Warranty Process for  managing Vendor warranty

Hi ,
We are in the process of designing Warranty parts handling solution for a Passenger Rail company .
Need inputs to design this Vendor Warranty process in SAP.
Here are major steps in Current legacy system that we need to consider for designing this end to end process in SAP
1.The Client receives Parts (with serial number) from External Vendor with Warranty.
2.The Warranty Information is maintained with validity periods, serial numbers, vendor number, expiration etc for received parts.
3.If the parts Fail during operations, Part return transaction is executed which checks in background for Valid warranty information related to serial numbers and creates Warranty Claim. Warranty Claim is communicated via fax or phone to Vendors.
4.Warranty Purchase order referencing to warranty claim with zero price is created and parts are shipped to Vendor for replacement along with warranty PO.
5.Vendor delivers parts covered under warranty & parts are received in system against warranty Purchase order no.
What would be the best possible way to address this with SAP warranty management functionalities under SAP PM/ CS modules (Master warranty/ Warranty claim processing etc)?
Any inputs or experiences on similar type Warranty process handling in SAP will be really helpful. Looking  forward to get your best inputs on this.

select relevant check boxes as per your requirement & Save.
STEP-2
Maintain info record for material through Transaction Code ME11.
ME11>>>General data>>>Select Certificate category u201CWu201D (As you defined earlier in configuration) Enter certificate number means warranty number in our terminology Enter Valid to

    Dear Friends,
    We have a situation here  to process automatic payment for a vendor which belongs to our subsidiary.
    The scenario is explained below.
    Our main company code A pays for a particular vendor (Eg. V1) from company code B.
    When processing automatic payment for company code A, the vendor V1 from comapny code B need to be selected for payment and the DME file generated should include the payment for V1 aswell.
    I know that we can set up a company code as paying company code for others but the situation here is only to process payment for one particular vendor (not all) from the other ccode.

    Our situation is when we run the payment run for company code A it should also select the vendor V1 from company code B because the payment for vendor V1 has to be paid from the house bank of Ccde A. Cocde B is in different country and uses different house bank.
    Is there any way to make the house bank of ccde A to pay for the vendor V1?

  • Need service process for offsite vendor repair of goods

    Hi,
    Our vendor repair process is as follows, and needs to be mapped to SRM.
    The vendor repair business process starts when an estimate for a repair is taken from the vendor for repair of a product . If the estimate is acceptable, a PO is created and sent to vendor.The goods are sent out to vendor for repair. Vendor returns the product after repair and product is given back to the cost center for use. Material tracking is done when it is sent out and when it is received back, and the cost centre needs to confirm the service having being done successfully , in order to pay.
    How can this be mapped to SRM and ECC
    1. During cart creation, how can an estimate be taken from the vendor , before creating a PO
    2. How can goods be tracked in such purchasing, i.e how can goods be issued to vendor and received back.
    3. How can the requester create confirmation , since GR is already being done when goods come back after repair.

    Thanks for the answer.
    requisitioner also wants a vendor estimate  ( for the repair of the material ) at the time of shopping cart . We have proposed the functionality of 'request'  in the service shopping cart. requester can request estimates from various vendors  using the request form in SRM service procurement, and then accept 1 bid to trigger a shopping cart, approval, and then PO.
    my questions are:
    1. Is this design OK
    2. If this design for getting vendor estimates is OK, then we cannot go ahead with the subcontracting SRM cart/subcontracting PO that you proposed .
    according to me only 1 of the following can be used , please confirm my understanding
    -  a service procurement with request functionality , etc which creates a service PO in SRM and ECC. In this case goods cannot be sent against the service PO , so goods have to be tracked in a spreadsheet   ( is there any other way to track  vendor repair goods against a service PO)
    -  subcontracting PO in SRM and ECC  ( which you proposed)

  • Business Process for Managing Global Accounts

    I would be interested to know how other people have managed accounts that are Global.
    Currently the business in the US are using On Demand and EU are going live in Q1 2010, so I want to define a business process to manage Global accoounts that can then be applied in On Demand. Currently we are not using books
    Has anyone used the Parent Account Function?

    We use the Parent Account function as we work in Financial Services. I would say its perfect for our world but only use it if you business functions this way.
    We have advisers who are licensed through a dealergroup each adviser appears below the dealergroup and both the dealergroup and Adviser have Contacts. All "Prospect" advisers are loaded as Contacts under the dealergroup until they load their first piece of business with the company and then they have an accounts created and i merge the associated contacts.
    We also use books to hide accounts and contacts from different departments and users. I would say if you are planning to run this system in multiple countries this is a must.
    Sorry that's just my world got abit carried away.

    Our Business,
    1. Our Plant is 1000 - sold a Equipment to a Customer "C100"
    2. A Material is broken in the part of Equipment - where the Material[M100] is under Warranty.
    3. This Material[M100] is received in Plant 1000.
    4. Then this Material[M100] is transferred to Plant 2000[Service Plant]
    5. Material[M100] is serviced in Plant 2000 then transferred to Plant 1000.
    6. Then this Material[M100] is given to the Customer from Plant 1000 in free of cost as the Material is under Warranty.
    "Here in Step 5. We have to know the cost of expenses for Service, that can be posted to Cost Center. Cost must not post to Material after Service as this is given to the Customer as free of cost.
    We have to Map this Business in SAP.
    Please suggest best fit for above Business Scenario

    thanks for your response. If you can provide me more specific details of this scenario without having PM/CS orders for warranty claim that would be great.
    We want to track , maintain  & raise claim for warranty parts in the system for serialised materials; also need to send parts to vendor at zero cost and receive back in the system - we will not be using SAP PM . so any inputs on how to develop this process with warranty functionlities in such scenarios will be very helpful.

  • Warranty Claim Porcess on Vendor Warranty

    Does SAP have a warranty claim process on vendor related warranties?
    I want to track all the work done on an equipment under warranty.
    The scenario is i have an equipment that is under warranty. when i do a notification the system pop out a message saying the equipment is under warranty. what i do is i close the notification because it is under warranty. what process should i go to to record that the equipment was repaired by the vendor?

  • CUP 5.3 SP8 - Escalation process for manager approval stage

    Hello,
    We have our basic workflow configured that when a request is created by a user, the first stage it goes to is their Manager for approval.
    We are running into the scenario; what if a Manager forgets to approve or isn't available or is out of office and can't approve the request? We think we want to setup escalation of some sort but are unsure how to go about it.
    The escalation options that we have are:
    No Escalation
    Forward to Next Stage
    Forward to Alternate Approver
    Forward to Admin
    Intially, we felt that "Forward to Next Stage" would suffice because Security Admins is our next stage. If the alloted time passed for Managers to approve the request, escalation would move the request to our Security Admins. However, "Forward to Next Stage" is essentially an Approval, meaning Security Admins will get the email saying the request was Approved, not the email saying the request was Escalated. This will cause confusion with our Security Admins; they won't know that the request was in fact escalated because they got an approval email.
    We want Security Admins to ultimately get the authority in this instance so they can see that a Manager did not review in time, or is out of office so they can forward the request to a different manager.
    Keep in mind, I do understand we can have the Manager setup approval delegation. This doesn't help us however if the manager forgets to set his approver delegator when he leaves the office or really is in the office but is unavailable due to various reasons.
    I'm curious about the option "Forward to Alternate Approver." - who is the alternate approver for managers? Is it always the delegate? Is it possible that the alternate approver is the next level up on the HR heirarchy?
    Let me know if I need to clarify my issue.

    Jes,
    We have 2 approvers for each role. We defined in the Role Approver Stage that it be routed to the alternate approver should the main approver not respond in the next 3 days (via Forward to Alternate Approver). Bear in mind, once it is escalated to the alternate approver, the main approver will not be able to view/approve the request anymore. If the alternate approver does not approve/reject the request, the request will be left as is.
    In our case, we have used the functionality in CUP to pre-define the alternate approver rather than in your case, you would want to only escalate it as and when your Security Admin decides to. I believe if your Security Admin staff has admin rights in CUP, they are able to forward it to another approver via the Administrator tab. Else you can create a new stage to foward to your admin staff if it is not action upon.

    I want to set up a return material authorization (RMA) process for one my client.
    Is it possible to configure the entire RMA Process in SAP ECC for warranty management???
    The scenario as per my requirement is:
    Customer sending defective component/part to OEM, which is under warranty is same as sent to the supplier by OEM itself.
    Is there any standard process/configuration available for this???

    Can I call you friend?
    I am going to proposed vendor warranty solution to my client and I have opened the warranty related fields on equipment creation screen. But now, I am only able to enter vendor warranty dates.
    I have also created a master warranty through BGM1 and entered in the equipment master screen.
    Please tell me about the following
    a) When I assign master warranty number in equipment master then system shows error on entering warranty start date, I can only enter warranty end date. what is the logic behind this? in this case when warranty period is started?
    b) If I don't have external service master data / record in MM and I want to test service claiming process via using service short text only. what would be the steps and data should be maintained to do this?
    c) Similarly in case of material (when material master data is available), if I want to claim material from my vendor what are steps to be followed and which and where data should be maintained?
    d) Please explain the concept of counter here? I must tell you that I am very weak to understand the counter concept in preventive maintenance case too, so please tell me via example that could also be performed on my system.
    e) What are the setting and data should be maintained in spro?
    f) My requirement  is to bring a warranty pop up while creating notification/order/schedule plan, If the equipment using is under warranty,
    please also tell me, if there is also required some settings to show a pop up? can we show an error or warning pop up, where is it set?

    a) I think you have Mixed up the dates. Generally when you assign a Master warranty Number to a piece of equipment or FL, then You enter the " Warranty start date" field. The system will indicate a error if you enter the warranty end date. The warranty end date is calculated based on the warranty start date plus the period entered o the warranty master.
    b) Nothing more is required. Just tie the item to the Warranty counter based on business needs.
    c) I am not sure what you are referring to here.

    We have CRM as our front end system and ECC as the backend system where the billing happens. We need to implement Vendor Warranty Claim Management

    1) How can the same object(reference object) have both customer and vendor related warranties?
    2) As per the SAP help document As soon as there is an agreement between the vendor and your company about the reimbursement, you use an action to automatically generate a debit memo subitem for the warranty claim item
    Hence does the Warranty Claim document create a debit memo request in SAP ECC? where the vendor can be billed?
    Please advice.

    Below are answers.
    1) Do we need to create service confirmation? we plan to create the outgoing warranty claim document from the service order?
    The standard way is to create service order ->Confirmation-> claim. I am not sure whether your requirement can be fulfilled.
    2) Can you please paste screen shots with regards to maintaining customer and vendor warranties at the object level
    I can't do this as my project assignment has changed and no access to that system. However, you can check at the assignment block 'Warranties' in the object over view page. Insert (add)
    3) Do we need to map the vendor as the customer in SAP ECC since once the warranty claim document triggers the debit memo request the same would have to be billed
    I am Not sure.
    4) How does the vendor get determined automatically in the outgoing warranty claim document or the same needs to be entered manually?, as per the video below post creation of the service confirmation when the outbound warranty claim document is created the vendor appears automatically
    For this to happen, you have to create Warranty check profile and assign this profile to claim document. The path is: Transactions->settings for service profile->define profile for warranty check.

    Hi there,
    When you mean warranty, where is that updated in the system? In any master data or Z table?
    Usual practise is basing on the serial num of the material. From the serial num, users will be able to back track from which sales order this material is initially delivered to the customer. The info is stored in standard tables (for eg EQUI)
    One way of doing this is to define a 100% discount condition type in your pricing. Thsi discount will apply only when the customer is in warranty. For this you will need to write a code in teh requirement routine for that condition type in V/08. If warranty is stored in a Z table, then call that Z table & compare it with your sales order. If yes, only then 100% discount will apply & repair cost will be zero. Else, repair charge will be billed to customer.
    It depends how your business will monitor repairs. If they raise a service order, then you will need to define a service pricing procedure in which you will include the 100% discount. In this case service order is always referenced with ref to a sales order.

    There is a scenario where a company receives complaints from a customer post project execution. It is a manufacturing co. where some items are inhouse manufactured and some are supplied by vendor. On the vendor supplied items, there is a back to back warranty with both the customer as well as the vendor.
    Can anyone help as to how the Vendor warranty should be treated in SAP? The problem is that the vendor supplies the item directly to the customer without the GR being done in the company itself. In such case, is it recommended to create a Service Notification in SAP for items having Vendor Warranty. In case it is a repair, it is processed by the co. engineers but in case of replacement, the vendor will supply the replaced item to the customer.
    How to treat this scenario in SAP?

    I have a query in SAP Customer Service module.
    Requirement
    Line item 1 in Contract : Equipment (material)
    Line item 2:                   Extended warranty.
    Equipment portion is posted to revenue account (Revenue recognized as soon after billing)
    Extended warranty portion is posted to deferred account.(Revenue should be recognized(VF44,Vf45) later when extended warranty period starts: billing plan)
    Now, at the moment of sales exact installation date is not known, but warranty period should start from the actual date of installation(in future).
    Ones the actual installation is performed at customer site my first year warranty period should start &  extended warranty period should be revised as per revision in first year warranty (free warranty)
    Main requirement is to update Warranty date in contract, equipment master as per actual installation date, so that the equipment will be covered under warranty.
