Archiving and different Retention period by specific interface
We want to specify different Retention period for different interfaces (audit reasons)... and based on search in SDN, it does not seem like this is supported by SAP...
Do any of you know if SAP intends to support this in future? Any ideas for overcoming this gap? or is this limitation deliberate (and has been kept in place for a reason)?

Actually I don't think we have this option of setting the retention period for specific interfaces,
but for the global interfaces in the system.
If you want to increase the time for Audit Log messages you need to change parameter 'messaging.auditLog.memoryCache' to false in order to persist the audit logs in PI 7.1 system. Take a look at note #1314974 for more details.
And notice that after changing the parameter to false, audit logs are persisted till the corresponding messages are deleted. The default retention period of messages on AE is 30 days, keep in mind that it could have a little impact on the data volume.
To increase the retention time in AFW, go to:
Services -> XPI Adapter: XI:
"xiadapter.outbound.persistDuration.default"
"xiadapter.inbound.persistDuration.default"
For the Integration Engine, it's under SXMB_ADM -> Integration Engine Configuration and Configuration.

SARA Archiving Idocs and the retention period , RSEXARCB

I am having few questions on the Idoc Archivng -
1. I want to know the safe retention period for Idocs , I am planning to do archivng of Idocs which are 60 days older or more. How to determine the exact period for Idocs that we can keep in the database tables and also in the file system. What will the exact time in tables and also in Filesystem before we copy to a tape.
2. About program RSEXARCB , I want to schedule automatic background job for only Idocs which are in status 3 and 53 using this program every week. In this program I dont see any variable or any selection field where I can select this options. Is there any other program in SAP where we can select this options?
FYI - We are on ECC 5.0

Diagnosis
A retention period has been entered for a profile value category, that
is shorter than that of the billing document headers.
This is an invalid entry, because you cannot archive profile values
before billing document headers.
System Response
The system does not permit you to save the retention period combination.
Procedure
Correct the retention period for the profile value category or the
corresponding billing document header category accordingly.

XI archiving retention periods doubt
Hi All,
I have a scenario in which i have to maintain different archiving and retention peroids for different interfaces in PI 7.0.
But i can see that there is only place to in SXMB_ADM to maintain retention periods and we can just add our interface names to the list marked for archiving and deletion.
So what can do to maintain different retention periods for different interfaces?

It's NOT possible to have interface specific retention period and you noticed there are only 3 types possible a. for Asynchronous, b. for Synchronous c. History entries
And it make sense that if you maitain some standards across the evironment.

Opening and closing Posting Periods in New GL
Can anyone tell me how to open and close postings periods for leading and non leading ledgers if new gl accounting is active in the system.Is it through OB52 or some other codes.

Open and close periods is specific to A+ / Asset / Customers / Vendors / Material / General ledger accounts only.
Non-leading ledgers can have different fiscal year variants and different posting period variants per company code to the leading ledger of this company code

PI 7.11 AAE- Archiving and deletion
Dear All,
I just want to get confirm on my understanding regarding AAE archiving and deletion.
We have 98% interfaces using only AAE in our landscape.
I had set up XMLDAS archiving for AAE ( After fixing so many issues ) which archives the AAE messages into the local file system. So no issues in that .
Now my requirements are,
1) I would like to keep only 7 days of data in the database and 100 days of data in the file system
2) I do not want to set up any rules for Archiving /Deletion. It means i would like to archive messages older than 7 days in the file system.
The steps are ( My understanding )
1) Set the persistence duration in NWA to 7 days . So only 7 days of data will be stored in table BC_MSG.
2) Set up the archival job in the background processing through RWB without ANY RULES. So all processed messages older than 7 days will be achieved in the file system. And Archive will come with default delete procedure as well hence Archived messages will be deleted from table BC_MSG.
3) Deactivate the delete job . If i have the active delete job in the background processing, it will delete all messages older than 7 days which i don want. The deletion of messages from BC_MSG will be taken care as part of archival job.
Is my understanding correct?

We have the same problem, when we deleted manualy some messages from SO AIX but they still appear from the RWB, and when we clic over them we get an error: ...... java.lang.Exception: XML DAS GET command failed with ErrorCode: 598; ErrorText: 598 GET: Error while accessing resource; response from archive store: 598 I/O Error java.io.FileNotFoundException: /usr/sap/PID/javaarch/archive/usr/sap/pid/x

Residence period: Most of the archiving object residence period is maintained in customizing > Application specific customizing in Archive development tool access through transaction SARA.
Note: There are some archiving object for which you can't maintain residence period however these archiving object residence period should be manually controlled in write variant.
Retention Period: This retention period is mentioned in archive server.
Total retention time = Online Residence period + Offline Retention period.
2. You can schedule archiving jobs by SARA transaction. This transaction will help in scheduling the job background. Or By using Background user id, one can schedule the archiving jobs by background.

This is my situation to keep and run my Archive job and Deleted jobs:
I want to keep my XML messages in the SXMB_MONI for 60 days and I need to delete the XML message is older then 60 days need to archive and delete.
For example current date is 02/26/2008 to 12/29/2007 is the 60 days and earlier need to be deleted.
Everyday I need to Archive job and everyday I need to delete the archived messages more then 60 days.
1. Schedule Archiving job
(SAP_BC_XMB_ARCHIVE_111) I gave it to execute everyday 2:00AM.
2. Schedule Delete job
1. Schedule Delete job for XML message
(SAP_BC_XMB_DELETE_111) I gave it to execute everyday 4:00AM
2. Schedule Delete job for History message
(SAP_BC_XMB_HIST_DELETE_111) I gave it to execute everyday 5:00AM.
Once I execute this archive jobs I can see this and it was executed perfectly and I see all my messages got deleted and I can see only todays message in SXMB_MONI.
Help to resolve this issue with keeping all the 60 days message in my sxmb_moni.
Different issue: In my SXMSPMAST table I can see some of the XML messages are marked as DEL in the field ITFACTION. How I can change this DEL to ARCH.

I had a look at the configurational settings and the desired behavior of the Integration Server. Most likely there is a misunderstanding of one parameter which leads to the untimely deletion that you have observed.
You state that you set the retention period for history entries to 60 days and you want to keep the messages in technical monitor (SXMB_MONI) for 60 days, too.
Please note that 'history entry' does not denote a complete XML message. The history entry is kind of a fingerprint of a message that is used for duplicate detection. Keeping the fingerprints does not mean keeping the messages!
If you want to see XML messages in technical monitor for 60 days we have to distinguish between messages flagged for deletion and messages flagged for archiving:
- deletion: the only way here is to set the retention period to 60(DELETION PERSIST_DURATION ASYNC=60). This is the only possibility to ensure these messages are visible in technical monitor for this period of time.
- archiving: here it is important to know that archiving works in two steps. Firstly the messages are written to file. Secondly the file is read (to ensure data integrity) and XML messages are deleted. You can decouple these two steps, i.e it is possible to run archiving for asynchronous messages after 1 day. Then the messages are still available in SXMB_MONI as the delete step is pending. This deletion can be run 59 days after archiving. However, I strongly recommend to not use this option. Instead please set the retention period for these messages to 60 days, too (ARCHIVE PERSIST_DURATION ASYNC=60). Configure the deletion step to be executed immediately after archiving (TX AOBJ). Additionally configure the reorganizational jobs to be executed daily as you have lined out.
Regarding your second issue: unfortunately it is currently impossible to change the action to be taken on a message from 'deletion' to 'archiving' belatedly. Please be aware of the fact that OSS note 789352 applies to XI2.0 only. I strongly advise against applying this note to any release higher than 6.20.
To give you an outlook: SAP is working on a general tool for belated changing of the interface action. The decision was made to deliver this functionality as part of PI7.01 EHP1 and PI7.11 EHP1. It is not yet clear whether this tool will be downported. If it is downported it will probably shipped as part of the next support packages (XI3.0 SP22 / PI7.00 SP16 / PI7.10 SP6).

Define Tolerance Limit for Archiving
In this step, you specify how long external purchasing documents are retained unchanged in the database before being archived.
You can define two time periods, via which you control the archiving of the documents:
Residence time 1 for items without a deletion indicator
Before the deletion indicator is set for a document item, the system checks when the relevant item was last changed. In the process, a change in the PO quantity is taken into account in just the same way as a goods receipt, for example.
The date of the last change is compared with the current date. If no change has been made within the residence time 1 entered , the deletion indicator is set for the item.
Residence time 2 for items with a deletion indicator
For document items for which the deletion indicator was set manually or during the archiving run, the system checks how many days have elapsed since the deletion indicator was set.
The whole document is only archived if:
The deletion indicator has been set for all items of the document
None of the items have been changed during the residence time 2 entered - i.e. the last change is the setting of the deletion
The archived documents are then deleted from the database. -
In Exchange 2010 server, we have setup a policy under "Default Archive and Retention Policy" as all messages under "Inbox", "Sent Items" and "Deleted Items" will be Permanently Delete after X months.
However, one of our client found that some of the email messages was still found under his "Deleted Items". All other email messages under her outlook client (2010) were successfully deleted according to the policy.
Is there any reason for this exception?

Based on your description, you created retention policy tags for Inbox, Sent Items and Deleted Items folders. Then you linked them to the default archive and retention policy
Default Archive and Retention Policy.
Please check if this issue affects all users.
Please create a different retention policy which is associated with these retention tags, and apply this policy to a test user to check result.

I would not recommend to change this setting. One major problem you get will be that the archiving function will delete data from database (which has been transferred to the archive). So far so good, that´s one of the archiving features
But it sometimes happens that you have to open an already closed fiscal year again. And if you open this last closed fiscal year again, the realtime transactions could fail now if data (transactions, etc.) is missing which exists only in the archive at that point of time.
By the way, you can have a look at SAP note 389920, in there the archiving functionality is documented for FI-AA application.

I'm trying to come up with query report to show Inactive Item bought within a specific period and not sold within a specific period by whse and have stock
The report should show Item Number, Item Name ,Item cost,Retail Price [Based on a price list], Qty in Whse, Last Purchase Date, Last sale Date etc.
e.g item bought between 2011-2013 and have not been sold with the same date range or the last 12 months.

Cannot Assign Archive and Retention Policies in Outlook 2010
We are having problems figuring out how we enable Archiving and Retention tags in Outlook. We have a new Exchange 2010 server with an Enterprise license key. We have run Microsoft Office professional plus 2010 on all of our clients (licensed through
our volume license service agreement). We have configured an Archive mailbox store and assigned accounts to use that store. The archive mailbox appears in the users Outlook, but they cannot assign policies to folders or items. The ribbon does not show the
option. I can see that it is configured to be part of the ribbon (when customizing the ribbon), but the option is not available to the user to actually select. I see user tags assigned to the user in Exchange, so I am at a loss as to where else to look for
the problem.
I see lots of documentation that says this is a licensing problem, but I am running the right components and think I have the right licensing. Is there a trouble shooting document or things I can check to make sure I have everything the way I need it to
be?We found our own answer on this. Not sure why, but we had to use powershell to start the Managed Folder Assistant for the user name we had configured:
Start-ManagedFolderAssistant -identity <username>
My guess is that if we had waited long enough this would have resolved itself. -

Confusing Application of Archive and Retention Personal Tags and Policies
I created some custom personal tags and applied it to the retention policy assigned to my account and started the managed folder assistant on my mailbox and when I saw the new tags in Outlook, I applied personal tags at the folder level of all of the folders
in my Outlook 2010 profiles by right clicking on each folder, selecting Properties, then selecting Folder Policy, then selected the retention and archive policy I wanted and then clicked OK to save the settings.
After about 15 minutes, I had finished going through all the folders, I went back to look at the folder properties and instead of showing the custom policies I just set, they have "Use Parent Folder Policy" selected on the Policy tab for both Folder
Policy and Online Archive. It looks like the settings are not being saved/applied or they are reverting back to defaults. However, some messages show retention and archive dates and some messages are moving to my archive mailbox.
This is confusing to me, so this looks like it is going to generate a large amount of tech support calls when we roll this out and it will be difficult to explain to end users how this works.
Our retention policy does not contain any default archiving policy or retention policy on the Inbox (the 2 year default was not applied) to our policy. So mail in the Inbox is not automatically moved unless a user applies a personal tag to archive
and delete the messages.
How is this supposed to work and how long does it take for folder policies to be applied from personal tags and then work as expected in Outlook?As for when the managed folder assistant runs, it depends on your Service Pack level. For Exchange 2010 SP1 and later, the retention policies run 24x7 with a throttling policy applied to the Mailbox Folder Assistant. Also, there is no guarantee
that the managed folder process will necessarily finish in the time allotted. In fact, there should be messages on the Exchange server side that document how many mailboxes were processed and I think, how many were not.
For the timing in general, if a tag is applied, my understanding is that with the default settings it could be up to a day, if not longer until things begin processing. It depends on what window you have for retention policies to process, what might
already be in the queue to process next, etc.
For the Start and End date question, my assumption would be that on the day that it is supposed to start, it will be placed in the queue to be processed as soon as possible, The same for the end date.
