Apple Mail DB with plenty of multiple messages

Over the last year or so, I have noticed that my Apple Mail DB (currently version 7.3) is increasing in size at an alarming rate. Now it is almost 150 GB (!!!) and as you can imagine, it is almost unmanageable.
However, I have noticed that every single message is being duplicated even 20 times in the database. Please note that the message appears as a single entry when searched/viewed on Apple Mail, but a search through Spotlight makes the very same message appear with the same title but with different file names inside Mail database. For instance, the message highlighted on the screenshot below - related to a single email message - does appear inside the Apple Mail database as:

1421603.emlx
1357743.emlx
103448.emlx
126861.emlx
and so on and so on...
So, it seems that for an obscure reason, my Apple Mail DB is probably 20 times larger than needed. So, my question is: how can I get rid of all these duplicates messages that do not appear as such while viewed through Apple Mail?

I don’t know why they are repeating like that. Are they in the same mbox, or different ones. Any clue to the problem looking at the different mbox’s?
Rebuilding the index will not help as the index is the database, not what you are looking at. The emlx files are the actual messages. The index database is built by scanning the actual messages.
If I search for emlx, I get all of the messages in my backup drives. However, at most I only have one duplicate.

    Whoa, was your email exposed on a public forum/TV show?
    First I would sign out of Mail right away.
    Second I would go to your email's website and sign into there. Examples... icloud.com, hotmail.com, yahoo.com and whatever you use. Just to see if it's happening there. If it is happening there, then I strongly suggest changing your email address and whatever website  you used it on for login information.
    If it's not happening there, then hopefully when you sign back into Mail it won't happen again. If it does happen again, let us know. I wouldn't be able to help but maybe someone else could.

  • Major Apple Mail Issues with GoDaddy

    I am having MAJOR ONGOING issues wiht Apple Mail that is negatively impacting my ability to work. It's gotten to the point of complete frustration and just considering going back to a PC, it's THAT horrible.
    1) I do not regularly receive emails from 2 of my 4 GoDaddy accounts in Apple Mail. Sometimes emails will appear if I close Apple Mail, and then reopen. Sometimes they never appear in Apple Mail. Sometimes they appear randomly - and sometimes they again disappear. Everything is configured correctly (and the same as the functioning GoDaddy accounts) so I know it is not the setup. I NEED TO RECEIVE MY MAIL!
    2) I can't move/delete/change anything from the same GoDaddy affected account inboxes in Apple Mail. I file the emails into folders on my Mac, and as soon as I click on another message, they reappear in the inbox. Same if I delete them. I've rebooted, tried a million different settings, delete the account all together and readded, and nothing works. So I have a jumped inbox of several hundred messages, and no matter how many times I file/organize/move/delete emails, they all just go *poof* back into the Inbox. What gives?!
    I am so frustrated and my inability to work is more than a small problem at this point. I work in digital marketing, so to say that I need a functioning computer with a functioning email program is an understatement. This Macbook Pro cost over $3k and is less than a year old...funny how for that price I'd just expect it to work.....
    I've read through multiple threads on this issue, and tried a million and one fixes, all to no avail. Reboot. Recreate email account. Change password. Update account settings. Test different account settings. Tried with and without SSL. Sometimes it works for a few minutes or if I'm really super lucky, a few hours...but always goes back to these issues.
    Is there any resolution in site?

    Tried both POP and IMAP. IMAP works better. As mentioned in OP, I have multple GoDaddy accounts. All the rest work. 2 are having these issues. ALL GoDaddy accounts have identical configuration, so I know they are properly set up.
    What does GoDaddy say about mail client configuration?

    Yes, works fine. All messages are there. Issues is not with GoDaddy, but with Mac.
    Have you tried forwarding your GoDaddy email to another email acccound like iCloud?
      Yes, this also works fine, however I need my work signatures for my different clients/programs hence the separate accounts in Apple Mail. Again the issues is with the Mac.

  • How do I use the „Apple Mail To Do" Folder on multiple Macs?

    I'm using the Apple Mail To Do Folder respectively the "To Do" function in mail on my iMac and my MacBook. I will find To Dos created on the MacBook in the "Apple Mail To Do" Folder on my iMac, but the iMac doesn't show these To Dos in the associated mails. Same happens for To Dos created on the iMac when I try to use them with the MacBook. Any hint?

    Turning the mail account off does not really solve this problem. All the snooper has to do if the mail account is turned off is to turn it back on, read messages and then turn it off again.
    If the Apple mail works like other mail systems, you can mark read messages as unread. Then you really won't have any way of knowing that your messages were read already.
    The simple solution is (wondering why Apple has not implemented it) is to remove the password in the Mail settings so that each time the Mail is opened, it will ask for a username and password.

  • Apple Mail seems to stall when sending messages

    I've had a problem for a few days now with my Apple mail. When I compose and send a message, it seems to stall and stays in my Outbox for ages. The spiral wheel spins continuously but the message doesn't get sent. In a few cases, the mail has taken 24 hours to send. I called my ISP and they said all my connections were fine - and that it was a problem with Apple mail.

    Unfortunately, these are user to user forums and no one from Apple will be replying to you. Also, please do not use all caps - it is considered shouting. And, since very few users are reporting this problem, it would appear to have something to do with your setups rather than a problem Apple needs to fix.
    For both of you: There is obviously some problem with your software or hardware; you might want to try either to delete your mail account and recreate it (in Mail -> Preferences) and/or quite Mail and go to Users -> Library -> Preferences and delete this file: com.apple.Mail.plist. Please note: doing so will necessitate recreation/set up of Mail, so it would be advisable to take screen shots of all of your settings in your account(s) so you can easily copy them if necessary.

  • Mail 5.3 is deleting multiple messages when I click the trash button only once!  Is there a fix for this bug?

      Any help appreciated!  I recently ungraded to OSX 10.7.5 (Lion) and ever since, I am having trouble with my mail that I did not have before.  When I am going through messages and I use the trash button, it sometimes deletes multiple messages that I have not even opened or read yet.  I only click the button once.  Any ideas how to correct this?

  • Apple Mail in Yosemite not downloading complete messages

    My Set Up:
    - Early 2011 MacBook Pro 15 inch.
    - Yosemite 10.10.1
    Since I upgraded to Yosemite, my Apple Mail is not downloading email content. I have to manually click on each message header to download the content of that email. See the screenshots below.
    This screenshot shows how the message appears in the Inbox when it comes first.
    And if I don't do anything it will stay as is. And the below image shows the message with its downloaded body after I select the empty message.
    How can I make the message download automatically (the way it was before I upgraded to Yosemite)? Not having my message download messes up with other Smart Mailboxes.

    I archived maximum email from my account and left around 300 messages in my Inbox + Sent Items.
    Then I Rebuilt the account. I saw in the lower left corner the Mail Activity status where it started downloading the messages.
    In parallel I had the Activity Monitor open to check the CPU usage. It was around 30%.
    It took around 5 to 10 mins to download those 300 messages. But on my mail app only some of the messages were completely downloaded while rest only showed the header and no body. I left it that way.
    The Mail Activity is done with its job. The status bar is gone. But the Activity Monitor still shows Mail app at similar CPU utilization levels (around 30%).
    The issue is that my Mail App does not show any additional messages downloading with their bodies. Its almost like it is stuck at message number X.
    While the CPU is still showing 30% utilization by mail, I have switched the UI to NOT show any conversations. This way every  message is visible in the list. I have put the mac on Caffeine for next 5 hours so that it does not sleep.

  • Apple Mail locks up when composing new messages

    After 10.9.2, I am unable to send mail from my Apple Mail App! I can read, but creating a new message invokes the spinning rainbow icon of death (which stays around for hours if you let it -- I've verified this).
    Anybody have any ideas on how to fix or what the cause is?

    Launch the Console application in any of the following ways:
    ☞ Enter the first few letters of its name into a Spotlight search. Select it in the results (it should be at the top.)
    ☞ In the Finder, select Go ▹ Utilities from the menu bar, or press the key combination shift-command-U. The application is in the folder that opens.
    ☞ Open LaunchPad. Click Utilities, then Console in the icon grid.
    Make sure the title of the Console window is All Messages. If it isn't, select All Messages from the SYSTEM LOG QUERIES menu on the left. If you don't see that menu, select
    View ▹ Show Log List
    from the menu bar.
    Click the Clear Display icon in the toolbar. Then try the action that you're having trouble with again. Select any messages that appear in the Console window. Copy them to the Clipboard by pressing the key combination command-C. Paste into a reply to this message (command-V).
    When posting a log extract, be selective. In most cases, a few dozen lines are more than enough.
    Please do not indiscriminately dump thousands of lines from the log into this discussion.
    Important: Some private information, such as your name, may appear in the log. Anonymize before posting.

  • Apple Mail Archiving with Gmail

    Hello... I use Gmail and I'm having an issue with the new Archive feature. When I click it, it creates a new [IMAP]Archive label. I'd rather it remove the label Inbox and move it to the All Mail folder like the Gmail interface. If I click the Trash icon, it, of course, moves the email to Trash, which will be deleted after 30 days.
    On the iPhone/iPad, if you click the Archive button, the email moves to All Mail correctly and labels All Mail as Archive. This only does not work on Apple Mail.
    Also, if I click on All Mail and choose "Use This Mailbox For" option, it doesn't have Archive as an option.
    Any workarounds or fixes for this problem?

    I think one way of doing it is going into settings, Accounts, then Mailbox Behaviors, then unchecking "move deleted messages to the Trash mailbox". When you click the Trash button, you will then be moved to the All Mail folder. Clicking on the Archive folder will create that new Label.

  • Gmail / apple mail, assuming mavericks upgrade issue. Messages from/to and subject header do not match displayed message

    Hi Everyone
    Hoping someone has had a similar issue and can help me sort it out.
    Since Upgrading to mavericks a few weeks ago, I notice the follwoing issue in my apple mail when searching older messages (newer ones seem fine at the moment).
    A lot ( I cant say all, but quite a few well into the 80-90% plus of messages sent pre update) have gotten scrambled. I can search from/ to and subject headers, and they correspond with each other. But when i select the message Im looking for, the message desplayed is from a different sender (with a diferent subject)
    Ex I search for JohnDoe (happens if i use search function or just go manually looking thru folders) and subject "Quote", Message comes up (or I find as in manual search). When i select the message the message displayed is not the correct one. Its From JaneDoe with a subject "Thanksgiving" and its message.
    Obviously making it a little tricky to track down previous emails.
    My mail provider is Gmail (which I have heard mavericks / apple mail have been having lots of issues with).
    Hopeefully someone knows what I can do

    Hello BigRed81,
    I have a question on this subject.  I am having the same issue.  I followed the link to the support page for rebuidling a mailbox.  It states :
    "When you rebuild mailboxes for IMAP and Exchange accounts, locally stored messages and attachments are discarded, and the messages and attachments are downloaded again from the server to your Mac. Your mailbox appears empty until the download is complete."
    I use gmail just for my Inbox.  I pull off all of my messages from the server by filing them on my mac.  So my concern is if I rebuild a mailbox, my mail account is gmail imap, and I do not have copies of my emails on the gmail server anymore that I will lose the majority of my mail because there is nothing to download again. 
    Do you know if this will happen?  Or I should not be concerned?

  • Apple mail sent with one account but sends with a different account

    I have 5 email accounts in Apple mail.  I have what I call my main one and many times when I take care to send FROM that one, it will land in the recipient's mailbox sent by a different account.  I have tested it different ways even going so far as BCC myself, checking to make sure it is sent out with correct one and it still ends up sending it with the secondary/wrong account.  Any ideas?  I cannot delete the secondary account as I sometimes need to use it for work.  thank you in advance. 

    I have mine set to 993... but I did not set it... all i did was set up gmail, and it worked automaticlly. That might have been the port number in Lion... i dont know.

    There are multiple threads about that, but I couldnt find any solution :
    I want to export a full folder of mails (emlx) to single PDFs
    and I want to have the Images displayed ! (Lion Mail could do that!)
    saving as RTF just shows a link and not the image if it is just a linked image
    and saving multiple mails doesnt work anyway. same for printing (and save as pdf)
    did anybody run into this... maybe find another solution?
    automator doesnt really help on this, too, and i dind find any tool.
    word opens emlx files, but the image is displayed just as a 1x1cm thumb
    that is really annoying !

    I restarted the iMac and now it seems to allow this operation - so I consider this problem resolved for now.

    I have multiple Mail accounts handled by Apple Mail and I have a problem at the moment where I send an email from one account but it arrives at the other end looking as if it was sent from one of my other accounts. It doesn't help even if I specifically set the reply address

  • Apple Mail problem with exchange server

    I configure my both Apple Mail and Entourage to link with my work's MS outlook exchange server. Apple Mail is using Exchange and Entourage is using SMTP. Both work fine receiving and sending while i am in the office. However, when i am home or using USB modem, it will only receive and will not send. Can anyone advice what is the issue?

    well your work IT guy "should" know which IP address is needed to access from within the work network and from without depending on how he has set up that Exchange server... else it is time to find another IT guy It really is an exchanger server issue, not an Apple Mail issue.
    For example, I have been given two IP addresses to use for the outgoing server, and I toggle between one and the other when I want to send email via my exchange account.
