Aperture advice needed albums vs. folders - Hey leonieDF L@@K here pls!

Looking for some general opinions and/or suggestions on how to best organize Aperture. I want to really streamline my work.  Aspiring professional.
Right now I'm trying to decided on what the benifit (if any) to using folders vs. albums is.
I'll use PROJECTS as a MAIN header - for example, Family, Clients, Travel, Shows etc...
Then within those I want to do several subs.... for example:
FAMILY - project name
  - any given year 1995 --- album or folder?
      --- sub of that would be,  Joe surprise party or Christmas Eve.
Since folders are containers that dont hold images, is it too risky to put sub albums or even projects within a folder? For fear of accidentally deleting a folder & with it all the data?
SUMMARY -  Any good tips on how to organize with Projects, Albums and Folders would be appreciated.

It is a very useful exercise to develop your own Library structure  .  The second link above details many of my thoughts while I was first putting together Aperture 3 Libraries.
As Léonie has already indicated, your first mapping is commonly proposed, and inverted.  Until you are completely adept with Aperture, stick to "one Project = one out-in-the-world shoot".  This is how Aperture was designed to work (afaict) -- starting off that way will give you the broadest geography you can cover without crashing into an unanticipated fold in the landscape.
I found it very helpful to understand and utilize the fact that I use the Library for two distinct tasks:  storage, and retrieval.  (I use the program for Image development, but that is in effect independent of the Library organization.)  My solution is to separate these structures, with Projects (organized with Folders) as a filing system for all my Images organized by "shoot", and Albums (organized with Folders) as a filing system for all of my output projects (small "p" projects".
This works well for me, partly because I am a fine art photographer, and my projects (again, small "p") almost always span several shoots.  For instance I am preparing an entry for a show of small works on paper.  I have created a Folder for this, in which I put an Album holding the 100 or so Images I'm considering entering.  These 100 come from at least 30 separate shoots.  I will whittle this down to four, mark them as the ones I entered, and leave the Folder in which I can always see which Images I considered, and which ones I selected.
What works for me is unlikely to work for you -- but it should give you some surveyor's marks as you plot and dig your own Library foundation.
Read the linked messages, play around a bit, and post more.  There are very few needs that Aperture can't meet.

    Change your import settings to 128 AAC (assuming that's what you want - I'd choose MP3s, personally, since they will work in other programs and portable devices).
    The previous default is AAC encode, High Quality (128kbps)
    Then you can just right-click on selections and choose "Create AAC version". It will say "Create MP3 version" if you decide to use thoe import settings.
    Of course you already have an AAC version, but itunes will convert it to the lower rates. I just tried it on the free single of the week, "Boarded Doors" and the file size went down from 6.9MB to 3.2MB.
    You can choose to convert an album at a time - you don't need to do it song-by-song.
    I suppose you could do your entire library in one fell swoop, but frankly with the size of my library, I think itunes would crash at some point. Also my hard drive would fill up. ; )
    Note - this makes a COPY and does not replace the original file. So you'll need to delete the originals and make sure they go to the recycle bin.
    Still, it's faster than feeding all those CDs in the drive!
    So that is another reason for doing one CD at a a time, to make sure the copies get made and that the duplciates get gone.

    You can add more images to your book, by dragging them from the browser to your book album. Switch to the Library Inspector, select the album or project with the images in the source list, and then drag these images onto the book icon. That will add them to the book album, and then double click the book album again to continue working with the book.

  • Organizing Albums in Folders still possible in iPhoto '08?

    Hi everyone,
    I still have to upgrade to iPhoto '08 but there is one thing that puts me off: when watching the online tutorial it seems that you can't add folders anymore in iPhoto '08 and subsequently can't organize albums in diffferent folders, which is what i need, however.
    Can anyone of you who already use the software tell me whether the use of folders is still possible in iPhoto '08 or not?

    I just installed iLife '08 and finished upgrading. I can put albums in folders just fine. New Folder is in the File menu. Something feels simpler but I can't put my finger on it. Anyhow, the categories (in caps) do fold up if you click the triangles. This should be useful indeed.

  • IPhoto on my MacBookPro does not open - shows a box "Aperture library needs to be upgraded". I do not have Aperture installed and I am not interested to do so.

    On my MacBookPro - After updating iPhoto 11 to version 9.3.1, it does not open and shows a box "Aperture library needs to be upgraded" with choices to update or Quit. If I quit it closes iPhoto - if I try to update it goes to the App Store and requires a purchase of Aperture - I do not want to purchase Aperture.

    If you tried the First Aid Tools without success, make a backup of the iPhoto Library and rebuild with iPhoto Library Manager as described by Terence Devlin:

    Download iPhoto Library Manager and use its rebuild function. (In early versions of Library Manager it's the File -> Rebuild command. In later versions it's under the Library menu.)
    This will create an entirely new library. It will then copy (or try to) your photos and all the associated metadata and versions to this new Library, and arrange it as close as it can to what you had in the damaged Library. It does this based on information it finds in the iPhoto sharing mechanism - but that means that things not shared won't be there, so no slideshows, books or calendars, for instance - but it should get all your events, albums and keywords, faces and places back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.

  • Albums and Folders missing on sidebar

    In iPhoto I created Albums and Folders for various subjects on the iPhoto Sidebar.
    One of these folders was for photos that I would display on AppleTV (first generation).
    I don't see a way to duplicate custom Albums and Folders on the new Photos App.
    I particularly want to re-create a folder for pics to be displayed on AppleTV.

    Do you have the sidebar in Photos activated? If not use the key combination of Option+Command+S to toggle it open and closed.
    The Events in iPhoto at the time of conversion will be in a folder titled "iPhoto Events" and the albums under that folder.
    You can create new folders and and albums with the File menu
    drag whatever photos you need onto the album icon in the sidebar. Or select the photos and use the New Album menu option.

  • Exporting albums as folders

    Is there a way I can export all of my albums as folders? I'm hoping there's an Applescript that can do it.
    Also, in order to ensure that absolutely all of my photos have been exported I would need a script to locate any photos currently not in any folder and move them to a new album.
    i'm using iPhoto 5.0.4.

    You type in your script actions (unix command line knowledge required).
    Unfortunately that requires more than what most of us are knowledgeable in.

  • IPhoto albums and folders lost after transfer of library to new Mac

    After transferring iPhoto library from old Mac Book Pro (running OS X 10.8.5, iPhoto 08 7.1.5) to new Mac Book Pro (OSX 10.9.1, iPhoto 9.5) all of the albums and folders from the old library have been lost and photos are just listed as events. It would take a long time to rearrange all the photos into the original albums and folders. Apple one -to -one sessions in store x2 unable to solve just said that the old library must be corrupted
    I still have the old photo album arranged in albums and folders on the old Mac.
    I also have iPhoto buddy installed on old Mac and have tried transferring to new Mac with and without iPhoto installed but either way albums and folders were lost.
    Does anyone have any ideas?
    Would upgrading old Mac Book Pro to Mavericks and then upgrading iPhoto before transferring the library be a solution?

    I tried again with iPhoto updater and this time it worked on 2 of my 3 libraries so the albums and folders were preserved. I also had not realised  that iPhoto updater needed to be opened from Utilities folder nad had thought it would work automatically once downloaded (one -to -one in store trainer had not realised this either).
    I then remembered that there was one .mov file shot on my " still "digital camera in an iPhoto album. Once I removed this iPhoto updater worked on the 3rd library so old folders and albums preserved.
    Even then there was one small folder of images which  has not transfered via Target mode. For unknown reasons when I transferred these images from camera to old MCP they were jumbled and not in normal date order. I will try transferring these images to new MBP on a memory stick.

    Does anyone have a work around to assist organization of Albums on Apple TV into Folders from iPhoto. We have 12,000 images on iMac organized into 30 Folders within which are 80++ albums. When synced the Apple TV only displays albums, all Folders deleted. The consequence is having to scroll through the 80+ albums when seeking the one album you want to watch. This poor form of organization on Apple TV is really cumbersome and driving us nuts.

    The tv can use events as well as albums, although this doesn't resolve the OP's issue, which is simply one of a large number of photo albums. I have a lot of photo albums (without checking, I think I have around 250) and scrolling through them can be challenging.
    What I do is to keep albums organised into groups such as 'Holidays', 'Weddings' etc and introduce a specific character at the start of the album title, which indicates which group the album belongs to.
    For example ' ☼ Marmaris 2008 ' or ' ♡ Mark and Jasmine's Wedding 1969 '
    It doesn't reduce the long list of albums on the tv, but it does help to keep themed albums together in the list and so makes finding the specific album you are looking for much easier.

  • ITunes\Apple TV 2 Not Updating Aperture 3 Smart Album Photos

    Hi,
    Even after both updating the Preview photos in the Aperture 3 Smart Album and waiting for several hours, my iTunes photo link to the Apple TV 2  still shows the OLD pictures (and the photo count) from when I first linked the album. The link is off by scores of photos that have since been added.
    In attempting to remedy the out-of-date Album link, I have:
    closed all programs,
    restarted the computer,
    linked and unlinked the photo album.
    The photos on the Apple TV still show old versions of the pix, since revised. I don't know where these are coming from since they have been updated. They must reside in the ATV's memory. I'd like to flush that out and replace with the new versions!
    QUESTIONS:
    --> Is there a way to get iTunes to see the updated Smart Album that resides in Aperture 3?
    --> Can I force an update of the Smart Album photos to the Apple TV?
    Perhaps there is a secret incantation and dance?

    I figured it out. The Aperture Smart Folder was actually being updated in iPhoto!
    The story...
    I recently upgraded to the new commonly shared Aperture \ iPhoto file format and imported all my iPhoto photos into my Aperture library.
    Unknown to me, Aperture was saving changes made in Aperture to the old iPhoto file (package)  -- with no notice, advisory, or infornation to this effect!
    Mind-numbingly confusing, but once I deduced that my Aperture Library was now kinda fronting for some data stored in iPhoto, I could link to the Smart Folder stored there.
    I intend to export the whole mess to an entirely new Aperture Library to be entirely (I hope!) in an Aperture environment.
    If you lose information in Aperture, try looking in iPhoto!

    Within Aperture you have Images, which are constructed on-the-fly from two files (the Master and the Version).  You get an image-format file _only_ when you export an Image.  You select the file name (usually a scheme) when you create an image-format file (that is, when you export).  Look under "Aperture→Presets→File Naming" for built-in Presets.  You can, of course, create your own or customize any provided.
    The Preset is applied to only the file newly created by your "export" command.  It is not applied to the Image in Aperture (unless you rename your Versions or your Masters).

    With iPhoto 11 I use to create folder in the source left panel Album and that I drag the event into the folder. Right clicking on the folder name I can sort the folders, but the events inside the folders aren't sorted. Right click the event name into the folder shows "sort album" but it does anything.

           thanks for the response.   I now understand the design constraint.
    But here where I ned further guidance..  Not quite there.
    1.  Create a NEW Album with the high level folder highlighted
    2.  Select the source images from the LIBRARY-->Photos (now all selected in yellow)
    3. Drag and drop these (30+ ) photos into my new Album (ie France under my Holidays folder)
    4.  I see ALL the photos in the NEW ALBUM ('FRANCE') that were in the folder.
    I can goto the ALBUM and select all unwanted and CUT them out from the folder, but my questions is
    How do I create a NEW ALBUM and have nothing in it..  When I drop photos into this ALBUM, I see everything else from the folder level in it as well..
    Is this due to what I have currently selected (ie the folder, when I create the NEW ALBUM)..??

    This is a HUGE disappointment, but I've been migrating a lot of photos to iPhoto and organizing things accordingly.  When I view the iphoto library as a shared library, the albums within the folders don't show up, but instead the photos in the folder are just seen as one large album.
    Is there a workaround or solution to this?

    Same issue here. On my main computer I've got my photo library orgainzed with albums in folders. When viewing my shared library on my MacBook I see the each folder of albums merged into a single album with the folder's name.
    There's obviously hacky ways around this like taking the albums out of the folder and prefixing them [folder_name] - [album_name]. But that's not a solution.
    Post a solution if you find one elsewhere. I'll do the same.
