2 up postcard w/ data merge
I can't figure this out.
I want to create a double sided 8.5 x 11 sheet that has two 5.5 x 8.5 postcards on it.
One side would be the front of the card (same image / no data merge) and the second side I' be data merging the mailing address.
I have no problem with the data merge, and if I create it as a single page document of only the back page I'm able to do mutiple records and make the 100 different post card backs.
But i I try to create it as a two page document with the 1st page the static image, it doesn't allow me to choose the option of mutiple records....
I've been frying my brain trying to figure this out and it seems like it should be so simple.

I was running them through twice (once a double sided static print and once with just the mailing addresses) but I print anywhere fromm 2000-4000 postcards a week (usually around 10 - 15 different post cards at 200 each) was thinking i would save time and wear and tear on the printer if I could do it i one shot

InDesign Data Merge using password protected PDFs?
I am trying to print postcards with Data Merge and I've run into a problem. The source files for one of the images are password protected PDFs. They all use the same password, and I do know the password, but InDesign wants me to enter the password every time it processes a record.
If I'm printing 10,000 postcards, I would have to enter the password 10,000 times to make my merged file!
Does anyone have any suggestions? Is there a way to enter the password once and, maybe hold down [command + option + control + kitchensink] or whatever, while clicking "OK" to apply that password to all future password dialog boxes? Is there a script I can run that could automatically enter the password?
The original source PDFs need to keep the password protection, so removing the security en masse isn't an option. Making non-secure copies of all the possible PDFs that could be used seems really unwieldy and would take up a lot of network storage resources, so I really hope there is a more elegant solution out there.
I'm using CS5 on a Mac and I would LOVE it if anyone has any suggestions at all on how to fix this. Thanks!

The easiest way to get the correct path is to manually place one of the images, then go to the links panel, right-click on the image name and select Copy Info > Copy Platform Style Path. -
How Do I get data merge to work without creating duplicate pages in a single page native file?
I've called Adobe about this and they indicated it was some kind of setting that needed to be changed in InDesign, but wouldn't tell me how to do it unless I paid for an "incident pack" and talked with technical support.
Problem: I have a single page document in InDesign CS5. It's a direct-mail postcard with large high-res images and complicated graphics on it. I want to merge a list of recipients names/addresses from Excel with this single-page design. Excel document has 2,000 names in it.
I successfully create the merge using InDesign's data merge feature, but it creates a new InDesign document with 2,000 pages in it. Each page is a duplicate of my original file, but with different addresses on each page. Because of the multiple records and the high res images it has created 2,000 duplicates of - InDesign crashes. It also took about 4 hours to do the merge.
There has got to be a better way to merge data w/o it created the same page over and over again.
I can't make a pdf to solve this problem becasue I have to work with an in-house printer and they do a poor job of printing from pdf. So, I always send them native files. This printer does not have variable data software. However, if that is the fast and easy solution to this problem - I will force them to purchase it.
Any advise or solution to this problem would be appreciated. Is there a setting in InDesign that needs to change so it doesn't repeat the single page design 2,000 times and cause InDesign to crash?
Thank you.That's exactly how Data Merge works. If it's on the page, it gets duplicated. 2000 records is a lot, so I'm not sure if the images or the sheer number is what's slowing things down.
One thing you can try is to moove everything EXCEPT the merge placeholders to a master page, then assign the [None] master to the page with the placeholder anbd do the merge. Change the master to the one with your static content after the merge. That might speed up the merge, but it won't do anything for the file being 2000 pages that each has to RIP for printing. The best way to deal with this is to find a printer who can do VDP printing and give him the template file and your data file, and let him do the merge in the print stream. -
Search for a string in Data Merge, then change the font color
I'm working on a postcard-style invitation with the addresses on the back. So far, I've finished the invitation and the mail-side template with a Data Merge to a CSV file successfully. Now, as part of my design, I want all of the letter "b"s on the mail-side template (Data Merge) to be yellow. Using JavaScript is this possilbe? This is what I have so far, but something is wrong:

After setting preferences you need to call changeText() method, like
myDoc.changeText();
or
myStory.changeText();
But this is a static solution.
You could use a dinamic solution by define a proper characterStyle and take advantage of nestedGrepStyle in style applied to this part of your design.
So each character "b" could be applied with your characterStyle automatically, no need to run a script.

We are planning to run 10-20,000 pdfs a run through an indesign template that has 40 or so variable fields and 3-5 image fields. We have the csvs with all the variables mapped and ready. So far we have tested a 100 at a time.
We have a Pentium 3GHZ, 8GB RAM machine.
Does anyone have experience with Data Merge at these sizes? We would like to go directly to PDFs rather than Indesign files.I have done comparable Indesign data merge projects with a comparable Intel Mac and would never be able to complete with one merge. I broke the file up into sections of a 1000 for a total of 2000 pages (fronts and backs of a postcard) which worked efficiently for me. I also had to create an ID doc first, to fix overset type issues, which prevented exporting direct to PDF. I would suggest direct to PDF with the following: You do not need to tweak the doc, and the digital press/RIP you are using supports PDF XObjects.

Data Merge with InDesign doc that's 4up
I've just experimented with an InDesign document that we want to print 4 up (postcard) and we'd like our addresses to merge and print in the mailing area. When I've tried it, however, it's putting the same address on each of the four cards. Any way around this? The only thing I can think of off the top of my head is to split my excel address list into four equal groups, name them each a different name (addresses 1, addresses 2, etc) and then add the merge information for each doc on each on of the cards.
Doable? or no?
SusanUnfortunately, the designer before me (I work at a print shop) lost the manual. I've searched the web. I've followed the instructions in InDesign help and also Excel help. I've tried numerous times to do this, changing different parameters hoping that it will succeed. As for putting only one placeholder on the page, it's not cost effective in printing to print a postcard one up on a digital printer. Tons of wasted space. FYI... data merge may be new to me, but no need to be flip about your response. I've been a designer for over 27 years, certainly no newbie.

Data merge - multiple records per document
I am trying to do a data merge to have 4 addresses per page. I have my main page setup with the merge fields. When I select create merged document, the "records per Document Page" drop down is greyed out. I cannot select multiple records.
What am I missing?

PhilI guess I still do not understand how this works. I would like the multiple addresses to print 4-up on a page so that I can cut a letter size page in to fourths for postcards. The attached image shows my main document.

I've done this before but I only do it about once a year so I'll be damned if I can remember how to do it. However, I think I remember... does this sound about right?
I'm doing 4 up postcards on an 8.5 x 11. I have one postcard in the upper left with text boxes in the address area.
I linked up the excel document. Then I'm going to grab from the Data Merge panel "First Name" and drop it into one of the text boxes, then grab "Last Name" and drag into one of the text boxes, etc, etc. Then, I'm going to hit "Create Merged Document" and set it for "Multiple Record Layout"... but heres where I'm getting stuck. How do I tell it to do 4 up? When I hit the "preview multiple record layout" it just kind of shifts the one down and to the right a little but doesnt put it 4 up. Any thoughts?Yes, they will. But I think my "spacing" is goofed up.
The layout is 8.5 x 11 horizontal so each one is 5.5" wide and 4.25" tall (4 up on a sheet). The one in the upper left should repeat to the right 5.5", down 4.25" and then to the right 5.5" and down 4.25" so its in the bottom right corner....

InDesign Data Merge Issues...
Hey all, I'm relatively new to using InDesign, I've used it previously for basic artwork layouts etc, and I'm familiar with Illustrator and Photoshop, but InDesign is something I'm still getting to grips with.
I run a mailing company and we have an ongoing requirement for variable data merging. Software designed for variable data work when dealing with PDFs and high res images is incredibly expensive, and so I figured I could try and make use of InDesign's own data merging feature.
Now I'm fully aware of some of the irritating little issues surrounding this tool, such as the way if you've got two blank fields it only removes one of them, and I also know it used to have an issue where it would pull data through from the next record to replace blanks, but I don't see that happening any more.
There are lots of webpages and forums discussing the blank fields problem, but my problem is currently something else.
I've noticed that some of the fields often don't like to display anything other than the header row, the field name. You drop the field onto the page and create your merge, but when you preview it or publish it whilst most of the fields do as expected and change to show the data, some of the fields do not, they just continue to show <contact> for instance, rather than a name.
I'm at a loss to explain this really, it's not even particularly consistent.
As an example of my problem, I laid out the following address block

<Add4>
<Add5>
<Postcode>
What I get sometimes is this...
<Contact>

If you add the same field again beneath the one that is playing up, the new field will work, but the one beneath it will then play up, so where in the example above it is <Add3> that isn't merging, if I added another <add3> beneath it, I could almost guarantee that <Add4> would then play up.
I just don't understand it, and it's frustrating me immensely.
Ironically I know a local professional printers who are using InDesign for all their digital variable print runs, without issue, so I'm not sure what I'm doing wrong. They are using Macs whereas I am using a PC with Windows 7 Ultimate x 64bit, but I've had the same problem on other Windows version, so is it a Windows related problem, or are Mac users just not spotting this??
Anyone who has ever experienced something similar and perhaps found a solution, please help!!!!!

RichardRikRamsay14 - thank you for your response, the issue regarding blanks isn't really the concern here, I'm aware of this issue, and the remove blank lines works where this is only one blank field, if there's two blank fields then it only seems to remove one. But I can happily work around this by just shifting all my data across. The data source is fine and is not the problem.
Peter Spier - Many thanks for your reply Peter, I thought you might be on to something with this, so I tried opening it from scratch and merging instantly without the use of any previewing, at first I thought it had worked, but when I got further down the merge results I spotted the same problem, field headers appearing where content should be. These instances are not even where the data cell is blank, it just decides not to display the content, but to display the field header instead, it's inconsistent too so it's really hard to analyse to find a pattern.
My layout incorporates multiple text placeholders containing multiple variable fields. I am starting to wonder if this could be contributing to the fault. I have tried just creating one text placeholder, and then using the multiple record layout option to display the other three images (it's a postcard four-up on an SRA3 sized page, with four address blocks). This seems to be less buggy this way, but I have less control with the layout. I'm going to continue to test this theory today, but it could simply be that it can't cope with multiple variable address blocks.

Data merge to pdf - unusual result
No matter what I do, I can't get InDesign to merge the content of my piece AND the data correctly.
My project is simple. I'm making a postcard that is exactly half the size of a sheet of letter paper. There's a .25" margin.
I created the text box that is exactly the correct size that shows where the address fields should be...
When I do a document merge, the resulting .indd file is correct. However, when I attempt the same data merge by selecting "export to pdf", the resulting file is way way off.
See attached files. The pdf doesn't even have two address fields, let alone a mirror of the content.Always use the camera icon to attach an image. This is something that needs to be fixed. I was attaching files via the attach link and FAIK, they never load. Stay queued forever.
When you merge the data you should have a new ID doc. So if your original doc was mydoc.indd, the merged doc should be something like mydoc-1.indd. Export this to PDF. Should work. -
Multiple data merges on one page
I have created a postcard that I need to be sent out to clients. To save money, we have put three postcards on one 12 x 18 sheet of paper. I am trying to put three data merges on each sheet for customers addresses. Is this possible? I can provide an image if necessary.

This is absolutely possible, I do this often for variable data nametags on Avery labels. However, our printer should be able to automatically get this done for you if you are printing this digitally. Our Cannon printers have the capability position files (front and back) 2-up, 3-up, etc. I am sure this is the case for most digital printers on the market. Ask your printer and they should do this automatically, in which case you would build the file at full-size and Data Merge as normal.
Never-the-less, here is how to do it manually:
1. Create your 12" x 18" document in InDesign CC(2014).
2. Drag your postcard art into the 12" x 18" document and create Crop Marks manually for this postcard template art.
3. Position this postcard template art to the upper left corner of the document.
4. Map all of your variables as normal to this one postcard template art on both pages to your .CSV file.
5. In your Data Merge Palette, and in the Drop Down Menu in the Upper Right Corner, select Create Merged Document.
6. Under the Records for Document Page section, select Multiple Records and then at the bottom of the dialog box select Preview Multiple Record Layout.
7. Click on the Multiple Record Layout tab.
8. Adjust the margins and column spacing in the dialog boxes according to your intent of positioning and the specs of the design.
9. Hit OK to have InDesign begin creating a merged document out of all of your list variables.**
**If you want to simply generate a PDF then in Step 5, instead of selecting Create Merged Document, hit Export to PDF.
NOTE: This can only be done with a one-sided design. If you need to print graphics on the other side of the postcard (for mailing purposes of course) you will have to do this process again exactly the same way, in a separate InDesign document and then manually create new pages between the existing front side pages and paste in place, from one InDesign document to the other. -
Data Merge Hanging Up on Import
Hi,
I'm using InDesign's Data Merge to build a catalog from a CSV file saved as .csv with Excel. Every time I try to import the data, InDesign stalls out and then "quits unexpectedly" after about 5 minutes. I can't imagine the data file is too big to import, as it has only 50 or so records now (there will be close to 1000 when the database is complete). Any troubleshooting tips?

InDesign won't even make it to the preview stage, when I select the data source is when the program freezes.
As for the line breaks, all the records are the same length with no split cells or anything in Excel. However, there are cells with no values (empty, not zero). In the .csv that is translating to item A, item B,,,,, Item G and so on, which worked fine before the formulas came along.
I have a lot of logic formulas going on in the Excel spreadsheet to get the values into certain cells. Its actually befuddled Excel to the point of shutdown now, so I'm assuming that if Excel can't handle it then I can;t expect InDesign to fare better. However, in my InDesign catalog I need, on a table row, to have a field with a label displayed for it if there is a value in that field in the .csv, and have no label displayed if there is no value for that field.
For example, if the record has a hooked beak, I need the label to be beak: so the line to read beak: hooked
If the record has no beak, then InDesign would skip that line altogether and go on to the next one. Like so:

<<etc>><<etc value>>
where <<beak>> and <<tail>> are also fields in the Excel spreadsheet, each cell's contents a logical expression based on the existence of a value in the corrosponding beak value and tail value cells. English: "If value does not equal empty, then write beak: , else write nothing." When converted to a .csv, the field's values are preserved, not the formulas.
Does that make sense? And is there a way to do that with InDesign so I don't need umpteen thousand formulas going in Excel? That would pobably solve the clog.

Automatization and data merge in CS3

Let me first sketch the problem. As an organization we publish a weekly booklet with a calendar and information about things about to happen, etc. This is all made in InDesign with a header on the first page (only on the first page), followed by the calendar and then a big text field on multiple pages with all the different subjects (and not in different text fields because it's the only way to be able to add an extra topic without having to move all the fields automatically). All the different topics are sent to us by mail, but it's a very time consuming job to sort them all out and some topics are easily forgotten.
So, our goal is to let people add topics on the server, which returns - when the deadline is due - us a txt file with all the information (title, text, author, email, calendar item yes or no, calendar information, ...) needed. We then tried to use Data Merge to do the job, but this messes the pages up (the header we only want on the first page comes on every other page as well), it's not so easy to make the calendar items separately and instead of putting all the topics in order in the big text field it creates a new page for every topic.
Is there an efficient way of doing this job, or are we overlooking some options to make it work with Data Merge? Thanks!That sounds to be beyond the capabilities of DataMerge. Investigate setting up an XML structure and importing your data

Page Numbers Not Appearing in Data Merge Document?
Hello, hopefully someone can help. I am pretty new to InDesign but learning a lot. I am creating a member directory of about 200 pages (about 2800 records merged from .csv to InDesign 6). Everything is working fine with the merge, except generating the page numbers. I tried adding page number at the bottom of the page to the master BEFORE merging. But if I do that, it greys out the "multiple records per page" option when trying to perform the Data Merge (using "Create merged Document"). So, I tried adding the page number to the A-master AFTER creating the merged document, but the page number is not appearing on any of the pages. There must be a way to do this, can anyone help?
(FYI - to generate the auto page numbers, I am going to the Type-Insert Special Character-Markers-Current Page Number, and placing that within a text field at the bottom of the page. Data merging: how to get multiple records in single text frame?
Hi
I'm experimenting with data merging in InDesign CS3. The biggest stumbling block I've come across is trying to get my records to flow as continuous text in a single text frame (which would, ideally, autoflow onto new pages in the document). The records vary considerably in length, and so I can't just create a standard text frame to repeat on the page.
Perhaps data merging isn't the best way of doing this and I should be learning to script instead. I feel like I'm just one step away, though.

Is it possible to set a text box to auto-resize to fit the content that comes in during the data merge?
I have placed one of my data fields in a text box with a stroke and fill, and placed this as an anchored object in the main text box with the other fields. The problem is that the length of text in this field varies considerably, and I'd like the text to fit snugly within its box. Ideally this text box would not appear at all if the field is blank for a particular record.
I hope I've explained all of that clearly enough. Any ideas?
