Approval process after usage of Firefighter ID

Hello Experts,
We are implementing SPM 5.3 and have some doubt and confusion regarding the approval process of Firefighter ID usage.
Here in SPM we have already configured that controller will get a mail of firefighter id usage with log report as attachment, so now my question is there anyway to configure that controller can approve the usage of firefighter id by himself automatically.
Thanks,
With Regards,
Soman

Hi Soman,
Sorry to say but there is no automated or even manual way to approve the usage of FF ID. This questions has been asked by so many people and hopefully SAP will add this to the next release. Basically, every customer will have to figure out a process for controller to review/approve the usage of FF ID.

Alpesh

  • Approval Workflow - How to stop Approval Process after one Approve?

I currently have a approval workflow for announcements. There are two approvers assigned to the workflow with the serial setting. How do I end the approval work process after one of the two persons approve? Currently, if one person approves, I have a "In
Progress" status under the status column.
Here is the text-based editor view of my workflow:
    f Current Item:Body not equals Current Item:PriorBody
Start Approval process on Current Item with User1; User2
Else if Current Item:PriorWorkflow equals Approved
    Set workflow status to Approved
    If Current Item:PriorWorkflow equals Rejected
    Set workflow status to Rejected
Any tips are welcomed. I have found that Nintex released a workflow that addresses this, but I would like to work around that if possible.

    Hi David,
Yes, I created the workflow based on SharePoint  2013 Workflow platform. You can have a look at the screenshoot:

  • How to determine N Step Approval process through Process Controlled workflow

    HI
For SC approval process after 4th level of approval the workflow keep go N step till the approval determine. If no approval find then go for WF Exceptions.
In PCW we have process level like 100, 200, 300 and so on. What would be the procedure for Nth process level determination in SRM process controlled workflows settings.
    Regards
    Kharabela

    Hi,
From SRM 7.0 PCW, requestor of SC or creator(buyer) of the PO can't be in the approval list.. this is standard...
create two custom events like zev_po_schema_eva and zev_po_sl_approval
create two custom expression.. one with constants as zev_po_schema_def and other one is formula interpreter(0FB001)..
assign zev_po_schema_eva as schema evaluation for PO.. MAKE SURE YOU LINK THE zev_po_sl_approval
      with as zev_po_schema_def..
now create schema definition entry and specify as zev_po_schema_def..
       now create process level
100 approval / approval with completion ( Your chooice ) .. maintain  zev_po_sl_approval as evaluation id in the process level... maintain RR_SPENDING_LIMIT_APPROVER as Resp.Resolver...
    maintain formula interperter value as (OV_SC_PREVAPPROVALIMI < 0V_PO_POTOTALVALUE ) AND (OV_SC_SPNDNGLMTFRQST < 0V_PO_POTOTALVALUE).

  • Change Status of archived document after approval process

hi how can we change the status of an archived document in KM after it has gone thru the approval process.
the reason once we archive we cannot resubmit the document for approval.
    thanks

    Hi Venu,
have a look under System Administration - System Configuration -- Knowledge Management -- Configuration --Content Management -- User Interface -- Commands -- UI Command Groups -- StatemanagementGroup.
See Java class: com.sapportals.wcm.rendering.uicommand.cm.UIStatemanagementGroupCommand. Take the class and decompile this and everything needed around to understand how this class works.
Then you can choose to extend this CommandGroup to also have a command "Resubmit for Approval" or you can implement your own UI Command only for resubmitting (you will also have to activate your command (group) by settings within the configuration).
On the other hand, if all this is completely new to you, I'm a bit sceptical if the task isn't a bit too big as a first task on KM implementation topics...?
    Hope it helps

  • 925685 - Approval process is not triggered after documents are added

    Hi there,
I was wondering if anyone found already a solution for the following problem.
According to SAP Note: 925685 - Approval process is not triggered after documents are added.
Within our SAP application, we want to approve purchase orders for departments based upon the document total.
I was very astonished that employees are able to add a PO which will not trigger an approval stage and after the document is added, they have the possibility to change the document and at the update moment no approval will be started even if the document meets the approval requirements.
Therefore I really want the flexibility to give users the possibility to change their PO.
Meanwhile, documents which are added under approval, are also locked for changes, although this is another question it is also pretty annoying!
I hope anyone has already found a method or work around for the stated problems above.
(We are using SAP 8.8 PL 20)
    Thanks in advance.
    Kind regards,
    Marcel

    Hi Kambadasan,
    Thank you for your reply
I'm sorry but I know how the approval templates work and they are configured correctly, however as SAP also mentioned in their own Note, this is due to the lack of SBO that SAP has such behaviour.
    Hi Gordon,
    Thanks for your reply.
Unfortunately I have not found the post you mentioned...
I will post my issue alson on the topic you mentioned.
Hopefully they found a solution or maybe version 8.81 will solve the problem.
    Thanks a lot!!
    Kind regards,

  • Approver Details Not Visible After Changing the Approval Process

    Hi Gurus,
This expense report belongs to an open approval task when an approval process has ended its validity date.
After a new approval process is activated, all pending approval tasks experience the issue of approver details not showing.
In order to reproduce following steps need to be done :
    1. Deactivate the current approval process and activate the new approval process.
    2. When the status of the recently deactivated approval process is "Ended With Open Tasks", go to the "Show Open Approval Tasks" to
    see the open approval tasks.
3 Check the Cost Assignment area for expense report which is in the open approval tasks.
    3. Approver Details are available.
    4. The approver sees the expense report on his/her approval list.
Once the approver approves, it doesn't go out of his/her approval list and the expense report is still pending for approval.
To determine if the expense report has no other pending approval from anyone else, there should be the approver
details but the issue is it doesn't show up.
The expense report is also stuck on the approver's approval list even after approving.
Workaround provided to the Customer:   Recall the ER and submit again for approval.
But as per customer there should be a background job to refresh the expense report to reflect the approval details.
And issue should not occur as explained on the point 4.
Kindly suggest if anything is possible to improve the system behavior.
    Regards,
    Rahul Mishra

    Hi Rahul,
Although we have a workaround, I believe a permanent solution has to be implemented.
In cases when an expense report has more than one approver (for example there are 4 approvers) and the 3 approvers had already approved, I think it will not be good to recall the expense report and resubmit because the traveler will have to seek for approval again from all the approvers.

  • SP2013 Content Approval Process, restrict status change on updates after Approval

    Hi ,
I had implemented the SharePoint content approval process for one internal requirement. Now, there is a need for modifying the content after Approval Status and by doing so SharePoint modifies the status as 'Pending' after edit. But, I have to retain the
    approval status.
Please share any thoughts on how to achieve this ?
    Thanks in advance.
    soundar

    Hi Soundar_SP,
After you edit the list item, then the approve status will change to pnending. This is by design.
There is no OOTB feature to achieve your requirement.
As a workaround, you can create a custom Approve workflow with start Approval Progress action and set the workflow started when item created.

  • Approved invoices can not be edited  - Approval process

    Hi Experts -
I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
please let me know and i believe we need  a change in design - unless otherwise a solid reason is given to justify the existing design
10.07.2009 10:32 Description (English) by SRS Manian
We have created approval procedure for all the invoices which are entered into the system., The
'Accts' user enters the invoice into the system - the invoice comes for approval to 'Manager' user.
When the Manager opens the invoice via Alert window - he/she wants to modify certain information
(lines as well as Sales person) and approve it.
The invoice which gets opened from the alert window - does not allow the user 'Manager' to modify at
all. All the information on the invoice are greyed out.
The system should allow the user 'Manager' to modify the information. Since the manager has full
    authorization to the system.

         Dear Manian,
    Thank you for contacting us.
When the originator sends the document for manager's approval, note that the at that stage, the document is still in the 'Approval Process'. This is because the system is waiting for the 'Manager' to 'Approve or Reject' the document. Hence, looking at the Document, it is still in 'Draft - Pending' Status.
When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?
The link will provide the explanation:

Thanks for the reply. The scenario is when the Manager receives the
document for approval, he wanted to edit and add it. Your reply (and
documentations) states that it needs to be rejected first before it is
available for editing. When it is gets rejected - the person who
orignated the document gets an alert and he can edit it. Here the
Manager must get an alert so that he can edit the Rejected document.
When the 'manager' rejects the document, and goes back to the alert
window to open the document - it is still greyed out !!
How does the 'manager' reject the document and edits it ?

         Dear Manian,
If after the Manager rejects it and still the document is not editable (greyed out), it means that the document may still be in the 'Approval Process'. When it is greyed out, what is the status of the document in the header? Does it say 'Rejected' or 'Pending'?
If it is still in 'Pending' mode, please verify the number of 'Approvers' set in the 'Stages' tab of the 'Approval Template - Setup' window. If there is more than one user listed as 'Approver', and o nly 1 approval is required, the system provides an opportunity to other 'Approvers' to approve or reject the document. If in your case, the number of approvers is 2, and manager 'rejected' it, the sys tem still keeps the document in Pending status as it waits for another approver's decision to reject or approve it.
Also, verify the number of 'Approvals' required. If the number of 'Approvers' who have not rendered their decision is greater than or equal to the 'Approvals' required (e.g. approvers - 2, required ap provals - 2) the system keeps the document within the approval process. This is to allow the other 'Approvers' to decide on the document.
I hope this clarifies the behaviour. If you can provide us a step by step screenshot of the issue, this may help us to provide a more accurate response.

Occasionally, the status of the appropriation request wouldn't change to 'Approved' even after all the approvals. When we look at the corresponding workflow, the status of the task "New status for appropriation requests" would be 'In process'. There would be no error messages shown in the workflow log and there won't be any short dumps.
The same appropriation request, when restarted for the second or third time, would complete without any issues and the status of the appropriation request would change to 'Approved'.
Can someone let me know what could be the reason for occasional failure of the appropriation request workflow?
    Thanks,
    Surya

Here is another issue for the same workflow approval process.
There are 4 approval levels. Identifying the agent and the approval happens in a loop.
Occasionally, the workitem fails with the message 'Work item XXXXXXXX locked by user XXXXXXX (enqueue error)' The workitem is  getting locked by the previous approver. Is there any specific reason for this lock or do I need to add a wait step for each loop?
The approver, approves the workitem from his Business Workplace. I checked other threads, but I am not able to figure out a reason. These are all synchronous processes.
    Thanks,
    Surya

    Hi,
I have run into the same problem with SOA 11.1.1.5 version. In my case after fixing the following two errors it seems to work fine.
If you have followed the guide, there must be some errors:
First the java code if copied then contains an extra enter value:
    Instead of:
    "try {
    System.out.println("Prototype for invoking an OIM API from a SOA Composite");
System.out.println("RTM Usecase: Self Registration Approval by Organization
    Administrator");"
    Use the following:
    "try {
    System.out.println("Prototype for invoking an OIM API from a SOA Composite");
System.out.println("RTM Usecase: Self Registration Approval by Organization Administrator");"
The other error is that you should not use <BEAHOME>/oracle_common/modules/oracle.jps_11.1.1/jps-manifest.jar, but the <BEAHOME>/oracle_common/modules/oracle.jps_11.1.1/jps-api.jar in jdeveloper. After these the deployment to the application server works fine for me.

  • ARM approval error after upgrading to SP14: Database error while using the secure store.

    Dear GRC experts,
After upgrading GRC 10 to SP14, assigning manual passwords during the approval of a request, the approval process is failing.
Here is the scenario; your advice will be appreciated.
Task: Manually assign passwords to multiple systems contained in the request
Where: On the access request, go to “User System Details” tab
Issue: After approving/submitting the request, the error “Database error while using the secure store” is generated
Logs: Nothing on transactions SLG1 or ST22; however ST11 shows the error attached below:
This is the failed approval of the request:
Other scenarios executed as a workaround, and passed the password assignment this time:
The approval will work if only one password is assigned to any of the given systems. The rest of the systems get an auto-generated
    password.
ARM also accepts multiple passwords when the requestor assigns passwords on the “User System Details” prior submitting a
request. The GRC admin can approve once reached for system approval.
AS FYI, “Confirm Password” is only required when creating the request but not on any other stage.
    System information:
      -Netweaver 7
      -GRCFND_A SP14
      -GRCPINW SP13

  • Error during approval Process flow in Process controlled workflow

    Hello Experts,
We are in SRM 7.0 classic scenario using Process controlled workflow.WE recently connected a new backend R/3 system to our SRM system i.e we now have 2 R/3 backend system connected to SRM system
It is regarding the two new additional account assignment categories that came into picture when we connected the new R/3 backend system to our SRM system, i.e. Asset and Network.
There seems to be some problem with the approval workflow for those SHC, that have such Acc *** Cats.
    Please find below my obeservations:
    - if you have just one line item in the SHC, and this item is either booked on Asset or on Network, than everything goes fine. After the Acc *** approval, the PR is created in R/3
    - if you have SC with a mix between an "old" Acc *** Cat (Cost Centre, WBS and Order) and one of the "new" Acc *** Cats, than the workflow is not working as required --- the manager, that is responsible for the accounting approval of the two positions (e.g Cost Centre and Asset) gets only one work item in his approval overview --- in that work item, the two positions are there, but the Asset one is grayed out --- so, the Manager approves only the Cost Centre positions and than the SC is no longer with the approver --- if you observe the SC now from the requisitioner point of view, the status of the line items in the approval process overview of both(!) lines is "approved", but the overall status of the SC is still "in approval"
Can you all experts plz let us know why this is happening and how this can be resolved?
Any pointers will be highly appreciated.
    Thanks & Regards,
    RKS

    Hi,
What is Resp. Resolver Name and Decision Type in your Process Level Definition? Did you create custom agent BADI implementation?

  • SRM 7.0 Approver deleted after SC is ordered

    Hello Experts,
I have created a 4 process level with custom expressions and agents for SC. All the approvers and agents are determined at each level successfully, however on the Financial approval level the agents are refreshed/disappear when the SC is Ordered. The FI approval event is attached  to a boolean constant expression which always returns TRUE.
Request you to kindly help me with this issue.
    Thanks in advance!
    Regards
    Prasuna

    Hi Saravanan,
    Thank you for the response.
1 .You mean , you can see the Financial approval process level before ordering the SC , but it gets disappear after ordering the SC?
Yes, It appears in the approval process overview and disappears after ordering the SC.
    2. boolean constant expression which always returns TRUE ?
what do you mean.. have you decalred 0ev000 event as evalauation id for this process level.. what do you see SLG1?
I meant i have created a Bollean expression that always returns true.
I checked in SLG1, the expression is evaluated as true.
    3. Financial approval has correct role assigned in it?
    Check 2 & 3
I did not understand your question in point 3... Do you mean to refer to the role of the Users determined as approvers?
    Regards
    Prasuna
