Agent Assignents in Workflow Customizing

Hi All,
I have a doubt regarding agents assignments in workitems.
In our scenario, When ever a engineering change order is created, it triggers a workflow item to 3 users inbox automatically (in SBWP) for the approval.
Can anyone tell me where exactly these agents are assigned in customizing of WF.
Please help.

Hi,
   Ii is not mandatory that the three agents might be hard coded. It is possible that there is rule that would be determining the three agents dynamically, So I would suggest, that just follow the below steps.
1. Execute PFTC select Workflow template as task type and mention the workflow id Exculding object type WS.
2. Open in display mode and clikc on the workflow builder in the new screen. This will inturn will navigate you to the SWDD txn but in display mode.,
3. Check the standard task or Activity or Decision steps , the one which is sent for the three agents. Check whether any ruleis assigned to itif any rule is assigned then just double click the rule to see what kind of rule it is. You can simulate the rule from PFAC txn.
4. If there is no rule assigned then on the same screen you might be having a green colured apple shaped icon click on it to see if any of the agents are hard coded. ....
Note: In general the agents should be determined dynamically.

    Hi All,
    We have a situation where all users are receiving error messages in their SBWP inbox. most of them are related to error processing with IDoc. the user inboxes are flooded with error message and they are not able to open their SBWP.
    It seems that in SWU3 - automatic workflow customizing setting "Idoc interface" is active.
    Path : SWU3 > "Classify Task as General" > IDoc Interface (checked).
    We need to deactivate this Idoc interface but we are not able to do the same. Can some one let us know how to do this.
    Also if there is some other cause of this problem then please let us know. Currently we are purging the error workitems but they keep on generating in the background.

    For this purpose you need to contact BASIS team to deactivate this.
    Alternate solution :
    Get the task id of that workitem. Open it through tcode PFTC and make the task attribute form to "General Task" to "Forwarding not allowed".
    Run PFCT
    Enter tour Task id ( eg. TS00008068 , please remove leading TS )
    Addition data >>> Agent assignment >>> Maintain >>> Attributes
    Form the next run of the workflow workitem will not reach to SBWP.
    For the workitems you need to delete mannualy or forward it to a idle user.

  • GRC 10.0 Workflow customizing problem

    Hi experts,
    We are working with GRC Access Control 10.0 and when doing the customizing tasks related with workflows we have an issue that doesnt let us continue.
    Here is the background information.
    We are in the "IMG/Governance Risk and Compliance/General Settings/Workflow/Perform Automatic Workflow Customizing" or easiest, we are in transaction code SWU3.
    Here we have: Maintain Runtime Environment, all green, Maintain Definition Environment, all green, Maintain Additional Settings and Services, a red cross :(.
    So, when opening the tree of our red cross task, we find that the only task that is with a red cross is "Maintain Web Server".
    So, we execute the task, and here we have the following information:
    Service = Webflow (Internet)
    Address web server = http://<our web server>:8000/
    Protocol Address = HTTP
    Path of service = sap/bc/workflow_xml/?
    URL = http://<our web server>:8000/sap/bc/workflow_xml/?
    And here is something that kept our attention. When we push the button to test the URL, our IE opens a page but it is in blank (it doesnt show anything).
    As we saw that, we thought that the service was not active and so went to transaction SICF and checked it, and yes, when you test the service, it doesnt work.
    We finally, checked support packages upgrades and went to SP5 in our GRC server and SP5 in both plugins in our SAP ERP server.
    And, here we are. Have no idea what else to do or check.
    Any suggestion?

    I have just checked my SICF settings and found that we have not actually activated those services at all and our NWBC sessions work fine now.
    Have you activated the sap/bc/nwbc and sap/bc/webdynpro services?
    Also, have you activated the required BC sets for the standard content on Access Controls? This removes the need to do a lot of the basic setups but you still need to follow through the event linkages to check the successful generation etc.

  • Urgent: Issue in Automatic workflow Customizing.

    Can someone please help me with this issue in Automatic workflow customizing ( SWU3)
    When I try to execute the step
    Maintain Runtime Environment > Schedule Background Jobs with missed deadlines
    I get the error message saying
    "Output Device "" not known"
    Can someone help me how to resolve this? This is very urgent for me.

    The guidelines tell you not use the word urgent in your message title, so please don't. Personally I  try to not answer such questions until at least one day has passed, giving you some time to cool off and perhaps solve the problem on your own.
    I can't recall seing this message myself, but my guess is that either your user or the user WF-BATCH (if the job is being scheduled with that user) has a default printer (output device) that is not defined in the system.

    Hi Amit,
    What error did you meet when you used the OOB ‘Send Email’ action?
    I suggest you fix the error rather than creating a new workflow ‘Send Email’ activity.
    Of course, you can also customize a workflow activity to send email, there are two acticles about creating a custom workflow activity for your reference:

    Dear Experts,
    Responsible Agent: Responsible Agent is a user assigned to a step in the step definition. Expressions, organizational objects, or rules can also be used to assign the responsible agents.
    Possible Agent: Possible agent is a user who is authorized organizationally to start a task and execute the relevant work item.
    The SAP System determines the recipient(s) of a work item i.e. Actual Agent from the intersection of responsible and possible agents.
    We normally assign responsible agents using expression, user, org objects, job, position etc.. Where should possible agent be assigned? I have an activity step where I assign an agent for it (US USER1)and make the task as general. Who is the possible agent here?

    Thanks a lot for your reply. Now I am clear about who is a responsible agent. From that thread I found that,
    we will maintain the possible agents in the task definition and responsible agents in the work flow definition.
    I am clear about assigning responsible agent in a workflow. Its done at activity step. Can you please tell me how to maintain possible agent in task definition.

  • Automatic workflow customizing SWF_XI_CUSTOMIZING

    Hi Friends,
    I am getting issues with "Automatic workflow customizing - SWF_XI_CUSTOMIZING". Can you all please look into this? The problem is
    I entered the transaction "SWF_XI_CUSTOMIZING". There i can see that all are not GREEN.
    Under "Maintain Runtime Environment", i have following items RED:
    1. Schedule Background Job for Missed Deadlines.
    2. Schedule Background Job for Work Items with Errors.
    Under Maintain Definition Environment, following item is RED:
    1. Check Entries from HR Control Tables
    Everything else are GREEN. Can you please let me know why the above are RED and How to make it GREEN?
    I have implemented FILE TO IDOC scenarion using BPM and getting a error of 99 in SXI_CACHE. Is this problem is because of the above are RED?

  • SWU3 workflow customizing in SRM

    I am doing system restore post activities. During system restore post activities,
    I am supposed to setup worflow configuration (SWU3). I highlighted Maintain Runtime Environment and clicked on perform automatic workflow customizing. Most of the items got checkmarked green, except the following.
    Schedule Background Job for Missed Deadlines
    Schedule Background Job for Work Items with Errors
    Schedule Background Job for Condition Evaluation
    Schedule background job for clearing report .
    In the log entry I am getting Object with runtime number'    0' not defined.
    I am clueless. I need help.

  • Workflow Customizing Error: "Workflow: No workflow definition found"

    Hi experts,
    I am currently configuring Workflow on our newly installed ECC 6.0 using the Automatic Workflow Customizing (SWU3).
    I was able successfully executed all necessary items including the RFC destination but when i choose the 'Start Verification Workflow', this error appears: "Workflow: No workflow definition found".
    I tried logging in and out of the system, and repeating the execution of each item but the same error still occurs.
    I read a thread that says it might do something with WF-BATCH but i was able to set it as the RFC destination; WF-BATCH has the following settings in SU01:
    Username: WF-BATCH
    User Type: System
    User Group: SUPER
    Authorization: SAP_ALL, SAP_NEW
    Hope somebody can help me resolve this issue as soon as possible.

    Hi Dex,
    Have you maintained the Number ranges in Transaction SWU3?
    If so, then test the workflow from SWDD itself.
    I think you gave the wrong workflow ID in the SWUS transaction.
    First try with SWDD and then check it in SWUS Transaction.

  • Problems with Automatic Workflow Customizing

    Hi!
    I am having problems with Automatic Workflow Customizing (SWU3). I am trying to execute "Configure RFC Destination" manually. I receive the message "Synchronization of passwords failed".
    We are using CUA and it is therefor not possible to create the user from SWU3 which means that WF-BATCH has been created in CUA with a pw which is then filled in by me when executing "Configure RFC Destination".
    WF-BATCH has authorization SAP_NEW, SAP_ALL
    My user also has SAP_NEW and SAP_ALL and usergroup SUPER.
    Does anyone know what might be the problem?

    Hello Anders,
    Check if the user is locked in SU01. Then check if your user has been created in CUA.
    It is recommended to delete WF_BATCH. The system will auto create the user ID WF-BATCH and synchronize the password.

  • How to execute automatic Workflow customizing settings in swu3 transaction

    Hi Folks,
    We are trying to execute automatic Workflow customizing settings in swu3 transaction.My basis team has done all settings except maintain prefix numbers" and "check entries from HR control tables.Basis team is asking us to do these settings(either functional/abaper). When I am trying to execute check entries from HR control tables am getting an error.Please find attached screenshot of the same.
    Maintain Prefix numbers settings is maintained but still it is showing red.
    Please suggest how should I be doing this.

    Hi Jaya,
    Maintain Prefix Number -  As far as my knowledge concerned Prefix number is required to create the Org determination rule. Org. determination rule contains the eight digits, in which first 3 digits come from the prefix number.
    1. Use the T-Code SWU3
    2. Go to Maintain Definition Environment
    3. Click on Maintain Prefix number and click f8 (execute).
    4. Create new entry with
         a) three digit prefix number (unique)
         b) Sap system
         c) Client
         d) Package

While executing "Schedule Background Job for Missed Deadlines", it is giving error as "Object with runtime number '                                                0' not defined". So please let me know how to resolve this issue.

    hi,
    condition evaluation job, searches for forks in workitems and logically deletes branches which are no longer needed. Suppose you have a fork, 1 out of 2, at the momen of creation 2 workitems are created, if one of these are met, the second one still exists, untill the conditon job runs it then logically deletes the not needed branch.
    event queue, is something like workload balancing (see also tr SWEQADM) basically it consists of 2 parts, the interval and the number of events. suppose the interval is every 5 minutes and the number of events is 100. Suppose at one time 1000 events are fired, if the event queue was not set, the system would handle all of these events this has a high impact on a productive environment, with the event queue, the events are handled in bundles of 100 every 5 minutes.
