Address Book Integration

Can anyone clarify how to best manage contacts? It seems I have different contacts saved on separate locations (mac desktop, iphone, ipad and finally cloud).  I frequently will not be able to find a contact even though I am certain I have entered it in.  It must be due to some back settings I have but can't figure it out. Thanks for your help

If you sign into iCloud on all of those devices, the contacts will sync between them all. Changes on one will be reflected on all the others.
If you are using iTunes to sync them independent of iCloud, I'm not sure how to manage that as I haven't done it in a while.
When I initially set up iCloud, it made duplicates of all my contacts into iCloud, but left them all "On My Mac." All the duplicates I just deleted off "On My Mac." If you have contacts you want on the desktop Mac that you don't want in iCloud, just keep them in "On My Mac" and delete them from iCloud.
If you can't find some contacts, the spotlight index may need rebuilding. You can reindex your whole hard drive by adding it to the Privacy list in Spotlight system preferences, wait a moment, then remove the hard drive from the Privacy list. You should see the little dot in the Spotlight spyglass as it indexes.

    With the early release of iPhoto '09 I have tagged all my pictures to use that faces feature. With the iPhoto update 8.0.1. it adds an address book integration, namely iPhoto is able to suggest names from the address book application. Well. For each contacts I have 2 pictures on the corkboard, one from the initial tags session, the other from a recent session based on Address Book recognition. How to merge them??? Do they test their feature before integrating them?

    It's easy,
    I fiddled with it for a while to figure it out.
    Here's what you have to do. Click/drag the contact that was not tagged to the address book and drop it to the contact that was attached to the address book. It will merge them.
    To make sure that I had at least one picture attached to the address book I untagged one picture for each "names" I have in my address book and retagged them with the help of the address book. Once finished I did the drag and drop and voila !
    The only thing missing is to be able to use the key picture for a name and sync it to the address book (ID photo). Simple feature that would make iphoto 09 so much better.

  • Mail and Address book integration

    I tried to find a solution to this over the internet but no luck.
    I have bunch of contacts in my address book. In Mail's list view, the from field is not synchronized with the address book.
    Say that I have a contact "John Smith" in my address book with an email address [email protected]
    When I select the option in Preferences>Viewing>Use Smart Addresses, the From field in the message dialog (when you double click and open the message) shows John Smith instead of his email; along with a photo of him that I assigned in address book before.
    However, in the list view (the list of emails on the main Mail window), the from field does not display the name that I set, it displays the name of the sender if he/she set it in the mail account. For example if he had set his name as "John A Smith" from column displays that, worse, if nothing is set by the sender it just displays the email address.
    Some of my "paranoid" friends set their Full Name in their email account to some fake name. I would like to somehow overwrite this in the list view if that is possible.

    Based on your description, it appears as if a "Smart Mailbox" will fit your needs. Go to Mail>Mailbox>New Smart Mailbox...> and fill in all of the parameters that meet your needs. There is also a New Smart Mailbox Folder selection in that menu.

  • Mac Mail and and address book integration in an Enterprise environment.

    I hope someone can shed some light on this as its really bugging me.
    I use my macbook as my main office computer. In the address book I have some friends, some business contacts and allot of generic business contacts i.e Apple with an email of [email protected]
    When i want to send of a quote request to a few companies a start to type their name into the to bar but autcomplete doesnt pick them up. If I type a friends name or business contact with a persons name it auto completes.
    Does anyone know why it wont for the Generic compan ones. the info i have in the address book is just the company Box ticked and the company name typed in and an email address.
    Any help would be great. Thanks in advance

    Drag New contacts to the Group
    To edit, Right-Click (option-click) the Group Name and select Edit
    To Mail, Just start typing the group name in Mail

    Add contacts to a group or folder
    Do one of the following:
    When viewing the list of groups, select one or more contacts and drag them to a group or folder.
    If the list of groups isn’t displayed, choose View > Groups or click the Groups icon at the top of the Address Book window.
    When viewing the list of contacts and a card, drag one or more contacts to the Groups icon at the top of the Address Book window until the page turns to show the list of groups, and then continue dragging the contacts to the group where you want to add them.
    To display the list and card, choose View > “List and Card” or click the Card icon at the top of the Address Book window.
    Contacts for local, CardDAV, or Yahoo! accounts can exist in multiple groups at the same time. When you drag contacts to groups within the same account, the contact is copied to the new location; the contact exists in both the original and the new location.
    Contacts for an Exchange account can belong to only one folder at a time. If you drag an Exchange contact from one folder to another, the contact moves from the original to the new location.
    You can create subgroups or subfolders by dragging a group or folder to another group or folder.
    To see the groups and folders a contact belongs to, select the contact and press the Option key. Address Book highlights the groups and folders containing the contact.

    Is there a way I can use mac's Address Book in conjunction with Gmail?
    I want to set up a group in address book and send them an email from Gmail.

    These are the only two applications which do allow you to export contact's to gmail:
    - AddressBookToCSV
    - Address Book to CSV Exporter
    Both will work fine and you can use them for free! Just use the one you like the most!
    There are no other options for OSX

  • Previous Recipient Address Book integration problem

    does anyone know how to add a "Previous Recipient" beyond simply seleccting the contact and checking the box to add?
    for instance, how and when does this sync take place? i have closed out of each of these softwares after adding a contact and i am not seeing the sync take place.
    also if i have a contact in Mail's Previous Recipients (which has an email address) and I have the same contact in my Address Book (which has a phone number) is there a good way to get these two to MERGE instead of creating two contacts?

    You are referring here to getting the SORT ORDER to change? I mean, you are indicating that if I change preferences for sort order - well - it did not appear to change anything in an /existing/ linked contact from Mail but you are saying that i need to close and restart AB to get the new sort to take effect before relinking more contacts from Mail...?
    Not sort order, view order of First Name before Last. In order for the Previous Recipients list to change in Mail, you need to quit Mail (not AB) and reopen it. It will then change the list view to First-Last name view. Sort order remains sorted by Last name. If you want the sort order by first name, you can do that too.

    OK, but i am doing something wrong here then because all my combinations cause imported Mail contacts to show up as Last Name - First Name when i have sorted by First Name - Last Name and vice versa if I changed settings in AB preferences...
    Change the view order to First-Last name in AB (not sort order). If you are importing contacts from a different source, then I guess that would depend on how it's information is saved. If you are importing from mail messages ((note that I'm referring to how incoming messages are recieved), then the view order (First-Last) is what usually gets sent from people when a name is tagged to it. When adding an address from a mail message, Mail recognizes the name in the header field as First-Last and that's how they get saved to AB. If your view in AB is Last-First displayed, then it gets put in backwards.
    As I said, set the viewing order in AB to First Name before last name. Quit Mail and reopen Mail. Your previous recipient list in Mail should change to show First-Last name. Sort order will depend on setting in AB.

    OK, presumably this also includes capitalizations? Anyway, i am doing something wrong because i don't get the first and last order sorted correctly under anything i am doing.
    I'm not sure about capatilization, but "Tom Test" does not equal "Thomas Test", or "Tom Test" does not equal "Test Tom".

    OK, so you are referring here to an option to add a contact (i guess we are only adding the email in this case if the contact is already in AB...?) when doing an entry in a Mail Message - which is different from ADDING CONTACT from the Previous Recipients list?
    Yes. If the contact exists and let's say you recieve a message from them using a different email address, you will have the option in the dropdown to add the address to the existing contact instead of creating a new one.
    The previous recipients list is a database file and I don't believe you can directly import from it. It isn't stored as VCards like the AB data is.
    Only thing I can suggest is to play with it and see if you can get it to work for you. Getting it to import the name order to match correctly in AB would be a big step to resolving duplicates. Even if the names don't match exactly and they don't get merged, it would be much easier to spot in a list where the names are close together. If the Last name and First get reversed on the import, then the names will not show close in the list and will be hard to spot.
    I think this is a problem trying to get addresses from different sources no matter which application you use.
    I wish Mail has a setting to display names differently than AB. I like AB sorted and viewed by Last Name. But I would like my messages displayed in Mail headers as first name when sending or recieving. You don't have any control on addresses that aren't in the AB on how the name tags come in. But as I said, addresses not in AB will generally be displayed First-Last name (providing they have names tagged to it).
    I haven't played with this much and things sometimes change with OS upgrades. I usually add a contact manually. If I add from a message, I usually imediately go to AB and fix the names then to make sure it's correct.
    Play with it and I just hope it works out for you. Never said it would be easy or flawless.

  • Confused about Mail/Address Book integration

    Hello,
    I was under the impression that Mail and Address Book integrate 100% (the two apps continuously sync with each other).
    This doesn't seem to be the case for me.
    For example, lets say I try to send a message to "Brian" in Mail. If I type Brian two address show up for Brian. One of them is an old address which does NOT show up in Address Book.
    How do I remove this unwanted address?

    The Mail.app stores all message recipients in the list of Previous Recipients in Mail which is stored in the primary Address Book data file but is separate from actual Address Book data.
    The Mail address autofill feature pulls from the Address Book and the list of Previous Recipients in Mail.
    At the Mail.app menu bar, go to Window and select Previous Recipients. A previous recipient entered in the Address Book will have a vCard icon to the left of he name or email address. You can remove a previous recipient from the list of add a previous recipient to the Address Book.
    Removing a previous recipient from the list has no effect on Address Book entries.

  • Imail and address book integration

    When is Apple going to integrate the organizer programs (ical, imail, address book) so that you can jump from one to the other (like in entourage)? It would make things so much easier.

    This is what the dock is for.
    I have icons for the 3 programs in the dock, so I can run them as needed, but iCal is always running (it is a login item) and Mail I usually start when I start the powerbook (about once a week) (I don't know why I haven't made it a login item) and Address Book starts so quickly that I don't bother starting it until needed. So the 3 are constantly running and instantly selectable. I usually minimise the Mail window when not looking at it and close the iCal window (iCal reopens it very fast, and it reduces the clutter in the dock), but if there are several window open I can click F9 (the default may be different - I think I changed it) to show all windows to pick the one I want.
    If I am looking at the Address Book and want to email someone in it I select their card, click their email address and write the email. If I am already looking at Mail I can start a new message, start typing the name and it will quickly auto-complete from AB. If I want to arrange a meeting with someone I drop their card onto the appropriate date in iCal. If I have already added a meeting in iCal I can click the attendees lable to open their card in AB - to check their address of phone number for example. If I receive email from someone not in my AB and want to add them I do it directly from Mail.
    The problem with the "one program" approach is that it tends to get bigger and more complicated, and the bigger the program the harder it is to have it right. If there is something particular the requires 2 or 3 of the programs to do you can often achieve it quite simply with Automator or Applescript (see this thread for example).

  • Address Book integration with iPhoto

    Is there a way to tag images in iPhoto with contact entries?
    Ideally it would integrate the Birthday field in AB so we could ask iPhoto for all pictures of Jimmy at age 6...
    The keywords are somewhat difficult to work with in iPhoto. I imagine AB having a pane to the right with Media Browser type interface showing all the photos with that person in them...
    Perhaps a future implementaion of iLife apps?
    Ideally, the AB and iPhoto and iCal could all interact... maybe add a geneology app to the mix for telling iLife stories easily.

  • Mail & Address book improvements

    I just posted this to Apple's feedback, but if others have any news on how to do any of these things, I'd love to know. They're all old topics, but still, as far as I know, unsolved:
    I have a nice new MBP, and, for the fourth and final time, I'm doing all I can to move away from Entourage (and Office overall) and use Mail. BUT, Mail and Address Book remain the weakest parts of Apple's integrated software. Please, please can we get the following VERY BASIC features included asap:
    1. Skip Messages over Xkb
    Please can we do away with the requirement to be prompted. There is so much SPAM nowadays, most of my email I want to check rapidly BEFORE downloading. It also saves dial-up time. Having to be prompted every time is a real pain
    2. Retrieving partially downloaded messages
    Please can we re-download partially retrived messages without having to re-start mail altogether.
    3. Address book integration and sophistication
    Please can the 'Nickname' fields be recognized when auto-completing email addresses in Mail. Entourage does this no problem. I know I can make multiple addresses in Address Book, one for real name, one for nicknames (eg. Michael and Mike), but at present Mail doesn't seem to recognize the nickname field when creating mail messages. This is so annoying!
    4. Better grouping and rule options
    The mass of email everyone now receives means the easier it is to organize and color mails depending on recipient, group, etc. is key. Being able to add to an address group from within Mail would be ideal. There's lots more.
    I'm really, really going to try to get mail working this time (at least until Entourage goes Intel native), so I suspect I'll have more requests, but Mail really could do with some work IMHO.

  • How to sync iPhone's Facebook integrated contacts to Address Book (Mac)?

    Hello Apple Support Communities!
    I have a question regarding the Facebook integrated contact entries in iOS6. Is there any way of syncing them onto the Mac's "Address Book" or iCloud?
    Seeing as how they contained a lot of information, I copied all the numbers and addresses onto these Facebook contacts and deleted the ones I originally had. But when I synced them onto the computer, only the ones that weren't linked to Facebook stayed in the address book and iCloud.
    Perhaps there is an app that allows me to export the contacts on my iPhone and onto the Mac?

    In Cisco CallManager 5.0, the Personal Address Book and FastDials were integrated into Cisco CallManager, instead of the requirement of an IP Phone service as previous versions. From any phone registered to the 5.0 system, go into the directories, then choose Personal Address Book. After you login, then you can choose either the address book or the fast dials.   • Aperture remove integration with address book and faces

    Is there a way to remove the Faces integration with address book?
    Reason I ask is because there seems to be not a good way to integrate the faces with the address book unless there is? For example, in faces I probably have about 20 that are family and close friends. In my address book, I have maybe 200 contacts. When I face people in pictures, I don't want to choose from a list of 200. Plus I notice if I have a friend tagged already, they show up as my friend John, but show up in the list from address book as John B, so who do I pick? How can I just make it one? There are many people that I would want nicknames in faces for or like "Dad" instead of my dad's full name like I have in the address book.
    Is anyone else having these issues? How to best integrate with address book or how do I remove the integration?

    Even if I attempt to integrate the faces with address book by typing in the full name in the faces after click "i" in the face, then it combines it, but then the address book face disappears to blank with no picture.
    very odd behavior, how are you guys dealing with this? Seems like some setting needs to be set otherwise I would think this issue would have been taken care of a long time ago by apple?

  • Mail, Address Book and Numbers integration

    I have a large database of names and addresses in Numbers. The fields are custom fields because of the nature of the data. I want to scoop the whole lot across to a custom group in Address Book, so that I can send group emails. I can export the data as a csv file, and then import that into Address Book, but because the fields do not match, they get all messed up and I just cannot customise them to match well enough. Address Book seems to be difficult to customise beyond the options provided. Is there anyway to achieve this?

I have some addresses with 6 fields, excluding country (house name, street 1, street 2, town, city, post code). In addition, I want to add a greeting field, and a membership status field.
