    By this method you can populate your field. This solution is also good when an addon is not running on each client.

  • Parked journal entry when approve and post it - posts to other accounts...

    Help!!!!
    We have a parked Journal Entry! When we open it to approve and post - sometime it changes the G/L account and makes an entry to some other account.
    How can that be?
    It happened couple times!

    The user must have changed erronously.
    Otherwise, if we are posting to the same account, the parking document should not be changed.
    When there are no substituions in the system, I do not think any other possibility to happen this.
    You can ask the user again to park to the same account and try to post again to double check whether it is being posted to other account or not. If it is really posting to different account, then there is an issue to be looked into.

  • GL Journal Entry & post - control by GL accounts?

    There are many users assigned with GL Journal Entry & Post responsibility. Some of them are budgeting staff and some of them are comptrollers.
    Questions:
    1. Is it possible to restrict a user to enter/post journal entries to only a group of GL accounts?
    2. Is a finance comptroller supposed to enter and post journal entries?

  • R12 AP create account process success while no journal entries produced

    Hi,
    Enviroment:12.0.4
    in AP, the invoice validate and create account all done successfully. while to query journal entries, there isn't any produced journal entries.
    During the create account process, there is no error message, therefore i cann't find what is the problem.
    can anyone give me a guide to how to find the problem is?or what the problem is ?

    just to give a background of this process in R12
    As we know there are two methods to create Payables Accounting in R12,
    1.Online Accounting method
    The Online Accounting method can be called from either the Invoice or Payment workbench and has the following modes:
    Draft - The accounting is only created in the XLA Subledger tables and is not transferred to the General Ledger. Draft accounting can be recreated based on changes to the transaction data or accounting rules.
    Final - The accounting is created in the XLA Subledger tables and is not transferred to the General Ledger. Accounting created in final mode can not be recreated/altered. Run the Transfer Journal Entries to GL program to transfer these entries from the XLA subledger tables to the General Ledger tables.
    Final Post - The accounting is created in the XLA Subledger tables and is also transferred and posted to the General Ledger tables.
    2)Create Accounting process.
    The Create Accounting process has similar options, you can create accounting in Final or Draft mode and if Final mode is selected, the Transfer to GL parameter can be used to automatically transfer the accounting created by the corresponding run. When the Create Accounting process transfers the journal entries to GL it only transfers the accounting created by the process that calls it. If there is accounting created by the online option = Final or a previous Create Accounting program that was not transferred, that accounting will not be transferred. The Transfer Journal Entries to GL program needs to be ran separately to transfer any accounting created online or created by a previous Create Accounting process that did not transfer the entries.
    Based on the above cases, the following are possible causes of journal entries not transferred in R12:
    1. The accounting is created in Draft mode and can not be transferred.
    2. The accounting is created in error and can not be transferred.
    3. The accounting was created by Online Accounting with Final Mode.
    4. The accounting was created by the Create Accounting process with Transfer to General Ledger = No
    Hope this makes a clear understanding and you know the root cause.
