Approval By Email

Hello Experts,
We are on SRM4.0 classic scenario, SP 11.   We are using offline approval method to approve the shopping carts. ( Approval by email). We have also implemented N step approval workflow using BADI.
Once the shopping cart is created and saved then system will send the mails for all the work items using RSWUWFMLEC. But when we approve it thro outlook not all the email reaches SAP system user inbox. In our case it is WF-BATCH user which should receive the emails. This is not a consistent behavior. Sometimes  we may receive the emails for all the approved items via outlook in WF BATCH users inbox or some time only one or  two.
Pls. advice if we are missing anything in customizing or what are the check points for this.

Hi,
Please check the background job scehduled for the report "RBBP_OFFLINE_EVAL".This  job will be responsible for processing the approval mails sent to WF-BATCH user's inbox.
If the emails are not coming to WF-BATCH user's inbox at all,please check the inbound mail settings in transaction SCOT.
Also if the password of the user WF-BATCH user is chnaged frequently ,there could be a password synchronisaion problem as this WF-BATCH user details are used for the inbound mail settings in various transactions..e.g. in SICF,under the SAPCONNECT node,you need to neter the WF-BATCH user login details.Please refer the note "Note 455140 - Configuration of e-mail, fax, paging or SMS using SMTP"  for more details.

  • PO approval notification email issue

    Hi,
    When user try to approve PO, it sends email notification to manager who has correct approval athority. Manager can see the approval notification email but notification doesn't have PO Line details section (section which has PO Line information). How to fix it?

    Hi,
    To confirm that the patches are resp, can you check the file modified dates POXVCOMS.pls and POXVCOMB.pls? (To know the path on the box run diagnostic apps check for PO module and look for these file names).
    If they match with the patch application dates, then you might have to open a SR and get the fix from Oracle

    AlbertSee whether going to document types and un check the can change forward to..will prevent sending the req way forward..also you may also consider securtiy level to be hierarchy..so that person within this hierarchy can only view it

  • Offline approval: Resend email on specific workflow

    Hi all.
    SRM 4.0
    We use item based approval and offline solution, where every SC is approved through emails only. Usually, when an approver claims that the email from the workflow/work item has not been sent to him, we go to SOST and find the mail, and sends it again. However, in some cases the email cannot be found in SOST, meaning that the work item has most likely never been sent before; although the workflow log claims that the work item is lying in the approver's inbox (SAP inbox of course). Is there a way to force the RSWUWFMLEC program that sends the emails to run on 1 particular work item? Or is it just not possible to make the workflow resend the email? Remember - the email is not in SOST, so it seems that RSWUWFMLEC has just skipped this work item to begin with, and apparently now it is too late...

    In my understanding, the emai forl approval confirmation email generated after the workflow is posted (i.e. record created in infotype).
    Would like to know are there any configure can override this setting to send email once the workflow approved.

    Thanks for the reply.
    What I mean is there are 2 type of email generate in PTARQ
    1) Email to notify approval their worklist have items waiting to approve
    2) Email to notify the submitter the request is approved/rejected
    For type 2, as far as I know it will only generate after the leave is posted but not after approved.
    So at the period of payroll run, the leave cannot post and the email will not be able to generate, I just wonder if any configure can override this behavior.

    We are trying to Capture Travel request approval by managers on their emails. I meant approval request should also flow throuhg emails and on approval in email will be captured back in system and it will change the status of travel request to approved and furtyher processing will follow.
    Can you plase suggest how should we go about it.

    You can achieve this using forms in Lotus Notes, but it takes more than a bit of programming.
    Send the e-mail to SAP to a mail-in inbox in Notes and create a new message to the real recipient using a special form. Then you can respond to button clicks like in any other Notes form.
    However, this requires a connection to SAP from Notes if you want to make remote function calls to update the information, so you will need the user password I think, making this solution rather unusable if you are using single sign-on to SAP.
    Alternatively (but I have never done any work in the area) it should be possible to return an e-mail with the user's decision and process this incoming e-mail in the SAP system.

    I want set up documents once we try approve the Requisition and PO documents for approval not
    through notifications, but through email.
    So the approvers will open the relevant information in their email and

    But this will affect all other workflow notifications also.

  • InfoPath form opens in the browser instead of InfoPath Filler when a link is clicked from the Approval Task email

    I have an admin approved InfoPath 2010 form that is web enabled. It is published to a SharePoint 2010 Forms library and an Approval Workflow is attached to it.
    The form needs to open up in the InfoPath Filler with the Workflow Task bar at the top so users can approve the task from within the form and not go to Tasks list to do so.
    Here's a problem I am experiencing: sometimes the form opens in InfoPath Filler and sometiems it opens in the browser when the link to approve the form is clicked form the email that is sent by the workflow.
    Windows 7, IE 9, MS Office 2010:
    The form opens up in InfoPath filler like it supposed to. The Workflow task bar is there for users to approve the form.
    Surface Pro with Windows 8.1, IE 11 and MS Office 2013
    The form opens up in the browser and there is no Workflow task bar at the top.
    Things that I've already looked at and tried which didn't solve the issue:
    - The forms library is exclusivly set to open documents/forms in the Client Application
    - Set the browser compatibility mode in IE 11, that doesn't work too well, because you have to do it every time you open the browser.
    - Setting browser compatility in IE 11 reintroduced another issue, of multiple login promts, which was fixed by entering the SharePoint site in question into the Trusted sites by a group policy. Adding the site to trusted sites made the forms open up in the
    browser.
    - Researched compatibility issues with InfoPath and Windows 8.1, cannot find anything.
    - Researched compatibility issues with InfoPath 2010, Windows 8.1 and SharePoint 2010, also didn't find anything.
    Can someone offer a suggestion on how to fix this problem, preferably with no code, because we are not allowed to put custom code on the server?
    I need to force InfoPath form to open in InfoPath Filler when the link to the form is clicked from the Workflow email. Also the login prompts should not pop up. Need it to work on all the platforms: Windows 7, and Surface Pro Windows 8.1.

    4. You can click “X” to remove all the records before you reproduce the issue.
    5. If the web site has been configured to https. Please enable https option:
                 Click “Tools” -> “Fiddler Options”            
    Switch to HTTPS tab, then check “Capture HTTPS CONNECTs” and “Decrypt HTTPS traffic”.
    6. Then repro the issue.
    7. Click “File”->”Capture Traffic”, uncheck the Option “Capture Traffic” to make sure the “
    ” is not shown, that mean the logs has been stopped.
    8. Click “File”->”Save” ->”All sessions”, save the file.

    Approve/Reject shopping cart Email sent to the  approver does not have the content saying Approve or reject a shopping cart however other users are getting correct Email content. I would like to know why the system is sending blank email content to the only this user? Is it something change to the user settings? If any one has come cross this issue. Please help me on this.

       Are you able to see the content in SCOT-utilities-overview of send orders.. then select the email and choose the display document button.. which will show the email content..if you see content there but not in email then problem with the mail client...

  • OTL Timecard Approval Notification Email

    Hello,
    When an employee submits a timecard, the supervisor receives an e-mail to approve the timecard.  Currently this email contains the timecard entries (and the details for each day of the time period), action history and the links to approve/reject/request information.  We also have an attachment that will connect the user back to the notification page.
    We would like to modify this email content as follows:
    1.  Display only the timecard entries without the daily details.
    2.  Remove the links to approve/reject/request information.
    For 2, I have tried to follow the instructions in Doc ID 302214.1, but unable to do the following steps:
    h. Define the attribute #WFM_OPEN_MAIL (Template for email with response).
    i. Set its Default value to WFMAIL:OPEN_MAIL_OUTLOOK
    Please provide me the directions to complete the above customizations.

    Unfortunately I do not have an environment to test this, is this related to the #HIDE_MOREINFO mentioned in the  Doc ID 302214.1 ? Alternatively I think you could just make a copy of the system template, modify the template as needed and override the appropriate message template attribute with the new custom template?

    When I am creating the shopping cart the approver normally receive the E mail as:Escalated: Shopping cart of Bill Memore value 799.98 USD.  In that mail the SRM web portal link for login by the approver missed.

  • ARQ: How to configure Role Approve/Reject Email Notifications???

    Hi,
    I would like to achieve below for my business scenario with below MSMP stage configurations:
    MSMS Stages Configurations:
    MANAGER --> Can act on both request and line items level
    Role Owner--> Can ONLY act on line items
    Requirement
    In best case, a Manager approves all the line items in an Access Request. Then an email notification mail for "NEW WORK ITEM" would be sent to Role Owner(s) at next stage. This is achieved.
    Now at Role Owner Stage, below 3 cases are possible:
    1. All Role Owners can approve the line items
    2. All Role Owners can reject the line items
    3. Some of the Role Owners approve and Some of them reject line items
    In all the above cases, a Role Owner ALWAYS click on "SUBMIT" button (as he is not authorized to reject a request as a whole) and this action is considered to be as "APPROVED" and eventually, "APPROVED" event is triggered.
    This looks good in case numbers: 1 & 3. Meaning, even a single role is approved, request can be considered as approved and the request details can be sent to business user.
    However, I am facing a problem when ALL the line items are rejected by ALL the Role Owners!
    This will surely close the request. However, the email notification that will be sent to user in this case will be of "APPROVED" though the request is rejected in a sense (because all the roles are rejected)!
    Can anybody please he understand this and design proper solution?

    Please do below settings to make role approval/rejection comments mandatory.
    2040 - Set this parameter value as YES
    In MSMP - Role Owner - Stage settings - Please maintain these settings
    I have come across the same scenario as yours. Below is my observation.
    When all role owners rejects all roles by REJECTING roles at LINEITEM level, request instead of getting closed at ROLE OWNER stage, it is going to next stage and getting closed there. I assume this is standard behaviour
    Let's see if we can get experts advise on this.
