Advice on content area layout & subfolders

Hi all!
We're just starting to use content areas for real document management, and I was hoping someone could offer some advice on the layout of one or more of these content areas.
I'm trying to build a typical corporate "Document Library". Parts of the library will be available to "Public" corporate users (corporate users who have not logged on to the app yet), other parts will be available to all authenticated users, and other parts will be available to only certain groups. (Relatively easy so far...)
So far I have these all in a single content area called DOCLIB, with two folders: PUBLIC and CORPORATE. (Ultimately there will be a third high-level group for FRANCHISE users -- non-corporate stores.) PUBLIC is accessible to public users; DOCLIB itself and DOCLIB/CORPORATE are accessible to AUTHENTICATED_USERS. PUBLIC contains subfolders such as NEWS, HELP, FAQS, HRDOCS ("public" HR docs), PRESS_RELEASES, etc. CORPORATE contains subfolders such as NEWS, PLANNERS, IT_DOCS, HRDOCS ("logged on only" HR docs), etc.
A few questions:
1. Does it make sense to break out the PUBLIC and CORPORATE folders at the very top level, or are do people generally put the private folders as subfolders of the corresponding public ones? (Ideally I'd rather put these both into the same folder and simply show more documents once the user logs on, but I couldn't get this working properly.)
2. I currently have the "DocLib" content area showing on the main portal page, defaulting to the PUBLIC folder. However, once the users log in, I'd like to switch the focus to the root DOCLIB folder instead of the PUBLIC subfolder. As it runs now, the focus remains on the PUBLIC folder, and the user must click on the folder path to move to the root folder. Is there any way around this short of creating two different tabs, one for public users and the other for logged-on users? (Once they log on now I show an additional 3-6 tabs on that page.)
3. I'd like to show certain folders (such as "News/System News" and "News/Company News" in their own portlets (in addition to inside the overall Document Library portlet). Unfortunately, once the user logs in, the folder path is displayed, and the user can navigate to parent folders while inside this portlet. (This will horribly confuse some of our users...) I know I can turn off the folder path for this folder, but then it is also gone when this folder is displayed inside the overall "Document Library" portlet (where I'd like to still show the folder path). Is there any way around this?
4. Is there any straightforward way to display the same document in more than one folder? If I use perspectives, it looks like I then give up control over how the page gets formatted, if I use a Folder Link, the folder opens up in its own page instead of inside the portal area, and if I use a URL to point the "second" copy back to the first, this will be difficult for later content managers to maintain. Am I missing another easy way to do this?
I know how to do all this via the PDK, but we're trying to use as much of the built-in content-management tools as possible instead of building more PDK-based code.
btw: We are still in Portal 3.0.8, although we're moving to 3.0.9 as soon as possible.

We are using release 2, and we are looking into using a page template containing a JSP portlet for a consistent navigation bar/header. What do you think of this approach?

There are a variety of ways to do this:
One way is to modify the page that the content area is on to contain the portlets that you would like on your page. Those portlets would contain your banners, links, logos, etc. Note that the page under a content area can not contain tabs.
Another way to do this is to create separate pages and link to those pages from your navigation bar manually.
Note that in release 2 of Oracle9iAS Portal we have combined the content area and page concepts so that there is no more 'drill out of the portal page' loss of context, so you could use Oracle9i Application Release 2 also.

  • Security issue with content areas

    Hi Everyone,
    I was wondering if anyone else has experienced this. If you have, is there a work around? It seems like some of content area security is cached in the database. This is what happened in my two test cases.
    Test case 1:
    - First I created several content areas with subfolders by using the wwwsbr_api.
    - I granted access to just to the content area, and not the subfolders. I did this because when I looked at the content areas created above, the Add Privileges To All Sub-folders was marked.
    - Then when I login as the test user I was able to see the content area, but none of the subfolders. That didn?t surprise me because I was guessing that the radio button to add privileges to the subfolder was only used when the user pressed the Cascade Privileges button.
    - I granted access to the all subfolders on the content areas the test user should be able to access.
    - Then I login again with the test you. I move into the content area that I viewed the first time, and I still can?t see the subfolders. But I could see all the subfolders of the other content areas the test user had access to.
    - I logged in to make sure the group was added to access the subfolders of the content area. The group did have access to the content area and all the subfolders, but the user still could not see the subfolders.
    - The only way the test user was finally able to see the subfolders was for me to go to the content area and pressed the Cascade Privileges with Add Privileges To All Sub-folders marked.
    So it seems like for some reason Oracle is storing the security, and not updating it when it is updated via API for content areas.
    Test case 2:

    - I alter the test user and give him the privilege to view all content areas.

    - I alter the test user again removing the privilege to view all content areas.
    - I login again as the test user and look at the second and third content area again. I still could see all the subfolders even though the user does not have access to them.
    I have tried clearing cache, history, deleting all temporary files and restarting my computer to make sure that it was not caching issue in the browser.

  • Display the reports under all subfolders at a time in the content area?

    In SAP EP portal,We have a requirement to display few reports wherein we have 7 roles with the same names but different ID's and they are merged together so that even if the users have 7 roles assigned he will see only 1 tab in the first level navigation and uder that there will  be one folder at the second level.Now the requirement is like this
    1st level navigation : Role Name
    2nd level navigation :Folder Name
    Detailed Navigation : Folder Name
                                     Sub Folder Name
                                     Sub -sub folder1 Name
                                     Reports   --(one or many)
                                     Sub -sub folder2 Name
                                     Reports   --(one or many)
                                     Sub -sub folder3 Name
                                     Reports   --(one or many)
    Under al the sub-sub folders a workset map iview is added to display the reports with a pictogram in the content area.In the detailed navigation, as soon as the user clicks on the Sub folder the user should be able to see the reports under all the Sub-sub folders( Sub-sub folder1,Sub-sub folder2,Sub-sub folder3) .But currently the user has to explicitly click on each of the Sub-sub folders to view the reports(thrice in this case).Plz give a solution in which all the reports under the 3 Sub-sub folders should appear simultaneouly in the content area at a single click on Sub Folder

    I created CM repository and did all settings.i could able to see the folder and subfolder contents under Content administration>KMContent>root-->KMPublications(my own folder).
    -->using Administrator user i could able to see all folders/subfolders correctly and could able to edit.
    -->now i created KMNavigation iview and created new role called "KMRole".then i assigned iview to page,then page to Role .this "KMRole" is assigned to user called "prasad".
    >for folder "KMPublications" ,using context menu Details>settings-->permissions ,i added "KMRole" for "Read" only.
    -->when i logon to portal with user "prasad" ,it is showing all root directory content and subfolders.when i click on subfolder called "foods",it is showing me exception.this problem is not coming if i logon as "Administrator".can anybody helpme out.

    Maybe there is approval set up on this folder. Order time based publishing. Both can cause the read users to see nothing.
    The first means that read users can only see published documents. If no document is published the result is a empty folder.
    Same for the second feature. If timebased publishing it can be that all documents are hidden for the read users because the documents are out of there time interval.
    Hope this helps. Check both in folder > details > settings.

  • Links in the content area

    Hi, we have a iview that have a list of links, the iview is diplayed in a page in the content are on the right.
    Some of the links are open in a new window but other we want to display it on the content area, we want that the navigation panel will be equal but the link will be in the content area.
    We want that the behaviour will be like when you push a option in the detailed menu navigation.
    We have updated com.sap.portal.navigation.contentarea.par component with
    EPCM.subscribeEvent('urn:myOwnNameSpace','searchResult', handle_searchResult_Event);

    Hi Nash,
    It is NOT true that Related Links always open in a new window.
    It is very important to know where to change the Launch in New Window property.
    Let's say I have a role R1, with W1, with I1, and I1 has a related link to I2. You need to do the following:
    Open W1.
    Select I1 and open for editing.
    Set the Display to Related Links. This screen shows the iView that is the related link (I2).
    Select I2 and click Edit.
    Change Launch in New Window to Display in Content Area.
    For some reason, when you select an iView to be a related link, this property is changed in the related item delta link. This seems like a bug.
    You cannot change the property in the original iView.
    NOTE: The above is for SP13. There may be some differences between SPs, but my assumption is that they work the same.

  • Page Background Lost on Regions above Content Area for Some Pages

    Hi - I am a iWeb novice, but not a total rookie on this kind of software...
    I have a simple iWeb project that applies a gradient fill to the page background, and applies one of the gradient colors to the Browser background on every web page. I am using the "White" theme, and I have trouble with the "Photos" page template drawing Page backgrounds correctly. I have my content area set wider than the default to 1008 pixels to fill a 1024-wide display. I set my display area to 877 pixels high to coincide with the largest media dimension that I see with the inspector.
    I looked here for previous discussions on this and failed to find anything. Maybe I missed a post...
    Initially, most web pages load and display correctly the first time. One Photos web page, however, displays the Browser background - not the Page background above the centerline of the page name.
    On several pages with a "Photos" template (but not all), the initial page is displayed correctly. But, when I click on a photo thumbnail and the page is revised to display the larger photo image in the content area, the Browser background is displayed in error above the content area, and the Page background displays correctly below the top of the content area.
    I have looked for some consistent issue or characteristic that might let me predict when this problem occurs, but it ll looks rather random. It is repeatable, though - clearing caches and reloading the same page exposes the problem the same way a second time for the same page, in other words...
    Is this a bug, or something subtle in placement or overlap of areas on the page that I haven't noticed? Anything to be careful with to avoid this problem?

    Thank you for your interest and replies. Here is a simple page that illustrates the problem I am having with a Page Background Gradient Fill on top of a Browser Background Solid Fill

    Here, I intend the page from the very top to the bottom of the defined content area to transition from pink to white as the eye moves left to right. The browser background is also pink to add some depth to the image - that's what you will see when the page loads.
    Click on the child's drawing to present the image, and you should see the gradient disappear above the centerline of the second text box (above the comment area) when the page finished loading with the large drawing.
    The Content area coincides precisely with the bottom of that second text box. I have tried to move the content area further below the text boxes so that they are not imtimate - no difference. I haven't tried to separate the text boxes, yet.
    The two text boxes immediately above the content area are 45px x 630 px (18 pt text) and 30 px x 630 px (14 pt text) - they overlap by about 10 pix.
    The content area that displays the thumbnail is 1008 px x 445 px (I thought that I set that at 877px...). I can try to set the content area to 877 px... Maybe this is the problem - maybe the Page Background shifts down to coincide with the bottom of the next page#2... Hmmm...
    When you click on the thumbnail, the page#2 content area is 1008 px x 877 px.
    In iWeb, this all looks the way I want it to.
    Please diddle with the page, and ask me any new questions! I appreciate your insight and help. In reality, Kylie won't notice the background change, but my next objective is a corporate site - this child's site is my "training" site. iWeb is really pretty flexible and easy to use. If I there's a work-around or something to avoid, I can live with iWeb just fine.

  • Top level navigation appearing below the content area

    Hi ,
      I have modified the standard look and feel of the portal . We have our own masthead now and a custom footer as well . The problem is the top level navigation is appearing below the content area . I presume that there is a possibility of arranging the ordering of all the different objects in a frameworkpage . How can this be done ? Please help .

      I just checked the layout . It is using the framework page layout as the default layout .I am using NWDS for 2004s . Now if I need to change the order of appearance of one of my components which are
    desktop inner page
    top level navigation
    masthead
    footer
    How do I change it ? Do i need to modify any property for these components like the sort priority or the merge property etc for the same ?

  • Blank content area using navbar portlet

    Hi, using portal 3.0.9.8.2 win2000
    I have a content area where 2 groups have the same rights (view rights on sublevel folders) I have the navigation bar, consisting of the available categories, posted as portlet as well as a few subfolders.
    both roles can view and navigate the folder portlets perfectly from their respective pages. the navbar is displayed for both groups as well.
    But for one group when clicking on a category in the navbar it opens the content area, the navbar is displayed but the contentarea itself remains blank.
    To check I created another navbar displaying a list of folders: same result.
    I deleted the group from the administer tab, recreated it and set access rights all over again within the content area for that group: same result
    please help: this is driving me nuts

    I am trying to remove extra vertical scroll bar on innerpage/content area. I followed below weblog

    First of all if you wand to remove the scroll bar you should use;
    obj.style.overflow="hidden";
    About dynamic height I cannot tell you if the sollution proposed on the blog is suitable for you.
    Normaly you should use only:
    reqsize = document.body.scrollHeight + 100 ;
    In order to find out the total height of your page.
    I don't understand why do you want to do all this. You will have cases when parts of the content will not be visible to the user due to these restrictions.

    Hi Le,
    What exactly do you want to modify. The Desktop inner page consists of your detailed navigation and the <b>Content Area</b> iview. The content area iview renders all the iviews, pages and whatever you add to your roles.
    So do you want to change the layout of this section or something else?

    You can filter the PCD object setting the Search Layout Set of your Searc Iview.
    In System Admin > System Configuration > Content Management > User Interface > Settings > Layout Set and duplicate the "SearchResultLayoutSet" layout set.
    Then you have to duplicate its Collection Renderer "StandardSearchResultRenderer".
    In its property "Resource Types to be Filtered" set as value "-http://sap.com/xmlns/pcd/app/iview".
    Then assign the new Collection Renderer to the new Layout Set and that's it!
    Now if yuor Search Iview uses this new Layout Set, when you search a PCD object the iviews will not be shown!
    (or)
    In the entry "Predefined Properties" of the search options set, you will need to enter "resourcetype(value=http://sap.com/xmlns/pcd/app/page/default)" if you want the search to be limited to resources defined as pages. Leave out /default if you dont want the end user to be able to change the filter.

    I have created a Single page Website..??? by using folders.
    when a user click on any link that call a folder but not a page and that folder is displayed with the layout specified in "Content Area Page" however there is no such option available to change the Heading <Title>Page title</Title> for browsers so for every folder called it displays a Oracle defined Content area page title.

    This problem is fixed in Release 2. There is no supported workaround in 3.0.

    I have KM Navigation iView pointing to a KM folder which displays news items.
    I have used LinkListExplorer layoutset to display the news.
    On click on any news in this iView, the News is opened in an new window. I need to know how can I open the News in the Portal Content Area.

    HI,
    IF you want to display your news in portal than why are you using this KM navigation Iviews . Go with document iview no need to describe any layout set and you can easily appear and display the news content in your portal. Just mention the path to the folder and define the news.

  • Change text "link" color only in Spry Tab content area

    I need to have multiple text link colors in my site for light
    and dark background colors. The only regions in my site that have a
    white background are in the Spry Tab Panel content area. I can't
    figure out how to change the text color for text links in the spry

    but it did not effect anything

  • Adobe Livecycle Designer -  Content Area can not be re-sized

    I've installed Adobe Livecycle Designer 7.1 and I am able to create forms using transaction SFP and print them.
    According to the Adobe documentation, I should be able to re-size the content area on the Master page.  When I try to do this, I am able to make the content area smaller, but can't make the area bigger.  I also can't move the content area down.  the application ignores what I do, but doesn't give any error message or warnings.

    Hi Chris,
    First make sure that you are in the Edit mode in transacrion SFP. If you are in Display mode the changes you make will not be saved. Also a message is displayed 'Changes in layoyt are not saved in display mode'.
    Next make sure that if you are resizing the content area for a particular Master page, you first need to select that master page from the Hierarchy view and then click on the Tab named Master in the Layout editor. Only then the changes will be reflected.
