Alert Configuration:- You use alert configuration to have the system informed you about the errors that occurs during message processing.
*Used for alerts that occurs at IE.
defining Alert Categories
During alert category definition, you specify the alert text, expiry time, escalation, and all other conditions related to the sending of this kind of alert.
1. Ensure that you are in change mode in the alert category definition environment (transaction ALRTCATDEF).
2. Choose Create Alert Category.
3. In the Alert Category column, enter a technical key. Choose a key that describes the situation that triggers the alert, such as CUSTCANC for a category responding to a customer cancellation. This key is language-independent and identifies the alert category. The standard namespace convention applies to the key, this means keys Z* und Y* belong to the customer name space.
4. On the Properties tab page:
a. In the Description field, enter a description for the alert category. Choose a description that is informative with respect to the content of the alert category. The description is language-dependent.
b. If required, you can select a classification in the Classification field. If you do not choose a specific classification, the category is stored in the classification folder Unclassified. For more information on classifications, see Alert Classification.
c. In the Max. No. of Dels field, specify a maximum number of times that an alert of this category is to be delivered if it is not confirmed. This refers to delivery using a communication channel other than to the recipientu2019s display program (UWL, application-specific program, or alert inbox).
d. Select Dynamic Text if the texts of the alert category cannot be defined at this stage. This refers to situations in which the texts are not known until runtime, for example when CCMS Alerts are forwarded to ALM.
No translation can be performed for alerts with dynamic text. System messages can be entered manually in several languages.
e. In the Expiry Time in Min. field, you can enter a life span for alerts of this category if the alerts will no longer be relevant after a specific period of time. If the expiry time elapses, the alert is removed from the alert inbox and is no longer delivered using any other channel.
Expiry times can be derived from various sources. Priority is given first to the data provided by the triggering application, second to the BAdI ALERT_EXP_DATE, and third to this field in the alert category definition. If none is found in any of these sources, the default expiry of 31.12.2099 applies.
f. If you wish to specify an escalation recipient, select Escalation Active and enter the escalation recipient. Also specify a tolerance time in minutes. When escalation is active for an alert category, an alert is escalated if none of the alert recipients has confirmed the alert after this tolerance time. The escalation recipient is also informed that he or she has received the alert because of an escalation.
The escalation functionality is based on the administrator report RSALERTPROC. This report has to be scheduled as a regular job. For information on this report.
5. On the Container tab page, define any variables that you may want to use in the short text or long text. You can also define other application-specific variables, such as company code or material number. These variables are then replaced at runtime with values from the application. For more information, .
6. On the Short and Long Text tab page, enter texts for the alert category. You can include text variables referring to elements of the alert container or system symbols. In the case of a container element, the variable must be defined in the alert container. The entry in the text must be in the form &<ElementName>&.
The title is used as mail title, fax subject, and alert title in the inbox. The long text is used as mail/fax body and the long text view in the inbox. The short text is used for pager and SMS.
7. On the Optional Subsequent Activities tab page, you can enter URLs for subsequent activities. If you trigger your alerts by calling a function module, you can also specify dynamic subsequent activities. For more information, see Triggering by Calling a Function Module Directly in Triggering Alerts.
8. Save your entries.
You create an alert category to use in alert rules.

    To send an EMAIL, assign an EMAIL ID to the corresponding user in the transaction SU01 and then set up SCOT and you can send emails when the ALERT is triggered.
    Once you have configure Alerts, you will get the Alerts into ALERT INBOX in RWB of the user. To also get the email, the following needs to be done,
    1. In SU01 -- Assign the Email ID for the Recipient of the ALERT.
    2. In , RWB>ALERT INBOX> PERSONALIZATION--> Time Independent Delivery and Email are selected.
    3. Finally, SCOT needs to be set up to send Emails. Check this for the same. You can ask your BASIS team to do this step.

    Alerts are coming to alert inbox and how can i send those alerts to external mail ( Lotus Notes)

  • Alerts to External E-mail PI 7.0  SP13

    Hi,
    I'm trying to configure alerts to an external e-mail id and was browsing through some the answers in forum.
    And it surprised me that I do not see some options mentioned in those answers on my SAP screen
    1) RWB>ALERT INBOX> PERSONALIZATION--> Time Independent Delivery and Email are selected.
    Que: The personalization options I have are Mail, Fax and SMS. I do not see a "E-Mail" option, am I missing something or its the same "Mail" option?
    2) Also, In ALRTCATDEF, go to SETTINGS--> CONFIGURATION. By default, the option selected is INTERNAL PROCESSING. Select the option SMTP FORWARDING AS XML and give the email id. This will enable you to send an email alert whenever an error occurs in XI.
    Que: When I go to ALRTCATDEF -> Settings -> Configuration, I see only 3 sections Inbound Processing,Status Handling with Mails and Logging.
    I do not see Processing , Personalization and XML Formatting sections.
    Are things different in PI 7.0  SP 13 or I need to configure/ activate something?
    Note: Alerts to RWB -> Alert inbox are working perfect.
            I'm able to send e-mails to external mail ID from SAP Inbox, so I guess SMTP in SCOT is configured right.
    Please help!!

    and in SU01 u need to declare u r email ID to u r XI user id

  • Alerts via e-mail

    Hi,
    I have configured the BPM to raise an alert in case of exceptions. I am able to see the alerts being delivered to my alert inbox. Now I want to send these alerts to uesrs inbox via e-mail. Please let me know what are the steps involved to send alerts via e-mail. Also I would like to know as to where exactly in XI we specify the e-mail address to which these alerts needs to be sent.

    We are going to implement FM BCS module  to my client. My client is asking Budget exceed mail alerts will trigger to external mail box. But as per my observation Budget exceeding  mail alerts are triggering to Supervisor  and user SAP Inbox. But my client is asking mail alters should trigger to supervisor external mail box only.
    Please suggest on this.

  • Send Alerts to external email ids

    Dear All,
    I am using ALERT MANAGEMENT to raise alerts and send mail to recipients. I am able to send external mails to
    those users who have got a SAP Userid where the email id is maintained in the user profile. But suppose I want
    to send mails to external users who do not have SAP Userid, then how to do it.  I checked the program
    RSALERTTEST where it gives the option to send mails to external email ids.

    Hi Pravat,
    You can do this with SALRT_CREATE_API. But you have to create a alert  category. go to ALRTCATDEF with a user role " SAP_XI_ADMINISTRATOR".
    Then create category and give your receivers.
    Then write a program like rsalrtdemo1 . This shows you how an alert can be called directly by a function module.

  • BBP_ALERTING - pass external mail ID

    Hi SAPions,
    I have implemented BBP_ALERTING with the config settings.
    1. I have used BBP_EVENTS_ANALYSE method to force my custom EVENT which i defined in the config.
    2. BBP_EVENTS_CATEGORISE is not implemented.
    CASE1:
    3. In the BBP_EVENTS_DET_RECIPIENTS method, i am passing the E_MAIL field of CT_RECIPIENTS with the external mail-ID.
    In this case, the mails are NOT sent.
    CASE2:
    3. In the BBP_EVENTS_DET_RECIPIENTS method, i am passing the USERID field of CT_RECIPIENTS with the internal USER-ID.
    In this case, the mails are SENT.
    How can I pass the external mail-id.
    Please help.

    Hi Ashwin,
    I don't know if this works for alerts, but generally, when you want to send out workflow notifications to an external e-mail, you should have the following extra customizings:
    - Set the attribute FORWARD_WI for the requester;
    - In SU01, select "e-mail" as the communication method and maintain an email address;                                                        
    - In SO16, tab "Mail Sy.Grp", select "Send to home address of users".

  • Can't send smartform to external mail address

    Hi, everyone.
    Now, after creating some self-defined smartforms, we want to send its
    PDF copy to
    our external mail address. From this point, I had some try.
    Reference to SAP Library, I make a testing program named 'YPDF_TEST'.
    However, one exception always exists when running and error message id
    is 'XS806' - means
    "No delivery to &, invalid recipient address"
    I filled the address with following fields.

    I just can't understand the real reason why it doesn't work.
    Through debugging, I found the error occurs when handling the following

    Hi,
    You can follow a different approach. Send the output of the Smartform to the spool.
    You have a Function Module to read the spool and convert it to PDF . Then there is one more function module to attach the PDF and send it as a mail.
    You need to configure SMTP in Tcode : SCOT.
    Search the forum with emailpdfattachment
    You have umpteen postings available.

    Please Some help me on this issue am getting below error  when am trying to send mail from Business Workplace to External Mail
    Cannot process message , no route from SAPUSER TO abc123 at gmail dot com
    I done configuration by refereeing below.
    Please follow these steps:
    1.) tcode = SCOT
    2.) double click SMTP
    3.) under "SMTP Connection" section, fill in your mail host IP(ex: webmail.sap.com) and the port number(25) and code page = No conversion.
    4.) under "Supported address types", make sure Internet is checked, and click on "Set". The Address area has to be *
    5.) To test route,
    SCOT -->Utilities --> Routing test
    RecipientAddr.type = INT
    Recipient addr. = abc.xyz at sap dot com
    6.) You also need to set the Default Domain.
    SCOT --> Settings --> Default Domains (webmail.sap.com)
    7.)Now go to tcode SBWP,compose a mail and in the recipient address,enter abc.xyz at sap dot com and send.
    8.) Come back to SCOT and click on Utilities-->Start send process(CtrlF7) and execute.+

  • Sending external mail using SO_NEW_DOCUMENT_ATT_SEND_API1

    When i use this RFC by appending the internal table receiver with receiver: sapuser name and rec_type  B it triggers mail to the sap user login .But when i give external email address for receiver with rec_type 'U' it is not triggering any mail.Can anyone please tell me how to use this RFC in sending external mails??

    I went back and you are right "INT" was not the REC_TYPE it was the COM_TYPE.
    Sorry for any confusion caused.
    However,
    I suggest 2 more tests and then I give up and can not think about anything else.
    Try:
    #1
    REC_TYPE = 'X'.
    if it does not work.
    #2
    REC_TYPE = 'R'.
    Hope that will do the trick. I was trying a lot when I had to get that working some time ago.
    And surely the other colleagues point to something which must be setup as well. Transaction SCOT the SMTP settings.
    Furthermore there could be another issue. I remember that I worked at a client who had turned off the send settings on their email server. So SAP finished everything and handed the emails on to a mail server. The mail server had a setting to block any emails from the development environment.
    So that might be another cause of your issue.

  • How to send "SPOOL" on SAP MAil or external mail in background???

    I tried using 'SO_DOCUMENT_REPOSITORY_MANAGER' function but it failed when I run it in background. I learned that it calls a screen at the middle of the process which needs user input to go on with the process.

    IT_RECEIVERS parameters needs to be passed as shown below.
        wa_receivers-receiver = "..........External mail id".
        wa_receivers-rec_type = 'U'.
        wa_receivers-express = 'X'.
        APPEND wa_receivers TO lt_receivers.
        CLEAR  wa_receivers.
    Once mail is triggered to the external mail id's, check the mail is transferred from SAP or not using the tcode SCOT.
    In SCOT,follow the path UTILITIES-> Overview of send orders.

  • Adding external mail contacts to a distribution group seems to randomly add the user instead of the mail contact

    I've added a external mail contact for all my mailbox users because all the users have other jobs and other external email addresses.  Since these users don't normally log on to my domain to get email, I need to create a distribution list with all their
    external email addresses.  I've scripted the creation of all the external mail contacts, from the mailbox users and I use AD's Notes field to contain the users external address. When using add-DistributionGroupMember and supplying the external mail
    contact email address as the "-Member" param, about half of the time the users mailbox user gets added to the group instead of the external contact.  I don't see any arguments to tell add-DistributionGroupMember to use only mail contacts.
    1) I don't even know how it's finding the mailbox user because I'm supplying an external email address which is only in the external mail contact.
    2) Some members of the group are correctly added as external contacts, some are mailbox users.
    3) I only want the external mail contacts in the group
    If it helps, here's the line that I use to add members to the group. I've tried mail enabling the mail contacts, no help...
    Add-DistributionGroupMember–identity“AltEveryone”–member(get-QADuser$_.Name).Notes

    You cannot add an external contact without first creating the contact first.
