Work item Inconsistancy in Inbox

Hi all,
In one of our material master workflow scenario, there was a problem due to changed password of WF-batch. Hence workflow has come to a hault.
After the new password was known, we used synchronize password option and the workflow started working.
We have come across a scenario where user receives a work item notification inwhich material mentioned is say "ABC" , however when he executes work item, a different material say "XYZ" is shown.
I have checked the container thro' workflow log and in log it shows a material "XYZ" instead of "ABC".
I am not able to guess how this material is there in worklfow when it was sterated with material "ABC"

(<b>Note:</b> Workflow was started before WF batch pasword was changed. Then due to password problem workflow was not in working condition, and afterwards, WF =batch pasword corrected and workflow functioning was resumed.)
Is my problem also related to asynchronous data clearing?

Have you checked, if the workflow was originally started for ABC and the container got mixed up or if it ought to be XYZ all along?
Was it just that one time that the workitem says ABC in the description but is actually working for XYZ?
Might be a problem in refreshing. Can the error be reproduced?
I ran acroos someting similar once and had forgotten to refresh a data element in my function module which was used in the workflow. Might be a possibility too.

    Within a workflow I have a loop. Inside that a foreground step is executed. Then a condition step is executed to decide if the workflow should continue, stop, or return the work item to the inbox.
    This new workflow was modeled after an existing workflow that is doing just that. Unfortunately, this new workflow is not returning the work item to the inbox. Instead, it just keeps displaying the screen that is called by the function module that is called by the business object method that is executed when the foreground task runs.
    I've included a Word document with further detail in a number of screen prints. Hopefully this is something that will experience workflow developer may have seen before and know how to correct.
    Unfortunately I have done very little workflow development and don't have a clue what might be causing this problem.
    Any help would be greatly appreciated.

    As per your design, If you are approving or returning, the workflow loops back to the step "Approver - stat key approve".
    Suppose you are one of the approver for this step ""Approver - stat key approve" and if you click on approve or return, then it will try to create a new workitem for "Approver - stat key approve" step.
    As you are one of the approver again, the window opens immediately instead of reaching the inbox of all other approvers.
    Include a dummy activity step in the "approve & return" condition outcome.
    Active the workflow & refresh the buffer SWU_OBUF.
    After this, when you click on return it will not open the same screen again. Instead it will be reaching all the approvers' SAP inbox.

  • Getting the 500 Internal server,while opening the work item in Portal Inbox

    Hi All,
    When a transaction is submitted by an employee. It routes to the manager approval through work item. In the Portal Inbox of the Manager he could find the task to approve. When he clicks on Task we are getting an Error as 500 Internal Server error.

  • Get Accept & Reject Buttons only on click of work item in sap inbox

    ALL
    I have a issue.
    I have created a form in module pool which has a certain set of feilds. I have placed two buttons in the form namely " Submit " & Update. When ever the submit button is clicked in the form the form which is an attachment goes to the respective approvers for approval.
    Issue : I have not placed any Accept or Reject Buttons in the form, I want these buttons to get displayed when the form is displayed in the SAP inbox of the user.
    I am not aware of the process, that how the Accept & Reject buttons appear when the form is used for approvals in the workflow.
    Can any one suggest me the process, that how do i use these buttons while displaying when the work item is clicked in the users inbox but not when the form is intially filled.
      - The approval or Reject buttons should not get displayed when the user is initially filling up the form.
    -  The Approval or Reject Buttons should be displayed when the work item is clicked in the sap inbox of the user, instead of update & Submit.
    On click of the work item - the accept & Reject buttons should be displayed but not the Update & Submit and this should be displayed only when the work item is clicked.
    Kindly suggest me the way how to get that ..if possible some peice of  code would also be good.

    Hi Shanky,
    You can create two module pool programs for requirement.
    One is for trigger the workflow and other one is to get the approval.
    For the approval, create a dialog method and call the screen using call transaction.
    So at run time when the user clicks the work item it will display the Approver screen. under Approve or Reject button you have to call the function module, SAP_WAPI_COMPLETE_WORKITEM to complete the work item.

  • How to forward a work item from user inbox

    We are trying to find a way to remove work items from a users inbox. the workitem has not been opened
    and also it is possible that the work item is in more than 1 users inbox.
    we want to remove the work item from only the 1 user and leave the work item in the other user's inbox.

    U can see the workitem of the user by the table SWWUSERWI giving user id.
    select the workitem id.
    Go to the transcation SWIA.
    Forward the workitem to your inbox.
    This will not appear in user inbox anymore

    it seems that i am facing a differnt problem like i am able to get the notification mails and work items. However i am getting 3 notifaction mails and 3 workitems to my out look and inbox consequently..

    Hello,
    Does it happen all the time? Does it happen with more than one workflow?
    The fact that they disappear would suggest they're coming from the same workflow. Check SWI1 to see if there is more than one workitem. Check the workflow log to see what the real problem is.
    Is it possible the workitem was forwarded on?
    Please let us know the solution when this gets resolved.

    Hi Jonathon,
    in our last project, we faced the same problem and resolved it with a standard notification CO:
    - we put a notification CO (+ action) in front of the action you mentioned (that one that generates the UWL's workitem and provides the CO for manual processing)
    - the notification's addressee will be the current processor, who is also the guy to do the manual processing
    - the notification email contains a link to the process' current workitem, which is the action you mentioned (e.g. a webdynpro form or whatever the manual processing is)
    The result is, that there will be an automatically sent notification, followed by the normal manual processing. And our client was happy to be able to customize every single email.

              i would like to know wat are all the settings required for sending an external mail when a user recieves a work item. i think it can be done by running the program rswuwfml .but wat are all the settings required to be done before running the program .....

    Though I cannot comprehend what you are trying to get at or say I will, attempt to set the record straight.
    Yes I have said that on another thread. I am not asking for points anywhere, I am happy to receive and happier to solve someone's problem.
    The issue with this thread is the author obviously has not bothered to do any investigation. I am not for spoon feeding just for the sake of some points, I am willing to help those who do some bit from their end as well who encounter a genuine stumbling block.
    My reference to "reward" was with a bit of sarcasm, if you know what that means.

  • Problem with executing work item from the inbox

    Hello All,
       I'm able to send mails from R/3 to Outlook along with the attachment to execute the work item directly from the outlook.
    However upon clicking the Exectute work Item.sap file I get an sap gui popup with the description " Not all data for SAP  GUI shortcut is available. System description and GUI start parameter are unknown. Entering the missing data."
    Clicking on the OK button, leads to another window for SAP logon details. After I chose the right system and on Clicking OK, it opens up the logon prompt. Entering the logo info opens up the work item correctly.
    We are on ECC 5.0 with SAP GUI 640 patch level 18 on it. Any suggestions about what am I missing to directly jump into an sap screen provided a session already is open in SAP.

    Hello Uday,
    Sounds like something is wrong in the SAPLogon <i>on the client PC</i>. The system sends out a shortcut, and when it's opened it does not relate to a unique entry in the saplogon. Either it's called differently or you have two entries for the same system with different parameters.

    i  know difference in mail  & workitem.  and check also outbox.
    my Workflow purchase officer got mail and workitem both.he is click on workitem. then he is not check the confirm  button. he is back to inbox.
    not before confirm check box disappear on workitem in inbox.. then after check the check the disapper in workitem.

  • Error while opening work item in Inbox sbwp for verifcaion of right invoice

    Hi,
    I am working on SAP workflow with IXOS.
    I faced  a problem in opening the workitem when it came into the inbox.
    In nomal scenario when i click on the workitem under workflow folder in my inbox, it opens the attached document in document viewer, i can see the attached document ,and after verifying it ,i can furher process it.
    But now when i click on the work item in my inbox it directly takes me to the next processing window, without opening the attached document for my verification, so i am unable to check that i am processing the right invoice.
    Please help.

    And also the problem generally rise in afternoon.

    You have to check the Workflow Log from Tcode SWIA.
    There can be hell lot of reason.
    First you check the agents in Wflow log.

  • Single work item in the Manager's inbox for weeks times

    Hi all,
    I am sure lot of people might have faced this issue.
    Currently we are on EP 6 SP 20
    R/3 4.7
    MSS B.P 60.1
    <b>Scenario</b>: Employee enters times in ESS through CATS. MAnagers ened to approve time
    WF assigned to CATS: 20000460
    <b>Issue:</b> Every time an employee saves his time ( CATS profile set to release times on save, a work item is triggered and the manager sees 5 work item for each mployee for the 5 days. Manager sees too many work items in his inbox. The employees have been advised to save times on a daily basis.
    <b>Possible solutions</b> Define cats profile to release the times manually. In that case the employee will have to release the times every Friday. We doubt that employees might forget to release the times and hence we want to use release on save for CATS profile.
    <b>Question:</b> IS it in any way possible to trigger only one work item for week rather than 5 work items even when having release on save opition selected for the CATS profile.

    I am executing work item from sap inbox  it will calls the z modulepool screen. Hear I have 3 options. Approve, reject and cancel.
    If I want press cancel I want keep the work item in inbox in same user.
    For that what can I do .
    If I use the FM u2026SAP_WAPI_PUT_BACK_WORKITEM how do get the work item ID into z screen (zprog).
    Or if I redesign the workflow with loop to same use. How can set the loop.

    You can pass the workitem through binding and execute the FM you have mentioned.
    &_WORKINGWI.WORK ITEM ID&.
    If this container is not available you can get the Instance Id which you will surely get and go to
    SWWWIHEAD Table
    Provide the Instance Id as TOP_WI_ID
    WI_RH_TASK will be the activity task that calls module pool
    WI_STAT as <> COMPLETED
