Applicant Actions-pb40

Hi,
I have a issue in pb40.
In pb40 Apllicant actions i have a action Prepare for Hiring.After i execute I need to get '06' as default in Status reason field.
Kindly give suggestions.

You mean to say that when you choose prepare for hiring action and run automatically you want to see 06 in status reason field.
is it true?
If yes you have two option
1) Dynamic action
2) User exit
you can go either way.

Hi,
There are no BAPIs/RFCs to create Infotypes directly. You have to create a custom wrapper RFC around the std function module HR_INFOTYPE_OPERATION to meet your requirements. This function module enables you to maintain master data for employees and applicants. You can transfer one data record ie one infotype record per employee at a time. In your case it would be 3 function calls per each employee. All validation checks take place that would take place in the individual maintenance screens in the dialog. If necessary, the module returns an error message. The error messages are the same as the error messages in the dialog, that is, the individual maintenance screen error messages are transferred rather than interpreted by this module.

PB40 Applicant Actions Menu

Hi All,
I would like to know that besides configuring Menu 40 - Applicant Actions to display actions according to defined user groups, is it possible to create a new menu ie, Menu 41 instead to display the new actions for different users. I am able to create Menu 41, but in SPRO, it doesn't seem possible to redefine the Action Menu to it.

Try this
SPRO -> Personnel Management -> Recruitment -> Dialog Controls -> Change Action Menu
You can customize the action menu here, if your customized actions are not being displayed in PB40.
you can also create different action menus here to be assigned to different users through SU01.

Recruitment-Applicant Actions- Applicant 00000001 already exists

Dear Gurus
hope u'll b doin well.
I am facing a problem while processing applicant data. My Hiring action from PB40 --> Initial data entry is working well.
Now I want to insert additional data for applicant. I have configured "additional data entry actions as follow
Recruitment>app selection>applicant actions
Info group
97                 01     MOD     4001            Applications
97                 02     INS     0022            Education
97                 03     INS     0023            Other/Previous Employers
97                 04     INS     0024            Qualifications
97                 05     INS     4002            Vacancy Assignment
97                 06     INS     4005            Applicant's Personnel Number
I also tried first line on above infogroup in following ways aswell
97 01 COP 4001 Applications
97 01 COP 4000 Applications
I opened transaction PB40.
Insert applicant number. enter date. select this action from list. and execute.
System is giving me following msg.
Applicant 00000001 already exists (initial entry action not allowed)
Message no. PA128
================
Kindly guide me how to resolve this issue.

For additional data action also you have configured it as initial hiring ... so it is throwing the error

Hi Parvathi,
In IMG go to Personnel Management --> Recruitment --> Applicant Selection --> Applicant actions. and through configuration, create customer specific actions.

Query on Applicant Actions

We are implementing both Recruitment & PA modules for the customer. In the Recruitment module, the customer wishes to enter the applicant data into the system only after the initial shortlisting. What are the typical infotypes that are included in the infogroup for Applicant action? As far as I see, Persoal Data, Addresses, Qualification, Previous Employment are the important ones. Are there any more?
Also, when the applicant is converted to an employee (thru Hiring action), these infotypes should not appear in PA40. How is this integration acheived? Through which integration switch?

May be, I did not explain my query properly. The customer wishes to enter some basic information about the applicant in the Recruitment module. The information typically available at the stage of recruitment are Personal Data (name, address, DOB), Previous Employment Details (like earlier companies, where he worked, along with the duration & designation etc.). Also, when the customer wishes to "Offer" the job to the applicant (if he is selected), they can enter the organizational Assignment data like, position, personnel area/subarea & employee group/subgroup. My first query is, how is this data entered into the system? Which transaction code? Also, how do we set up the Action (infogroup etc.)? Is it through Applicant Actions?
Now, if the "Offered" applicant joins the company, then the available applicant info should be transferred to the PA module, so that he becomes "Hired" now. During this process, the applicant, who becomes an employee now, should be assigned a personnel number (internally or externally, depending on the configuration). Also, the user provides the Joining Date. How is this transfer done?
Once "Applicant to Employee" transfer is done, should I use PA30 to update the remaining infotypes configured in the Hiring Action?

Two Applicant Actions on same date ?!!!

Scenario: An applicant has been interviewd, contract offered, and Joined on same day.
Please let me know can we map this ? Please guide

Hi,
Perform the all action in the same day through the PB40 t.code.
Then maintain applican activities completed in the PB60 t.code, don't complete the Joined action.
This action will have to do the PBA7.

Control the transfer of custom infotype in PBA7

Team,
I am facing a issue in Recruitment module. the issue goes as below:
We have a Custom Infotype 9024 (Test Score) which is maintained in PB30 after applicant actions (PB40)are completed. Which means we have not included this (9024)infotype in the Infogroup for applicant hiring. We maintain this IT manually in Tcode PB30.
How ever when we try to transfer the applicant data to the Master data through std tcode PBA7 the custom IT9024 will also get transfered. Now we do not want to transfer this information (IT9024) to PA.
How do I control this from transfering in PBA7?
Note: Right now we do not save during transfer so it does not get transfered. Is there a ways to stop that screen from comming in PBA7 only?
Kindly suggest any possible solutions.

Thanks for the reply.
I understand the solution which u suggest is as follows :
We need to go to screen PBA7 --> Go to the System > Status>Program.
We have the screen number 1000.
When we click on the program we have to find the PB0 and implement the changes suggested by you.
How ever we do not find the Screen 2000 and the infotype 9024 in the program.
Are we going in the right direction suggested by u?

Reminder in Recruitment Process

Hi,
I want Infotype 0019 Monitoring of Task would be availble in recruitment process but system says Info type does not exist.
It is available in PA30 but not in PB30 why?
What can I do for this ?

Hi Neeta,
Applicant Activity is not dependant on Email Configuration.
Email configuration comes as a part in the Applicant Activity.. Let me explain you in brief abt applicant activity.
1.) You have to create Applicant Activites Types in table T750J... The main question comes to you is what are Applicant Activity Types.
All the possible activites which a company considers for respose to a applicant are applicant activites
Ex:
a) Applicant applied for a position in ur company, a return mail to applicant is a activity Type
b) An applicant is not selected in one of your selection round , a return mail to applicant stating ur Rejected is another type.
2.) Now you have to mention for which Applicant Actions (PB40 list) which activity type has to be executed. This is done using the feature PACTV
The output for this feature go through with the feature documentation (let me know if u have any doubts)
3.) Follow up Activities
Ex : Applicant Attended Return test and cleared, his follow up activity will be Technical interview , Mangerial round and HR round.
Using the Feature PACPP you can configure this, The output for this feature go through with the feature documentation (let me know if u have any doubts)
4.) *Create default values*
Lets say Applicant got slected now you are offering offer letter to him, so which letter have to be genereated and to who all it need to be informed you will mention here.

So it is the last two steps where you maintain the values for whom the mail has to trigger.
5.) Finally in the MAILS feature you maintain the details of the subtyoes for whom the mails to trigger..!!!
I know its hard to understand if ur reading for the first time, but put the same on sytem, its a cake walk for u..

Pass by Screens during Transfer the Applicant to Employee

Dear Gurus;
While transferring the Applicant's master data from the applicant's database to the employee's one the Icons "Next" or "Previous" are dimmed is there a way to make them appear?

In PB40 run the action prepare for hiring... Only applicants with overall status 2(To be hired) can be transferd to PA.
Use the hire applicant action in PA40.

Recruitment: Send email to applicant automatically through App.Activity

Dear friend.
I want to send internet email to applicant automatically through app.activity
This meean that I want to invite applicant to our interview. After carrying out action 'Interview Applicant', an activity is created automatically and send to applicant .
I don't know how to do this.
Please help me.

Applicant activity (IT4003)

HI friends,
I'm facing the problem in applicant activity (IT4003) that is as I'm aware of that the infotype has to create by system in baground process when performing applicant action.
Here if I perform appl actions in foreground (PB40) it is getting created, but if actions performed in baground (Upload data through LSMW or BDC) it is not getting created. In this connectin if I try to transfer uploaded applicant data sys throuing error applicant activity not found (IT 4003 data not found if data uploaded for applicant through LSMW, if we do foreground (Manually pb40) I found data in IT 4003.
Kindly let me know the solution for the above citd issue.

Error while using pa40 for hiring an applicant

Hi
I am trying to hire an applicant using pa40 transaction code
But it gives me an error "NO ACTIVITIES FOUND". ( The applicant has overall status as "to be hired" and action type as "cleared interview" which is created)
However, when I go to Transaction code PB30 and change the applicant action type ( with overall status as" to be hired"), it works
Can someone explain to me why this is so?
Is there some connection between applicant action type and overall status and pa40?

Hi Jean,
Try the same thing through t code PBA7 and check what the exact error you are geting, but make sure that b4 running this tcode your applicant action status shud be 2 (to be hired).
If your are trying to do the same through tcode PA40 then make sure that in table T529A go through sm30 for the same action Function character should be 7.
