Aperture 3 library file organization question

I tried searching for an answer to this question but I had no luck. Perhaps I was searching on the wrong keywords.
In the older version of Aperture, you could look in the "guts" of the library and see individual projects, but as far as I can tell with Aperture 3 you can only see files by date (i.e. by year, month etc).
My problem is that I don't currently have access to the entire library via Aperture, but I have access to all the files via the cloud (I am using Crash Plan). I need to find individual files but searching chronologically makes no sense and neither does downloading the (terabyte plus) library to use in a local copy of Aperture is not feasible.
Is there a way that I can identify specific projects within the Aperture3Lib file? Any help would be deeply appreciated.

No sorry in Aperture 3 all that got turned into entries in database files. And even if you could find them it would do you no good because the only place an actual image file is located is in the Masters folder, where the files imported are kept and the Previews folder, where the previews are kept.
Also bear in mind that the Masters folder is organized by import date and time not image date and time.
As a side note you need to be very careful using an online backup service for Aperture (and iPhoto) libraries. Because of the way the # libraries there have been reports of some of the services causing libraries problems when restored.

Aperture newbie - library / file folder question

I am still trying to figure out the best way to use aperture to organize my work and even after reading the documents, I'm confused about why it stores things the way it is and what other options would be of benefit.
With iPhoto, everything was stored in the iPhoto library. With they way Aperture is set up, I still have an Aperture library "file" that is 6.x gig but all my files are being stored in the pictures folder under their own folder names. I was under the impression all pictures were stored in the library file like iPhoto did. I'm assuming I just have something set differently.
So if that is the case and I can store all my images in the Aperture folder, what is the advantage of doing that versus they way its storing all of them now? Is one way better than another? Any opinions?

On a laptop or on an iMac you probably do want to manage by Referencing image Masters. Hard drives slow as they fill, so at some point - perhaps immediately - you will want your Masters on one or more external Firewire 800 hard drives. OWC <http://www.owcomputing.com/> has good Firewire 800 solutions.
With Referenced Masters, simply Finder-copy each new batch of images to the external hard drive and eject the camera card. Then (after backup of images) from within Aperture Import the images by Reference (when you go to import, on the right hand side of the import window select "Store files in their current location").
Existing images on your hard drive can similarly be imported selecting "Store files in their current location" however personally I would move the originals to an external drive prior to importing into Aperture because trying to keep originals on the single iMac or laptop internal drive will sooner or later overfill the drive.
During the import process is also a good time to assign all manner of keywords, so take some time in advance thinking about keywording.
A good rule of thumb is not to fill any drive more than 70%, and for best speed keep important drives no more than 50% full.

Aperture library file size ?

Hello,
I have all my pictures on a specific drive. I don't want aperture to import the files into this aperture library, i only want the files to be referenced. So when i import the pictures from the drive, i select "Store in Current Location". And it seems to be ok (meaning when i click on a file and say show in finder, it shows the drive in question), only my aperture library (even when i import files as referenced) ... increases it's size drastically, no matter whether the files are stored in the library itself or if they are only referenced ... how come? I want to avoid a 100GB aperture library file!!
Can someone explain to me how this works?

Aperture stores many little JPG files for every photo that is in your library (whether referenced or managed). There are thumbnails and previews for every photo unless you run out of space or turn off previews.
Your library should not increase by the *same size* if you store a photo *by reference* as if you store managed. For a managed photo, Aperture will have your original (master) plus the thumbnails and previews. The referenced will have only thumbnails and previews. You can browse your Aperture library by right-clicking and viewing the package contents. You can then look (*but don't ever touch!!!*) at what exactly Aperture is managing. You will see pictures with the same and/or similar names are your original, but you will see they are different sizes. If you see your original, then something is out of whack.
I hope your "100GB" library was just an example. If you store by reference, you would need a LOT of photos to make the thumbnails and previews take 100 GB.

One thing to bear in mind, if you are using Time Machine on your Time Capsule and have it set so the TM backup includes your external drive, you will effectively be backing up your Aperture library twice on the same drive, once with Time Machine and once with the vault. This isn't a problem unless you start to run out of space.
Another thing to note, vaults on network drives used to be flaky (i.e. not really supported) and required workarounds to be able to use them. I'm not sure if this has changed, but I just managed to create a vault on my TC ok.

Aperture library consolidation - newbie question

I am pretty new to Aperture. Previously I have been using iPhoto for a long time, so I have quite a big iPhoto library on my internal HDD, most of them with adjustments etc.
When I installed Aperture a few months ago I imported the iPhoto library without copying the files physically. It means all the "old" photos are still in the iPhoto library and only referenced to in the Aperture library.
After Aperture installation I do everything differently - I import photos into the Aperture library leaving the originals on a external FW HDD. So I have in the Aperture library now some photos referencing to my internal HDD iPhoto originals and some photos referencing to my external HDD.
I still use iPhoto but only for slideshows and managing of older online galleries, I published in the past from iPhoto.
My question: what is the best way to get some order into it and have everything in one place?
My plan is:
- first consolidate masters from the iPhoto library into Aperture library with the Copy option checked to bring all referenced masters into the Aperture library
- then relocate masters from the Aperture library to the external HDD with the Move option checked
- clean my iPhoto library from within iPhoto
Is the result of these steps what I am expecting to get? Is there a better way? Am I doing anything wrong?

You are writing that you "imported your iPhoto library" into Aperture by reference, and here is my question. Did you import both the original (masters) AND adjusted images (versions) into Aperture?
If you want to use Aperture for all your image adjustment then you should consider to delete all the versions you imported into Aperture (they are now masters in Aperture) and then make adjustments to all the masters you imported from iPhoto.
All the original masters files you have imported from iPhoto all have the keyword "Original from iPhoto", so they are easy to find.

Iphoto and aperture library file folder problem

I have a problem.
I want to have aperture and iphoto folders organized as itunes files fiolder. is possible?
I see in my aperure library that master folder (I have selected the option copy files in library) there are many and many date folder (many of them are empty) and I don't like this method of organization.
if I don't check the option to copy files and keep my database with only thumb, I have the problem that if I modify or delete a photo the original remain untouched.
please there are solutions?

Where you specify. Please see section 6 on this page (the User Manual is slightly out-of-date -- substitute "Original" for "Master"):
Choose a location for the imported files by doing one of the following:
To store imported masters in the Aperture library: Choose “In the Aperture Library” from the Store Files pop-up menu.
To store imported masters as referenced image files, audio files, or video files in their current location: Choose “In their current location” from the Store Files pop-up menu.
To store imported masters as referenced image files, audio files, or video files in the Pictures folder on your hard disk: Choose Pictures from the Store Files pop-up menu, and then choose whether you want the files moved or copied to the Pictures folder by clicking the “Move files” or “Copy files” button.

Deleting Images from the Browser
If you delete the last version in a version stack, Aperture asks whether you want to delete the master. If you confirm that you want to delete the master, the master is moved to the Aperture Trash.
When an image is represented in the Browser by a single version, you can select the version and delete it, and the corresponding master is deleted as well.
When you empty the Aperture Trash you should get a dialog box similar to this one. Note the field with the check box:

IPhoto can't find Aperture library files

Since Apple added the ability to open Aperture libraries in iPhoto, I've been unable to so with my main Aperture library. If I create a new library in Aperture, no problem. Upgraded the library when the latest versions were released, performed all command-option first aid when opening, multiple times, duplicated, moved the library between different drives, relocated originals (it was completely managed), checked and played with permissions, all to no avail. When I open iPhoto, it brings up a notification that it's updating thumbnails. Then I immediately get the error "The photo “xxxxxxxx.JPG” could not be opened, because the original item cannot be found." I cancel and another immediate error, this continues on seemingly forever, and, with thousands of pictures in the library, I've basically got to Force Quit. The library is on an external drive and I've tried this on 3 Macs with the same result. If I'm within Aperture and search for any of the photos that iPhoto couldn't find, they're there and Aperture can show me them in the Finder. However, what I noticed today is that if I perform a manual search from the Finder of the library, it doesn't find the file. Oddly, if there are similar names; img_001 and img_001(1), searching for "img_001" won't show the first exactly matching file at all, but will show the second. Although, I can browse and they're sitting there right next to each other. Again, same behavior on multiple Macs. I'm thinking that the Finder behavior and iPhoto issue may be related. Any ideas?

The first command shows one of the problem files. Second command shows a similar file that has no issues. Nothing apparent problems to me from this test.
I also copied the problem file along with the non-problem file with the similar filename (1) to my desktop. When I begin any search string, the problem file disappears. If I completely rename it including extension, it disappears. If I make a copy and change it's name, neither show up. It seems as though there is some attribute of this file, all copies, and a bunch of others in my photo database, that is causing some kind of issue. I've taken a look at both file's info and there appears to be no differences, including permissions. Appears to be more of a file system/finder problem. I may try a different community.

Can I copy certain aperture library files from the finder?

I have an older library, that I updated to the current Aperture, and recently froze from bad media. I think it was a bunch of videos in one of the events. Anyways, I want to copy some of the photos from a event in the old library to a new working library. Can I do this from finder? I tried exporting and it froze, leaving the photo export in some limbo state...

Do you also have iPhoto 9.5.1? If you open your Aperture library in iPhoto you can use "File > Reveal in FInder > Original File" to show you the original image file inside the library. Then you can copy it easily to a new location.
If you do not have iPhoto, you can reveal the original photos by ctrl-clicking the Aperture library and using the command "Show Package Contents". Your images are in the Masters folder, organized by the year, month, day of importing them.
But be careful, when browsing these folders. Only copy, don't move.

Playlist-Library file relationship questions...

I periodically sync my library with a family member.(via vpn)
Here's what I've found:
iTunes Library.xml seems to contain almost all the information that shows up in iTunes, i.e. playlists and songs.
If I copy over the target iTunes Library.xml, it also copies over MY playlists, thus deleting the target playlists.
As a temp fix I've been only copying over the music files not the iTunes Library.xml and then doing a manual import from the target iTunes.
But when I delete files, it doesn't delete them from the target music list until it's done manually (usually when you click a song on the target and it gets a "!-locate file?" thing...
Is there a way to copy over the iTunes Library.xml but preserve the playlists on the target? (other than exporting them all manually from the target first, copying over iTunes Library.xml, then re-importing all the target's playlists?...
I ask this because the target has so many playlists now that i'ts becoming quite tedious...
any other ways I haven't thought of? (library sharing is out of the question since it's a 2mb VPN, which winds up being about 1.3mb 'true' with the encryption-inflation...kinda like 'rear wheel horsepower' in cars.)

I had this issue and, after chasing it down on postings, I rebooted and made sure the drive was mounted before launching Itunes and that seemed to clear it up.
I did have to reset the location of the drive in prefs, owing to the still annoying defect in Itunes which blanks out the drive prefs if it does not detect the drive on opening rather than leaving it populated.

Corrupted Aperture Library - Any way to recover original RAW files?

Hi all - as a user since the initial release of Aperture, I'm afraid I've run into my first show-stopper of a problem with Aperture 2.01. At some point (and I can't seem to see where) about 15 projects in my library have become corrupted, where I have only blank grey thumbnails for each image. Clicking on any image gives me a lighter grey image in the viewer window.
Even worse - if I select an image and try the view Master command (M), I get a lovely "Invalid Image Format" in red. I understood that the RAW files were stored inside of the aperture library file and was fairly confident that even in the worst-case I would just lose my meta data and edits.
I've exported out the projects that were still intact into seperate project files which I'll re-import after a fresh install of aperture (once I get past my emergency status)
Seems I was wrong. Restoring from my last few Vault backups (up to a month ago) has not resolved anything (or the corruption occurred far earlier).
Any assistance in recovery strategies is greatly appreciated. Otherwise I'll end up walking away from a good set of 10,000+ shots. (my current library is around 55k images)
Is there someone I can contact at Apple Support directly for assistance?!?

Thank you kindly for the suggestions - the Show Packages option did not show any of the affected projects (in fact even the folders were missing).
Sadly also my vault copies where also missing. It would seem that somewhere along the line the files themselves were deleted from the drive without updating the Aperture library.
It looks like I'll have to suck it up this time - as I haven't been able to identify any recoverable archives - all my vaults see to be empty or suffering the same missing images syndrome. I've found a few very old copies of a portion of past shoots, but the bulk are gone. Needless to say I'm not very happy atm.
Me thinks I'll have to be more diligent about burning and DVD of each shoot immediately after I import them into Aperture going forward.
My next question is how can I guarantee a fresh re-install of Aperture? Is simply deleting icon from my Applications folder sufficient?

Aperture 3 Exporting Projects / Individual Library Files?

So my typical backup procedure in Ap2 and below was to export project files and back those up on two external hard drives. I do not use reference files, but rather let everything import into the aperture library file.

Now in Aperture 3 I go to backup a project and there's no option anymore to export projects, only "Libraries". I've always considered a "Library" to be the entirety of the files stored in Aperture, but this is something new. . . Is exporting these smaller Library files from Ap3 the same as exporting project files from Ap2? The file size of the exported "library" file seems consistent with the size of the project.
I haven't tried re-importing any of these new exported library files, but should I assume that these things will behave the same way as projects did in previous versions? i.e., is this still a viable backup methodology?
If not I'd hate to have to just export masters and lose all the metadata/adjustments I rely on aperture for.

The line between libraries and projects has just been blurred a little giving the user more flexibility. Now you can open the exported project as a stand alone library or import it to another library as a project. (note that the "Import Project" command is now "Import Project/Library") IMHO your back up plan just got better.

Also, I'd like to import my iphoto library into aperture, and move aperture library to an external drive. I tried the import first, but there wasn't enough space. Then I tried copying over the aperture library onto the external drive but it failed bc it said file was in use.
As it is, I only have 50gb left on my imac, and the aperture library is 150gb. Also, I have over 10k images in both libraries combined and there are tons of duplicates that need to be sorted, and hopefully not messed up because I've organized most of them.
So in short, I need to know how to do the following:
-select photos in finder in aperture/iphoto libraries
-move aperture library to live on external drive
-import iphoto library into aperture library
-eliminate dups but maintain organization
-moving forward i need a better workflow so that I import images from camera, and can organize right away into albums rather than creating projects by default and then creating albums so essentially the photos are in 2 different places, even tho they are referenced
-live happily ever after

If you're using apps like iPhoto or Aperture then they replace the Finder for managing your photos. The point is that you use the (many) options available via these apps for the things you want and need to do with the Photos.
So, simply, you don't select the photos in the Finder. I'll append the supported ways to do this - which are faster and will yield the current version of your Photos - to the end of this post.

Managed or Referenced Library? Managed -
Make sure the drive is formatted Mac OS Extended (Journaled)
1. Quit Aperture
2. Copy the Library from your Pictures Folder to the External Disk.
3. Hold down the option (or alt) key while launching Aperture. From the resulting menu select 'Choose Library' and navigate to the new location. From that point on this will be the default location of your library.
4. Test the library and when you're sure all is well, trash the one on your internal HD to free up space.
Referenced - relocate your Masters first.
These issues are covered in the Manual and on this forum hundreds of times.

You can't. Every photo is in a Project. They’re the basic building blocks of the Library.
You might want to spend a little time with the manual or the video tutorials. I'm not sure you've grasped the app you've purchased.
The following is written for iPhoto, but about 97% works for Aperture too.
There are many, many ways to access your files in iPhoto/ APerture: You can use any Open / Attach / Browse dialogue. On the left there's a Media heading, your pics can be accessed there. Command-Click for selecting multiple pics. This is what you use to attach your shot to your GMail
(Note the above illustration is not a Finder Window. It's the dialogue you get when you go File -> Open)
You can access the Library from the New Message Window in Mail:
There's a similar option in Outlook and many, many other apps. If you use Apple's Mail, Entourage, AOL or Eudora you can email from within iPhoto/ Aperture.
If you use a Cocoa-based Browser such as Safari, you can drag the pics from the iPhoto Window to the Attach window in the browser.
If you want to access the files with iPhoto/ Aperture not running:
For users of 10.6 and later: You can download a free Services component from MacOSXAutomation which will give you access to the Library from your Services Menu.
Using the Services Preference Pane you can even create a keyboard shortcut for it.

Transfering aperture library via vault to new comp

I apologize in advance if my question already have been answered in another thread. But I couldn't find any threads matching my problems.
I recently bought the new iMac after my old 24" could not handle the pressure anymore. I wanted to move my aperture library from the old to the new. And ofcourse I wanted all info (adjustment changes and so on) to come with in the move. After reading a few threads on the subject I created a "Vault" that I later opened up in the new comp. At a fist glance everything looks great in aperture but when opening up a picture to make adjustments it says "image offline".
On my old comp I can see (where my pics are stored) two aperture files:
Aperture Library
Aperture Library_original
…so far so good.
But then that are tons (well, many) folders named like my projects in aperture. And not folders within the aperture library file but stand alone…if that makes any sense.
What am I doing wrong? I get all the pics over to my new comp with the help of Vault but can't edit any of my pics from a few months back (when for some reason aperture started to create folders outside the library file)
On my new iMac i have 2 files
Aperture Library
Aperture Library_old
...so no folders got transfered

It looks like your Aperture library were a referenced library. When you imported your image files you did not import the originals into the Aperture library, but stored them in folders outside the library. That are folders named like your projects that you are seeing. When Aperture needs to access the originals to render edited versions, it will reference the image files in those folders, see this section in the Aperture 3 User Manual: Aperture 3 User Manual: Working with Referenced Images
When you create a vault, Aperture will only include images that you imported into the library, not the originals you stored outside. You need to copy the folders with projects as well to your new mac and reconnect them to the image versions, otherwise you will not be able to edit your images.
But it looks like you did create these folders outside accidentally and did not intend to use referenced original files. If that is so, I'd suggest to repair this, by consolidating your library.
Select the "Photos" view in the source list of your Aperture Library and select all your images at once.
Then use the command "File > Consolidate Originals" from the main menu bar. This will move (or copy) all referenced images from the folders outside into your Aperture library.
When you now create a vault, it will contain all images. Use this new vault to recreate your Aperture library on your new mac. You can also simply copy your Aperture library itself to your new mac. You do not need the detour using a vault.
BTW: Where Aperture will store the originals image files depends on the settings in the "Import" panel. Make sure the "Store Files" option is set to "In the Aperture Library".

Yikes! 298GB Aperture Library?

Wondering why the internal drive on my iMac had suddenly filled up, I discovered that the Aperture library file had grown from 50 GB to nearly 300 GB in just a few days. Granted, I have 40,000+ photos in Aperture, but the dramatic increase in the file size occured without my adding any additional photos to the app. I do remember Aperture spending a considerable amount of time processing...something. Previews? Would this have caused the dramatic increase in the library size? Any way to have Aperture reprocess the previews at reduced Preview quality ("Best" right now) and get some of that drive space back?
Reading the User's Manual, I wondered if I couldn't reduce the library size by converting the Master files to Referenced Masters, since I have all of the loose photos already organized in folders by event and year on the internal hard drive. Is this possible? Woud it reduce the size of the Aperture library file?
While reading the User's Manual, I learned about vaults. I decided to set one up, but immediately got a warning that 40,000+ files were Masters and would be backed up in the vault, but 587 were Referenced Masters and wouldn't be backed up. Now I'm wondering if there is an easy way to find out which photos are Rererenced Masters. Browsing through 40,000 photos to find 587 with a badge is a task I'd rather avoid. Is there some easier way to find them, perhaps via a Search parameter?
I'm now considering moving the loose but organized photos to an external drive -- freeing up some 300+ GB -- and converting the 587 Referenced Masters to Masters and backing up the Aperture library file on the internal drive to vaults on external drives. Does that sound like a reasonable plan?

You can check the storage required for your Previews by opening the Aperture Library package:
Ctrl-clck the Aperture Library and look at the folders: Masters, Previews, Thumbnails and check the sizes. If your Previews are set to a reasonable size - jpegs sized to fit onto your largest screen, than the "Previews" folder should be considerably smaller than the "Masters" folder.
Any way to have Aperture reprocess the previews at reduced Preview quality ("Best" right now) and get some of that drive space back?
Change the Previews size to the size you want in the Preferences, then select all your images and ctrl-click them. Hold down the "options-key" and select "Generate Previews" from the pop-up menu.
That will rebuild your Previews.

Yes, referencing your masters will reduce the size of the Aperture library, but there is no point in referencing them in the internal, system volume. The amount of storage needed will be the same, whether the masters are inside or outside the library. The only effect will be that your masters are less protected ouside the package.
Referenced masters are best to be used with master image files on external volumes, to free space on your system drive.

Preview and Pictures lost in my Aperture library after Leopard Upgrade :(((

So I was using Aperture 1.5.5 on Tiger 10.4.10 with bench of folders and pictures in it. I backup my Aperture Library file, and then reinstalled my whole system with Leopard, then reinstalled Aperture from original CD, then did the upgrade to 1.5.6 and then put back my Aperture Library from my backup.
Then I start Aperture and begin of bad surprises When I click on a picture, it displays just one instant the preview of it, then I got a marroon background with and text that says (I translate as it's in french on my computer): Picture format not managed !! What does it mean ?? all these pictures opened smoothly with previous version of Aperture on TIger !!!
If I do a right click on that, picture displays correctly !!!!
Also something bad, I have some folders which contained bunch of pictures where I can see in list on left correct number of pictures, but when I select it, it looks empty (I have checked by hand in Aperture Library files and pictures are still there !!
What's wrong ? I must confess I'm pretty disappointed by how Apple manage migration to Leopard of that program where update to make it fully Leopard compatible is released just day of release of Leopard

have you double-checked that Aperture uses the correct library (in Preferences) ?
Did you try pulling the Aperture prefs over from your backup also ?
And did you try a rebuild (depressing Cmd and Option during Aperture startup until the message comes up, choose Rebuild now, get a Coffee).
Note:
Even if all your images are referenced it's a good idea to use a Vault, as it backs up the structure (not the referenced images, of course).
Also ranting doesn't help getting answers. Asking a straight question is best, OK ?
I, like you, did a clean install and everything works just fine (everything, nor just Aperture).
