Regarding credit memo and debit memo in AR and AP

HI All,
Can any one explan the concepts of the debit memo and credit memo in AR and AP with example.
So that i can understand the exact logic when it's in payble or receivables

In AP
Suppose we [Company] have ordered for 100 items.
Suppier bring only 90 items but the PO is of 100 items and supplier said he can't give more items.
So what we can do we can ask the suppier to raise a credit Memo in case the supplier is not ready for this then we can raise a Debit Memo againt the supplier.
because we have to match invoice with PO [Match Options]
In AR it is just opposite.

    Hi,
    When the Customer returns materials if those materials are taken in to the stock without using SD Customer Retruns fucntion the stock will be posted directly into "Retruns Blocked Stock". ( Reason is Quality people to check and certify the usability.)
    If no quality check is their we can transfer post it unrestricted stock by using Movement type 453
    The Customer returns are received by diff Mvt tyep( ex:451),
    If the receiced goods are in blocked stock..
    then you have to use Mvt 453 to Transfer from blocked to Un-restricted...
    Remember 453 is Transfer not receiving..

  • Regarding credit Memo

    HI All ,
    Am facing a problem , when I refere to an invoice and I create the credit memo then at item level -item details  - price data tab it marks automatically as a return.  However, if I create a credit memo without referencing the invoice then it is not marked as a return, but as Outbound Message Processing.
    Could any one help me in knowing , that from where this is getting copied , or there are any other settings which am missing at,  please explain..

    In your organisation, I think there must be Release Procedure is followed.
    So, if you want to create a Credit memo, then first create a "Credit memo request" using "order type RK" and create with reference to either "Invoice" or w.r.t "Sales order".
    Save the "Credit memo request".
    Go to change mode VA02 of the document (Cr memo request)and remove the "Billing block" by choosing the blank space from the drop down in the overview screen and save it.
    Now, create the "Credit memo" with reference to the "Credit memo request" and there will be no problem.
    Why this
    Either an organisation is following Release procedure or not following.
    If the organisation is following Release procedure then Credit memo is always created with ref to the Credit memo request.
    If the organisation is not following Release procedure then Credit memo is created directly with ref to the Billing docuemnt(Invoice).
    Return order  is also created either w.r.t to Sales order or Billing document(without ref also can be done).
    Possibly, in your organisation Release procedure is followed, that is why system is taking Return by default beacuse Credit memo can not be created directly from the Invoice now as Release procedure is followed.

    I'm working on ap module, credit memo conversion. In the base table AP_INVOICE_DISTRIBUTION_ALL there is a column PARENT_INVOICE_ID in which you will get the parent invoice id on which you are raising a credit memo. so i was trying to find out the corresponding column in the interface table AP_INVOICE_LINES_INTERFACE so that i can map the staging table data to the interface table. but i'm not getting any information regarding this. so please help me to get the required information regarding credit memo conversion,staging table columns and to which column i can map the parent_invoice_id column data in the flat file to the interface table

    Void the incoming payment related to the Down-payment Invoice and then re-entering it as a payment on account. This will free-up the Down-payment invoice to read in to an AR Credit.

    Hi,
    Hope so you know all the setting regarding credit memo customizing.
    Otherwise use the standard one.
    Regarding authorization go to PFCG and create a new role.
    In that you can maintain the authorization regarding the minimum credit limit.
    Please check out this setting.
    And update me also if I was wrong.

    Hello,
    Please remember a basic concept regarding CREDIT MEMO. When you create a credit memo, you can refer to an invoice or a credit memo request. You can either refer to all items, or select only certain items or a certain quantity.
    When you create a credit memo, you must specify the date on which services are rendered. This is because credit memos can refer to previous business transactions, and the taxes in the credit memos must be determined according to the tax situation at the time the services were rendered.
    Hope this clarification helps you to understand and clearing your doubt on CREDIT MEMO.

  • Change condition value in debit memo and credit memo

    Hi Experts,
    When I am trying to create Credit Memo/Debit memo I could able to change the condition value for which condition type the value is there in Sales Order, but where as for other condition types it is not changeable.
    For example for Freight the Condition type is ZFRE,  value is 100 rs in sales order 90000001.
    If I create credit memo with reference to sales order I can able to change freight value from rs100 to rs 75.
    But what to do If I do not maintain freight value initially in sales order and if I want to adjust freight value ZFRE as rs 60 in credit memo. Presently I could not able to enter values in C/D Memo.

    If I understand correctly,  then you want to include the freight amount automatically in the Credit memo which was not featuring in the Credit memo request.
    If it is so, then first see which is Pricing procedure working  for your Credit memo Request.
    In the Pricing Procedure, check the freight condition type (e,g. KF00).
    See the what is Acees sequence assigned to it and in the Access sequence what are table assigned.
    In  condition type KF00,  Access sequence assigned is KF00 and two condition tables "Incoterm" and "Incoterm Part1 + Part2" are assigned to it.
    In the Access sequnce of your Freight condition type , add another/new condition table "350" (Sales organisation). This table is already available in standard system.
    Select the new condition table row, and click on the "Field" in the dialog box till the technical names are opened up / shown inspite of warning.
    Once the technical names of the fields are shown , you can see the green light there, then save it.
    Now, create a condition record (VK11) for your Freight condition (e,g. KF00) by choosing the "Sales organisation" level  from the key combination.
    Then go to the Copy control (VTFA), find the combination "G2 from CR "> go to Item level > select item category G2N and go to details.
    Here, you change the "Pricing type" value to " H " and save it.
    Now, when you will create a Credit memo with reference to the Credit memo request, the  new Freight condition (KF00) will come into effect in the Credit memo, even if ,it was not there in the reference document.

    Debit note and Credit note?  What is the purpose?  How we create?
    1. A transaction that reduces Amounts Receivable from a customer is a credit memo. For eg. The customer could return damaged goods.  A debit memo is a transaction that reduces Amounts Payable  to a vendor because, you send damaged goods back to your vendor.
    2. Credit memo request is a sales document used in complaints processing to request a credit memo for a customer. If the price calculated for the customer is too high, for example, because the wrong scale prices were used or a discount was forgotten, you can create a credit memo request. The credit memo request is blocked for further processing so that it can be checked. If the request is approved, you can remove the block. The system uses the credit memo request to create a credit memo.
    You can use credit memos in Sales and Distribution (SD) for assigning credit memo requests to the open invoices and in Financial Accounting (FI) for assigning  credit memos and payments to the open invoices and carry out clearing with them.  If you use both Financial Accounting (FI) and Sales and Distribution (SD),  there is a 1:1 relationship between the credit memo request and the credit memo item posted in Financial Accounting (FI). As soon as you bill the credit memo request together with other sales orders, or distribute the items of one credit memo request to several billing documents, the assignment is no longer valid and the system will not process it.
    For  credit memos, credit memo requests, and payments, you have the following assignment options:
    - Assignment to a single invoice
    - Assignment of a partial amount to an invoice
    - Assignment to several invoices
    When you post  credit memos, the payment programme processes them automatically. If the credit memo is specifically related to a particular open invoice item, the payment program automatically attempts to offset the credit memo against the open item. If it is not possible to completely offset the credit memo against an invoice, you can post a debit memo to the vendor, who is to reimburse the amount.  Then you can apply a multilevel dunning program.
    3.  Debit memo request is a sales document used in complaints processing to request a debit memo for a customer. If the prices calculated for the customer were too low, for example, calculated with the wrong scaled prices, you can create a debit memo request. The debit memo request can be blocked so that it can be checked. When it has been approved, you can remove the block. It is  like a standard order. The system uses the debit memo request to create a debit memo.
    4.  As mentioned above, creating a credit or debit memo request enables you to create credit or debit memos based on a complaint. For this first create a sales document with the order type for a credit or debit memo  request. You can create the debit  or credit memo requests in the following ways:
    – Without reference to an order
    – With reference to an existing order
    Here you enter which order the complaint refers to.
    – With reference to an invoice
    Here you enter which invoice the complaint refers to.
    In all cases, you specify the value or quantity that should be in the credit or debit memo
    5. You can block the credit or debit memo  request from being billed in Customizing. Go to Sales -> Sales Documents -> Sales document header -> Define sales document type and select the billing block field in the billing section.  This request can later be reviewed along with similar ones, - if necessary, by another department. The request for a credit or debit memo  can then be approved or rejected.

    A CM in AP represents a credit in your favour, normally issue by your vendor, with the following accounting:
    DR Liability
    CR Cost
    You can deduct the CM by including it in a payment or, if you vendor send money to pay it, you can create a Refund payment type.
    A CM in AR represent a credit in the favour of you customer, normally issue by you, with the following accounting:
    DR Revenue
    CR Receivables
    Your customer, while sending you a payment, may include the CM in that payment, thus reducing it's amount.

    After an Invoice is successfully posted and the transaction is completed, Vendor approaches with additional amount invoice or correction in Invoice.You would like to post this additional invoice with reference to the original PO and item. Subsequent Debit / Credit functionality allows you to capture this difference without canceling original invoice.

  • Header Billing Plan - credit memo and debit memo

    Folks,
    I have the following scenario here.
    I have a billing plan order (BP) - with header billing plan.
    I have three lines in the billing plan
    1) $5000 ...FAZ (Billing Request)
    2) $10000...L2 (Debit Memo)
    3) $3000...G2 (Credit Memo).
    Once i go to VF04,
    I have all three billing due. However, only billing type FAZ has the header conditions (PR00, AZWR, TAXES) populated and net value $5000. (Populated against AZWR)
    Both L2 and G2 have no header conditions populated and the net value is 0.
    The copy control is set up the same for all and all have same document pricing procedure (A).
    Is it something basic I'm missing or is there anything else I have to do?
    Or pls let me know the process for debit memo / credit memo with a billing plan.
    Pls respond ASAP as we have the Proof of Concept scheduled sooner.

      I think that basys of this process is not correct: the purpose of billing plan is to define different invoicing schedules, typically for businesses working with projects, and on top of that, billing plan is the only standard way to manage advance payment and automatically determine the settlement of the advance payments on final invoices.
    For this, in my opinion it's not correct entering in the billing plan items with Credit Memo or Debit Memo request. You should have only andvance payment items and invoice items (document category = M).
    In a common invoicing process, you can have the following steps:
    - Down payment request (FAZ);
    - Invoice (F1) reduced by the downpayment amount (if that is the case);
    Then you can create a Credit Memo request, against the Invoice, if for some-reason you have to revert back something to the customer; or you can create a Debit Memo request if you have recharge the customer with reference to a document already invoiced. I think that invoice type G2 and D2 should not be "planned" steps in an invoicing process. On top of that, it's not advisable creating Credit Memo requests with reference to an invoice containing downpayment clearing item, as it would lead to incorrect postings into accounting.

    The challenging task for you all guys once again.
    Whenever I am recording credit memo or debit memo using SAPGUI(ECATT) driver,I am facing the following troubles.I need all your suggestions to over come it.
    1.Depending on the invoice number the number of lineitems in the items-overview will differ.My situation is like,I have to select the lineitem which is editable[All are not editable,only few are editable] among the items available and I have to change values and I have to record those values.
    2.Since,the number of lineitems is varying depending upon invoice,I am not able to detect which one is editable or not.Everytime the position of the lineitem  will change,as the number of lineitems is changing everytime.
    [Please note that SAPGUI is more sensitive to location].
    So,I need help how to overcome this situation by SAPGUI
    recording (or) Is there anyway of controlling the recording or identifying the item which is editable through ABAP code.
    Please suggest on this.

    Are you sure you are making a testcase, not an interface? Then a BAPI or IDOC would be more suitable.
    If you are really interested in a flexible recording, then you have to split this into multiple recordings.
    Make one recording for memo creation.
    Make one for line editing. Use button 'item on top' to place desired line into first screen line.
    Between the two executions you can place some abap for identifying changeable lines - ask your consultants for rules.
    Second recording can be used (in a loop) for all line changes.
    Maybe there are other ways, would be nice to know.
