Save a copy of an open .ai file as a pdf file with personal preset

Hi all,
I am currently working on the schematics of a quite big document and I am using Illustrator. I work on the .ai version of the figures but I want to save them in a very quick way as pdf files with personal setting (super compression, no preview...). What I am doing now is that I have my .ai file open, and when I want to save a pdf version of it I go to "File" then "Save a copy" then "Type: pdf" and I enter a name, I click on "Save" and a window pops up with some options. Here, I select a personal preset and then click on "Save pdf" and I am happy with the final saved pdf. The thing is that it is a quite long process when you have to do it several times per figure. I tried to automatized it through a script (or action) but the available options are quite limited (it is hard to make Illustrator understand that if the current file is myfig.ai, I want a myfig.pdf and that I want to save it in the working folder). Under "File", I also tried the "SaveDocsAsPdf" script but once again, I have to select the folder where I want to save the figure and so on. Maybe I missed something. I'd be happy to hear that there is a very efficient way to save my figures as pdf by clicking a the F9 key (for instance).
Thank you for your help

I somehow found a technique that helps. It is kinda stupidly simple. Instead of working on the .ai file in Illustrator to finally save a pdf, I work this other way around. It goes much faster. I just have to hit ctrl+s to test how the created figure is included in the final document instead of all this very long process. When I am happy, I save an .ai version for further modifications later of necessary.

    Hi Memalyn
Essentially, the bare issue is that you have a 500GB hard drive with only 10GB free. That is not sufficient to run the system properly. The two options you have are to move/remove files to another location, or to install a larger hard drive (eg 2TB). Drive space has nothing to do with SMC firmware, and usually large media files are to blame.
My first recommendation is this: download and run the free OmniDiskSweeper. This will identify the exact size of all your folders - you can drill down into the subfolders and figure out where your largest culprits are. For example, you might find that your Pictures folder contains both an iPhoto Library and copies that you've brought in from a camera but are outside the iPhoto Library structure. Or perhaps you have a lot of purchased video content in iTunes.
If you find files that you KNOW you do not need, you can delete them. Don't delete them just because you have a backup, since if the backup fails, you will lose all your copies.
Don't worry about "cleaners" for now - they don't save much space and can actually cause problems. Deal with the large file situation first and see how you get on.
Let us know what you find out, and if you manage to get your space back.

  • Using Oracle "Import PDF" Extension in Open Office Draw to Edit pdf Files

I am a fairly new Mac user with OS X 10.6. For several months, I have been trying to find something which would edit pdf files better than Preview does (for example, the content of a text box in Preview can only be "center aligned"). Skim and FormulatePro were two options I tried that were improvements over Preview in many respects, but wouldn't let me paste an image onto my pdf (such as, for example, if I wanted to put my digital signature on a document).
Then, I "discovered" the Oracle PDF Import Extension which I had installed in Open Office months ago, but hadn't really used. By "discovered," I mean I read on somebody's blog that you could use Open Office Draw to edit pdf files and I thought, "Hey, I wonder if that would work with my setup." (Boy, do I feel stupid.)
I have just started using this functionality, but in just an hour or so of playing around, I have found that it has far exceeded my expectations and, even, my immediate needs. Besides giving you (a) all the control over text and text boxes that you would expect from, say, a word processing program and (b) allowing you to paste images onto your pdf, Open Office Draw also includes layers!
The layer function threw me off for a bit, because, at first, I kept finding that my attempts to edit the document resulted in grabbing the raster image and moving it "off" of the underlying text layer (a function, I will admit, that I think will be worth exploiting someday, but wasn't what I was looking for at the moment). Then, I discovered that you can "lock" the layer so as to prevent this annoying occurrence. To create your edits, simply create a new layer (call it "MyEdits" or whatever you want) and you're in business.
Anybody who has done anything more than drawn a couple of lines and boxes on a page has discovered that editing the overlapping objects can be a real pain - if not an outright impossibility. Separating these overlapping objects through the use of different layers solves the problem.
The only downside to the use of Open Office Draw as a pdf editing tool that I can see is that you must import the pdf, save your edits in odg format, and then export it to pdf when you're done. I know that we would all like to have the capability of doing everything I just described directly to the native document, but, hey, for all the functionality I have been searching the internet for weeks to find, I think it's a reasonable trade off.

    Try turning off protected mode.

When attempting to open a hyperlink to a PDF file on the web from a Microsoft WORD for Mac 2011 (14.3.9) document, Safari 7.0 instead displays the file as text?

    As seen in http://answers.microsoft.com/en-us/mac/forum/macoffice2011-macword/has-the-word- 2011-for-mac-invisible-toolbars/018a3ab6-0570-4ad5-abf8-5b6427fdde3e?msgId=e111b f0a-0e32-4fa3-9536-f349dad8439d
    and it worked for me:
    1. Quit Word
    2. In the Finder's menu bar, select Go > Go to folder and type or paste: ~/Library/Preferences/
    3. Click on Go
    4. Locate the preference file com.microsoft.Word.plist, then Option-drag it to the desktop to create a backup copy
    5. Go to Applications/Utilities and open Terminal
    6. Paste the following bold command at the $ prompt (it's a single line):
defaults write com.microsoft.Word 14\\Toolbars\\Show_HIToolbar -boolean TRUE
    7. Press Return and then quit with Command Q
    8. Start Word and test. If the fix works, trash the backup file in the Desktop file. Otherwise, restore it.
In the original source the author also mentions the change in Word 2008

How to save a numbers file to a pdf file of multiple pages instead of one giant long page?

    Hi DW,
    Numbers 3.2.2
Instead of Menu > File > Export To,  use Menu > File > Print...
That takes you to Print Preview.
In the Print Setup panel, Click on the Print... button lower right (it won't print yet).
    That opens the Print Dialogue.
Click on the PDF Pop-Up Menu lower left.
Choose Open PDF in Preview or Save as PDF.
That will have page breaks and will be full sized.
    Print from Preview.
    Regards,
    Ian.

Is there a way to save a DWF file as a PDF file?

If you have a subscription to the CreatePDF service, you may be able print your document from the application that created the DWF to the CreatePDF Desktop Printer.  Alternatively, if you have Adobe Acrobat, print to the Adobe PDF printer that installs with that application.

I am trying to save a document file as a PDF file. Where do I go to do this. I was told that sometimes when you go into PRINT it is there, but in this case I have not been able to find it. Please advise.
    Thanks-

You need to install either [http://www.adobe.com/products/acrobat.html Adobe Acrobat] or [http://www.foxitsoftware.com/pdf/editor/ Foxit PDF Editor]
You cannot simply give a file a .pdf extension without having the appropriate software installed.

  • How can I convert a PDF/A file into a PDF file with Acrobat Pro X?

How can I convert a PDF/A file into a PDF file with Acrobat Pro X? I'd like to modifiy the file which I have only as a PDF/A.

There's two answers if you want to modify the file:
You can temporarily turn off PDF/A Mode in your preferences, so they don't open as read-only. The problem would be if you do something to the file that violated the PDF/A standard, so you should always run a Preflight check afterwards to make sure.
If you want to remove the PDF/A header tag, use Preflight again - it's on the Print Production Panel in Acrobat X Pro (which may be hidden, use the options menu on the Tools Pane to show it). There's a profile called "Remove PDF/A information" - choose this and press Analyze and Fix. Nothing else about the file will be altered but when you save and reopen it all the editing tools will become active.

  • Insert pdf file into another pdf file keeps getting stuck

I am trying to insert a 5 page pdf file into another pdf file (both unsecured) and it keeps getting stuck at about 71%* conplete. I can't even get the file to show up on the screen so i can close it. Help?

I have tried several different files, and get the same phenomenon with each one –
    1.     I open an acrobat file.
    2.     I open a WORD file.
    3.     I copy a sentence from WORD to the clipboard.
    4.     I click on View in Acrobat, Tools, Pages, other options, insert from clipboard.
    5.     Acrobat shows that it is copying, and when it gets to 67% it stops and runs and runs and then only way I can stop it is to go to the task manager and end task.
I tried refrying with a file and that didn’t work, and I can’t imagine that Acrobat was designed so that each time I try to insert from WORD I would have to refry (even if it did work).
    Please help!
    Thank you

  • Export to PDF - Can a single report (rpt file) create multiple PDF files using the export command?

    Post Author: markeyjd2
    CA Forum: Exporting
    Greetings forum members,
My question is, in its entirety: Can a single report (rpt file) create multiple PDF files using the export command, ideally one PDF file per DB record?
In my case; I have a Crystal Report that reads data from a DB table containing ~ 500 records.  When I export the report to a PDF file, I get one PDF file, with ~ 500 pages.
What I would like to do is export the report to ~ 500 individual PDF files; One file per DB record.  The file names would be based on the table's primary key.
    Is this possible?

    Hi,
you need some lines of code, but its easy. Dependend on how to start the generation of your 500 PDFs, you can write an ASP page and start it via Web Browser, or a Windows Script and start it via scheduled job...
Here's an abstract of the ASP code I use:
First, you create a recordset (here: "rsc") which gives you the list of ID fields you want to export, then you create CrystalRuntime.Application object, then you loop through the recordset, open your report (here: "oRpt") and set login info. Then set the selectionformula, so that the report displays only the data of the current ID, e.g.:
      oRpt.RecordSelectionFormula = "(" & oRpt.RecordSelectionFormula & ") AND {myTab.myVal}=" & rsc("myVal")
Then you export the report, move to the next record in recordset, and repeat the loop until recordset.EOF. Then you close recordset and connection.

    Hi jgallu7382,
The latter is easily accomplished using the Drawing Markup tools, which are available in both the free Adobe Reader, and in Acrobat. Copying/pasting text into the PDF is something that you could do using the editing tools that are available only in Acrobat. Note, however, that Acrobat isn't intended to be a text-editing application, so editing there won't be as robust as in an application designed specifically for that purpose. (It's also worth mentioning that you won't be able to alter a PDF if it has document permissions applied that would prevent you from doing so.)
I hope that answers your questions.
    Best,
    Sara
