UWL Substitution Rule Issue

Hi All,
We are facing some issues with Substitution rule in UWL on NW portal 7.3 SPS08
Issue described below,
One user has created substitution rule by selecting task type "All" and "Fill In For me" option.
So, as per the standard process this is visible in assignee's login in UWL under "Other users' Sunstitution rule section".
But here problem is in this section there are two line items with same user name and task type, one for "Take Over" and another for "End Take Over".
But as these both are from same user and for "All" type of tasks, it should have only one entry. and both "Take Over" and "End Take Over" should be operated from one entry and two entries of same type is not required, Screenshot is attached here with,
We are required this to be sorted out asap, any help is appreciated...

In continuation of my earlier...can you please check if Substitution from manager is Activated ?
SBWP -> Settings -> Workflow settings -> Activate/Deactivate Substitute....
If it is deactivated......then Login as secretary:
SBWP -> Settings -> Workflow settings ->  Adopt Substitution....
Also goto TCode PFTC...
And check your TASK that is not coming in secratary inbox....
Select Additional data -> Agent Assignment -> Maintain data....
Select task and click on attributes.....
Make sure correct classification is mentioned for this task....it should be same to what has been delegated to secretary......
If are able to resolve the query then please let us know how...?

        I have created a Substitution Rules for user X from user Y. when user X logins and accepts for user Y's rules but he is not able see the rule above his UWL.
       But when I create a rule for some other user U from user Y, user U is able to get the rule above the users U  UWL.
       Did anyone faced the same problem can help to solve.

    Have you ensured that the source person actually HAS items in their inbox?
    Because of the way that task processing occurs you might also want to make sure that the source person hasnt already started processing the item.  You should ensure that the task item is "released" in the backend - something as simple as opening the item could cause this.  Once you open an item it is locked into your inbox - I dont believe from memory that these can then be substituted to someone else.
    If all of that appears OK  (and you can actually see the items mixed with your own) then I would suggest you check the properties of the iview and make sure that all "options" (like buttons etc) are turned on.  In EP7.0 there is much more control over what is / isnt displayed to the end user.  Those facilities (filters) you speak about "should" become visible when you have susbstituted items.

  • UWL - Substitution rule not visible to switch it off

    User A maintains substitution for user B. In ECC, the substitution is active in table HRUS_D2. But User A is unable to see the rule in "Manage substitution". As a result he is not able to switch off the substitution rule from portal.

  • UWL Substitution rules : Problems reported (repairable)

    Hello,
    I have a poblem with the substitution rules within the EP7.0  (our backend system is ECC6.0).
    I have created a substitution rule and have set it active.
    When I have a look later on to the management of substitution rules, i always get an error message: "Problems reported (repairable)" --> "Substitution rule is not defined in the system" (System: SAP_ECC_UWL --> this is our system alias for uwl in the EP). When I push "retry" the substitution rule is succesfully registered again.
    But the next time when I have a look onto it, i get the same error message.
    I checked out the substitution rule, it worked (that means the substitute see the work items in his uwl), but why there is this strange error message ???

    Hi all,
    I got a similar error:
    - Whenever I create a substitution rule, activate it and press then "Refresh", I get two substition rules (for two different users).
    This is highly strange. Does anyone have any hints how to avoid to get these two rules?

  • UWL - Substitution Rule with END date

    Dear All,
    When user creates substitution rule in UWL, assignee can select Start Date. We want to have end date too.
    But as the documentation of UWL says: All substitution rules created have no expiration date (end date) is limitation of UWL.
    Can we implement this on our own using some APIs or some other option?
    Please suggest.

  • MSS UWL substitution rules

    Hi,
    I have two questions about universal worklist task managing when manager is not handling the tasks in his job:
    1. Leave request: How is ruling of days for when manager does not respond on leave request before sent to above manager?
    2. Travel request: How is ruling of days for when manager does not respond on travel reimbursement before sent to above manager?
    Anyone who know this, if it is configured by needs of the client or is this standard ruling by SAP?

    Hi Hilde,
    Pls follow these steps for Substitution Rule
    1) Create a Task
    A task is nothing but a request to one or more assignees.
    2) After creating the Task, Substitution should be assigning the tasks; if manager went to leave he can create substitution in his place
    So here once you define the Rule for subtitution then next step is to Set Rule Activation i.,e nothing but "you can turn the rule On or Off at any time on substitution rules management screen .

    Hello group,
    I read a thread posted to this forum:
    Re: UWL Substitution Rule- User Search
    It states among others:
    "If you are using the UWLfor workitems instead of the SBWP transaction, then you will need to maintain substitutions only through the portal.".
    Does this mean that you cannot use tcode RMPS_SET_SUBSTITUTE from backend when using UWL?
    From what I can see, they both update table hrus_d2.  But there may be other implications that I do not see?

    I think if you use tcode in backend for substituatiion,user should do in backend only and it may not be available in portal.If you do substitution directly in portal,it will reflect  correctly in both portal and backend,
    You can try both options with tes workflow and see difference.

  • 500 internal error in managhe substitution rule in UWL

    Hi All,
    One user is getting 500 internal error when cklicks on manage substitution rule in UWL.Only one user is facing this problem.
    I checked in backend system, so substitute exists.

    Hi Thirun,
    This is a common issue and usually has to do if the 'substitutee' for lack of a better word, is no longer a valid user.
    4. When there is a substitution rule connecting the current user to a
    deleted user, the following problems were discovered:
       - substitution rule management returns 500 browser error;
       - it is not possible to delete a Java Workflow substitution which
    refers to a deleted user as assignee;
       - Java workflow connector is not able to retrieve items for user that
    has a substitution rule with a deleted user;
       - The "status", "What to do", "assignee" and "Task Owner" fields are
    not properly filled in the Manage Substitution Rules view.
    Do a search in SAP notes in component EP-BC-UWL and also for your version.  Alternatively you can let me know the version here and I can tell you in what release this is fixed in that matches closest to your version.  (maybe only a patch required).

    Add a dummy execute sql task as first step inside loop and add a breakpoint to that for OnPreExecute event and check value of variable during each iteration to see if it gets value of each child package witin folder correctly.

  • UWL Guided Procedures and Substitution Rules functionality -  how possible?

    We are using Guided Procedures with Custom Web Dynpro objects and need to utilize user/role substitution that is easily enabled in other AdHoc tasks using 'Manage Substitution Rules.  Unfortunately when creating and turning ON a substitution rule in the UWL all Guided Procedure Tasks are excluded and do not show up in the substituting person's UWL.
    Does anyone have any ideas of how we can utilize Substitution Rules in UWL for all Guided Procedure tasks/steps?

    The situation you're facing is the normal behavior from GP in relation with substitution feature of UWL.
    Unfortunately GP doesn't support substitution as the other UWL connectors do.

    Dear.
    I have the following doubt with the Manage Substitution Rules UWL :
    Is posible have a rule in where Only some WF should go to the inbox of the substitute?
    Ie. The Boss have process of Workfow of modules OM, TV, PA, PY that arrives at UWL, and the boss only need delegate to the substitute only the item for the process of WF of PY and PA for a date.

    Yes there is something called Task classification!
    You can do so via filtering or classification of tasks
    read here
    You will need to enable the support information in order to get the
    associated task number that corresponds to the backend task.
    If you wish to hide certain tasks, the easiest way to do it is to
    redirect the task type that you want to hide to some unused item type.
    You can create your own XML file and give
    each task number its own entry in the XML
    They each need to be given a different item type name. They can't
    all be directed into the same item type since there would be
    multiple conflicting definitions for that item type in the file.
    No view definition is needed, you can just give it a garbage
    defaultView name (HiddenView).
    I have attached an example for you in the attachment area. This is
    stored as a text file. Also,
    Where you see the following:
    systemId="<YOURSID>" externalType="<YOURTASK>" in the XML, this
    obviously needs to be replaced with your sid and your task id which
    you are looking to exclude.
    For ex

    Classification
    You can arrange tasks and workflows into various classes within the SAP
    System. The classes professional, personal and disciplinary are
    standard. The system checks the task class under the field name
    TASK_CLASS in the authorization object S_WF_WI. This system uses this
    authorization object to check the authorization for carrying out
    specific actions on particular work items. The assignment of tasks to
    classes is also important in the definition of substitutes. You can
    also define that only those classes are displayed which refer to tasks
    or workflows of a particular class. Take this into account when you
    create new classes and assign tasks or workflows to the classes.
    You can set this classification via:

    => Basis Components
    => Business Management
    => SAP Business Workflow
    => Basic Settings
    => Maintain Task Classes.
    Once the classification has been added as above you can then add this to

  • Configuring the UWL Manage Substitution Rules

    Hi,
    I have a need to be able to add at least one more additional columns/fields to the ‘Manage Substitute Rules/My Substitute Rules’, ‘Search For People/Current Selection’ and the General Data screens of the UWL Manage Substitutions Rules.
    Is this a configurable feature/option in that can I add extra fields to the different fields?
    The reason for this requirement is that my current client is implementing SAP’s Concurrent Employment in their ECC 6 and SRM 5.0 systems. This decision is causing all sorts of challenges.
    If a person wants to define a substitute in the UWL, when they select the ‘Search For People’, we want to display an additional column that displays the position/job description for each person within the organization. This would make it easier to select the correct instance of a person if that person had multiple display entries in the selection list. For example if the system returns Joe Cole – Soccer Player; Joe Cole – Librarian and Joe Cole – Accountant and the person wanted to select Joe Cole – Librarian, they would have the required information to make the selection.

    I want to add the " Manage substitution link " in the UWL header page.I have added the" launchSubstitution manger " reference action in the" default view" of the  XML configuration file.but not sure the "manage substitution rule " link is not appearing in the UWL  table header.
    in the same way i have added the "refresh" action . but that refresh link is appearing.
    pls find the screen shot and the  XML config file.

  • In Substitution rule view only one task "All" is coming

    I am facing very strange problem in UWL. Recently we upgraded our SAP Portal from SP10 TO SP15 but in Manage Substitution Rule view under Assign these task drop down we are getting only one task i.e 'All'. Remaining 3 tasks are gone.
