Adding Previous Recipients overwrites existing Contacts in AB/Contacts

i had a couple of problems the last time i went into Mac Mail and tried to add my Previous Recipients to my Address Book/Contacts so that i can use this data to AUTOCOMPLETE emails on my MBP, Mac Pro and my iPhone. right now these databases reside solely on the computer that Mail is installed upon so ostensibly adding them manually to AB/Contacts allows you to sync for Autocomplete.
1. do you have problems with a Previous Recipeint named "John Smith" overwriting a Contact "John Smith" so that now in AB/Contacts you have just an email address instead of the phone number (which i need to make calls)?
2. is there a way to add these Previous Recipients so that they go into a /specific/ group? i have a ton of groups and currently with the switch to iCloud there is apparently no longer a way to SORT BY UNGROUPED which means i have a ton of contacts that only reside in ALL CONTACTS and this makes life very difficult for finding things.
3. do you basically maintain the link of these Previous Recipients by going into Previous Recipients on your various machines from time to time and checking to see what has been added to this list but has not been added to AB/Contacts? and then do you manually add these?
4. is there such a thing as Previous Recipients on my iPhone? i mean, if i reply to a VIP on my iPhone - would i think have to wait until i also replied to his/her email on one of my computers before i had a chance to see that this was a Previous Recipient that had to be added to my contact database?
TIA for any help or link to url's on this.
also a shout out to the mac developer crew. i would love to see a way to see globally how all my contacts are or are not sorted into GROUPS. at the very least it would be great to see the ones not in groups so i can make sure everything can be added to the group.
and finally, i am not a fan of the new UI for Contacts on the iPhone in iOS6. this checkmark business where i have to go through and uncheck All Contacts and then check the individual group(s) i want to see is a major pain from the previous implementation which i don't remember but which i never had a problem with. does anyone know how to manage 20+ groups without contantly clicking on and off things in this UI on the iPhone these days...?

that dialog has very limited functionality. as you've found out, if an email is already present in some AB contact it won't let you import it again from the previous Recipients list. and it won't put them in existing contacts. it will always make separate entries. the best you can do is select all (or some) items in previous recipients and click 'add to address book". it will add the addresses that are not already in the AB and ignore the others.
From there, I should be able to add an entry into the address-book using the "Add to Addressbook" button.
Sure, I could take every entry in Previous Recipients, and manually edit the address-book entries, but there are hundreds, and that would take me forever.

  • Managing Mail PREVIOUS RECIPIENTS?

    i have a MBP (ML) a Mac Pro (Lion) and an iPhone.
    i want to get my Mail > Window > PREVIOUS RECIPIENTS into Mac Contacts ("Address Book" in Lion) so that i can send emails from all these devices to people that are already in this database which appears to be isolated on each computer and which does not appear to exist on an iPhone when you reply to an email from there (curious if that is correct).
    anyway, i am trying to add these Previous Recipients and i am about 2/3 the way through on the MBP and it appears to me that the only way to do this is to ADD all the contacts you want to the CONTACTS application and to then SORT them in the Contacts Application. for instance, if i have my brother's mailing address in Contacts and i add the EMAIL address for him i then have two Contacts for my brother and i have to manually go in and copy the email address, paste it into the original contact for him and then delete the "added" contact. i could do this by printing out all my Previous Recipients but at least THIS WAY WHEN I SEE HIS NAME IN THE PREVIOUS RECIPIENTS AT LEAST I KNOW HE HAS BEEN ADDED.
    Also, from what i can tell there is no way to ADD the Previous Recipient to a GROUP so you have to create a Smart Group in Mountain Lion Contacts Application that shows all "Contacts not in Group" so that you can then assign each of the Contacts you added to a Group (a Smart Group for this does not work in Lion).
    ANYWAY - assuming i do this - i believe that i am seeing that the PREVIOUS RECIPIENTS on my MAC PRO don't know that they have been added to the Contacts database is that correct? or is this just an unfortunate consequence of the fact that my Mac Pro cannot upgrade to Mountain Lion? I mean, i have a ton of Previous Recipients in this database (way more than on my MBP) but i would hate to have to add and then sort alll my Previous Recipients again if they have already been added on the MBP. you follow?
    is there something that i am not understanding or is there some method to smash these two databases together or export them or something a little less tedious than this dump and sort method that i describe?

    i can get in here by doing Window > Previous Recipients and i can manually transcribe these entries one by one into Contacts and then i can delete them from within this UI.  but -
    what happens when i continue to use mac mail? ostensibly the entries will get repopulated when i reply to an email (unless i turn it off) and if i turn it off i would have to actually check to see if a new email was coming from a new address that i needed to add to contacts.
    is there a creative way to checkmark that the previous recipient has been added to contacts so that i won't have new email addresses from this same entry added when i reply but when i go to add NEW email recipients to Contacts so that i can maintain my contact database i can only add the NEW email addresses that have not been ported to Contacts....?

  • Previous recipients have ALL been added to my Contacts

    Saturday night I had 600-some "cards" in my Contacts, which I store on iCloud (and sync between my desktop Mac and iPhone). Around midnight on Sunday, the number suddenly grew to 2,315--I can see when it happened by comparing backups in Time Machine. The new ones, I'm pretty sure, all came from Previous Recipients in Mail, but I have no idea how. I wasn't using the computer at that time.
    Has anyone else experienced such a thing?
    (I know that the Previous Recipients window in Mail lets you add individual emails to Contacts. But I have never knowingly done that!)

  • Bug: Adding number to existing contact from a sms msg

    A friend sent me an updated number in a txt message and I attempted to replace his existing number with the one in the txt message. I tapped the little blue arrow next to the txt message on my iPhone 4 and got a screen in which the phone number was listed with the following options: 'Call', 'Text Message', 'Create New Contact', 'Add to Existing Contact', and 'Share Contact'. When I tapped on 'Add to Existing', I was presented with a New Contact window. I tried this several times to make sure I hadn't tapped the wrong button. Clicking on 'Create New Contact' caused FaceTime to start up. The other buttons worked properly. Lastly, I tried going back to the sms message and tapping the blue arrow again. This time, the list had a 'FaceTime' button below the 'Text Message' button. The 'FaceTime' button was not there previously. This time, I was able to add to an existing contact and selected my friend. The number was automatically added as an iPhone tagged number, though I'm not sure if my friend has an iPhone 4 or not. He was previously using a Blackberry.

    I have exactly the same problem. Rebooted iPhone but exactly the same:
    Add to new contact starts facetime call. Add to existing contact starts add to new contact dialog.
    This is a bug.

  • Adding an S/MIME certificate to an existing contact in Outlook 2013

    In previous versions of Outlook (e.g. 2010) when you received an S/MIME signed certificate from an external party you could right click on their name in the message and select "Add to Outlook Contacts". This would then store the cert in a contact
    for future use. If a contact already existed then it would prompt you to
    update the contact with the additional information including the certificate.
    In Outlook 2013 this process appears to be broken (for
    existing contacts at least).
    When right-clicking on their name in a signed message you don't get the "Add to Outlook Contacts" option. You only get "Edit Contact" which brings up the new "Contact Card" dialog which has no information about certificates.
    If you make a change there and save then the certificate is not stored in the contact.
    You can confirm this by right-clicking the sender in the signed email and selecting "Open Outlook Properties" (do not select "Open Contact Card"). In this view click the "Certificates" button in the header and you will see that
    there are no certificates associated with the contact.
    You can, I guess, export the certificate to disk and then import it into the contact via the Outlook Properties dialog but this is tedious.
    Any ideas how to work around this and update an existing contact with an S/MIME certificate?
    Any ideas why the certificate information is not accessible in the new Contact Card dialog? Seems unfortunate for those of us using S/MIME.

    As per the following article, http://office.microsoft.com/en-us/outlook-help/get-a-digital-id-HA102748952.aspx and specifically the following section:
    Add a recipient's digital ID to your Contacts, the ability to see the Certificates depends on the view in which you are opening the Contact card.
    In the People or Business Card view we cannot see the Certificates button.
    In the Card, Phone or the List view we can see the Certificates tab where the Certificates can be seen.
    So to work around this behavior, for new contacts you should Add to Outlook Contacts and then go into the People Pane and Check the Certificates tab to get the cert details.
    If you already have the contact added then it becomes a little tricky.
    In that case the Certificate is not updated on the "old contact". In such cases I would delete the existing contact and from the latest e-mail that I received, I would Add to Outlook Contacts and that should then get you the new Cert that you received.
    If you still cannot access the Certificate information, I would call in and work with someone from the Outlook team to assist you further with this request.

  • Previous Recipients and Contacts across devices?

    i am having a devil of a time with my contacts.
    i have about 10,000 contacts in my CardScan software which resides solely on my desktop machine.
    i have personal and important numbers stored in Contacts synced via iCloud to my iPhone, laptop and desktop.
    i have Previous Recipients (email addresses that i have responded to) synced manually once in a blue moon by adding this email address to my Contacts from each of my computers (laptop and desktop) and these apparently simply get dumped in Contacts and then i have to manually sort these in Contacts.
    this means that;
    1. my business contacts are not accessible on my laptop or iphone when i travel.
    2. my previous recipients are not on all my devices unless i happen to have manually added them in the Previous Recipients window on /both/ my laptop and on my desktop (this info resides solely on the HD until added to Contacts)
    3. email addresses are dumped willy-nilly into Contacts where i have to manually sort them.
    anyone have any suggestions on what to research or how to get this more automated?
    i am considering uploading all my CardScan contacts to GMail contacts but this is as far as i have gotten with all of this.
    TIA for any advice or search terms etc.

    In the peer to peer world, where Skype started, syncing things was difficult at best and impossible at worst.  As we move to a server-based infrastructure, a much better multi-device experience will be possible.

    Check the settings in the Accounts for Mail.
    Mail > Preferences > Accounts > Click on your email Account in the left column > What appears under Full Name in the right column?
    If that is the incorrect name you're describing change it to your correct name.

  • Address Book Contacts and Mail Previous Recipients Missing/Empty/Deleted

    At one point yesterday, I was happily catching up on some email using Mail. All was well. I toggled a message as Junk and went to forward it to [email protected], which was, of course, in my Previous Recipients list. Only this time it wasn't. I noticed, too, in iChat, that all of my buddies had reverted to their IM screen names from their normal Address Book-based First Name/Last Name. So I opened Address Book (which had not been running), and it was empty!
    To the best of my recollection, though I have a .Mac account, there was no syncing that occurred during any of this. Worse, when I did a manual Sync to see if .Mac would restore my contacts, it didn't. My Address Book remained empty. Fortunately, it didn't propagate its emptiness to .Mac, which I checked via the Web.
    When I fired up my spare iBook, everything seemed fine, and a sync there didn't blow away anything.
    I found a few posts that recommended replacing my now empty AddressBook.data file with AddressBook.data.beforesave, which was large enough to seem like it might still have a lot of my contacts. I did this, and my Address Book and Previous Recipients were partially restored. The only problem is that the beforesave file was dated June 2004 and is missing all contact information over the past year and a half.
    What the heck happened?! Is there any better solution out there? Any thoughts on why .Mac wasn't able to restore the file? Also, what does Previous Recipients have to do with the Address Book data files?

    Is your iBook the way you want it? all of your addresses? if so maybe you could back up that database and replace the old one thats fallen to pieces. If you try that though theres no real chance I think of rebuilding that old one as far as I know. My entouage database was an all in one type of deal. when it fell apart, you lost everything. I went to the mac mail and address book after that. everything is in seperate folders with that stuff. usually I've only seen this on older running installs of OS X. Like there is a bunch of directory probs. then things gradually get goofier over time.
    Thats strange it doesn't want to import contacts to your computer.

    I have someone whe swears some emails that he sends out aren't being add to his Previous Recipients list and therefore not auto-filling. Do addresses get added if you simply reply, or do you have to actualy type them out in a new email for them to be added?

    All message recipients for sent messages should be added to the list regardless how an email address is added to the To:, Cc: or Bcc: fields. If an email address is already available in the list, it won't be duplicated/added again.
    This applies to a newly composed message and when Replying to - selecting Reply or Reply All for a received message and when forwarding a received message.

    I apologize. I didn't see that you hadn't updated to iOS 7. That's an iOS 7 option. With iOS 6, you'd need to restore the device as new. Note that that will result in your phone being updated to iOS 7.

    Autocomplete has nothing to do with this problem.
    From the Mail menu bar, select
              Window ▹ Connection Doctor
    Look for a disused SMTP (outgoing mail) account in the window that opens. Double-click it. Another window will open, showing a list of all the outgoing mail accounts. The unwanted one will be selected. Click the minus-sign button to delete it, then click OK.
    If there's more than one unwanted account, repeat.

    I dumped all of the 'previous recipients' email addresses to Address Book today, but when I looked in Address Book they were all poorly organized, and there were many I did not want in there, so in order to save time (I thought) I deleted them, with the intent to go back to Mail and only add the ones I wanted, and in small batches so I could organize them better when I went back to Address Book. However, when I went back to the Mail application to re-add only the ones I wanted, I saw that the 'Add to Address Book' button is whited out. It appears that since I already added them to the Address Book, even though I subsequently delted them, Mail still thinks that they have entries in the Address Book. There appears to be no way to re-set them. I have looked all over through all of the help information for both Address Book and Mail and have found no way to overcome this problem. Any insights would be appreciated.
