ALE DIR originals to different content server

We have a production content server and a test content server attached to our production SAP system and Test SAP system respectively.  The storage category names are the same in both systems.  I need to ALE selected DIRs with attachments from the production system to the test system.   I am able to ALE the DIR from the production system to the test system using bda5, but an ALE error results on the test (target) system during ALE processing because the originals being stored in a different content server, I'm guessing.  I have no problem ALEing DIRs with attachments between systems sharing the same content server.
Is it possible to ALE a DIR with originals from one system to another if both systems use a different content server?  If so, how is this done?

    We are storing scans of bills in a repository of our content server.
    I would like to create new repositories on my CS and to relocate my documents for specific years on these repositories.
    The idea is to split documents to repositories per year.
    I would like to do that because full backup with networker/legato client takes too much time to backup everything each week.
    Another important point for me is that I would like to be able to restore faster recent documents in case of a restore/recovery.
    1. Would you know if it possible to do so with sap tools?
    2. If not, has anyone written a program that provide repository relocation for specific (not all) documents?
    From what I have seen archivelink repository ID can be only two characters.
    3. Can I choose any combination of two characters for my new RepIds or there are "SAP reserved RepIds"?

    is it possible with SAP Web Documents to checkout and edit original files from a document info record that are stored in a SAP Content Server and save the changes back to the SAP Content Server?

    unfortunately it's not that easy. Mobile Documents provides with NW ABAP 7.40 SP10 an API which, if you implement it, allows you to expose data from basically any ABAP system. Currently the API only provides read support, but we are already working on enabling write and versioning support also.

  • Check-out originals from Content Server to File server?

    Hello Experts,
    We have urgent requirement to check-out huge number of originals from the Content server and send to an application server (ftp server).
    The input data that we can use to fetch the originals are  PHOIO nunber or LOIO or Original File name.
    I tested below function module but they does not seem to meet our requirements.
    BAPI_DOCUMENT_CHECKOUTVIEW2  - Originals are checked-out to C:\Temp\
    CV120_KPRO_CHECKOUT_TO_SERVER
    CV120_KPRO_CHECKOUT_TO_TABLE
    SDOK_PHIO_LOAD_CONTENT - here the content is written to table in binary mode.
    CV120_DOC_GET_FILE
    Also i tested program - DMS_KPRO_READ. In this case, manual action is required to select the path in front end where the originals needs to be checked-out.
    Please help if you have suitable solutions.

    Hello Sandeep,
    You can use "DMS_KPRO_READ" report to achive your purpose. In this report you will get PHIO ID & LOIO ID. with these ID's you will get originals path to download the files uploaded on content server to application server or FTP server.
    Use F_BROWSE function to select all files in foreground/background to downlaod it on desktop. I have implement in my project & it is working fine till date.

    we are using Extended classic senario of SRM, and Shopping cart, PRs, POs are created in SRM and remains in SRM only, (no transfer to ECC / backend)
    and here in Shopping cart, PRs, and POs we attach external files (word, Pdf, gif files) relevantly,
    we have a requirement to transfer the SRM external files / documents attached in to a different content server,
    the requirement is simple, as to not to Load the SRM server with external documents or attachments, we would like to have this documents in a different Server (here inside content server) so that the documents are accessed and retrived from Content server every time by SRM.
    Going to Transaction OAC0, we could see there are different content repositories available, having Document area, and storage Type mainly SAP System database.
    here let me know among the list of different content repositories available which one specifically deals with external file attachment storage, so that i can change the storage Type to a Content server
    is this the correct way to transfer our SRM external files to a different Content server, or any other best methord please eloborate

    Hi all
    We are currently holding shopping cart attachments on the local server but the customer now wishes to hold this on OpenText repository.  I have successfully implemented the OpenText repository by changing the value against BBPFILESYST to our bespoke value; however when I do this I can no longer see the attachments that were previously stored locally!
    Can someone please advise how this may be achieved or, conversely, how these 'old' attachments can be moved to OpenText?

        1. What is the procedure to copy originals from local content server to central content servers located at different geographical locations. (There is a report  SAPKROTP, but i am unable to execute it). Even if copy it, will it display in DIR as two different files.
       2. About Cache server : As name implies it is a temp storage and based on reference from SAP help and few other documents, it is very clear that documents cannot be checked in cache server. Also We are not defining cache server in OAC0 and OACT settings. Hence Can we check-in originals in cache server?.

    Hi Prasanna,
    A Cache Server is used to store copies of documents when they are accessed for the first time. As a result, the documents can be accessed again more quickly, since the contents are taken directly from the Cache.
    With Cache the Originals documents are stored in one location on content server. The copies in the cache can be replaced with newer content at any time.
    The Original document will still be located on the Content Server
    The Content Server can Retrieve the cache Content at any time
    As earlier i had told you that any number of content servers can be installed in different locations. The contents are transferred directly b/w the client & content server. If the Content server are accessed from different locations that are linked via WAN cache servers should be used.
    You need to install one Cache Server at each location on WAN for enhancing the performance & Reducing the traffic in Network. So Cache server is used only for speeding up accesses of documents stored.

    Dear Jai,
    to set up a Content Server please remember the following steps:
    1) Content Server sizing with the hardware specification - Functional Consultant.
    Content server sizing has to be done by functional consultant based on clients requirement related to different application files and their sizes for approx 1 year and based on this it has to be estimated to next 5 years if requried.
    2) Preparing the Server - Basis
    the content server sizing done based on inputs has to be given to basis for checking the hardware specification,server size and also the platform on which content server will be installed (Unix,Windows etc).
    3) Creating Content Repositories - Functional Consultant with information of the server details from the Basis guy.
    once content server is installed, it has to be configured by creating content repositories and categories by functional consultant with the help of Basis.
    4) Creating Storage Category: Functional Consultant.
    must be done by functional consultant with the help of Basis.
    5) Configuring KPRO - Functional Consultant.
    once content server is up, KPRO functionality also will start working but to direct files to content server instead of Sap Database, configuration in backend has to be done by Functional Consultant.

  • DIR creation using a template, but template file is not in content Server

    We have a scenario where in we are planning to maintain a different template Files /documents in SAP DMS,
    The user will use this templates to update his details and save the filled in details back accordingly.
    so i have uploaded few files / templates in DC30 for a particular Workstation Application to be used as templates,
    but this templates are not stored in the content server for the client wide access, so if i have uploaded the file from my system only i can access or work with the template,
    why is it so, why is the template not stored in a content server so that every user can access this,
    is there any other better way of maintaining the templates in SAP DMS. please let me know.

    There are two options to store templates
    1) Source File :- Where you give the File path in ur PC
    2) Source Document :- It takes the template from a DIR stored - the orginal may be stored in the content server
    Now you have used option 1)..
    Go for 2 ) and store the original in the content server. This will help all users to access the template

    Yes,successful execution of the CDESK transaction for deletion ensures that the DIR and the meta data is deleted from the database and all the associated original files are deleted from the database/Content Server depending upon the storage location opted for.

  • Content Server & cFolder Integration via Different Application

    Hello,
    We have cFolder 3.1 and content server. cFolder and Content Server is integrated. User can add file via cFolder & this file will be visible in cFolder.
    But Customer has a different requirement.
    They want to upload files to content Server Directly(ie not thru cFolders) using a web dynpro application, after uploading, a Document Link needs to be created in cFolder linking  to Content Server. (Please note that this has to be document link and not a Bookmark/Hyper Link ). So that customier will still be able to use his API for reading the file content.
    Can you plrease suggest the way forward?

    I think you can try the following way for this:
    You need to be able to call the API CFX_API_DOC_CREATE, while uploading the document in the webdynpro application. While creating the document, you can provide the URl instead of original file path and save it.

    Well you can manipulate the MIME content at runtime by using the API: CL_MIME_REPOSITORY_API. However if your content is temporary, it is more efficient to just place the content directly into the ICM cache. You don't have the overhead of having to both write and then delete it from the database. Here is an example of how you can do this:

    ans: no it is not same, on content server we are making content repository.
    content server is the location where, the doc get stored. for ex : content server is like a computer and repository is like a drive on it.
    once we install content server , we have to configure content repository on it Tcode : oac0

    Ans: once you configure the content repository in oac0, use the Tcode: oact define the storage catagory.
    choose the content repository which you made for storage catagory.
    SAP Standard default one is: DMS_C1_ST, where as you can define your own storage catagory.

    Ans:Mostly content repository on pp is different that content repositry on D and Q. Please check wheather all three system in in line or not.

  • The best place for content server

    Hello,
    We need to install content Server . SAP ECC is in Paris .
    The users who will use the content server will be in New-York.
    Is the best place for content server in Paris or in New-York?
    The question could be : Will a document (for ex. a pdf of 100 Mb) to be checked_in the CS be first transferred from frontend to ECC and then from ECC to CS or directly from frontend to content server ?

    Hi Oda,
    If your users are in New-York, then better to have content server there to optimize network traffic and speed. There is something called as distributed content server concept where you can have different storage areas for different geographical locations.
    And as far as i know, whenever files are checked-in, they are directly stored in content server and it will not route through the ECC. Only DIR stored in the ECC will be linked to the file in the content server.

      Yes my users are over a 10 state area geographically, with u201Cpotentialu201D handheld access to the documents that would be attached to functional locations and equipments using the CV0*N access.  They would have no need to u201Ccheckout/checkinu201D documents in the field, but would need view access or print access from their field device via a work order wrote against the equipment or F.L. to which the documents would be attached.  I envision a separate small group of users that would actually u201Cmanageu201D the documents themselves such as u201Ccheck out/update/check back inu201D to the separate server location where the file(s) are located. 
      I understand in principle (I think) the DMS storage, but again, if I select u201Ckprou201D (currently unselected for my document type) you make the following comments: u201C2. 'kPro Storage' option (may store in SAP DB,HTTP Content Server), herein you can store 'n' originals/documents and 'n' additional files, AND
    HTTP content server  You may either use the SAP Content Server or an external/third-party content server.Typically, content server is opted for when operating in a distributed environment(users accessing from several locations)/index based search is needed/n:n mapping scenario exists. 
    Logical repository
    This storage type allows access to different physical repositories, independently of the client and the system ID.u201D
    So based on these comments, are you saying I should select u201CKprou201D for my particular document type and that I should define the external server as either an u201CHTTP content serveru201D or either a u201Clogical repositoryu201D?  If yes, then as I commented in my 1st ask, please advise how u201CI should use for "Maintaining the Storage System" since based on the selection of "Storage Type" whether HTTP content server or Structure Storage System, or Logical repository decides how the rest of your screen looks for further selection.u201D  Thanks in advance.

             I am in PLM implementation project. I have a reqt in content server.
            All the DMS users are connected to a single server but geographically located at different locations. To avoid the traffic, some of the local unit related documents has to be stored in their local content server. But Users should have the option of  saving the original in Centralized content server or local Content server depends on the reqt.
             For eg. users in Location-1 can store only in his local server and central server. Similarly users in Location-2 can store only in his local server and central content server not in location-1's local server.
             As we know that it is possible, which is the optimum way to configure this?.

    Partially your requirement can be met by configuration steps in DMS configuration .
    you can make a stoarge category automatically defaulted to a particular user . This means whenever a user checks in an original , system check it to a local server automatically (based on the configuration ) but cannot check in it to a central server for a given condition automatically  .
    in simple words  only one storage category for ws application type can be defaulted for automatic checking and for a choice of storage ares,,,user needs to do it manually
    Spro--> Cross Application components --> Document Management > General data>Define Profile
    Here is a suggestion  though,,,,,for distributed content....
      I havent  see any requmnt of openeing  and "editing "originals and sharing between global locations very frequently ,,,even if it is true those might be smaller files . So if its Displaying the files between global locations , then deploying cache servers is the solution
