3-way match with paper

Hi,
Would like to ask if there's any documentation that suggests 3-way match (PO-GR-IR) in a computer system with the addition of paper as a best practice for checks and balances?

Hmm, an interesting situation. What are the quantities on your purchase orders? Are they almost always a quantity of 1? Payables should only close a purchase order when quantity billed and quantity received is GT or equal to the quantity ordered. So if you order a quantity of 10, you could match for quantity 5 on the first invoice, quantity 3 for the second invoice, and quantity 2 for the final invoice. But since you don't receive the quantity until the 3rd invoice, you cannot match on receipts, so that would be a problem.
Maybe you need to approach this from a different angle? Maybe you should look at the prepayments ability in Payables. Typically Prepayments will be charged to a Prepayment Account (asset). Say you have a purchase order for $10,000. You prepay $5,000 up front, so basically Debit Prepayment 5,000 and Credit Cash 5,000. Same for the next prepayment level - $3,000. Then you get the ordered material received. So you want to do an invoice for $10,000. Match the invoice to the purchase order. Apply the prepayments to the purchase order. Thus you get an entry something like Debit Inventory $10,000, Credit Prepayments $8,000, and Credit Cash $2,000.
From an accounting perspecitive, you don't show the prepayments in inventory until received, but do show a prepayment asset. Which is reflecting what you really are doing I think.
I have never worked for anyone who has had to do prepayments, but this is an area that you may wish to investigate as a possible solution for your situation. Good luck.

    This may be a basic Oracle iProcurement functionality question, but i have been unable to get a good answer. Any information will be greatly appreciated.
    I am currently using Oracle 11i iProcurement.
    The problem I am having is I am unable to perform a 3-way Match in the system on purchase orders that will use multiple invoices. Our vendors require a tiered payment structure (i.e. 50% due up front before shipment, 30% due when item has reached shipment destination, and 10% due after our engineers have inspected the shipment).
    We have been currently using a 2-way match for all of our purchase orders because when we apply the first invoice against the PO (50%), the PO will automatically close before we can receipt the goods against the purchase order.
    Our Invoice Receipt Close % Tolerance and Invoice Close % Tolerance are set at 0%.
    Our goal is to receipt the first 50% against the purchase order, have the PO remain open, and receipt the goods in Oracle after the 2nd or 3rd invoice application against the PO.

  • HT2204 What is the best way to use iTunes Match with two Apple ID's that have purchased content?

    Hello. 
    In my early years of using iOS devices i have unwittingly made the mistake of creating a second Apple ID for my second device.  So now i have two Apple ID's with purchased content associated with them. 
    I have turned on iTunes Match with the account that has the bulk of my music linked to it.  But my second account has maybe 150-200 songs (and lots of apps) that i really like and don't want to loose.  Activating iTunes Match for the main account wiped these 150-200 songs off my iOS devices and replace them.  Is it possible to have content from both my apple id's on my devices at the same time?  Is it possible to combine the content from both of my accounts?

    I'll try to help a bit.
    ITunes match space is different to icloud space. With iTunes match you get storage for 25,000 non iTunes purchased tracks and other than a limit for individual file size, there is no memory limit.
    You can turn match on individuallyon each device (I have it turned off on my iPod but turned on on my iPad and iPhone). When you turn it on then you get access to all the tracks, and in my experience any playlists I create have transferred over very well. I understand that some people have had trouble with playlists though.
    I'm not quite clear with exactly what you mean regarding cleaning up your library, but be careful about using Match for this. There is no guarantee that matched songs will be exactly the same version as your own copy, due to some mismatches, so you could find some problems there. Personall, I am cleaning up my library before matching, but I am rather particular about keeping my library the way I want it. If you aren't as fussed then match could be the answer.

    i am new to AP and would like to clarify the following
    what does the following combination mean ?
    Invoice matching option = PO and 4 way matching.
    Does it mean: invoice is matched against PO with out giving consideration for inspection and Delivery quantites ? because with 4 way matching, inspection, delivery are also matched, isnt it ?

  • GL - Balances do not match with sum of Items

    Hi,
    I have a requirement in which I am pulling opening, closing balance and a list of all transactions (or items ) on a daily basis from GL to a flat file, and then loading in a third-party tool . Now, the issue is sum of all items (gl_je_lines ) should match with the diference of closing and opening balances.
    I reconcilied the items with Oracle's Journal Report. Items are matching.
    I also confirmed that closing balance of previous day matches with the opening balance of current date.
    But, ( closing balance ) - (opening balance) does not match with sum(items)
    I am using gl_daily _balances for opening and closing balance.

    I am not using GL_INTERFACE. The tables I am using for Daily balances are:
    gl_daily_balances
    gl_code_combinations
    chart_of_accounts
    And for the items, I am using gl_je_lines, gl_je_headers.
    Also, I am interested in Entered Amount in GBP as the Functional Currency is GBP and there are many transacitons in different foreign currencies.
    More updates : I found that I have calculate the Entered Amount in GBP from all Converted/Transferred/Entered amounts in different currencies.
    So, I tried the following :
    (Select Sum(end_of_date_balance)
    from gl_daily_balances
    where Currency_code = 'GBP'
    and currency_type = 'U'
    and accounting_date = sysdate -1 --Opening balance
    MINUS
    ( Select Sum(end_of_date_balance)

    This way, I got opening and closing balance, but still the differernce between opening and closing balance is not matching with the sum of Items.

  • LASERJET P2015-PROBLEMS WITH PAPER FEED

    We have a HP LaserJet P2015 in the office.  When the paper reaches the halfway point, the printer makes a horrible sound and will not feed the paper.  Anybody have any suggestion?

    So, I cranked up my old PowerBook G4 (OS 10.4.11) which has the older driver for the P2015dn and the problem remains.
    I have made some progress: If I want to print with paper feed from Tray 1, I pull Tray 2 out a few inches, load the paper in Tray 1, start the print job, and the yellow Attention LED flashes indicating an error. Note that the Paper Out light does NOT come on. So I press the Go button, the Attention LED goes out, and the print job completes using the forms in Tray 1 as desired.
    So I'm thinking now, What Error condition? and why does clearing it make it print?
    Certainly seems like a hardware problem to me as this is NOT the way the printer is supposed to work as documenetd in the User Guide.

    we are in a big mess.Needed your help urgently
    We are in sap netweaver 2004s.We are implementing the standard business content only for one of our client.We have loaded the Inventory data into BW by following "How to handle the Inventory Management" document.
    We have loaded the inventory data into 0IC_C03 using standard transferrules and update rules.
    The sequence we followed as:
    IN R/3
    Filled the setup tables for during the posting free time(non-business hours)
    Stock intialization
    Material Movements
    Evaluations
    IN BW
    We had loaded the data into only 0IC_C03 cube using standard update rules(no changes done)
    2LIS_03_BX-Generate intial stock with no marker update unchecked
    2LIS_03_BF-Full update with no marker update checked
    2LIS_03_UM-Full update with no marker update checked
    When we compared the data between R/3 and BW they are many materials "Valuated Stock Value" is not matching with R/3.For some materials value is matching with R/3 but for some other materials its not matching with R/3.Some materials are showing the negative figures for Valuated Stock Value.
    But the valuated quantity value is exactly matching with R/3 for all the materials.
    We have tryed to many ways in the past 10 days to find out the solution.We have followd the notes 589024 and implemented the formula.But no luck so far.
    Needed your help..Any suggestions would be highly appreciated.

    a)I would like to know does  SAP system have any standard report which have the information of 3 way matching report from PO up to payment in AP module?
    b) I have find one report using T-code:FBl1N (vendor line item) is able to display the report with information of invoice,payment and there is one field purchasing document in the report however this field do not have any po number refer to the invoice.
    I would like to know what the field purchasing document mean for (i.e what are the information capture on the column purchasing document)?

  • Is it mandatory to perform PO receiving for a 2 way matching Invoices in 12.0.6?

    Requirement :
    Supplier would send everyday some files with respect to the quantity delivered..This delivery would be ad hc and without against any PO#...Invoicing needs to go via a PO.
    Solution porposed :
    a) Create a Inventory Org for that specific vendor
    b) Create Misc receipts for the items sent based on the file received
    c) Create a 2 way match PO
    b) Create an Invoice and pay the vendor.
    Let me know if you see any loopholes with this solution.

    2 way matching in any version is between Qty Ord and Qty Billd.

    check f101 - tab parameter, flag Change recon acct.
    f101 carries out postings or gives you a simple list to determine all the open items with changed recon accounts.

  • GL balances are not matching with Fixed assets ledger

    Hi,
    Please suggest me regarding this...
    The issues is:when the legacy balances are uploaded in to sap there was the mistake.3 assets were entered twice(once in asset class 1250 & once in asset class 1300).It causes the GL balances are not matching with Fixed Asset balances(GL is less than FA).so now the client is asking to make manual entry by removing the recconcilation account settings and post manual entry then keep the reconcilation account as usual.They wanted to reverse the accumulated depreciation for the above 3 duplicated asssets for year 2007 & 2008.
    How can i achieve the below:
    1.GL balance was not equal (i.e lower) to FA ledger even at the time of go live(FI is lesser than FA)
    2.For this i need to post one manual entry in FI-GL with the GO-LIVE date.is it possible? suggest me how to post?
    3.After that i need to reverse the accumulated depreciation for the above 3 duplicated assets.how can i do this?
    4.After that i need to remove the above 3 duplicated assets,how can i?
    Please help me by giving your thoughts regarding this

    Hi,
    It is possible to post the adjustment entry from go live date provided you open the posting periods for the pervious year. (However this approach is not recommended for the following reasons - you have closed the books and must have published the results to local authorities. Adjustment now in the past year can cause some trouble from auditors etc. Secondly you are adjusting the GL balance for the last year, so you will have to complete the period end and year end closing for GL balances. So avoid kindly it)
    For your problem - Go to transaction code OASV and post adjustment entry for the current period. Also check if your field status of assets contain field for shutdown of assets. If not change your field status accordingly. Once adjustment is done you shutdown the asset so that it does not post depreciation in future depreciation runs. (this will cater to your need of eliminating the assets. If you retire the asset then you will have to deal with gain or loss on retirement of an asset. If you can accommodate this entry, then you can use this figure in the final adjustment entry.)
    Or Go to transaction code OAMK and set the recon account to post the adjustment entry.
    Reversal of depreciation is not possible in SAP. So the only way to reverse the accumulated depreciation is by changing the recon account or using OASV, and passing adjustment entry.

    We wan't to use 3-way match, but when an invoice is fully matched with the po we want
    the status of the po gets closed. Now it's still open untill you do a receipt for the po.
    We need the QTY REC matchinghold to send the invoices for approval if the
    receipts is not available before the invoice is matched with the po.
    How can I set this up?

    you are correct. That functionality is not available in iprocurement

    Here's a step by step document on how you could use the Java PAPI using JDeveloper 11: http://www.4shared.com/file/126507332/e814a3a8/CallingPapi.html. The Oracle BPM project I used for this step-by-step document is also in this zip file. If you're curious, this also describes how to download, install and start JDeveloper 11.
    In this example, you could create a new participant (e.g. "remotePapi") for PAPI session. On Enterprise you are actually creating the session to connect to the Directory Service and not a specific process or Engine.
    This is not formal Oracle documentation, but I know that getting PAPI to work is sometimes a challenge and thought this might help. I tried to write it with the "Java Newbie" in mind so do not panic if you aren't an expert in Java (I'm sure not ).
    This is a simple example that uses most of the logic found in the PAPI documentation on http://download.oracle.com/docs/cd/E13154_01/bpm/docs65/papi/index.html?t=modules/papi/c_Head_PAPI.html in the "Writing Your First Java PAPI Program" section of this document.

    I have a similar example of how to do this using PAPI-WS using SOAP-UI. Instead of using SOAP-UI, it could have been any outside environment that could invoke web services.

    I have a problem with the error "LANG_LIST has some locales which does not match with the locale of serial number" recurring.
    I am trying to install Acrobat XI Std silently by SCCM.
    I've used the Adobe Customisation Wizard to create a mst which include the volume serial number we have with our licence purchases. Note that I am in Australia. I use the command line in SCCM for the install as "msiexec /i "AcroStan.msi" TRANSFORMS="D&B_AcroStd.mst" /qn" which fails silently. If I install on a local machine using an admin command prompt and changing to /qb at the end, I get the aforementioned error.
    I have a few things to try and resolve, having searched the adobe forums and other forums for the solution. The mst is only trying to install US English & I have even gone so far as to use the direct editor in the customisation wizard and change some values in the property table to resolve this. In the property table I can confirm that LANG_SEL_DEFAULT = ENU, REGIONAL_LIST = ENU, LANG_LIST = en_US, ProductLanguage = 1033
    Is there a way to check the language specified for ym serial number?

    Thanks for the location, I've downloaded and then when I tried an install of the newly extracted msi (admittedly on the same computer) I got exactly the same issue. Of note though is that running /qf automatically brought up the same serial number and the same incorrectly spelled company name. Installing on another computer (freshly imaged) doesn't have those inputs already present under /qf. Next when I try using the transfrom (a new one) with /qr it gives an error of the serial number, displaying the entire serial.

    I've had a look through yours and it seems our issues could have the same origin. Looks like I may have to call customer support regarding the serial number as Sabian suggested in your thread.
    The bit that gets me is when the same serial number is used in a manual install (or /qf) then it installs ok without any errors.
