Approval Workflow and Templates

Hi
When using approval workflow and templates, does it exist a workaround of how we may solve the issue where we have to set approval and templates for each KM folder in a hierarchic structure?
Could it be possible to set these settings for a topfolder and inherit the settings for the siblings?

  You must configure approval service for each folder. It'is not inherit. But, you can develop it, in this link you can find knowledge management and collaboration funcions.

    Hi Ramesh,
    Approval workflow is the way you can think of a process for approving a user to be created or assigned a group in the org. Example : User Create in HR -
    > Manager gets email notification -
    > Manager approves the user----
    > Division manager gets notified -
    > email sent to Helpdesk for a PC -
    > etc.
    Role Approval sounds like if the user is to be assigned a ROLE via an Approval Process before it gets created in LDAP. The provisioning will happan not just for the User but for the appropriate group according to the Role.

  • OOTB Approval workflow and content approval

    I have successfully utilized the OOTB Approval workflow to manage the content approval status for document libraries.
    But when I attempt the same on a list (custom, links, announcements...etc)..... the approval goes through without a problem but the content approval status remains in "Pending" status.
    Does the approval workflow NOT work for lists? (And only document libraries?)
    I found this article that describes that the solution is to uncheck the "start this workflow when an item is changed":

    ...which is somewhat ridiculous and pretty much forces the user to have to initiate the workflow manually each time they change the item?
    At any rate... I did what the article suggested and manually initiated the WF and the approval status still remains in pending mode.

    Please make sure that Publishing Approval Workflow feature is enabled in Site Collection Features. Otherwise their should be no issue.

  • Help on Approval Workflow and content types

    Hi
    So here is my question hope you guys can help!
    So i was setting up a workflow for a leave request form. Everything was fine and I had the Approve/Reject buttons at the bottom of the task EditForm. Now I copied the content types to a new one and changed the Optional settings (lets says title hidden %
    completed hidden etc) and then I changed the Task content type too so as to allow for that new content type to take place. Then i relaunced the workflow everything worked nicely the form look the way I wanted it but then on the EditForm I didnt have the ebuttons
    any more so I found it odd so I reset the content type to the original checked that everything was back in place (the hidden back to optional etc) and even on the original Workflow Task (Sharepoint2013) content type the buttons disapear now I have to manually
    add to the completed column and change the drop down menu of the Task Outcome to approved or rejected to make the workflow spit out the results.
    I was wondering what happened I do not understand it. I even deleted all the Task List and Lists associated witht the workflow re wrote the workflow and nothing... So i m a bit out of my depth.'
    When I click on the Cutomized List Default Edit Form... I do get the form with the button but its not the same one I get with the Email Link or the Link and the actual List
    Any pointers?

    According to your description, my understanding is that the outcome buttons disappear after you change the Optional type column in Workflow Task(SharePoint 2013)  content type.
    For your issue , please make sure the Task Status and Task Outcome type columns are existing in the content type in order for the custom outcome buttons to appear.

  • Approval Workflows and Importing file on OIA

    Hi
    On OIA, we know that workflows are triggered when roles are created or modified.
    I wondered if the workflows are also triggered when roles are imported instead of vbeing created through the OIA GUI?
    Up to now, I saw that the workflows work only when roles are created or modified through the gui. Is it the correct behavior or must the workflows also be triggered when roles are imported?

    If the user is not exist, the import process will skip the user, and you'll see a related warning message.

    I am trying to add a new workflow to a document library with the below mentioned settings and getting error saying "This form cannot be opened in a web browser. to open this form use microsoft infopath" while adding a new Approval - Sharepoint
    2010 and  Publishing Approval workflow" . For your information the I have checked the server default option to open in browser.

    Thank you very much for your suggestions.
    But I am not creating a custom workflow in designer as Laura has mentioned. I am instead trying to create a new Out of the box Approval Workflow and I get the error mentioned above.
    As it works in other environment, I tried figuring out the possible differences which can lead to this error.
    Today I found one difference which is there are no form Templates within Infopath Configurations in Central Admin. Now I am trying to figure out what makes this form templates to be added to the template gallery.

  • 2 level approval workflow using spd 2010

    Hi,
    I have to create 3 level approval workflow using sPD 2010, 
    1) User raises request --> Email goes to approver1 & Task assigned to approver1 --> If approver1 approves Task should be assigned to approver 2--> If  approver2 approves--> Task should be assigned to approver3 & Email Notification-->
    If approver3 approves workflow should complete & email goes to request initiator.
    Could you please let me know the exact steps

    According to your description, my understanding is that you want to create a workflow to assign tasks to different levels people in SharePoint 2010 Designer.
    To achieve it, I suggest you use the built-in approval workflow 2010 template.
    You can do as the followings:
    Open the library
    Click Library-> Settings->Workflow Settings->Add a workflow
    Select the ‘Approval-SharePoint 2010’ template, and type a name for this workflow
    Select the start options, and click Next
    For the Approvers, type your approvers as the order approver1, approvaer2, approver3, and the Order is ‘One at a time(serial)’
    Select ‘End on First Rejection’
    Click Save
    Then if you start the workflow, it can be workflow as your description.

  • Approval workflow error when creating a new custom entity in FIM 2010 R2

    i'm hoping somebody here can help, me i've been struggling with this for some time now. On a fresh FIM installation i create a custom entity named "Role" and add a few custom attributes.
    I then create an approval workflow and MPR for normal users to create entities of type Role, but another user must approve this request. The other user has a working mailbox - i've tried firing an action workflow that sends a mail notification when someone
    creates a new role and it is working fine. But, when i enable my approval workflow (the only field i changed from default is the approver) on the MPR, the workflow always failes with the message:

  • After the in place upgrade from SharePoint server 2007 to 2010, the out of the box approval workflow does not prompt for additional information after check in of a major version.

    I think it has to do with the interaction between Word, InfoPath, IIS, and /or SharePoint, but I cannot put my finger on it.  Maybe client integration or authentication settings?  I have looked at it in wireshark
    and have not seen anything glaring.
    Steps to reproduce the (working) behavior:
    Set up a document library in SharePoint 2010.
    Under versioning settings, make the following changes:
    Set Require Content Approval for submitted Items to Yes
    Select Create Major and Minor (draft) versions
    Set require checkout to Yes
    Create an out of the box “approval” workflow with the following settings:
    Start this workflow to approve publishing a major version of an item.
    I then create a new document. Save it.  check it in.  it is now version 0.1.
    I then open it again. check it out.  Make a change. Close and save it.
    Check it in.
    Publish major version:
    At this point a screen is presented to me to enter workflow parameters.  This screen comes up in Enterprise 2013 and MOSS 2007, but not the migrated version of 2010:
    This is what I need help with.  It should come up in 2010.  To fix it in 2013, I had to change the IIS bindings to only have 1 entry for a port.  I did this for 2010 and it did not work.

    According to your description, my understanding is that the approval workflow cannot work when the workflow was set to start to approve publishing a major version of an item after upgrading to SharePoint 2010.
    I recommend to check the approval workflow in Workflow settings of the corresponding library to see if the Start this workflow to approve publishing a major version of an item is checked.
    For test, I recommend to create a new OOB approval workflow and set it to start to approve publishing a major version of an item in the same library to see if the workflow can work.

  • How to create publishing custom approval workflow will assign approvers.

    I am new in sharepoint development.
    I have a page library where we add artical page with different department
    I want to create publishing custom approval workflow will assign approvers based on what department is selected for display.  The departments pull from the Other list.  On that list each department is assigned an approval group. That approval
    group is what should be used for approving the item.

  • Integration of SAP Business Workflow and Webdynpro

    Hello colleague,
    Could you pls. provide any pointers in configuring the following scenario:
    There is a SAP workflow configured in R/3. When one of the steps of the workflow is executed I have to trigger a Web Dynpro (for ABAP) screen.
    Say its an approval workflow and when the manager clicks on the workitem in the inbox a webdynpro screen will pop up indicating the requisite information. The manager can approve or reject the based on information on the screen. The user action will be taken and the workflow will proceed based on that.
    Any pointers in this will be of great help.

    I have a test on my machine with a custom approval workflow and it can work normally .Here are the detailed steps :
    1.      
    Open the site in SharePoint Designer .Create a workflow to associate with the document library .Set the workflow to start when an item is created and when an item is changed
    .Also allow the workflow to start manually .
    2.      
    Choose ‘Collect Data from a user’ .
    3.      
    Click on the data and give a name to the Task created .
    4.      
    Define the custom form field name as ‘Approve ?’ .Set the information type as Choice .
    5.      
    Set the choices as ‘Approve’ and ’Reject’ .Display as Checkboxes .Uncheck the ‘Allow fill-in values’ and ‘Allow blank values’
    .Click finish to save .
    6.      
    Click on users and add the users who will approve the documents .
    7.      
    Keep the output to variable as collect .
    8.      
    Add a new step .Choose ‘If any value equals value ’ .Set the any value ‘Data source’ as  workflow variables and parameters .Set the ‘Field
    from source’ as Variable: collect .
    9.      
    Set the value behind ‘equals ’ as ‘Approve’ .
    10.  
    Add a new action ‘Update list item ’ .Set the item as current item .Add the field Approval status as Approved .

  • Problems with Auto approval workflow (WS 10000060) for shopping carts

    Hi SAP Network community,
    I have got a problem with the auto approval workflow for shopping carts.
    Basically the workflow approves the shopping cart once it was created.
    But then the related Purchase Order remains in Status held. If the PO gets ordered manually then it is not transferred to the R/3 backend system.
    For testing purposes also the one step approval workflow was activated. If the shopping cart gets approved by clicking into the detail approval screen (not by approving through the green tick box in the shopping cart overview) then the PO gets ordered and transferred to the backend system as normal.
    But if the shopping cart gets approved by using the green tick box in the shopping cart overview then the same problem occurs as described for the auto approval workflow.
    The system version is SRM 4.00
    Did anybody have the same or similar problems with the auto approval workflow and what could be the reason for this problems.

    Which SRM Workflow Scenario are you using (IS it Item level workflow or Shopping cart level Workflow) ?
    Are you using customized SRM Business workflow or Standard SRM Workflow ?

    I have a document approval workflow set on a document library, because I want the documents to require approval by the approver before they can be seen. I also have versioning set on the library. However, once the documents are approved and then later
    changed, the Document Status is reset to Draft and requires approval again. Is there a way to use either Document Approval or Versioning or a combination of both to keep the document in a draft state and not viewable until approved, and then not change states

    Hi,
    The screenshot is Content Approval option in Document library settings. As we can tell from the explanation in the left part, content approval is designed to specify whether new items or changes to existing items should remain in a draft state until they
    have been approved. It will work both when a document is uploaded to library and when a document is edited.
    If you would like approval only happen on first uploading but not on lated editing, then you might use other method for approval progress.
    As workaround, you could use OOB approval workflow and specify it to start only when an item is created, so that the approval progress will only happen on first uploading.
