Adding a shared mailbox in OWA

Is there a way we can add a shared mailbox in OWA as an additional mailbox along with primary mailbox just as we do in outlook ? Please suggest.
Aditya Mediratta

Based on the screenshot, looks like you are talking about Exchange 2010. You can not open two mailboxes in one OWA page, you can open it from Open other Mailbox button which shows up when you click on the mailbox name right top corner or via https://mail.domain.com/owa/[email protected]
address if you have permission on another mailbox...

  • Adding a shared mailbox to a user's Outlook profile, who has reviewer rights only, via PowerShell

    Hello Everyone,
I'm working on trying to create something like a knowledge base for my company, and what I'm trying to accomplish is to create a shared mailbox on 365, add users to have read-only rights to the Inbox (which I can achieve via PowerShell) so they can't delete
the articles, but it seems that by just adding Reviewer permission to a user, it doesn't force the mailbox to open on the end-user's Outlook profile - it only seems to automatically populate if I go through the exchange admin console and allow Full Access
    through User Delegation.
Is there a way, via PowerShell, to open a shared mailbox in a user's Outlook profile?
    Thanks for all the help!

    Hi,
We can create a PRF file that modifies the existing Outlook profile to add the shared mailbox.
Please have a look at this thread which discussed a similar issue:

    Hi,
Our Exchange 2013/2007 coexistence environment is set up and all is working apart from this:
Mailbox A has full permissions to Mailbox B. Mailbox A is migrated to Exchange 2013, but Mailbox B remains on Exchange 2007. If I login to Outlook Web App 2013 as Mailbox A and then "Open another mailbox..." and select Mailbox B, a new window opens
up saying "HTTP 500 Internal Server Error". The URL it is trying is :
    https://webmail.ourdomain.com/owa/[email protected]/?offline=disabled
( I can open Mailbox A in Outlook 2010 and do "Open Other users's folder.." and Mailbox B opens up just fine. )

    Hi Ansev,
    Thank you for your question.
By my testing, user who was migrated to Exchange 2013 cannot access mailbox on Exchange 2007 with 500 error, although user account have “Full Access Permission” to mailbox on Exchange 2007.
I suggest we migrate account which has “Full Access Permission” for other user  to Exchange 2013.
If there are any questions regarding this issue, please be free to let me know.

  • OWA continuously prompts MailUser user when saving appointment for shared mailbox

We have a number of users of type 'mailuser' who are granted full permissions to shared mailboxes. If a user of mailuser usertype does the following, they are unable to save appointments to the shared mailbox's calendar. Outlook Web App will
continuously prompt the user to re-login. The functionality works in IE but *not* in FireFox (Update v28.0) and Chrome - I know probably beyond what can be fixed server-side but never hurts to ask.
    Steps to reproduce:
    1. Mailuser user is granted full access to a shared mailbox.
    2. Mailuser accesses shared mailbox in OWA at https://mail.myorg.com/owa/[email protected]
    3. User goes to the Calendar within OWA and double-clicks a timeslot to add an appointment. After appointment details have been entered, click "Save and Close"
    4. Outlook Web App responds with a login prompt (same as initial prompt) and the user is unable to add the appointment - can't re-login via the prompt using the mailuser username and password.
    Thanks.

    Hi,
I have tested in my Exchange 2007 environment with IE. I can user mail user's credential to access shared mailbox can add appointments perfectly.
Please make sure the shared permission is set to Full Access instead of other mailbox permission. Also confirm the web browser for OWA access is a supported browser with OWA premium. If the issue persists, pleae remove the mailbox permission then re-add
it back to have a try.

  • Shared mailbox shows emails and subfolders of the users mailbox in Outlook

After We migrated the Exchange from 2010 to 2013 any shared mailbox has been migrated  is showing the inbox and all the subfolders from the user's mailbox in Outlook, instead of the shared mailbox content.
note: if we create new shared mailbox it works fine without any issue.
We have tried to removed full access permissions and re-added full access permissions, disabling AutoMapping and then added the shared mailbox manually in Outlook and that works fine but it is not a solution for us as we have 400+ shared mailbox and
we cannot do it for every user have access on each shared mailbox.
    any ideas.
    Ayman Saleh

    Hi,
Please check if this issue persists in Outlook online mode.
After you remove the full access permissions, the shared mailbox will disappear from Outlook automatically. When you add the full access permission then, the shared mailbox will appear again in Outlook. There is no need to add shared mailbox manually.
Please remove the full access permission and then re-add the full access permission. This time, you can make use of the AutoMapping feature to check if shared mailbox display properly.

  • Outlook 2010 shared mailbox in cache mode not updating Inbox automatically

I have a user who has XP on his desktop, running Outlook 2010, connecting to a Exchange 2010 w/SP2.  I recently added a shared mailbox for him to monitor. I did it the old way by adding additional mailbox to his client (outlook 2010) pc.. I understand
now  that in 2010 SP1 or greater that you can simply do this from the exchange server by granting full access permissions.  Either way, the user sees the mailbox and gets email in the shared mailbox ONLY when he clicks on the inbox and
clicks on Update Folder. For some reason it is not auto updating new email. His personal account works fine, meaning when a new email is received it comes in and you see new mail.  The account is in cache mode and I've looked at other shared
mailboxs that are working fine and the settings look the same? I'm not sure why this shared mailbox is not updating?
    William McConnell

I can see this is an old thread but I have a relevant question.
This workaround does indeed work but what else is possible to do? The cashed mode is more or less necessary when working with large shared mailboxes.

  • User mailboxes have more server-side rule options then shared mailboxes?

I was hoping to set up some server-side rules to keep a shared mailbox clean.  The goal was to have some rules to move incoming messages to specific folders based off words in the subject.  I opened the shared mailbox in OWA and found the action
of moving the message to a folder was not available.  At first I figured that's an action that's only available in a client-side rule.  However, I then found that in my user mailbox that action is available server-side.  It would appear there
are a number of other action that are available server side to user but not shared mailboxes.
Anybody else notice this?  Is this a bug?
Single Exchange 2013 SP1 server - nothing fancy.

    Hi,
I have a test in my environment using Exchange 2013. We can use two methods to create rules in OWA. When I open shared mailbox via OWA to create rules, only one way is possible. I recommend you use this way to create rules in OWA and check the result. Here
is the detailed steps for your reference.
Click Setting icon (on the right corner) -> Options -> organize email -> New
    Hope it helps.

  • Outlook 2010 Shared Mailbox Outbox Send Immediately Issue

    Hello,
So we have a weird problem tat we have being trying to diagnose for a while and I think that I have finally got to the bottom of the problem, just now need to find a solution.
We have a shared email email account. This is set up as shared mailbox in exchange (2010) with Full Control and Send On behalf of privileges given to three users. Each of these users has added this shared mailbox
as a second account to their outlook (2010) profile.
The Problem we have appears to be two fold. For some reason emails are not sent immediately for this account even though this is value of the setting in outlook. This puts an email in the shared mailbox outbox. We then have a race condition where by the
first user of the shared mailbox whose outlook client does a send an receive first becomes the user who sent the email on behalf of the shared inbox rather than the user that hit sent. This has caused mild confusion for the recipients as signatures of the
email does not match what outlook is displaying.
So, firstly is this expected behaviour for shared accounts, that the outbox is shared so this race condition will always exists?Secondly, any idea why on this second mailbox attached to outlook emails are not always sent immediately? In fact this appears
to be a bigger problem, email not getting sent until people hit send and receive has just happened to someone else. What can I do to diagnose this issue?
    Cheers
    Rich

    Hi,
Based on the description above, the issue is that when you send an email message from a shared mailbox, the sent email message remains in your Outbox until you manually perform a Send/Receive operation.
As far as I know, this problem occurs when both the following conditions are true:
Your Outlook profile is configured in online mode (not cached Exchange mode).
You have the DelegateSentItemsStyle registry value set to
    1.
If you are using Online Mode, please switch to Cached Exchange Mode to check the result, if the issue doesn't occur then, please note there is no resolution to this problem other than to either switch your profile to cached Exchange mode or set the DelegateSentItemsStyle
registry value to zero (0). Additionally, if your mailbox is located on Microsoft Exchange Server 2010 (or later), the Exchange administrator can configure similar behavior on the server.
    Important
Follow the steps in this section carefully. Serious problems might occur if you modify the registry incorrectly. Before you modify it,
back up the registry for restoration in
    case problems occur.
To change the value of DelegateSentItemsStyle to 0 in the registry, follow these steps:
    Exit Outlook.
    Start Registry Editor.
In Windows 8 and Windows 8.1
Swipe in from the right to open the charms, tap or click Search, and then type
regedit.exe in the search box. Or, type regedit.exe at the Start screen, and then tap or click
    regedit in the search results.
In Windows Vista and Windows 7
Click Start, type regedit in the Start Search box, and then press Enter. If you are prompted for an administrator password or for confirmation, type the password, or click
    Allow.
    In Windows XP
Click Start, click Run, type regedit, and then click
    OK.
Locate and then select the following registry key:
    HKEY_CURRENT_USER\Software\Microsoft\Office\<var>x</var>.0\Outlook\Preferences
Note In this key path, the placeholder <var>x</var>.0represents
    15.0 for Outlook 2013, 14.0 for Outlook 2010,
    12.0 for Outlook 2007, and 11.0 for Outlook 2003.
    Select the DelegateSentItemsStyle value.
On the Edit menu, click Modify.
Type 0, and then click OK.
    Exit Registry Editor.
    Start Outlook.
More details about the issue can be found in this kb below:
Email remains in the Outbox when you use the DelegateSentItemsStyle registry value

  • Outlook/exchange 2010 "cannot expand folder" on shared mailbox

    exchange 2010. outlook 2010 (and outlook 2013).
change user mailbox 'mailbox1' to a shared mailbox with powershell:
               set-mailbox mailbox1 -type shared
verify the mailbox appears as shared in exchange console.
grant Full Access Permission to mailbox1 to Group1 AD group.
member of Group1 adds mailbox1 as an additional mailbox to his outlook exchange account.
when he clicks on mailbox1, outlook says "cannot expand folder. (was this information helpful?)"
member of ad group logs out of windows and logs back in repeatedly.
but when he clicks on mailbox1, outlook says "cannot expand folder. (was this information helpful?)"
edit: if I specifically grant full access permission to the user, he can open the mailbox in outlook. I want to grant the permission to a group, not to individual users.

    Hi,
I can give a security group full access permission to a shared mailbox in my Exchange 2010 environment. And all group members can add the shared mailbox as an additional mailbox in Outlook.
Please make sure the full access permission has been assigned to Group1 and the problematic user is a member of this group. Then remove the additional mailbox and restart Outlook, re-add the shared mailbox as an additional mailbox to have a try. If the issue
persists in Outlook, please try to open the shared mailbox in OWA to check whether the user can access it.

  • O365 client stopped opening shared mailboxes

    Hello all,
I had users that have been accessing shared mailboxes from their outlook clients for weeks with no issues. All of a sudden, whenever they try to access the shared mailboxes, the cursor spinds until it times out and then brings up a dialog box saying:
The set of folders cannot be opened. Microsoft Exchange is not available. Either there are network problems or the Exchange server is down for maintenance.
Our Exchange server is E365, so it is definately up. The permissions on the shared mailbox are correct, because you can open the shared mailbox using OWA.
Any ideas why the long term function of "open these additional mailboxes" under the main account would no longer function?
    Thank you!
    -Karl

    Hi Karl,
As you mentioned, you can open the shared mailbox using OWA. Thus, the permissin on the shared mailbox should be correct. The issue may be related to Outlook client.
Please remove the shared mailbox from "Open these additional mailboxes", apply it. Then re-add it back to check if the shared mailbox can be opened now. If the issue persists, please uncheck User Exchange Cached mode in Account Settings and
verify whether the shared mailbox can be opened in Outlook Online mode.
If the issue doesn't continues in Online mode, it may be caused by corrupted profile. We can
create a new Outlook profile to have a try.

  • Exchange 2013 - Out of office unavailable when shared mailboxes added in

    Good Morning all,
I have a strange issue with our MS Exchange 2013 environment concerning out of office.
When certain users try and access the OOO it gives them the below error message:
    "Out
Of Office cannot be display because the server is currently unavailable"
As I mentioned, this is not affecting all users, here comes the strange part(I think so anyway)
The users in question have a shared mailbox added, if I remove the mailbox VIA ECP / Outlook client, out of office begins to work, once I add the mailbox back in, everything works, until the next day or some sort of refresh takes place and then OOO becomes
    unavailable again.
Any help would be greatly appreciated.
    Thanks,
    San.

Did you recently installed windows update?
If yes, then check this, see if it applies by uninstalling the update.

  • OWA 2013 Apps in shared mailbox

Exchange 2013 SP1: Whenever I open my own mailbox in OWA (2013), I can see the 'Apps Bar' at the top of the email (such as Bing maps, Action Items etc) - but when I (or anyone else in the org) goes to 'Open another mailbox' that they
have full access permissions to, this App bar disappears as soon as the other mailbox loads. This causes an issue for us as one of the apps is Symantec Enterprise Vault. The same thing appears to happen in the full Outlook 2013 client as well.
Is there any way to make the App Bar appear when opening another mailbox?

  • Adding shared mailboxes to search index

    Hi
We are using Office 2013/Outlook 2013 C2R and Exchange Online.
Our shared mailboxes appear to Outlook as expected and other ways work normally but I can not do s search against to shared mailbox. When I go to Inbox folder of a shared mailbox, do some search, I do not get any results.
    How to search shared mailbox?

    Hi,
Please setup the shared mailbox Exchange account in a single profile to have a try. In this way, we can index & search another mailbox in Outlook 2013 without problem. For detailed information about it, please refer to the Add multiple

group then the permissions were gone(and I could not access the shared mailbox). When I added it back I had my permissions back but still wasn't in the group. Then I tried adding a distribution group with the same result.
It seems when I add normal users directly to the permissions everything works.
When I had to restart the server a few days later. All changes were applied but I could not change it again.
i'm a bit stumped on this one. i'm out of options.

    Hi Jelle,
"I did exactly the same for another request and then the people could not access the shared mailbox.", I would like to verify if you give the same Security Group rights to multiple shared mailboxes.
If the security group members can't have access to all the shared mailboxes they have rights, you can recreate a security group and grant permissions to shared mailboxes one by one to check the result.
Hope this can be helpful to you.
    Best regards,
