Adhoc roles in workflow

Can someone please tell me why we should create adhoc roles? I thought if the user has his fnduser name and an email address in fnd_user table, then he/she gets the notification.

Hi,
One slight point that I'd make is to insert the word "can" - they can exist for a defined period of time, then they are removed from the tables using the purge program.
Setting an expiration date is completely optional, so you can keep your ad-hoc roles for as long as you want to - I know a number of clients that choose never to purge their ad-hoc roles.
As you say, though, if you need to notify someone who isn't in the directory service as standard, then you need an ad-hoc role.

  • Workflow Notifications not sending for AdHoc Role

    Hi,
    I am trying to send my workflow to multiple dynamic users, using the call createAdHocRole.
    Here is my code (I currently am using 2 user names for testing. This will be eventually be a variable) :

    When I run the workflow, it runs with no errors, but I am not receiving any emails. I can view the workflow in the Status Monitor and I see the Notification being created and it shows my new role as the performer. Both usernames that I am using for the Role Users are setup as Users and Employees in the environment.
    I've queried the WF_USER_ROLES_ASSIGNMENTS table and I see my new role there, and both usernames are in the table. Both users are also in WF_USERS with email addresses, and also in WF_LOCAL_USER_ROLES. When I query WF_NOTIFICATIONS, I see the notification being created there, with a status of OPEN, receipient_role being my new role, mail_Status is blank, responder is blank, original_recipient is my new role, from_user is the supplier, and to_user is my role name .
    Can anyone see what I am missing? I thought if I create the role with a null email_address it then sends email to all users in that role? It probably doesn't matter, but these are being submitted upon the change of a PO in iSupplier (Oracle Apps).

    Hi,
    Once you have created the role, they can be referenced in your Workflow process in the same way as an other role. For example, create an ad-hoc role "MYTEST123" using the standard WF_DIRECTORY API. Then you can use this as the notification recipient in your process.
    If you are creating the roles dynamically within a process, then once the role has been created, set an item attribute (e.g. attribute NTF_RECIPIENT) to the name of the new adhoc role, and then have the notification recipient set to the value of the item attribute.

  • Oracle Workflow Delegate is not Working for the Adhoc Role

    Hi All,
    I have a requirement where I want to send the workflow notification to the Adhoc role and then if the people who are part of the adhoc role are on vacation then the notification should get delegate to the person set by the first approver. Somehow delegate is not working here.
    Please let us know if anyone of you have worked on such requirement or have come across this situation.

    This issue has been resolved now.
    In WF_NOTIFICATION.route procedure, Following query was selecting the Adhoc role name instead of the fnd_user, We have changed our custom in such way that there should always be fnd_user for the follwoing query.
             SELECT   WN.RECIPIENT_ROLE, WN.MESSAGE_TYPE, WN.MESSAGE_NAME
               INTO   recip, msgtype, msgname
               FROM   WF_NOTIFICATIONS WN

  • How to create Role in Workflow

    Hi,
    In Oracle documentation setting global workflow preferences, the Workflow Administrator should be set to A responsibility, not to A user.
    My questions are:
    1. How can I create A responsibility?
    Is it using A PL/SQL API?Or using insert statement?
    2. How can I set The responsibility for an administrator and for a non administrator?
    I mean what previlege the we have to grant to an administrator responsibility and previlege for non administrator?
    3. What are The differences between a Role and a responsibility?
    4. In The workflow requisition demo, There are some Roles (Administrator, Manager, Worker, and Other) What are the differences between them?
    5. Can I create A new Role? How?
    How to set The link access previlege in Workflow Home Page?
    In example I create a new Role : myAdminRole which have access to all links in workflow home page.
    And I create my user Role which only has access to five stop links in the left side of Workflow Home Page.
    6. How can I grant my new Role?
    i.e: I create five new user: User1, User2, User3, User4, and User5.
    How can I grant my admin Role to User1 and User2
    How can I grant my user Role to User3, User4, User5.

    Hi,
    1 - You need to define responsibilities through the System Administrator responsibility in eBusiness Suite. There probably is an API to do it, but the best way is through the GUI.
    2 - You need to set the global administrator role to a responsibility you have chosen (e.g. Workflow Administrator). Any users who have been given this responsibility will be able to administer Workflows; those without it cannot.
    3 - Responsibility is an eBusiness Suite term. Role is a Workflow term. As standard, eBusiness Suite responsibilities are mapped to Workflow roles, but you can create additional Workflow roles that do not map to eBS responsibilities.
    4 - The different roles have differnet approval limits and hierarchies which the demo workflow references.
    5 - You can create a new role either by creating a new eBS responsibility, or by calling the standard API WF_DIRECTORY.CreateAdHocRole
    6 - You grant Workflow roles to users either by passing the users into the call to create the adhoc role, or by calling WF_DIRECTORY.AddUsersToAdHocRole

  • Does Oracle ever automatically create internal adhoc roles for sending notifications? If yes, then when?

    Hi All,
    I am aware that the Oracle workflow directory service creates a role whenever a new user / responsibility is created and that workflow notifications can be sent to these users through their respective roles.
    Also, for external parties such as suppliers or customers who do not have an account in the E-Business Suite, adhoc roles can be created in order to enable them to receive notifications.
    While going though the workflow status of POAPPRV worlflow, i noticed that in one of the 'E-mail PDF PO to Supplier' notification, the recipent was some ADHOC<<some_random_number>>PO.
    Can anyone please shed some light on this?

  • Delete/Remove Adhoc Roles

    Hi All,
    I am creating an adhoc role in my workflow for a notification and i want the Adhoc role to be removed/deleted when ever the notification is responded.
    Is there any API for removing/deleting the Adhoc roles?

  • Adhoc roles

    Hello to everyone.
    I was just wondering why i need to create adhoc roles to send notifications to employees if i am creating a custom workflow. All the employees have their fnduser and i can use WF_USERS and FND_USER tables to send the notifications to the user.

    I think i got the answer.
    The ad-hoc users/roles functionality was provided to allow developers to send notifications to 'temporary' users or roles
    to enable them to participate in a process for which there is not an existing role definition based on the database tables.

  • Role removal workflow

    Hi experts,
    I'm trying to understand what's needed to remove user roles using workflow.  My understanding was that I needed to use the same workflow for user provisioning and just treat the removal as a user change (SAP_GRAC_ACCESS_REQUEST) but when executing the workflow I get the word "ERROR" under "Stage Status" (even thought nothing is showing up on SLG1 or ST22).  Is there something that needs to be added to the workflow to allow the removal of roles?  We are on GRC 10.1

    This is what I see on GRFNMW_DBGMONITOR_WD.  The detour condition is coming with an Error but when I simulate the conditions for that request I get expected results.  After the error message the request staus goes to "Decision Pending" but it doesnt show any approver.

  • SOD Detour in Role Approval Workflow possible?

    Hello GRC Experts,
    we have implemented an Access Request Approval Workflow with a Detour Rule (GRAC_MSMP_DETOUR_SODVIOL).
    The second workflow we are working at is the Role Approval Workflow. Is it possible to use the SOD Detour Rule also in Role Approval Workflow? I didnt find the SOD Detour Rule in the MSMP Role Approval Workflow.
    We would like to implement a following Scenario:
    if the role contains an SOD the request should take Path 1 and if not Path 2.
    Is it in MSMP Standard possible or should we use BRF+ for creating a Detour Rule?

    Hi Sabrina,
    For Access Request workflow, we generally use GRAC_MSMP_DETOUR_SODVIOL to implement routing rule(based on detour condition - risk found). Purpose of same (if I am not mistaken) is to through the request to another level of approver wherein mitigation monitor agent reviews the mitigation performed by role owner stage and approve/reject the request.
    But, when we create a role same is not the condition as we do not mitigate role level risk thus no need to go for mitigation monitor stage. May be you have some business scenario, if you can let us know will be gr8.
    For the rule ID, did you try adding the rule ID ?(you may already know, still would like to cross check with you).
    GRAC_MSMP_DETOUR_SODVIOL under list of rules for "
    Role Approval Workflow" In the screenshot you have shown, just click on ADD feed -
    Rule ID -GRAC_MSMP_DETOUR_SODVIOL.
    Rule description - same as Access request.
    Rule type - Function module based
    rule kind - routing rule.
    Add this and check if it works and let us know the result too.

    Hi Ramesh,
    Approval workflow is the way you can think of a process for approving a user to be created or assigned a group in the org. Example : User Create in HR -
    > Manager gets email notification -
    > Manager approves the user----
    > Division manager gets notified -
    > email sent to Helpdesk for a PC -
    > etc.
    Role Approval sounds like if the user is to be assigned a ROLE via an Approval Process before it gets created in LDAP. The provisioning will happan not just for the User but for the appropriate group according to the Role.

  • Roles vs Workflow for manual update record issue

    I am sorry for taking your time but I need some HELP as we go life with MDM and there is still one open topic that is connected to workflow implementation. 
    Do you have maybe someone who can advice me a solution or workaround to solve this issue. See description below.
    We are using role based workflow (few of workflows triggered one by one depends on the task that needs to be performed)
    As agreed with our client the several users are not allowed to:
    Modify (add/remove) original records
    Start workflows
    Check out / roll back records 
    Our solution provides them with option to do any kind off modification on Check Out records, and that action is triggered as automatic result of import records.
    NOW a small issue appeared since the import from MDP is made based on a new rapport that does not have several fields that we where using to determinate what items from materials will change. 
    So the next idea was to do that manually since it happens only few times a year for more or less 10 items. And that is where the problems started.
    I want to have a small workflow that will do as follows:
    Check Out Record -> Allowed to make changes -> Send to the next step (Approval process will be started)
    but we do not want to allow them do Checkout record or add to job
    (It can be only acceptable if we can allow them to add to ONE of the workflows but not all of them)
    I tried also to use the trigger actions Record Update2 but Workflow checkout occurs after record update (update applied to original record) so that is not applicable to, as since we want to keep original data in case someone rejects the new changes (that way we can always go back to original records). I would rather need something like Record Import only without the import part (it checks out the record and only then it allows to do any changes). ;P
    If the description is not clear let me know I will try to “translate it to easier English”

    From reading your question, I gather the following:
    You would like for users to be able to edit a record, which will automatically trigger a workflow, and if it's rejected then it should roll back the changes.  However, the user should not be able to manually start the workflow, it must be started and launched automatically on record edit.  Does that sound correct?
    If so, then you may have an issue.  While an edit can be used to launch a workflow, the workflow is not geared towards approving that edit.  It's assumed that other changes will be made, and those changes are the ones that will be approved or rejected.  This seems a bit strange I know, and hopefully this issue will be addressed in future versions.  However, I think you're only alternative is to have the users be able to start their own workflows.  You can probably use a security role such that a user can't modify normal records, but can only modify records that are checked out to them.  Then you would have to modify your workflow such that it only contains one record at a time, this way the user would not be able to add multiple records to the workflow.

  • Issue with Inactive Approver Role in Workflow definition

    Hi Experts,
    we are having issue with Inactive Approver Role in workflow definitions.
    we have created workflow for Master agreements and Projects. Phases and workflow are working fine.
    But the issue is when a programmatically added approver has completed the approval activity, collaborator role is not changing from approver role to Inactive Approver Role mentioned in workflow definition. For example, you might select Reviewer in Inactive Approver Role, Then Selected collaborator role to be given to programmatically added approvers when the approval activity is completed.
    This is functionality not happening when project or contract document approved and workflow completed in project and MA. we have followed all the standard functionality when we have created workflow. Please see screen shot for the same.
    Can anyone please tell me is there any functionality we missed it or do we need to write any script in xpdl or do we need to check anything with collaborator role or with security profiles.
    we have checked with other roles also same issue coming.
    This Reviewer is in active state and have Readonly profile. We don't have Pre script in this workflow because we are using standard approval.

    As per your answer We have added the approver role in the prescript so that it gets added programmatically , still no luck.

  • Not able to send email notification to adhoc role created

    Hi All,
    Have a requirement to send email notification to multiple emails from workflow. As per the given requirements have derived the emails and concatenated with comma (,) and passed to the API createadhocrole to create.
    lRoleEmail has value as [email protected],[email protected]
    wf_directory.CreateAdHocRole(role_name => lRoleName,
    role_display_name => lDisplayName,
    language => 'AMERICAN',
    territory => 'AMERICA',

    A new role is getting created but there is no email sent.
    Created a new attribute of role type and in the notification function have assigned the same as the performer.
    The NOTIFICATION_PREFERENCE in WF_ROLES table is DISABLED for the new role.
    If anyone came across same issue please let me know to to achieve this.

    You need to provide the correct email address but not the dummy address like '[email protected],[email protected]'. One more thing you can give only email address per one user or role. You cannot assign multiple addresses, if you do also it treats the entire string as one email address only.
    After changing the email address, modify the notification preference to MAIL* and then send a notification.

  • Role Expert Workflow issue

    Hello ,
    I have an issue with Role expert. We want to have 2 workflows one for the creation of new role and the other for the changes to the existing role.I have configured the same and try uploading the roles into role expert which has taken the workflow as i designed.
    After i have uploaded the roles with the worklow i have deisgned my business people have come up with a new workflow for the existing roles and which made me to change the design as per the business requirements.Now i notice the change in the workflow is not affetcing the roles which is already been upladed onto role expert and is applicalble only for the roles i am uploading newly.
    Can any one help me in this regard???

    I think you cannot directly change it since some of the roles are associated with your old workflow.
    However, you can contact SAP for the same and ask for the script.
