Purchase order in 'Archived' status
Hi All,
We are using SRM5.0 ECS.
After SC is created for 'Free text' requirement, PO is created. When looking at the Purchase order in 'Process Purchase orders',it is giving the message as 'Error while reading the PO in backend system, Inform system administration'. When looked into Item details it is showing the status of PO as 'Archived'.
This is happening only for random Purchase orders. Please let me know what could be the issue.

Hello,
Run FM META_PO_GETDETAIL in SRM, specifying the ECC system ID and PO number which has been created there.
Check if there is any authorization message.
I have seen a similar issue which was related to authorization of RFC user, who was not able to check PO details in backend.

Found a few on metalink however they were for different error. (Buyer inactive and No ship to)

How to query purchase orders in archive system
Our purchase orders are archived. Now I want to query the purchase orders. I use transaction code alo1, but no data. How can I query purchase orders via other ways? Thanks.
1.You can use ME82 to query the Purchase Orders.
2.sara-->Archiving Object : MM_EKKO-->Information System-->Archive Explorer-->Archive Infostructure:SAP_DRB_MM_EKKO -->and click execute-->input your query condition-->click execute. -
Purchase Order created in status expired
Hi,
we use SRM 7.0. After orderering a shopping cart and successful SC approval the purchase order is immediately displayed in status "expired". The PO can not be changed; there is no approval data. Event trace SWEL shows no entry /SAPSRM/CL_WF_PDO_PO READY_FOR_WORKFLOW.
Do you have any ideas on this behaviour?

I do not think PO has a staus "Expired".
There might be some development done in your organization.
My guess is delivery date might have been expired and your project team might have developed to show that as "expired" (my wild guess...)

We are using extended classic scenario - PO created both in SRM and backend ECC. We configured one level approval for shooping cart. Shopping cart is getting created and approved by the next level approver. However after the shopping cart is approved, PO is created in SRM with held status and backend ECC PO is not created at all. We checked workflow settings and other configs etc. - everything looks great. Can someone throw some light on this issue ?

What is your source of supply ? how did you assign a vendor to the shopping card for creating purchase order?
can you tell me in bbp_pd what is the partner function existing .i think you may not have partner function 19. you may have 39 only.
are you using any BADI to change the partner function?
waht is the value of po existing in currency and item price and total value of PO?
can you create po for other sc ? are you facing this problem for only this po?
check any lock in sm12 t code/ sm58 any logs.
is anybody is holding the PO check via SM04 .

for eg.cost center which you refered is inactive in the backend.

Purchase Order created with status "Held"
Hi Experts,
I need your help. When SC with free text item is approved the purchase order is created in status "Held". It were previosuly created with state "Ordered" .
How I can solve this it?

The PO is not transfered to R3.
Debugging the FM BBP_PD_PO_CREATE I have obtained the next error:
"Error has ocurred in princing"
MSG ID: BBP_PD
MSG NO: 353

Purchase order with HELD status
Hi,
After approval of shopping cart all my purchase order are created with held status.
When controlling the purchase order i have the error message "Select a location to which a plant has been assigned"
Could anyone please give some explanation.

Hope it would not allow to order a cart since you don thave a plant details?
check it up. If Po created check why plant details are not copied into your PO.

There are some OSS notes available for this issue based on the Service Pack.
Please let us know which service pack you are on to help you further and suggest the correct OSS note.
Neverthless look out for your custom code whcih you had written if you are using N-Step approval BADI BBP_WFL_APPROV_BADI for triggering / approving the work flow.
In case the issue is urgent you can use Manual (forced)approval using SWO1 txn.
Enter BUS2201 as object type and click on Test button and then click on Instance button and provide the GUID of the P.O (Use BBP_PD to get GUID of P.O) and then under Methods execute Set Released.
The P.O gets approved after the execution of set released.
Hope this will help you in resolving your issue. Clarifications are welcome.

Purchase Order with "Error in Process" status????
We are currently using SRM 4.0 in an extended classis setup. We have been live for appropriately 1 yr and half and I have noticed more and more Purchase Orders going into status "Error in Process" when a change (increase value, add line items, change name) has been performed on the PO and then the PO is approved. The PO will sometimes show up in the SRM Administration Tab occassionaly but more than less they don't and we have to search for failed PO to find all the "error in Process" PO's. I have had success with having the user just change something in the name of the PO and then re-order and the PO will then go into R3 but I was wondering is there something in the system other than having the user change the PO that I can do to push the PO into R3. When we have similar issues with confirmation I run tcode SWO1 and use the GUID ID and click transfer to push it to the backend. Is there anything I can do in the backend that will send the PO into R3 and update the status to Ordered giving there is no apparent error in the system?

We've been facing a similar issue (we are also in SRM 4.0 Extended Classic Scenario): Sometimes, when the user modifies a purchase order from SRM (for example, to add some new items), the purchase order replication to the backend failed.
In the Application monitor, we had the following backend error:
"Insert Cost Center for Item X"
but the Cost Center value was correct (other items from the same purchase order had the same account assignment).
We thought the problem was related to the function module in the backend which was changing the purchase order, so we put a SAP OSS Note.
In this OSS note, SAP recommended us to implement note 1005615, and the problem was solved.
Check if this note could be implemented in your backend.

Archiving Purchase Orders.
Hi Friends,
I am trying to Archive Purchase order using archiving object mm_ekko.
I get the following errors.
1. Could not delete some subitems
2. Delivery costs have not been balanced
3. GR qty is smaller than ordered qty minus underdelivery tolerance
4. GR qty not the same as delivered quantity
5. GR qty not the same as GI qty
6. Invoiced quantity is smaller than ordered quantity
7. Item is blocked
8. Posting date of delivery costs within retention period
I just want to ingnore / correct them and move ahead.
Any solutions ??

If you think to implement same solution in production system then problems are,
1. Payment - Payment posting to vendor will happen and updated to FI accounting documents aganist to that vendor
2. You may land up with audit related issues.
If this seems to be ok with your client then you can proceed with that.
Otherwise you can think of the option of setting deletion flag for the line item and archive it. Once you do this nothing will be changed apart from deletion flag settings for this line item.

Regarding Error Message for the purchase order
Hello SRM Experts,
The Status of the purchase order is Archived and PO is not transferred to the backened system. I ran the transaction bbp_pd_po_transfer_exec in P36 and check the error message in T-Code RZ20, i get the following error in RZ20 for the PO as:
1. Error reading the export data for EXEC of purchase order
2. and in P36 system, when i press F5, popup message appears - Error while reading PO in backened system. Inform System administrator.
I want to know, why this problem appears and how to resolve this issue ?

I also checked with the backened team, everything seems to be fine there.
The thing is that PO is not transferred to the backened system since 13.02.2008 to till date and it stuck up in the EB system.
Kindly let me know, why this problem occurs and what should i do to resolve the issue.

BBP_PDIGP-GROSS_PRICE zero in SRM purchase order
Hello All,
We are using extended classic scenarion SRM 5.0 (Server 5.5) with backend ECC 6.0
When creating a shopping cart for product (NOT direct material) on account assignment F = Order with a quantity smaller 1 the SRM purchase order hasn't got a gross price and net value in the item basic tab but has got the correct prices in the 'Prices' tab.
As there is no price in the basic tab (BBP_PDIGP-GROSS_PRICE = 0) the generated SRM purchase order is in status 'Held'.
This happens only if the quantity is less than 1. The SC has got a price maintained (from info record).
Any ideas out there?

To release the PO the user has to uncheck the Invoice expected indicator in the Follow on documents tab for the item with zero price. Also they should uncheck the GR indicator or they could input a confirmation for the zero priced item and this can lead to further complications.
