Approval notification with email

i would like to set up approval notification with email. when searching in help.sap.com i did not find the information i need. does anyone know where to find the information to configure that in approval process notifications are sent per email?

Email task notifications with form attachment for approval

I have a process that is started in Workspace and I have the preferences set for each of the users in the workflow to get task notifications via email with the form attached so they can approve/deny tasks in Reader/Acrobat without having to go back into Workspace.
The email works fine, the form is sent to the assigned user, however I'm a bit lost as to what to do in my process so when the user clicks the submit button the XDP data is sent to the right place. Poking around here it looks like I need to set up a Complete Task with an email endpoint? My forms have the Process Fields component already attached to them and looking at the data.xdp it is populating with the task ID and other data.
If that's that case a little bit of instructions on how to configure the Complete Task is in order for me. Do I put it on after each of the steps in the process that the form is transferred to different users, thus initiating more emails.

I have added an Email endpoint to the process. The mail gets removed from the inbox as i would expect but i get an error email. It seems to me that livecycle is not clever enough to pick up an email that its own form sent to the server. Furthermore it would seem that an inbox must be unique for livecycle to pick up any submitted forms. That makes the whole send form to user thing worthless, since the form send to the user ALWAYS has the standard livecycle submit email address. That means per livecycle server you can have exactly one process that has an email endpoint for in process form submissions/reminders. An email inbox should work exactly like watched folders, i.e. email patterns per workflow.

MM Approval Process and email notifications

I am looking for a concrete answer to the following MM/ workflow questions?
1. My Client wants approval process flow: purchaser to Line manager to Head of department to Finance to Material owner.
Is this a 'z' table and development is required to acheive this. Can we do the above process thought the classification system? Please give me more details.

This requirement will be fillfilled by PO Release procedure provided by SAP..
This is pure configuration.

For this you have to setup Workflow...Consult with your Workflow Consultant.

PO approval notification email issue

Hi,
When user try to approve PO, it sends email notification to manager who has correct approval athority. Manager can see the approval notification email but notification doesn't have PO Line details section (section which has PO Line information). How to fix it?

Hi,
To confirm that the patches are resp, can you check the file modified dates POXVCOMS.pls and POXVCOMB.pls? (To know the path on the box run diagnostic apps check for PO module and look for these file names).
If they match with the patch application dates, then you might have to open a SR and get the fix from Oracle

Email notification with SP 10

We are using Solution Manager 7.1 SP 10 and would like to use the "new" email notification with the new standard actions. Nevertheless, it seems that is doesn't work.
Based on what we read, we should not need to create anything anymore as described here Pep Up Your ChaRM - Part 1: HowTo Create a Smart e-Mail Action as we have now 2 actions already created in standard :
But when we try the SEND_MAIL_CHANGE_MANAGER one with the following action definition :
with schedule condition :
and start condition :
SCOT / SO16 / BP are properly configured based on the following thread ChaRM: Approval Settings - Email Functionality in Change Request
No email are triggered when for instance the status is in "validation". Are we missing something ?

Of course, I have the corresponding YMCR actions created.
As it is "scheduled automatically", don't I have some kind of WF or jobs to plan ?
I assume that is not activated by default once you are in SP 10, isn't it ?
Based on the TJ30 table, my manager should received an email once the RfC is on "To be approved" or "Being implemented" status....which is not the case today...
As I am using the same user for testing the flow, I am wondering if it doesn't come from that but I doubt it.
And again, I wonder if there is not configuration to activate for these 2 actions, don't you think ?

Trigger email to outlook for PM approved notifications

I have a requirement to trigger email to outlook for approved notifications. Wheneever there is a PM notification created by any employee, it has to go to approval to his supervisor and once he is approved, the maintenance can create a WO to proceed. How would I acheive this. I know it can be done thru workflow but wanted to check whether I can leverage extended notifications for this function. If yes, what would be the steps. I did configured the extended notifications and set up the background job SWN_SELSEN but nothing has been triggered. How do system know to pick the pending notifications from IW29 ? is it from variant ? please help me to figure out the right way of doing this.

It's not an standard option, you should develop an ABAP function to send email according the User Status and System Status changes defined for the work orders. You should start with status validations in work orders using tables JEST, TJ30T and TJ02T, starting from AUFK-OBJNR. And for Notifications with table QMEL. Identify a user exit and use this code to send the email:

Additionally, Workflow provides a more complex functionality for this.

I have a client required to send notifications to outside email box, and also user will approve this notification through email.(i,e not logged into oracle and approve it) in 11i instance.
i need to send mail from po department to finance department
once finance department approves , then mail back to po department that your notificaiton approved.

as part of this we did IMAP set up
and used the following code. and getting the notifications from Oracle to my mail box.
my main issue is when user approves the wf notifications, it is not showing my specified email address in the attribute #WFM_REPLYTO, always it is showing the IMAP set up wfdev address
what is the value i need to use for this #WFM_REPLYTO
eventhough i am sending the to_address email id to the following attribute(wf_engine.setitemattrtext), the workflow approval not working for that email id.
only if i am using the '[email protected]' in the imap set up, then only approval is working.
how can i override this to_email address value([email protected]) to my desired email address?

Approval notification emails missing link to login to SRM

Environment: Standalone
I have created the one shopping cart. Then the approver received the Email notification for approving the shopping cart. Link login to the SRM missed in that approver's mail.

When I am creating the shopping cart the approver normally receive the E mail as:Escalated: Shopping cart of Bill Memore value 799.98 USD. In that mail the SRM web portal link for login by the approver missed.

User not receiving emails regarding approval notifications

Hi,
SRM system has been upgraded to 5.0.
User is not receiving emails regarding Approval notifications. However, the user is able to view the SCs pending for his approval in his approval list.
I checked the transmission of the emails, the approval notifications are sucessfuly sent and the email of the user is correctly maintained. I tried resending the emails, and the user didnt receive emails even then.
Could be please advice what could the error.

If approval mail:
- is correctly generated,
- you can see it in SOST transaction,
- request status in SOST is OK,
this means SAPconnect is working fine, so your problem does not come from SAP.
You have to check your STMP gateaway and your mail server.

Expense Report Approval Mail Notification with attachments

Hi All,
we have a requirement, wherein the Expense Report Approval notification which goes to the manager approval should actually include the Header Attachments in the Email Notification that is sent, as per the standard functionality the notification include the links to the attachments and not the actual attachments. Please help me on how this can be done.

What version of Solman are you using ? Check in t-code Rz20 >ccms monitor template of satelliate system , there would be option to monitor your outbound mails .You can sutomise your monitorig metrics in solman 7.1 else in 7.01 you use auto reaction methods to monitor .

Approve button of PO Approval Notification not functioning properly

Hello,
We are using PO approval workflow for our PO approval process.
The approve button of the email notification is not performing the intended action, that is approving the PO.
Since the approve is not functioning,we had to approve it from oracle.Is there any reason for this?
Kindly let me know if there is some solution to handle such issues.This is a critical issue because not all the approvers can login
to oracle and approve this everytime.

How to send notification and email to all approvers

Hi
I am customizing the requisition approval workflow in p2p cycle.
We have to send out notifications and emails to all people in the approval heirarchy , who have already approved the req if some body higher up in the chain rejects it.
right now oracle only send email and notification to the requester.
ex -- If A requested it and next approver is B , who approves it , next is C, who approves it
but next person D rejects it
I want to send notification to C , B and A
not just A
please let me know how to do this.

Notification via eMail and/or worklist

Hi everyone,
We have a requirement that some notifications will need to be send via eMail and worklist and other notification should only be thru worklist only.
e.g.,
Notification FYI - eMail and Worklist
Notification Approval - Worklist only
Is there a document or a way to do the such thing?

Hi,
If they are in separate item types, then I would create a new mailer, specifying the name of the item type as the correlation ID. That way the mailer will only send emails for that one item type. You will need to disable the standard mailer, otherwise that will email everything.
The disadvantage of this approach is that you will need to have multiple mailers if you want to email from different item types - there is no way to include multiple correlations in the mailer configuration (e.g. you can't run a mailer for APINV and POAPPRV item types).
A trigger would still do the job - you could automatically set the mail status for the notification to SENT as soon as the notification is created. If you are going this route, I would write a function that is invoked from the trigger to determine whether the notification should be emailed or not. That way, as more item types are used, you can easily modify the code in the function to determine whether to send the notification or not. I would even have a separate table / value set which can be checked, which contains a list of item types and / or processes which should not be emailed and have the code check that - if you add more conditions, then it's just an extra record in that table / set.
