Approve workflow step via outlook

Good morning!
I have a problem with SAP Business Workflow. I want to prepare a workflow what have steps what can be approved from outlook/e-mail. How can I achieve this? I need just only one approve and one reject button. Can I send out to a mailbox a similar message like Business Workplace/Workflow messages?
I have red about MAPI interface (but nothing special detail), extended notification setup etc. I am a newbie in SAP Workflow so I'd like to ask you tell me in detailed how to set up the system.

    We are on SRM 7.0 and setup BRF and process level config for automatic approvals of SCs and POs using task 40007988. We would now like to test approval based workflow (create work item to route to approver) using a process level step.
    1) Is there a standard task that can be used to enter in the process level step? Or should we create a new standard task? If a new task is required, what import/export parameters should be defined?
    2) How do we setup agent for this step? Are the entries u201CResp Resolveru201D and u201CResp Resolver Parameteru201D in process level config required? The BADI BD_WF_RESP_RESOLVER already has some SAP delivered implementations? Should I create a new implementation here?

    Welcome to new Process-Controlled Workflow implementation in SRM 70.
    You can find the task list in the transaction PFTC. Task Group 40000003.
    Please activate the BC Sets in transaction SCPR20. Find the BC Sets /sapsrm/*.

    Hi Experts,
    I have a question related SAP BI workflow,
    Is there any possibility to approve a workflow step via e-mail?
    I mean I have a specific step what needs approval, can I prepare this approval step via e-mail? (not the built-in SAP mailbox)

    Hi,
    as far as I remember there was once a tool called MAPI or MAPI-Interface. The workflow guys used this to display workflow items in outlook. When you started the workitem in outlook the system did log you in and you could execute the workitem. Please consult the workflow guys for more details.

  • Automatic approval workflow does not work anymore

    Hi,
    Our automatic approval workflows configured via standard business configuration sets (process controlled) do not work anymore. They did work previously.
    After changing the BUS objects 'automatic approval' workflow into the 1-step manager approval workflow it does work.
    - The 'automatic approval' workflow does not seem to generate a workitem, the bbp_pd 'workflow' part is empty. In addition previously approved documents via 'automatic approval' do not contain workitem details via bbp_pd either anymore.
    - We applied a new SP (SP07) not that long ago.
    - These documents go into status: 'awaiting approval', the documents 'approval' details tell us the following:
    001 Automatic Approval Valid (Can be Started) Open (No Decision Made) SYSTEM system
    However the system does not execute the task, how come? What normally ensures the system executes these 'automatic approval' tasks (report?)?
    Any input is very much appreciated.

    According to your description, my understanding is that you want to edit the Task Rejection Email for your Approval Workflow. Please take steps as below:
            1.Open your site in the SharePoint Designer, go to Workflows->open the workflow you want to modify ->click the Approval->click on “Change
    the behavior of the overall task process” in the Approval editor page.
            2.Find the Step “When the Task Process Completes”-> “Set workflow status to Rejected.”
            3.Add two “Set Workflow Variable” from Action on the ribbon,Click on “workflow
    variable” then select “Variable: CompletionMailTitle”(editing the email title) and “Variable: CompletionMailReason”(editing the email body).
             4.Scroll below and click on the last action – “Email Workflow Context: Initiator” under “Else”,remove
    the first line.

  • OOTB Approval Workflow CC field issue

    I have a OOTB Approval Workflow that functions as expected but for the CC field. The email goes to only the first user mentioned in the CC field and not to the ones thereafter. I have checked the Approval Workflow steps using SharePoint Designer but nothing
    seems to be off. I have run out of ideas as to why only the first name in the CC gets an email but not the rest.

    Yes I did try changing the order. Still emails the first user mentioned in the order.

    Do you mean if you change the order of users in CC field, only the first user can recieve the email?
    Could you please contact SMTP administrator and see if message is sent from SharePoint workflow and recieved by user account? If you are using Exchange server as SMTP server, you could check message tracking log per timestamp.

  • Workflow user-decision mail with Approve & Reject button to Outlook.

    Requirement: To send a mail with Approve & Reject buttons to outlook inbox.
    Approach: I have used the user-decision step in the workflow and the approve, reject buttons are displayed . As far as solution in SAP inbox is concerned, it is solved.
    However the requirement is to show the mail with the buttons in the outlook mail.
    Resolution Required For: to show the mail with the buttons in the outlook mail. I am new to workflows sending mail to outlook inbox. Is there any way to do this using ABAP developments.

    If you are on ECC 5.0 or above, you can use the Extended Notif. for achieving this.
    How are you getting the Outlook mail ?. If you already have Extn.Notif, then do the following :
    1. In Transaction SWNCONFIG,for your Scenario and Category,
    in the Subscription Basis Data -->Subscription Settings,
    Set the parameter SHOW_ACTION_DECISION_AS as "LINK"
    This will give you the options of your user decision as LInks in Outlook mail.
    There is lot of material in this forum for Extended Notif. if you search.

  • Step should not be executed in PO approval workflow..

    Hi Guys,
    The PO approval workflow has a sub-workflow for the series of approval levels to be approved.
    Now the very first step is "Get DeadLine Dates" where we calculate three deadline lines date to send reminders to approver on 2, 7,14th day.
    Now when the deadline date has reached the flow goes to a branch where input is the workitem id... and it execute fine there..
    but when the mail has been sent the user opens it to approve it... but there either the system hangs or gets stuck in the mail or it doesnot approve it ...
    But when user opens the original mail... i.e. the first mail sent for approval .. he can open and approve it successfully...
    Now that client wants to stop sending reminders for sometime so that meanwhile i can work on the above issue..
    1)So I am confused that how will I stop this branch by executing.
    2) is it that my first step "get Deadline dates " binding should be removed..
    3)How will I stop sending reminders ..
    Next point is: what had happened before why was the approvers not able to approve it..

    It seems that you are trying to execute a workitem from the emails that has already been executed. Please note that you cannot open a workitem that has already been completed by others. I dont think email gets deleted from Lotus Notes or outlook when you process the workitem.

  • Calling Adobe form in a Workflow Step for approval

    Hello,
       There are some ISR forms and workflows in MSS which use Workflow tasks configured as JavaWebDynpro to call Adobe form from the Workflow Step.
    Is it possible to achieve the same using ABAP Web Dynpro and creating a new task and configuring to use it as an ABAP Web Dynpro (which can in turn call the Adobe form from the WD)?

    1)You can develop an<b> RFC</b> that collects required basic data from R/3 and display them in <i>ABAP WD - Adobe Form</i>. The End user can change/fill the remaining contents of the Adobe Form and submits it for approval. The <b>RFC</b> again handles the triggering part of the <b>Workflow</b> and passes the form data to the workflow containers.And for approvals, you can use the <i><b>SWFVISU</b></i> to call a <b>ABAP WD</b> application from Workflow. And in turn the control again goes back to RFC and so...
    2)I dont have much idea in ECC 60 if there is a similar ABAP WD application like Standard Java WD <b>IsrFormApprove</b>.
    3)No idea.

    The creation of the SC stays the same. Only the event linkage and the start conditions determine which workflow will be started.

  • Confirmation n-step Admin approval workflow

    Hello friends,
    We struck up in setting up admin workflow with the badi BBP_WFL_ADMIN_APPROV.  We have activated the workflow WS10400020 and we could able to determine approvers in that badi and able to pass the approver into output parameter of badi et_agent. Approvers are getting determined in the confirmation and able to approve it.
    But we need to have two step approval in that badi. Is the admin workflow (WS10400020) one-step approval workflow? Can we have two - steps in this workflow? In the badi, we are determining two approvers and all the approvers are getting passed into et_agent which is then getting passed to first step in the approval process. We would like to pass one of the approver in to next step.
    Could you please advise me on that?

    Can we manually add approvers in case of confirmation one or two step approval workflows? Can we replace an approver who already there approval preview with an adhoc approver? In my case, both the feature is not working. Just want to know is this a standard process or we have a fix for that.

  • Add extra step to approval workflow

    Hello,
    I have an approval workflow where it requires 2 people to approve the document, one after the other. All working nicely.
    Once both approvers have approved the document, I would like an extra step (task) added before the workflow initiator is emailed that the workflow has been approved.
    I would like a third person to be emailed to do something with the document (I can add the instruction in the email that is sent).
    After the third person completes the task, then the workflow initiator is notified the approval workflow has finished (as per usual).
    Is it possible to modify the approval workflow to add that extra step? And if it is, could you kindly advise how to do that? I would be very grateful.

  • Delivery date not getting recalculated while approving via outlook

    Hello,
    After creating a shopping cart and if we approve after say 3 days via SRM portal the delivery date gets recalculated and takes into reconsideration these days and this is the value that gets populated in the purchase order
    But if the approval is via "OUTLOOK", the delivery date is not recalculated and the old delivery date is sent into the PO.so sometimes the delivery date becomes in the past.
    Although BAdI takes into consideration delivery time+lead time calculation for SRM portal approved shopping carts it is not taking into consideration for OUTLOOK.
    Is there any solution for this

    BADI BBP_DOC_CHANGE_BADI- BUS2201 . while creating PO try to validate them if you are in ecs mode
    i believe standard SAP dont recalculate delivery date while creation of PO.

  • AD-hoc approver n step item level shopping cart workflow

    We are on latest version of SRM and using n step item level SC approval workflow.
    The scenario goes like this:
    -     Requester creates shopping cart and workflow goes for two step approval.
    -     In the approval preview the requester is able to see both levels of approvers, which is correct.
    -     Requester now selects second level approver and replaces him with a ad-hoc approver. WE DO NOT WANT THIS.  Requester should NOT be able to replace an approver determined by approval badi. However should be able to extend approval step with ad-hoc approver say third level approver a ad-hoc approver. Also he should be able to change AD-HOC approvers ONLY.

      You may be able to achieve it in the BADI BBP_WFL_SECUR_BADI .
    You can use the Business Add-In (BAdI) BBP_WFL_SECUR_BADI to determine whether
    A shopping cart can be changed during the approval process
    The approval workflow restarts when changes are made to the document
    A reviewer/approver can be added or changedThese are the call scenarios (see import parameter SCENARIO).

    We have 5-6 levels of approvals for Shoppoing carts.All the SC needs to be approved by 5-6 managers based on their approval limits.All the approval limits are assigned at the Role level .(We have created Z roles)
    Please let me know how and where to define the roles in BADI to activate the N-step approval workflow for Shopping Cart-WS14000133
