Archiving ERS documents into an external archive

Hello guys,
I'm an apprentice that is currently getting worked into SAP. We are currently working on a release Change for SRM.
Now my task is to think about ways to realize the archiving of ERS documents (credit items?) from SRM into an external archive that is linked to SRM.
Since I am not very far into SRM yet, I don't really know how to achieve that. I need to know where the ERS documents lie. They have to be in a table, which one? And where are the real documents (PDF files) stored? How could I realize the archiving of 58.000 ERS documents?
I hope you can give me some Food for thought. You don't have to deliver me a full solution, but maybe a few things that might help me make a good Impression?

if i understand correclty your situation, you have a SRM system, let say A and you will implement a new SRM system (upper release), let say B, on another server...
Then, you want to extract documents from SRM system A and upload them in SRM system B?
Is this correct? If yes, this is not only an archiving project: you first need to migrate your data from system A to system B.

    In our SRM, we have a program for the Generation of ERS documents (credit note?).
    Firstly, the Programm BBPERS creates ERS Idocs on Basis of stock-receipt (?). Secondly, the program RSPPFPROCESS sends the ERS invoice to the supplier via mail.
    The document is saved only as an email.
    We do have a Z-Programm, ZZBBPERS, that is used for subsequent creation of ERS documents as PDFs. These are saved in the Spool, but for each invoice a different spool number is created.
    Now my Task is to find a way to Archive these ERS documents into an external Archive. We use d.3 as Archive, I don't know if you have heard of it. But that shouldn't matter right now.
    So the question is, how can this be achieved? I don't really know anything about archiving in SAP. And this is a very Special case. Where do I have to start? Do I Need to write a program, or can I use some of SAPs Standard possiblities? What programs are there for archiving spools? Can they be defined as only archiving Spools from program X? Where do I define archiving procedures?
    I hope some of you can get me started. I don't Need a perfect solution right off the bat, just a place to start and ideas how to Approach this Project.

    Thank you so much, this brought me a leap Forward.
    So the Business object should be the BUS2207, right? This is our Business object for ERS. We don't have BUS2081, what is that?
    edit: Wait, what is the difference between Business Object and Archiving Object? We do not have an archiving object vor ERS.
    To clarify: We do not book in SRM, we are sending it per Idoc to another SAP System where the booking takes place.
    We are just creating the PDF out of the BUS2207 and sending it to the vendor via RSPPFPROCESS and Action "BBP_ERS".
    Can you tell me where I can see detailed Information for the Archive Connection? I have the entry in OAC0 with IP address and all. But we have no records of ever archiving in this System so how can I see Connection details and test it?
    I also have to analyze if ArchiveLink is already set up and working..
    Also, where do I define how the files are saved in the storage System? With this I mean like in which Content repositories / Folders and so on they are saved.
    What Information are given to the PDF? All document informations, like Dates invoice number and so on? How can I use them for my Archive structure?

  • Archiving pdf-document in external store ?

    hi there,
    i have a projekt, where i have to archive pdf-files on a external archive (ixos). i use the FM 'ARCHIV_CREATE_SYNCHRON_META' to archive the pdf-files.
    the big problem is the following: the name of the original pdf-file is not saved. there is only the document-id, which i got back from the archive-server. but in emergency-cases i have to restore all the pdf-files from the archive-server with the ORIGINAL pdf-name. this is important because the name is kind of a 'key' for finding documents in other, non-sap-systems !
    any ideas for that ?

    Hi Martin,
    If you are getting back the document id then you can store that in custom table where you can store PDF file name and the object id. You will have the name of PDF when you use the FM to archive it.
    So whenever you have to get back the file you can refer to the custom table to get the name.

  • Archiving spool  documents

    Hi  Gurus,
    We  are looking  for  a solution how we can download and archive spooled document  into  an  easily  accessible and secure directory.
    Issue is  with  spooled  pdf  jobs  that  contain thounsand of pdf   files , non sequential , that need to be downloaded and archived in area where these files could be consulted by any business users.
    I found a program RSTXPDFT4 , but  i 'm not  sure  there is a solution with archivelink , because there is no business object for spoolfile . Is it possible  to  do  it  with  archivelink ?  or  other solution
    custom objects and a bespoke method to call standard functionality for the actual storage of the data ?
    or  to get the PDFs archived and linked to the belonging SAP business documents.
    I have no idea and experience zero in archiving.

    Hi Soufiene,
    From your question, my understading is that you are looking for something lke archiving outgoing documents. With this scenario, you can send the documents, which is sent to spool for printing, to archive also. So you will have the choice to either 'Print' or 'Store' or 'Print and Store'.
    There are many such archivelink scenarios available based on the module and the business object.  The following link explains one such scenario of archiving outgoing SD documents.Have a look at this link which might give some idea.

  • Can't display archive change documents for agreement (COND_B)

    Hello,
    I want to display archive change document for object class : COND_B (agreement) via transaction MEB3:
    The archive works fine, and I can found the archive change documents form SARA.
    (Archive Objetc = CHANGEDOCU
    Archive info structure = SAP_CHANGEDOCU2 (is active))
    But the display from the application transaction : MEB3 doesn't work.
    In the DEBUG:
    the Function module is called automatiquely: COND_B_DISPLAY_DOCUMENT
    THEN SUBMIT RSSCD100
    THEN The function module is called with the no parameter READ_CHANGEDOCU (ie with space value)
    THEN the program reads only from DB
    Question : HOW I oblige the program to read from the archive  (READ_CHANGEDOCU = 'X') ?
    I checked these SAP notes 1050935,1299903, 1308024, 1128954, 1050335
    but no results.
    May be I forgot some customizing ( SARA,, AOBJ )?

    Hi,
    As I understand, the change documents archived using the CHANGEDOCU archiving object are no longer available using the application object.
    Refer to Notes 1257133 and 140255 where they mention the above point.
    If you want to read change documents along with the application, then you must first archive the change documents along with the application.
    In your case, for agreements, you should use object SD_AGREEM so that the change documents also gets archived along with the agreements. Refer to note 761281 to check whether the archiving class CHANGEDOCU is already defined along with object SD_AGREEM in your system.

    Hi,
    Archival is done with tcode SARA
    Configuration
    In SARA tcode,
    Object : FI_DOCUMNT (For archive FI Documents) and press enter
    click on customizing button
    Maintain account type life
    Maintain document type life
    For Archiving FI documents:
    Object : FI_DOCUMNT (For archive FI Documents)
    Select Write Option.
    Put a variant name and click maintain.
    In the next screen (change screen assignment) check the check box and click continue.
    Enter Company Code, Fiscal Year / Period and all Document numbers, Remove Test run button and Click on Attributes
    Enter meaning text and Save.
    In Main screen again click on SAVE and click on BACK.
    Go to start date run it immediately. Then,
    Go to spool parameters and check it.
    Click on Immediate
    Click on Save.
    Go to Spool Parameters. Click on ok.
    Execute the same now job is scheduled.
    Go to SM37 and check scheduled job.
    Click on job log and note session number for archival
    Now to delete the documents:
    Object : FI_DOCUMNT
    Click on Delete
    Click on archive selection, select session number and schedule background job.

    I need to archive change documents of my application. There is already a change document archiving class "CHGDOCU" which I can use for this. But this is only for ADK based approach.
    Basically, I want to know if there is any Archiving class available for archiving change documents in XML based archiving?

    Hi Thomas,
    if you want to go with SARA, you would have to archive hundreds of objects, since change documents are (as of 4.5B, I think) no longer deleted/archived by themselves, but always with their respective objects.
    You can easily check that for yourself: in transaction DB15 click on the radio-button 'Archiving Objects' --> Objects for Table --> CDCLS (you can only view the cluster, not it's components). You will get a list of all archiving objects that 'contain' change documents.
    That leaves you the option to find out, to which object most of your 500 mio. change document positions belong, but my guess would be that this would be quite a lot ... so either, you are considering an overall archiving project (which is no short-term goal) or you use one of the reports that make a 'hard-cleanup' of CDCLS --> there are various notes in OSS about that topic, make sure you read them all, since the impact is not to be necglected.
    As for the artice in question, you may not need it ... there are 33 hits for object CHANGEDOCU in OSS - I think you can get all the information you need there, however - if you want to use this object, please keep in mind that you are cutting the connection between the business object and the changedocu - like described in note 1325862.

  • How to display document from external archive via archivelink?

    Hi,
    I would like to display in SAP (via ArchiveLink) scanned document which was stored in an external archive (FileNet). The archive system is connected to SAP via ArchiveLink. However the scanned document isn't stored in the archive system via SAP so I don't know the ARCHIV_DOC_ID. I only know OBJECT_ID as far as the metadata of document is considered.
    I tried to use ARCHIVOBJECT_DISPLAY function module with object_id and arvchiv_id but I get the message no. OA512 (Parameter info was not transferred for command docId). I can only display scanned document entering the right value of ARCHIV_DOC_ID parameter. But actually I don't know the value of this parameter from the level of SAP system.
    Could anybody give me some clue or hints?

  • Backing up/archiving songs/loops on an external drive rop

    I have some questions about backing up songs. I want to verify that this is correct. I want to make sure that I get everything backed up since my home computer crashed and you never know when something could happen to my work computer.
    I know in order to keep all the loops saved within the project I have to archive the file. When I archive the file, it creates a zip file. Is this correct? then I can move that zip file to either a dvd or an external hard drive, correct? if I open the zip file on another computer, my song/project should open up and have all of the loops and everything in them, correct? Is this the correct and most efficient way of backing up projects? It is vital that all of the loops remain as well.
    Actually what I have been doing is saving them to dvd for now (i am going to get an external to store more on). I create a burn folder and then open up garageband and select the song/project, copy, paste into burn folder, create archive. Then a zip file appears into the burn folder and I can burn that. I only need to burn the zip file, correct? I don't have to burn the original file....

    "Create Archive" using the Finder
    AND
    "Save As Archive" inside Garageband are two completely different and unrelated things.
    Using the Finder "Create Archive" creates a zip file.
    Using "Save As Archive" in GB Places all of your loops that you used for that particular tune into a .band file. This does NOT occur unless you choose "Save As Archive".
    "Save As Archive" is not a file compression in any manner or concept.
    If you use the Finder's "Create Archive" on a .band file without first implementing GB's "Save As Archive" function all of your songs loops will NOT be inside the .band file and if your try to open that .band file on another computer that does not also have those same loops from the original computer they will be missing on the second computer.
    GB's "Save As Archive" is like making a little suitcase of all your loops from that tune to carry somewhere else. It is not a compression function.
    So first:
    "Save As Archive" in GB
    Then:
    :Create Archive" of that .band from the Finder

  • Archiving pdf document with a background job

    I wrote an home made application to manage links between SAP and external systems. In this application I've a document number which corresponds to a pdf document I received on a windows file server.
    I'm receiving hundreds of pdf documents per day from these external systems and I want to archive them in IXOS from an ABAP program.
    I wrote a program to do this using these standard functions :
    ARCHIV_CONNECTDEFINITION_GET to get the archive parameters
    ALINK_DOCUMENTS_CREATE_DIALOG to upload and archive the PDF file
    ARCHIV_CONNECTION_INSERT to create the link in SAP
    this works perfectly.... in forground.
    The function ALINK_DOCUMENTS_CREATE_DIALOG does not work in background.
    I absolutly need to create an abap program to run it as a job  to do this archiving, because I get about 2000 - 3000 documents per day
    Does somebody have a solution for this ?
    I looked around in this forum and in SAP but I didn' find a solution at the moment

    As you experienced all DIALOG function modules will not work in Batch because the is no connection with a frontend (PC).
    You have to get your PDF on a server so you can process them in Batch.
    Maybe you can than use the FM: ALINK_DOCUMENTS_CREATE_FILE

    We  want  to  archive  spool  request  . Spool request can be divided into two documents categories 
    Outgoing documents and  print list .
    Outgoing documents (PDF , OTF) are created using the SAP word processing system (sapscript or smarforms). Typacally examples are order confirmations , invoices ,paystub ,... . Outgoing  documents have a unique link to an applications business object.
    Print list (abap list) are the output results of reporting programs that do not use smart form / sapscript.
    We need to customize both archiving scenario .
    Did you what are the steps ?

    You cannot print from archived documents as archived documents have to remain unchanged. Printing will create new NAST records for your document which is not possible for archived data.
    You have to care about such requests prior to data archiving. You need a general strategy e.g. printing into an archive (setting in your message conditions), which is optical archiving and often mixed with data archiving . Those optically archived invoices can be reprinted at any time.

  • Reorganize/Archive SAPOffice documents

    We want to reduce the amount of SAPOffice documents + reduce the table sizes for SOC3, SOOD, SOST, SOOS etc.
    My understanding of this concept is:
    -> Reorganization is possible, using program RSBCS_REORG. In realily, this means deletion of entries => Note 966854.
    -> It is possible to send documents to content manager, but then it must be done from the documents themselves, not from a report or similar.
    -> It is not possible to archive all SAPOffice documents for e.g. 2008 to an archive - there exist no such functionality.
    Am I correct in my assumptions? If so, it is not realistic to open millions of documents and save them to a document storage, so the only and best solution would be to delete/reorganize them as I see it.

    Hi Ole,
    There are reports avaiable from third party to move the files from SOFFCONT1 to an external Archive or SAP Content Manager: http://SOFFCONT1.pernexas.com
    Then the documents are accessible via ArchiveLink or via another storage cetegory.
    After moving the files to the external repository, the link to table SOFFCONT1 will be deleted from tables like SOOD by this report and upon successful movement/deletion, the final SAP reoorg  can be executed by the SAP program RSBCS_RORG to clean table SOFFCONT1.
