Time Management - Work Schedule /Absence Quota / Part-time quota generation

Hi Experts,
Need your help!
We have a requirement where we need to create distinct work schedules for each irregular / part-time work pattern and the number of work patterns we have identified is more than 1000.  We are using report RPTQTA00 to generate quota. We have used work contract, employee sub-group & employee payscale group in the QUOMO feature to get the base entitlement picked up. We have defined base entitlement for the full time workschedules with 37.0 / 38.5 hours and there is a reduction rule which reduce the absence entitlement for part time employees as per the employement percentage in IT0007. Now we have a scenario where we have created a work schedule with different no of hours for each day of week (M-4, T-6, W-4, TH-6, F-4, S-OFF, SU - OFF); this work schedule is treated as full time work pattern by the system and quota is generated as full time work schedule refering to the QUOMO settings, but as per my client employees with this work schedule have reduced hours of working hours (24 hours, not 37.0 or 38.5 hours)and hence it should be treated as part-time employees, and the quota generated should be proportionately reduced. I have very limited scope to create any ESG or PSG as we do not have any distinct emplyee sub-groups maintained for full-time and part-time employees and the project has already gone-live with payroll/time. It is worth mentioning over here that we are recording absence through ESS and it takes into account the daily planned working time maintained in IT0007, so we are very particular to keep it as accurate as possible.
I would really appreciate if somebody can please suggest any possible solution for the above issue, or guide me on what would be the best way to tackle it. I can give more details in case anybody need to have a better understanding of the issue to suggest a solution.

Yes, i have found the solution to it. I do not know whether it will fit into your situation or not, but i got two solutions for my issue mentioned above, please check it may help:
1) To use capacity utilization field in IT0008 to get the FTE hours and defining the reduction rule of absence quota based on the capacity utilazation percentage.
2) There are three user exits available in the standard report RPTQTA00, i have used one of them to write my own rules for the calculations (deduction rule)

    Dear All,
    I am generation absence quota Annual leave = 50 through PT60- ZM04. Its daily calculation and transfered at the month end.
    The quota entitlement is 30 days per year.
    I have written this pcr. Have configured a time type too. but not sure why its not generating any quota.
    The time type I have configured is:
    Time Type: 0097
    Save as day balance - No Formation
    Save as period balance - 1
    Store for time accounts - 1
    Have assigned the time type 0097 in Base entitlement for Absence quota generation as Day Balance and even in generation rules.
    Have placed the PCR with ACTIO Z003 before CUMBT fucntion.
    The PCR Z003 is:
    000010 D HRS?0
    000020 *
    000030 = D OUTAQTYP
    000040 = **
    000050 = 50 Z GCY ZQTY
    PCR ZQTY is:
    000010 D OUTWPMOLGA
    000020 **
    000030 99 HRS=FR50C ADDDB0097Z ADDDB0097 HRS=D0097
    I didnt mention anywhere in configuration or PCR that its 30 days per year.
    Do I need to do this?
    Have I missed out anything, please help me.

    Hi,
    This you can do through config also without using PCR.
    Base entitlement is 30 for calender year. Selection rule- Accrual period is daily and transfer time is time evaluation period.
    Use appropriate rounding rule in selection rule.

    I wanted some clarification on Absence Quota generation through schema-u201CTQTAu201D
    The client Scenario is that they want Earned leaves (absence Quota type 0002 and 0003) and Half-Pay leave (Absence Quota 0004) semi-annually.
    Whenever an action is run (whether with employee status active or inactive) the absence quota is generated twice:
    1.     Last day of previous action
    2.     Last day of evaluation period.
    Main issue is that when it is reflected in IT-2006 it is summing up the quota generated on both the above said dates.
    Also the quota that is generated on the last day of the evaluation period is not prorated but for the entire accrual period.
    When the employment status of an action is inactive; the quota is generated upto the last date of previous active action, but if any other action is executed with employee status as u201Cactiveu201D in the same accrual period and time evaluation is run; the quota gets generated again on the last date of accrual period for the entire accrual period i.e. the inactive period is also taken into consideration. Moreover, both the quota generated are added up and displayed in IT-2006.
    Kindly advice me the solution for the same.

  • About Daily Work Schedules- Absence

    Dear all,
    I have a problem is that:
    I have DWS which has a work time form Monday to Friday employees work from 8am to 5pm form Monday to Friday and on Saturday employees work half of the time from 8am to 12 am. I have setup on WSD that Satuday have Work Hour = 4 h.
    My problem is on Saturday, if employees want to take a leave , I must be input on Absence hours = 2 for to get Absence quotas  =0,5, if not system will deduct is 1 day, instead of 0,5 day.
    So Please help me how to solve this my problem.

    You can use quota multiplier value as 50% in  table T556C Counting rule table for particular abs type.

  • Absence Quota Generation begining of Calendar Year

    Hello Experts,
    Although the said requirment has been already posted in SDN, could not see any solution for this from the threads.
    I have a requirment to Generate Absence Quota i.e Annual Leave at the begining of the year, precisely when i run Time Evaluation on 01.01.2011 system should generate the Quota in advance for the Calenday year.
    I could generate via Report RPTQTA00 but the same is not happening in TE, even i tried with all Accrual options like Calendar Year, Monthly, Payroll Period, Base Period etc but system picking only the last day of the month or year.
    I am wondering if some potential solution would have released from SAP during EHP 4 and 5

    I have one senario in TIme management ....
    Employee have 1year probation period ,but he is entiteled for taking leave after 1 year . that to leave should be accured for calender years after probation period. & henceforth it should accur per calender year.
    For Example: Employee have joined on April 2011 ,Then his leave should be accured after April2012 upto Dec 2012 & then for next year 2013 leave should accure from Jan 2013 to Dec 2013.
    Please help me to map the senario with detailed configuration steps
    Pls help me out here the requirement is immediate.

  • Absence Quota generation / Accruals

    Hi Gurus,
    I am trying to configure Absence Quotas with the below mentioned rules.
    1. To be eligible for PTO you must be on the payroll at least 6 months at which time 20 hours of Paid Time Off is granted.
    2. In the second year of employment an employee will receive 5.58 hours of PTO per pay period.
    3. The accrual rate increases with continued years of service. After 5 years of employment the accrual rate is 7.11 hours per pay period. See the chart below:
    Years     PTO Hours
    1                  20 Hours
    2 - 4            145 Hours       (5.58 hours per pay period)
    5+               185 Hours       (7.11 hours per pay period)
    A maximum of 240 PTO hours (6 weeks) may be accumulated.
    Can you please advise if it's possible to automatically (using Time Evaluation) generate 20 hours of quota in one go after 6 months, and then after 1 year is completed, the quota accrual starts happening every pay period. If it's possible, then please advise me how can this be achieved.
    Any kind of help is really appreciated.

    In table V_T559L you can set up to do the accrual based on a time type and using a rule, you can check based on infotype 41 when to generated it.

  • Error in Absences Quota Generation

    Dear All,
    I have generated absences quota for all the employees. But its generating and showing the same kind of absences in terms of no of days for newly joined employees also. For example if an employee joined on nov for him also Earned leave is generating for the full quota but he is not eligible for the full year of E.L.
    How to reslove this.

    use the tab allocation of quota based on pro-rata basis - and in quota type selection rule - use "decrese the quota based on inactive days"
    and for earned leave - use different quota type selection rule - and use accrual period - for that you have to allocate the qouta on monthly basis (ie based on there presence they will get the leave quota).

  • Problem in creating part time work schedules

    Hello All,
    I have to create some part time work schedules rules for part time employees
    Work: Tuesdays to Fridays
    a)Tues-Thurs 6.5 hours per day   i.e. 9.30 to 5
      9:30 u2013 14:30 work
      14:30 u2013 15:30 - 1hr lunch break
       3:30 u2013 17:00
    b) Friday - 7 hours (9:30 to 14:30)
    Total hours per week are= 26.5
    1) I created one fixed break schedule 14:30 u2013 15:30 (unpaid)
    2) I created 2 Daily work schedules
    Tuesday to Thursday u2013 NOR & (created variant A)
    Only Friday u2013 NOR1
    3) I created one Period work schedule u2013
    P/Time u2013 Mon is FREE, Tue to Thursday as NOR , Fridayas NOR1 & Sat, Sun as FREE
    4) When I try to create Work schedule rule I got stuck in between:
    I configured weekly working hours as 26.5
    I configured monthly & annually working hours.
    But  I had problem to put daily working hours???
    because Tue u2013 Thurs are 19.5 hours (6.5 into 3) & Friday (7Hrs) =26.5
    Hence how to I club both the working patterns in one Work schedule rule???
    Please help me out in same

    Can u tell wht are the other feilds there
    26.5 hrs is the Combination of two Periodic Work Schedule right ..........if yes
    26.5/31  31 is ur working days

  • Use of Time Evaluation to generate Absence Quota

    Hi,
    We are planning to use time evaluation to generate absence quota. At the moment we are using RPTQTA00 report to generate Absence Quota. We have negative time management and since, the project has already gone live i have very limited scope to change the basic settings for example we do not have any employee subgroup to identify part time employees, PT & FT are in one employee sub-groups. We have only one ESG & PSG for time recording, time quota etc. The base entitlement is defined for the FT employees and it is reduced propertionately based on the employement percentage in IT0007. Now we are going to adopt a change in design, and planning to have specific work-schedule for PT employees. In that case, we will not have the scope to maintain %age in IT0007 for part time employees but exact no of working hours will be used. It means that system will treat the PT emploees as FT while generating absence quota and output the FT absence entitlement. As i said earlier we can not differentiate PT employees from FT employees based on ESG or PSG, i can not create a separate quota selection rule for part time employees. Hence, we are moving from running RPTQTA00 report to time evaluation for absence quota generation purpose.
    Now can anybody please help finding a alternate solution for the above, if it is possible to do it through report RPTQTA00 or we have to adopt the time evaluation. In case we are going to generate absence quota through time evaluation, can we only generate absence quota and skip anything that is related to payroll.
    Any comments/suggestion/advise will be very helpful to us.

    We are not able to generate absence quota for part-time employees as when we do that, system is treating PT employees as FT employees and the FT base entitlement is referred while calculating absence quota. i can not define separate absence entitlement for PT employees as we have only one ESG and PSG, and based on this quota selection group is defined. The QUOMO feature is defined based on work contract - employee sub-group (there is no separate emp sub-group for PT employees) - Pay Scale Group. We are having this problem as we have specific work schedule for PT employees now (Ex. we create 3 days work schedule with 15 hours: 4.5,4.5, 6 hours) and we are not maintaining employement percentage for them. So system is treating PT employee as FT employee with 100% employement percentage. Please let me know if you need any specific info to understand my issue.

    mostly time telling in and out of the employee. it consists of dailly working time.it is mostly predefined in office. office timing.in SAP it is called as Daily work Schedule, in a day employee taaking brak for lunch it is called Break Schedule. in a week apattern is there which day will off and how the roaster is its called as Period work schdule. when a periodic work schedule will create along with declare holiday it is called work schedule. when work schedule will assign to employee it is called Personal work schedule.
    Quota consist of leave like Casual leave, earn leave, sick leave etc.
    leave quota will be given to employee so that at any particular day he can use it for his personal work

    In Time Mgt. when creating the Work Schedule Rule, how to decide the input for field "Rule for Day Types", Pls explain also the Selection Rule for Day types in the node TM-> Work Sch ->  Day types -> Define Selection Rules.

    I am just learning this topic and see this thread still open, so let me try to help.
    1-Holiday Class(HC)
    In IMG->Time Management->Work Schedules->Define Public Holiday Classes,we assign a value to public holidays like this:
    Holiday            Religion     Holiday class
    Christmas Day                         1
    Here Holiday class value range is: blank-working day; 1-level1 holiday;2-level2 holiday...etc. By assigning a holiday to a holiday class we can classify holidays.
    2-Day Types(DT)
    In IMG->Time Management->Work Schedules->Day Types->Define Day Types, we define day types like:
    Blank     Blank          Work/paid
    1        O/pd         Off/paid
    2        O/upd         Off/unpaid
    3        O/sp         Off/special day
    3-Selection Rules
    In IMG->Time Management->Work Schedules->Day Types->Define Selection Rules, we have such settings:
                           Weekday         Sat.        Sun.
    with holiday class     b123456789     b123456789    b123456789
    Gives day type         _1_1211311     _1_1111111    _1_1111111
    Here, b123456789 is HC and 11211311 is day types(I use '_' for blank).
    In Weekday part,first column wo got HC=b and DT='_'. That means, in calendar if today is a working day(HC=b) then the employee is paid for working(DT=Blank(Work/Paid)).
    In 5th column, we got HC=4 and DT=2. That means, in calendar if today is a level4 holiday then the employee can has a day-off but not paid(DT=2(Off/Unpaid)).

    Dear Experts,
    I have a daily work schedule IOFF which is supposed to be a day off.  Can anyone advise if there is a way to link day type "Off/paid" to this daily work schedule IOFF ?   Thanks for any input.

    Use  Daily Work Schedule  class "o" to makke your DWS Off  and Day type can be set at Set Work Time Management>Work Schedule>Work Schedule Rules and Work Schedules>Schedule Rules and Work Schedules ( In the option of Rule for day type )
    Daily Work Schedule Class
    The daily work schedule class is a feature used to define daily work schedules. You use it to create evaluation criteria for a daily work schedule. According to the evaluation criteria, daily work schedules can be used in differen ways in time wage type selection, attendance and absence counts, or in time evaluation.
    The working times defined in a daily work schedule are not influenced by the assignment of a daily work schedule class. As a result, the daily work schedule class respresents an additional evaluation of a daily work schedule.
    Daily work schedule classes can be identified by any number between 0 and 9.

  • Report to check work schedule - If case more than hundreds of work schedule

    dear experts,
    I have one issue to create work schedule for the next year. I want to create(pt01) active work schedule for the next year(2012).
    However i have issue because I don't remember which work schedule still active.This is because we have hundreds
    of work schedule rule based on emp sub group grouping, holiday calendar,psa grouping and w schedule rule.
    Is there any reports to check all the active work schedule .I'm afreaid ihave missing certain  work schedule for next year...

    If you use the IMG node for automatic generation of Work Schedule Rules
    (Time Management > Work Schedules > Work Schedule Rules and Work Schedules > Generate Work Schedules in Batch)
    you can generate all work schedules associated to a Holiday Calendar
    and only the active work schedules will be generated.

  • Absences not deducted from Absence Quota for One Employee

    Dear Friends,
    I am facing an issue for one employee, when I recorded an Annual Leave absence to him, it is not updated in his Absence quotas infotype. But this is working fine for all other employees in the same employee group/subgroup grouping.
    But for Sick Leave absence type, it is updating in his absence quota records...
    I have checked the counting rules, deduction rules, base entitlement rules and other configuration settings.......It is fine and for other employees belonging to the same grouping, it is working fine, except this employee...
    I couldn't understand what will be the reason? Can anyone shed light on this issue?

    Hi JS,
    I am checking the absence is deducted or not from his entitlement in the infotype 2006 after running the payroll for that month......
    The employee has taken leave on last month and the payroll is also run for that month.......This Absence is not deducted from his quota......
    I have checked for another employee in this department, no error/issue with that employee.......Only with this employee I am facing problem.....
    I found -
    1. The Absence Quota balance which is present in Infotype 2006 is not the same which is displayed in Remuneration Statement ( leave balance is displayed in payslip for every employee)
    2. Annual leave is not deducted from the employee's entitlement where as sick leave is deducted. I have checked the deduction rule too for this grouping, it is right.No issues in that.
    3. Absence Quota generation also produced different results when run time evaluation thru PT60.....which is not according to the entitlement to this employee grouping that too for this employee only.
    Or Friend, can you tell me some other option, to overcome this issue.....instead of repairing this all the time.......
