Projects vs. Folders

I am brand new to Aperture. I have imported my iPhoto library over (keeping the files in their original location) and am confused about the best way to organize my new photos coming off my camera to the Aperture library.
I don't really understand the difference between a project and a folder. Is one a "higher" order than another? What should I use when bringing in photos? Any tutorials on this available that anyone knows of?
Thanks.

I'll add that the Inside Aperture podcast, which you can find on iTunes, is a very good resource. I mention it here specifically because on a recent episode Joe Schorr, the product manager for Aperture, gave a really detailed and helpful description of the differences and applications of projects, yellow vs blue folders, and albums. I've been using Aperture since 1.0 and I learned something.

  • Changing the display name of project file folders for TOC

I'm interested in changing the display names of the project file folders for my TOC. For example, I want to name the folder "01-intro" so that it is short and lowercase. But I'd like the TOC to say "Introduction to the System." I know I can manually rename the folder in the TOC either through its properties or by right-clicking => Rename, but I auto-create the TOC occasionally and I don't want to have to rename every folder every single time.
Does anyone know if there is a way to set a persistent property for the folder so that its display name in the TOC is different? I am using RoboHelp 9. I saw an option called "Detail" in the properties of the WebHelp layout in RoboHelp 8 that seems like it may have done that, but I no longer see this property in RoboHelp 9.
Any assistance would be much appreciated. Thank you.

I think the lack of response confirms that if you are going to use Auto Create, you have to accept the way it is.

I am running aperture 2.1.4 and am considering purchasing the latest version. will my photos, projects, and folders etc. transfer over automatically ?

will my photos, projects, and folders etc. transfer over automatically ?
    Nearly automatically.
This will be a major upgrade, and Aperture will have to upgrade your library.
As a precaution, make sure you have a working backup of your library, and I'd keep a copy of the Aperture 2.1.4 Application installer as well.
Also it is recommended to repair the permissions and to rebuild the library, to make sure that  the library has no corruptions before you upgrade.
Rename the Aperture Library to a name different from the default name before you upgrade.
Launch the new Aperture version by double clicking your Aperture library. Aperture will prompt you, that it is necessary to upgrade the library; let it run, this may take a while. And yes, you should find all your photos, projects, folders, etc. after the upgrade just as you imported and organized them.

  • Security in ODI-specific access to projects and folders

Is there anyway to give project or folder-specific access within ODI?
Some users want to be able to run jobs-but I dont want them to see other projects within ODI.
    Thanks.

I have managed to create a 'connect without context' profile for non-generic versions, and it works great for projects and folders.
Now, how do I do the same for models and datastores?I want users to be able to access, view, and query data only in specific model/datastores. I have tried assigning specific view rights etc to the specific tables-but everytime the user tries to 'view data' or 'data', he gets an error:
    cannot display table's data (java.lang.nullpointerexception)
If I use generic privileges with the existing profiles, everything works great. But we want to make access more specific for each user.

  • Notes: Projects - Albums - Folders

Is there a notes taking or description feature that allows descriptive notes to be attached to individual Projects, Albums or Folders?
With a large number of Projects, and in working with multiple drives, I indicate data I want to retain by very briefly stated changes in the Project/Album/Folder name, but this is really a compromise as it doesn't allow much clarity of info.
A great feature would be the ability to open the space for a few lines of text on a filename in order to be a future reference for info like content details, where used, date of sales, where transferred, etc.
If not a feature of Aperture 3, there a means for linking elsewhere to capture notes? At worst, I could start a file for notes where the reference would be the Aperture filename, but a link inside Aperture or even to an outside file would be very convenient tool.
How do others record relevant data for future reference on Aperture Projects/Albums/Folders?

    Kirby, this is very helpful.
    Glad to help.
I was not previously aware of the Projects Info tab, so this is a great first step. I just upgraded to A3, may have been there in A2 but I didn't discover it.
According to the Apple "What's new" page, this is, indeed, new to Ap3. I never used a previous version.
As you suggested, I've created my own "status codes" so as to be standardized in checking off what I've done with individual projects.
Next recommendation (picked up from a helpful forum member): right-click in one of the text fields and select "Substitutions→Text Replacement". (I think you'll have to activate this with each launch of Aperture.) Then go to "System Preferences→Language & Text→Text" and add keyboard shortcuts for each of your status codes. This might seem cumbersome, but 1. it allows you to use longer status codes, and more importantly, 2. it ensures that there are no typos in your status codes.
What I've ended up with (still subject to change) is a long initial string coded as a series of "Not!Status" identifiers, where "Status" is each of the status parameters I track. This way it is easy to search either the Projects view or the Library tab for Projects which are not yet at a certain status. Then when the Project has reached a status, I simply double-click the "Not" and replace it with a space (which then lets me search for those Projects which have the selected status).
Project text searching is rudimentary. There are no operations allowed. The search is literal. Space characters are included.
I added a custom data field, "Comments" to the Metadata General section, it appears at the bottomof the fields group. I would like to rearrange this to be up near the top. A3 Help states that you can rearrange fields, but, I couldn't find any specifics on rearranging fields.
Easy. When you hover the mouse cursor over a field name on the Metadata tab of the Inspector, the name should show in reverse video. Click and drag the field name and put it where you want. (I smiled when I discovered this.)
For my Metadata Comments, I'm making up standardized tags for consistent status on certain actions, similar to the Projects Comments.
I use the built-in color labels to mark where along a standard progression of image development each Version is. The color labels are queer in that they are an "only one of" set of eight markers. Almost every other use of them I tried ended up failing because there were images I needed to mark with more than one color at the same time. I suggest using them for something image-specific and important to track -- tagging versions with colors is much more readily available than adding/changing status codes in a custom metadata field.
So this is very helpful for creating a track record of Projects process and Image processes for future reference. Thanks,
Let us know how you work this out.

Launch Elements 11 Organizer. On the top left, you will find a big Import button. Click on it, and choose last option (From iPhoto).

  • Project/Folder -Folders/Collections sets

In Aperture I have Projects called Avocets, Godwits etc, all in a Folder called Water Birds.
In LR would the Avocets category be classed as a Folder or Sub Folder and the Water Birds as a Collection Set?

It could any of those, or keywords and sub-keywords.
If your organization is as simple as you describe ... a single hierarchy of bird species, then I really don't think it matters. If they come over from Aperture as folders and subfolders (I don't really know if that's what happens when you transfer from Aperture), I would leave them as folders and subfolders.
If your organization is somewhat more complicated than what you described, then I would use keywords.
In LR would the Avocets category be classed as a Folder or Sub Folder and the Water Birds as a Collection Set?
It seems like you are confusing folders with collections, these are unrelated to one another and you cannot have a hierarchy of folders or subfolders inside a collection set.

  • Projects to folders

The long motivated version (skip if you don't care):
In iphoto Events is roughly equivalent of Projects in Aperture, so when importing my iPhoto library, each event creates project in aperture.
What I missed in iphoto was the ability to organize events. Luckily Aperture lets me do that by making folders in a project.
In making the switch, I want to group many of my old events into projects (e.g. "Highschool" containing all my highschool-related events placed in folders. The problem then is, that if I select some projects and choose to merge them, the structure will be completely lost.
    The conclusion:
So what I think I'm looking for is a way to convert projects to simple folders, that I can then drag into projects. How would I do that?

I have a lot of events imported from iPhoto and I'am seeking for an easy way to group them in different folders. As the event's names are not always meaningfull I would found easier to move them in Events view (displayed by folder) but that is not possible. Nor in the main pane, nor between panes. Thats very frustrating.
I'm not clear what you mean, but this tip might help:
In Projects view with the Inspector showing the Library tab, select (Command+click) the Projects you want to move. Double-click one of the selected Projects. You are switched to Browser view with all of the photos in all of the selected Projects displayed, +and those Projects are now selected in the Library tab of the Inspector+. You can now click and drag the selected Projects and drop them wherever you want. (You might even be able to create a new Folder and put the selected Projects into it -- I don't remember testing that.) In essence you are selecting Projects using the Projects view, and moving Projects using the Library tab of the Inspector.

  • Moving projects/evens folders

Hello. Trying to move the folders for iMovie projects/events to an external firewire drive. Anyone know how I can do that? Tried simply dragging and dropping them but iMovie creates another projects folder in my Movies folder. Any ideas? Thanks.

... I hope that iMovie 7.2 has the feature built in, as it's such an obvious requirement...
doubt that, 'cause maybe 'obvious', but for sure.. 'dangerous' ...
the Project Files aren't that large, the Event Folders contain all the raw-data.. and iM08 supports ext. storage for those ..
Project Files are more.. hm.. 'sensitive' data.. so, all automatisms (of forthcoming OS's...) for backing up such important files will first look into the local and 'main' Folders... to spread all kind of data on all kind of drives is 'nice' on PCs (C:, D:, E:, F:, ...), but a 'main' and solid database (=drive), plus just a single-click-backup is a more... convenient way...
don't forget: iM is part of iLife.. it's no single-app.. it 'talks' to others... in the background of those apps there's some marvel going on to make all files, all datas, all formats as easy as accessible as it is in iLife..

I've looked through the menus and cant see anything to 'cut' and 'paste'
    Am I missing something?

i mentioned youtube, since i have found fcpx to be unresponsive at times when it's doing loads of work
i assumed this may be the problem when i've tried to drag the project into the sub folder
just tried now. this isnt the case. it's still unresponsive
when i drag the project up or down, nothing happens
i managed to get the folders to start moving when i dragged up - not sure what i did

  • Project window, folders off project root

Starting to move to LabVIEW 8.0  First off the project explorer windows exhibits some odd behaviour.
First, I can create a folder off of the project root, but can not add anything to it.  Under My computer (which I assume is a target) yes, but not off of the project root.  Documentation is very sparse here.
Second, I do not get an option to add a new target to the project.  Not sure what is going on here.  The only option I get when I right click and select new is 'folder'
Third, and apart from the project window, when I go to options and select security, I get a broken VI error after it has to go hunting for missing VIs.  I am missing entire sub-directories that should have been installed.  Is this a bum installation from the upgrade site?  Anyone know?  My disks still have not shown up for the upgrade, but I am off in new directions and thought this would be a good time to upgrade.
    Thanks,

    Hello,
    1. Yes, I have confirmed that indeed you can add a folder under the project root, but you cannot add anything to it (except for another folder).  If you attempt to add a target, it will be added at the targets level, not within the folder.  However, if you add a device, such as a fieldpoint device, it will be placed in the folder.
    2.  I have attached a screenshot of a right-click on a project root - I do have the option to add "Targets and Devices..."  Perhaps a reinstall is in order if indeed you see something different, at least as a first attempt at reconciliation.
    3. If your Tools -> Options... -> Security selection fails, then something is surely wrong.  I  have not heard anything about the installation at the upgrade site, but I will inquire about this immediately.  In the mean time, if you can manage a reinstall (if only just for sanity) and repost results, I would very much appreciate it!
Thank you, and I look forward to hearing back from you!

  • Synchronise Projects and Folders?

In Lightroom I mirror my hard disc folder structure in the Lightroom catalogue, and can synchronise the catalogue if I have made changes to the basic hard disc folder structure and contents - the Synchronise command! Is there a way to use Aperture like this? To me, far more natural than creating Projects which can be entirely de-referenced from what's on your discs.
I have found this question raised once in here but not answered.

    rwboyer wrote:
Given that this obsession and request comes up so many times in this forum I would really love to understand why this is somehow valuable to those that desire to achieve this inside Aperture. I also would love to understand the aversion to a managed library (or partially managed) from most of the individuals that want to mirror an on-disk organization.
I am not a professional but have over the last ten years or so come to a reasonable collection of pictures that probably don't do much except for documenting my life....perceived value is hence very high.
This collection got started many computers ago (Windows 1998) in a 'my pictures' folder and grew across different OS and more several imaging software apps. And while many of those allowed for organizing pictures, I was always glad when moving to a new platform that I had them simply organized in a folder structure on my hard drive, usually '<event> <location> <mm-yy>'.
So the fear is still here that Aperture may not be what I'll be using ten years from now and I am both worried about losing an easy way to move masters and version into a new software as I am about losing any form of organization.
So you see, the obsession in my case is less about having an organization mirrored in Aperture, it's more that I like to be able to mirror the Aperture structure back onto a harddrive where it can be easily browsed from any OS (whether that OS will then support the many raw formats I'm using these days is another concern of course but unless Apple & Adobe agree on only 'one right way' to implement DNG I see no alternatives).
On a sidenote - thanks a lot for your support in this forum and the guide you've linked to above. It all has helped a great deal in my dealings with Aperture.

  • Folders and topics are inexplicably deleted from my RoboHelp 9 project

A month ago, my company purchased the latest Adobe Technical Communication Suite and I started a new RoboHelp 9 project. To help keep track of my many topics, I created several folders and a few sub-folders in the HTML Files (Topics) folder within the Project Manager pod. The organization of these folders and topics mirrors my TOC. Once I nailed down the basic structure of my help system, I started using the TOC as my “hub” for working on the various topics – meaning that I open a particular topic by double-clicking it in the TOC.
Then something went awry early this week.
Sometimes when I open my project, the folders and sub-folders along with their many topics are missing from the Project Manager pod. The TOC also reflects these missing files with those dreaded red-X topic icons. And in Windows Explorer, no trace of the folders, sub-folders, and topics can be found
On a couple of occasions, I opened my project and most – but not all – of the folders and their accompanying topics were deleted from the Project Manager pod. The only topics that consistently “survive” are the ones that aren’t nested within a folder or sub-folder in the Project Manager’s HTML Files (Topics) folder.
I’ve been able to make some progress on my help system by periodically saving the entire project folder, and then using the latest backup as my starting point whenever this problem occurs. But ultimately I end up losing a fair amount of work.
I rooted around this forum for help and insight. I saw several suggestions concerning a similar problem with RH 8 where the solution was to delete the .xpj and .cpd files and then open the .hhp file. Unfortunately, this fix didn’t work for me.
I’m now working in a state of high anxiety, wondering whether my topic files will exist the next time I open my project. Any help with this problem would be greatly appreciated.
         -Kevin

Yes what Jeff is suggesting is trying a shorter path. Just copy the project from where it is to C:\MyProject and see if that fixes the problem.
As to deleting the CPD every time, some do, some don't. It used to lose some information but things were changed and now it is OK to delete it every time. Do not delete the XPJ file though, that will mess up your project. See Opening Projects on my site.
