Archiving... everything

Premiere Pro, from at least cs4, made it fairly easy to archive using the Project Manger (Project ... Project Manager) popup window.
But... many (most?) user projects reach beyond PPro and include work in After Effects, Audition, Photoshop (stills and graphics for lower thirds, etc.), Media Encoder, Encore, etc. There's a lot that goes on between importing raw footage and burning a final BD.
What are best practices for archiving the whole thing? The whole thing being the user project and not just the PPro part of it.
I'd like to be able to off-line an entire project and delete all it's bits and pieces from my hard drives so that I can do more work. And I'd like to do it in such a way that facilitates the client coming back in a year to make changes -- I want to be able to pull the hard drive, or DVDROM, or BDROM, or whatever off the shelf and work on the project again without having to recreate anything, or chase down stray links.
I'm thinking the first thing I have to do is archive through the PPro Project manager. Then I'll have to add the AE project. And go into AE and find what files it used and copy them to a directory somewhere (and then of course AE won't be linked to these source files...). I can see this getting really messy really quickly.
I'm sure I'm not the first person to hit on this problem. What's the "best practice" solution to the whole-project archive problem?

Manually.
I create a folder named appropriately. Inside that folder I have three more folders - Files, Audio and DVD.
Every audio file in use, regardless of which program I'm using it in, goes in the Audio folder (before I import it, that's key). When I'm ready to create the DVD or Blu-ray, that obviously goes into the DVD folder.
Everything else (except media and Cache) goes into the Files folder - PP project files, AE project files, images, everything. (And it goes here before import, again that's key).
When you're done, you have one folder with everything in it - except media and cache - for very simple backup to hard drive, data DVD, etc.

Outlook 2013 (included with Home and Business 2013) does not archive everything

We are running on Exchange 2010 SP3. We have about 5 PCs with Office Home and Business 2013 (click-to-run version). We set up auto-archiving on all machines and set the options to apply on all folders. It's supposed to back up everything 24 months prior.
It does not back up everything. For example, on my machine which is Windows 8.1 (the others are windows 7 pro), it only backed up emails from March of 2013. We have already applied the registry fix where we do the following:
registry key (dword) ArchiveIgnoreLastModifiedTime = 1
Outlook 2013 in HKEY_CURRENT_USER\Software\Microsoft\Office\15.0\Outlook\Preferences
That didn't help at all. The machines with Office Home and Business 2010 work fine.
Anyone else having this issue?

How can I stop Mail from automatically archiving every incoming and outgoing email?

Mail is automatically archiving every incoming and outgoing message, and then synch'ing that with my iPhone -- thus sucking up all available memory. I have never asked it to automatically archive everything, and can't figure out how to stop it. Any ideas?

Launch Mail.
Mail > Preferences > Accounts > Advanced
Uncheck the box beside "Include when automatically checking for new messages".
Do it for all accounts if you want.

Archive not working in outlook 2013

I am trying to setup an auto archive for a user. I have gone through the process of creating the .pst to use and is stored in his network drive. I have configured the autoarchive settings to archive anything older that 01/08/2010 and also ticked the archive
items marked as do not archive. everything looks correct and when I run the archive I can see it quickly goes through all the folders and it creates the subfolders within the archive but no emails are actually archived. There are over 86000 emails in his inbox
and they date back as afar as 2005 so there is 5 years worth of emails that should get moved according to auto archive settings.

Network Drive .pst is not suggested for Outlook since this may cause some possible issues. some reference can be found below:

Archiving Calendar items - Outlook

Hello,
Very frustrated here, and hoping the community can help me. I have Outlook 2011 on my Macbook Air on Mavericks (not that the OS matters). I'm trying to clean up space on my Exchange (work) account, as it's nearly full. Most of the space is being used from old calendar items with attachments.
How do I archive PARTS of my calendar? I don't want to archive everything, just everything prior to Dec 2013. Is it possible? I can't find a solution anywhere.

I am running Outlook 2003 and cannot sync my new 5G IPOD. I've tried archiving all but future appointments but it still runs briefly then says it can't copy the Outlook calendar.
I also tried to export a .csv file from Outlook directly to the IPOD in disk mode but that didn't work either. Apple documentation says we need to use a .vcs or .ics file. Outlook does not support those formats.

SAP does not work like "Mission Impossible", that a document disappears itself after a certain time.
If you archive documents, then it is still up to you, when you want to dispose this archive.
E.g. you have to keep financial data for 10 years as requested by law.
But you want keep your database small and want have a good performance.
So you decide to archive everything what is older than e.g. 2 years.
The older documents are written to an archive file and deleted from the table spaces.
The archive can stay in the SAP file system (quickest access) or in an external archive system like IXOS.
You have to make sure that you keep this archive with data older than 2 years for another 8 year to comply with the legal requirement.
If the 10 years have past, then you archive the archive information (this has the info where your archive is located) itself and remove the indexes to the archived documents that are older than 10 years.
Then you take the disk from the IXOS system and destroy it.
If you dont archive the archive infos (SARA for BC_ARCHIVE) and dont destroy the archive files then you may be able to access the data far beyond the 10 years.

Best practices for archiving a published app?

So say you've finally published your (single-folio) app with DPS.
What's the best way to deal with that folio now, in the Folio Builder panel? (I made what was probably a mistake of building the final version using my primary dps account, not one set up only for the publication.) I've locked it in Folio Producer, which I assume will prevent me from accidentally doing anything to it -- though I haven't tested it.
With a print publication, I'd be archiving everything and setting aside my final files. What's a good thing to do with these? (This points out some more big gaps in DPS workflow, such as organizing your folio builder and a "package" or "archive" function.)
Any stories of what you've done to safely archive would be appreciated.

If you organized your folio properly and created a sidecar.xml file, you can delete the folio and archive the source files. If you ever need to re-create the folio, it should be easy enough to import the folio. You wouldn't want to do this with folios in a multi-issue app.
As you suggest, it would be nice to be able to hide published folios from view in the Folio Builder panel and Folio Producer Organizer.

Archiving old mail - as mail is running very slow

Can someone please give me some guidance as to how to archive my older emails in Mail? I have to keep a copy of everything but some of my inbox's have 20,000+ emails in them and this is making Mail run very slow. I would love to be able to select for example a date criteria and export or archive everything prior to that date. Any ideas? Also, am i right in assuming this will make Mail run faster for me? The slowness occurs usually when switching between mail boxes within the application. Thanks in advance, John

Thanks for your reply. I downloaded VacuumMail and ran it successfully, it seemed to have worked yesterday but again today opening my inbox is very slow loading again.
I have now created a new white folder called Archive and moved 15,000 of my incoming messages into a sub folder within there and have done the same with 10,000 of my sent messages into a 'sent' sub folder of the white folder. This leaves me with around 8,000 in my inbox and 5,000 in my sent folder. Is this the reason that my mail is still opening these folders very slowly, because of the large volume of mail? I guess i must see the little clock icon to the right of the inbox for about 15-25 seconds each time before the mail is displayed in my inbox folder...
Are there any other diagnostics i should run?

Using "Archive All" with individual clips?

When importing video from my AVCHD camera, I like to use the "Archive All" option at the bottom of the Import window. That way I can quickly just transfer the raw files to a hard drive and import the clips I want for editing into iMovie later.
Ideally I'd like to archive individual clips in this same manner. Typically my camera will have clips from several unrelated events I need to archive. I'd like to archive the clips from each event into separate archives. However it seems like the only option is "Archive All", which puts everything on the camera into a single archive. If I immediately imported the video from my camera after each event I shot this wouldn't be such a problem. But sometimes I forget or shoot multiple events in one day, so this functionality would be useful.
Just to make sure, I tried selecting individual clips and then doing "Archive All", but as I expected it ignores the checkboxes and just archives everything.
Is there any way to archive individually selected clips?

That makes sense, but my problem is finding the events in the archive files before importing into iMovie. Right now I give the archives long names like "<data>, eventName1, eventName2, etc.>". It would be a little cleaner to have a single archive per event instead. Being able to select clips would also allow me to not archive clips I don't want, saving space.
It's not a huge deal, it just seems like it would have been easy functionality to add, but I guess it's not high on the priority list. Maybe next version...

The bottom line is you should use ant.
If your using a version prior to 8.1 you can use the built in jar/ear tasks,
if you cant upgrade to 8.1 I reccomend it.
If your using 8.1 we have an exploded directory structure for development
known as split-dir (go to http://edocs.bea.com and search) with a set of ant
tasks to do compilation and deployment. There is also one called wlpackage
that will create an archived EAR for you as well.
The basic principle is that in development you want to develop with an
exploded format as it is much faster to compile and to deploy. When moving
to production and for distribution you want an archive. You have a couple of
options for the archive. You can archive EVERYTHING where each module
inside of the ear is also archived.
Such as:
foo.ear
META-INF/applicaiton.xml
web.war
ejb.jar
I am not a huge fan of this because in development you really want
everything exploded and if you archive your modules inside the ear you have
to change the URI's in your applicaiton.xml. I prefer:
foo.ear
META-INF/applicaiton.xml
web/
WEB-INF/web.xml
ejb/
META-INF/ejb-jar.xml
This is the format of the ear that wlpacage ant task creates for you.

Is 15 second for log archiving acceptable ?

Online redo log switching is happening fast though . It takes less than 2 seconds (maybe not fast enough for you guys )

For a DB in archivelog mode, ALTER SYSTEM ARCHIVE LOG CURRENT and ALTER SYSTEM SWITCH LOGFILE have the same effect . Right ? I mean, both of these commands asks the archiver process to archive the ORL which is being currently written to. Right ?

It's fast enough as long as you don't fill up all the online redo before you are finished archiving the first one. It's a round-robin, so if you get all the way around to the first one which is still being archived, everything will stop until it is done.
The ALTER SYSTEM ARCHIVE LOG CURRENT waits for the archiver to finish archiving, so it is slower than ALTER SYSTEM SWITCH LOGFILE, possibly much much so with larger redo.

Partial AVCHD Archive - only selected clips - is this possible?

A have a couple of video cameras with built-in flash memory, and iMovie (8.0.5) will import the clips fine. I want to archive some events to DVD -- but not the entire contents of the camera memory.
In the Import from Camera box, there is an Archive All button, but I only want to archive some of the clips. Is this possible?
I also have Toast 10.0.4, but again it seems to want to backup my entire camera memory onto a number of DVDs. I just want to send the raw AVCHD files from 1 event to someone, hopefully on a single disk. Thanks, Jeff

Ok here is something I just learned and I hope I can describe it correctly. First I have about a year and half of saved mts avchd files before switching over to the Mac completely now. What I could not understand fully was that if I connect my camera to the mac imovie can read the files and import the video fine and quickly but can not do anything with my already saved files. I could use a extra converter but it would take hours instead of minutes. So I played with the archive format and came up with this solution if you want to save just the avchd files as backups or to send to someone who can do the same.
ok now what I learned:
On my video camera I made 5 recordings( recorded blank wall) of atleast 4 minutes long (to cover my longest clip saved) and then used imovie to make an archive of it. In the archive folders stream folder I deleted the mts files there. After that I copy the earlier mts (5 at a time) files I recorded in the stream folder and renamed them using the automater for ease, the same numbering the camera used in my case 00000.mts 00001.mts etc... then in imovie import from the archive. It will come up with the correct thumbnails but the incorrect times of the clip, but imovie will import with the correct times as long as the clips importing are shorter then the dummy recorded clips (thats why I made them 4 minutes each) if you try to import clips longer then it will stop short and the clip will get trimmed. Also if you do it this way then you need the same number of clips in the archive as it was first saved or it may not detect correctly in imovie. I also noticed that one of my cameras I needed to move the bdmv folder to the main folder the archive is ( ../volume/camera archive/bdmv/...). You can make your own dummy archive with as many clips as you need, just make sure the same amount in in there when importing. So far it seems to work and alot better then converting and archiving everything in the imovie way for future recordings ( i like to rename and organize my .mts files for backup). That way if you just what certain files saved you can save the mts or mt2s files to dvd renaming files to make easier to locate the ones you want later and have the dummy archive for importing into imovie.

Exporting Palm Desktop datebook to .dba archive

I have datebook data from 2003-present on my Palm Desktop v6.2. I would like to archive everything before 1/1/14 by exporting the data into a *.dba archive, and then delete that data from Palm Desktop. The export dialogue says I can choose to archive items I have selected, but does not tell how to select them. I wish to select a date range -- specifically, 1/1/03-12/31/13. Anybody know how to do that?

DVD Production/Compressor/Archiving - Format?

I've spent a significant amount of time in the last few days on the boards, trying to come up with an answer for this... And while I'm much more educated, I haven't found someone with the exact answer.
The quick background... We are new to FCP and DVDSP by about 4 months. We are a public school channel, producing video about the good things going on in the district. Our features are mostly short, 2-3 mins, with some longer applications. We had been using an avid, playing in real time to a Canopus Amber card in another PC. The file this would make would be a MPEG-2 that we send to our MVP-2000 to air. We were also able to use this file to burn to DVD using Nero (NOT my choice, but it was easy, and all we had), and for archival purposes
With our new G5, we are starting to use it for DVD produciton. DVD studio Pro is MUCH better than Nero.
Yet, I'm having a hard time grasping what I need to do to make the video look good. From FCP, I went to Compressor, and chose the "Best Quality, DVD 90 mins" setting. This gave my settings VBR two pass, Avg. 6.2, Max 7.7, Best motion estimation. The result? Crap. A lot of artifacting.
This seems pretty consistent with what I'm reading in other user's experiences. So I tried some settings, and the best one I found was using compressor to do a One Pass, 7.2 bit rate, GOP 7, Best motion estimation.
Yet, this setting is only video, then I have another for audio (obviously...) So I have two files in the end. Not a big deal for DVD production. And they are relatively small, both files totaling about 130 MB for three-ish mins.
I also tried to avoid compressor, using Export-Quicktime Movie in Final Cut. Then, in DVD SP, telling the encoder to use One pass, 7.2, Best motion estimation. This setting also appeared to work well. And it is nice because I have a quicktime movie file that I can use for multiple things. I can send it to air, I can send it to DVD and DVD SP encodes it properly, AND I can archive the file to disc, AND if I drop it right back into FCP, it's right there, no rendering or anything. Yet, the file is nearly 3 times the size, just under 400MB. Obviously because it's uncompressed.
SO........ My question becomes... Is there anyone out there with a similar workflow? I like having the quicktime file, simply because there is then ONE file that I have to deal with, and ONE version can do multiple things. Yet, the file size is rather large, and if we do anything longer than a few minutes, that's gonna be one big file...
Suggestions on how to export from FCP into a format that will work for these different applications?

Right about the separate tracks. The nice thing is about the QT file, is that DVD SP separates that out for me, and I kinda like that.
Good to know about DVD SP having a tendancy to crash. I haven't seen it do this yet, but good to know it's out there.
Yea, I see there is a lot more control in compressor than DVD SP. Yet, if I can do a simple QT movie and have DVD SP encode it, it helps my workflow a bit, only having one step to encode for archive, DVD, and air.
So let me ask this... The reason I like having one file to "do it all" is because it seems to make it easy. Encoding with the canopus before, we would have that MPEG file on our PC, and we could archive those to CD every so often. If someone comes back to us in a few months and says "Hey, can I get a DVD of that Show Choir performance", I have most likely ditched the media from my drive. So all I have to do is open my database to find the CD it's on, get that disc, and import the file back onto the computer, and burn using Nero, and it's finished.
Keep in mind that we don't burn a copy of every performance/story to it's own DVD. If we did that, and someone wanted a copy in 3 months, we could just dub that disc. Yet, we don't do that because we will get requests for certain stories to be on the same disc.
We also archive everything we do to full size DV CAM tapes. So, yes, we could re-import the finsihed video when someone wants a copy of something, but why do that if we can already have a digital file (Our MPEG file) on a CD already.
So, I suppose my question becomes... If I want to stay using the same workflow of having one file to work with, do I just have to get used to the fact that my QT files will be huge? Or is there a way in File-Export-Using QT conversion that I can shrink that file by half or two thirds and not loose a lot of quality?

Live vs. archive of .flv files

I am playing some short videos (.flv files ) in a presentation. Within the live presentation, the audio plays, but the screen is black. However, on playback of the archive, everything looks great, both video and audio. Any idea why this might be happening?
Should add that these files are being played from the content library.

Archiving in ProRes? Seriously?!

Ok, so I'm finally taking the big step from HVD to ProRes. I have been using HDV as my editing codec for almost 3 years now and I have never had any problems with the smaller projects (online videos and such). But when it comes to a bigger project (like a feature film) or as soon as I start mixing up different footage FCP starts acting up so I guess I don't really have a choice- I'll start using ProRes! And then oh my!! Was I surprised when I saw the difference in the file sizes! All of the projects that I've done before have been archived as HDV - 720p60 because that was what gave me the smallest file size. And now I'm faced with this ProRes beast and I'm so tempted to just keep archiving everything as HDV - 720p60 and I know some of you will bury me alive for all I'm worth just for doing that.
So I did a little search on here to see what people are suggesting about the different archiving options and it seems like most people suggest that one uses ProRes to archive. Unfortunately, I do 2 projects per week and if I were to archive those in ProRes I would be using up those hard drives like chewing gum. I know a lot of people are going to tell me "But hard drives are cheap! Don't be stingy!" but in the economy today I just can't justify an expense like that. Let alone the idea of having dozens of hard drives sitting around my house sounds scary.
So, this is my question - can someone tell me a way to archive my footage into small (40GB is not small!) projects without losing too much of the quality? Most of the footage I work with is HDV anyway, shot on mini DV tapes... And, no, a $5000 dollar storage solution is NOT a solution to me! I'd rather chew gum! If you know what I mean

OK...If they want to keep a lot of these projects alive constantly, time to start rethinking your media storage. Look into getting 2TB or 3TB Seagate drives...bare SATA drives, no enclosure, cheaper...and keep each project on a separate drive. Then you can access the drives via a drive dock, like this:

I have an eSATA card in my tower, and then connect to the device via eSATA. It takes bare drives, and is trayless. Meaning the drives slide in and out simply. This way you can just take the drive out, put it on a shelf, and go back to it when you need it. And the drives are CHEAP. $99 for 2TB, and $130 for 3TB.
