Archiving ECM

Hello Gurus,
I reviwed all the PP archiving objects/tables for BOM, Workcenters, Routings, Production orders, Process orders and Backflushing. I couldn't find any information related to ECM archiving.
Could you please let me know how Engineering Change Orders can be archived.
We are currently using 4.6c.
I appreciate your help.

Use T-CODE : SARA  and Archiving Object :LO_CHANGEM
SOME TIPS:
Archiving (transaction SARA)
Data archiving removes bulk data which is no longer required in the System, but which must be retained accessibly, from the database. Data in the R/3 database can only be archived via archiving objects, which describe the data structure.
The archiving procedure comprises two main steps:
Create archive files: the data to be archived are first written sequentially into a newly created file. The data then exist twice in the database. These archive files can, e.g. be passed to an archive system, via ArchiveLink.
Execute delete program: the data in the archive files are removed from the database by the delete program.
You can check how the archive filenames and archive destination are setup in transaction FILE
Always remembers to check the setting before any archiving.  The settings will determine things like whether the delete programs will start automatically.  (it is not advisable to start your delete programs automatically).

  • Opentext ECM Livelink - Archive Server 9.7 - Is AIX a valid platform

    Hi All,
    Can anyone tell us, whether Opentext ECM Livelink - Archive Server 9.7 is supported on AIX - Oracle platform or not? If yes, then which version and patch level etc for OS and DB?
    We do not have access to Opentext Knowledge base and so we could not get the information from there. However, from SAP service marketplace we found the Release Notes for Archive Server 9.6 and that seems to support AIX. But we found the Release Notes for Archive server 9.7 from a friend and there, AIX is not mentioned specifically as a supported OS. We are confused as whether for Opentext ECM Livelink - Archive Server 9.7, AIX is supported or not. Any help/resources will be greatly appreciated. Also any note on hardware sizing would be very much helpful.

    Thanks for your responses. We got in touch with ECM initially and the Customer Service Executive informed us that if only we have procured the product they would share the requested information. However, I was lucky 2nd time, I wrote to them and they did respond with all the useful information. Currently Archive Server 9.7 is not OFFICIALLY supported by AIX (ECM has not tested), though they mentioned that all Unix platforms support Archive Server 9.7.

  • Using Sharepoint as an archival and document management

    Hello, 
    I was asked by my manager to look for possible solutions to convert our archive paper file cabinets that are full of student records into digital format. We do not utilize sharepoint yet at the school but I was researching and found that sharepoint does a good
    job in archiving and content management. The ultimate goal for us is:
    1-  to be able to scan the documents in the file cabinets and save them into folders on sharepoint. We want to be able to create a folder under a specific students' name and then scan all documents related to that student into that specific folder. 
    2- Give permission to specific staff members to access and search for docs by student name. 
    I wanted to ask if  and how this is possible to achieve by Sharepoint knowing that we have an estimate of 120,0000 paper docs to scan.

  • Attachment list in ME23N using SAP Archive link not working

    Hello Everyone,
    We are using Documentum as our document management system and have linked it to SAP through Archive link to link scanned Invoices against purchase orders.
    After we run a query to link a PDF document to a purchase order in Documentum and then Login to ECC and tcode "ME23" and display the purchase order->Environment->Display Originals the document attached to the purchase order is getting displayed in Document viewer. But we want to display the document in "ME23N" and also against the Invoice document in "MIR4".
    Can anyone please help me in finding a way to display the document in ME23N. I would greatly appreciate your help.

    Do a search. There are plenty of posts which cover the configuration of DMS and ArchiveLink as separate issues. Its not something you could add as a single post, its an entire module in itself.
    On the issue of versioning, some products do support versioning with ArchiveLink but TRIM is not one of them. To get versioning on TRIM, you would need to use SAP DMS using TRIM as a repository. Open Text supports ArchiveLink with versioning with a product called Extended ECM which is designed to give similar functionality to SAP DMS but driven from the Open Text product as opposed to the SAP DMS. I.e. you create documents and publish them to SAP rather than creating them in SAP and storing them in the 3rd party content server.

    We have installed a new ECM to archive documents as contracts to a PERNR... I'm writting a migration program which from the table TOAHR copy archive from a source repository to a destination repository...
    To do I use the RFC SCMS_AO_COPY ... But I have a exception 4 (config error).... What's the best way to fix this... ?
    How can I set SAP HR to set the new archive repository for SAP HR archived object ?

    There are certain things which are not supported by CISCO TAC but we will have to do because of customer retrain and hardware availability.

  • Record Center Archival Strategy/Best Practise

    I am familiar with record center but I would like some guidance on how to do some of the things.
    Scenario : We have 4 site collections, 2 site collections are containing team sites which are built for different departments and one site collection is project site collection which contains sites for on going project and last site collection is for record
    center. There are different content types associated with each of libraries in above sites.
    -- From the team sites in those two site collections, only few documents from document libraries need to be archived (Here I would like to know, should I create a separate library in record center for each library in source site -- in this approach record
    center will have numerous libraries or just create one library for each team site and archive all documents in it -- this approach has drawback of finding document)
    Same way for project site collection where once project is ended they would like to archive all libraries : should I archive each separate library or archive all project libraries for that project into one library on record site.

  • How to attach PDF files to invoice document from ECM.

    Hi Gurus,
    We have one requirement in that around three million  invoice pdf files are there in ECM system. we need to attach those pdf files(GOS) to  existing invoice document in SAP.as we searched in SCN we found one function module ARCHIVE_CONNECTION_INSERT. for this  function module we need pass mandatory import parameters as SAP object ID ,Document ID and some other variables(object type, doc.type , repository ID).
    My problem is how can I find the value of  respective SAP object ID and Document ID  form ECM system. and how can I match the SAP object ID and Document ID.
    please  help on this.

    Hello,
    Check with Global document type is maintained for the PDF you are looking for in OAC2. You will find the Document type, for the respective object type, check in OAC3. Content Repository is the archiving ID. Search by the archiving ID.

    Hello,
    Our company uses IXOS(now Open Text)  for some AP process automation.  At our site the invlovelment of an ABAP developer is limited.   Some custom reports were written to provide certain audit functions(eg show scanned and barcoded documents that have not been linked to an SAP document).  There is also a workflow component, although this is quite small and is really just the implementaion of an SAP delivered workflow.   The other thing that I (as an ABAP develper ) am involved in is server administration for the archive server.   Not so much the physical server as the archive server applciation. I have also been involved in client software installation and configuration( viewer and scan clients).
    To sum up, in my experience there has not been that much pure ABAP work involved.  However, the support of this application sort of falls into a 'grey' area in our company.  It is not really SAP functional and not purely server administration.  Perhaps  'cross functional' may be a good word.  The bottom line was tha no one knew who to get to support it so they gave it to an ABAP developer.
    Hope that helps a bit.  I know your experience wiil probably be different.

    HCM Processes and Forms already use RM for persisting the data. I believe there are cases & documents created for these processes & forms in RM.
    Please have a look at the archiving solution for cases & records for the same. They are available from the sdn link of RM. I have also posted news item on http://www.sdn.sap.com/irj/sdn/nw-ecm stating the upload of the archiving cookbooks. 
    The catch as I see for you is that you will need to know how the processes & forms are stored in RM by HCM & then use the correct archiving solution for those objects.

  • Livelink ECM u2013 eDOCS (Hummingbird)

    Dear Expert,
    I would like to find out if anyone has encountered an implementation with both SBO and an archiving system called 'Livelink ECM u2013 eDOCS', also known as Hummingbird?
    I ask because we seem to have a problem with the coexistance of the two systems. SBO 2007A uses\reserves a certain COM for XL Reporter in Microsoft Excel 2007. When SBO is removed, eDOCS works fine. In earlier versions of Microsoft Excel, for example 2003, this is not a problem. I assume it wasn't handled like a COM Add-in.
    Do you have any suggestions, possibly to configure XL Reporter on another COM?
    Seeing that XL Reporter is no longer running as an add-on in 2007, is it possible to disable it for the time being?

    I'm thinking of installing SBO on a workstation with no MS Office, in order for it not to automatically install the COM. Then to install eDocs and MS Office. Once that is all working, I will then manually add the XL Reporter COM.
    Your opinion is always appreciated.

    How does the content repository differ from the ECM plugin capability suh as Documentum. What are the different use cases. Which is the best to use for managing document uploads by user for association with user's personal products/services ?

    Content Repository is a standards-based, fully featured repository, included in all the editions of the Adobe Digital Enterprise Platform and Solutions. You can use it to store and access content, execute rich set of content services like search, authorization, etc. As such, it's ideally suited for all the content/document/asset-related needs of your applications. It offers the JCR API, plus access through RESTful interface and WebDAV network drive (among others). Additionally, managing content in the Content Repository makes it immediately availble for all the solutions that run of the platform.
    In essence, Content Repository is your go-to place to store and manage content in the Digital Enterprise Platform/Solutions. It is well suited to cater to your use case.
    The ECM Plugins (Connectors) are used if you have existing LiveCycle document services, and you have one of the ECM systems in your infrastructure used as archive. It allows you then to connect to such a 3rd-party system, and retrieve document for processing, as well as store them back for archiving.

    We have installed Add-on of Doculink for Opentext ECM on ECC6.0 System. We have installed (new version 9.6.2) it from Open-Text (3rd party vendor).
    01) Open Text DocuLink for Livelink Enterprises
    02)  DocuLink for Livelink Enterprise Server
    03) Open Text Archiving and Document Access
    04) Open Text Archiving and Document Access for SAP Basis
    After transporting the patch DC3.1-001(instruction of patch) which we found from open text site of https://esc.ixos.com/ we are getting dumps in SAP that: Program is not Unicode-compatible.
    Error analysis
    The following syntax error was found in the program /IXOS/SAPLDC_C:
    The program /IXOS/SAPLDC_C is not Unicode-compatible, according to its program attributes.
    Can any one tell me how can this transport be reverted back from Open-Text 9.6.2 ?

    Have you tried to disable the unicode check?, It might work.... In anycase I think you should give IXOS a call, I presume they have seen this issue quite a few times :-D

    Does it store all contents in its database or it support external storage (storing of documents in file system or network drives)?

    paper documents into digital images)?YES. Both Oracle UCM and IPM have OOTB support for ingesting scanned images. Oracle does not supply the scanning hardware though. Most likely you're useing some kind of solution like Kofax.
