Archiving Information from "old" SAP systems and switch off the server

I hope someone can offer some advice. Our company has a few sites across the globe. Three of the sites in South Africa ( where I'm working at the moment ) had their own SAP systems. Three odd years ago, we implementeted a new SAP system, combining the separate SAP systems into the new one, running of the same box etc etc. The "old" SAP systems were still availbale after the new one went live, in the event that people want to look back at history.
We are you busy with a project where we are going to merge our current SAP implementation into our global SAP system... obviously only the current master data are going to be transfered to the new system. It's an idea time for us to clean up our data.
My question: Once we go live on our global SAP system, we want to "export" or archive from the 3 "old" SAP systems the Master Data from the HR module ( like employees who's left the company - it's law to keep the records for 5 years at least once a employee has left) , HSEC and FI modules into a single datastore... this way we don't have to keep the three servers running in the event that history is required. The servers wil be kept off-line and only switched back on if a detailed audit is required.
The global SAP system does not have an archive solution implemented to we can't access archived data from the new system...
So, we need to export master data from our 3 old SAP boxes into a Unicode type file system, and our local South African sites needs to be able to access the information using a text type editor or a web based interface we can run off our SAP Portal...

To introduce myself, I am an active SDN/BPX member as well as an ASUG Archiving and Information Lifecycle Management Volunteer.
Decommissioning Legacy Systems (SAP and non-SAP systems) is quite the topic these days with divestitures becoming such a common occurrence. 
Some things to think about in this situation are:
Identifying the data to be decommissioned:
what information would be needed for an audit
what information would be needed for a lawsuit situation
Identifying the access requirements to this data.
Identifying the retention policies for this data (this will be
driven by regulatory requirements, etc.).
If this has not already been done - define retention periods for this data - it will most likely have different retention periods based on the type of data.
You mention that you do not have an archive solution in place yet. 
I would recommend that you may want to research that option because typical requirements for retaining legacy data is that it is stored in such a manner so that it is protected from any type of modification.
There are a lot of 3rd party archiving/storage solutions that provide this type of secure storage.
You are correct in that you will want to export or archive the legacy data as opposed to loading the data into your current system.  It would probably involve a large increase in the size of your SAP database and you would probably run into number range overlaps.
But, if this data is exported to a filesystem, you will be losing the business logic associated with the data, and the information is no longer in its original format (this could have legal ramifications). 
I would recommend using SAP Archiving functionality for this effort.  If you are looking for outside resources, there are many vendors out there that have a lot of experience with these types of projects.
Two that come to mind are Dolphin IT and OpenText.
Or, depending on the timeline of your project, SAP is coming out with a tool that can be used for decommissioning SAP Systems.  It is part of
their SAP ILM solution.  It will be called Retention Warehouse.  Here is a paragraph from their latest white paper describing this new tool:
With the retention warehouse, SAP now offers a
standardized method for system decommissioning in
answer to these pressing issues. It allows you to reuse the archived data outside the original system in a central
retention warehouse.

This tool is part of a larger initiative from SAP to help customers with their ILM (Information Lifecycle Management) strategy.  This tool is near and dear to me as I was fortunate enough to be part of an
ASUG Influence Council that helped with some of the requirements for this solution.

    To import music into your iTunes library on the computer go to iTunes>Help>iTunes Help>Add items to iTunes and follow the instructions
    Delete the "songs" that do not play in your iTunes library and reimport them.

    Double tap Home button, delete Mail from multitask-bar.
    Do a reset (Hold Sleep/Wake and Home buttons about 10 secs or more till Apple logo appears, ignore the Slide to Power Off that appears)
    Note: You will not lose any data.

    Following is the scenario:
    1. Data is received in to SAP for Cheques deposited in to the Bank with a unique Key feild
    2. A Bank Reconciliation process is Run on the Line Items received using the Cheque numbers and amounts
    3. The honored Cheques need to be Cleared in SAP
    4. SAP will require to generate a report listing the Dishonored Cheques and also populate the Key feild against the Dishonored Cheques in the Report
    Kindly help as to how this can be acheived in SAP, as teh Automated BRS process is executed sequentialy for every line in the Bank statement received.

    My old 24" iMac was damaged beyond repair and It's been replaced by my insurance company with a brand new 21.5 inch model. This is great, but I was wondering if I could take the RAM from the old mac and put it in the new. The old mac in only fit for spares - the logic board has gone.
    My old iMac was a 24inch model purchased in October 2008. It had 4 gig of RAM fitted by Apple from the outset. So, potentially, I have 4 gigs of RAM that I could put in my new iMac that has 4 gig as well - pushing it up to 8. Will it fit, or is the hardware incompatible?
    Alternatively, I also have a white Macbook that was purchased 18 months ago. It has 2 gigs of RAM that were also fitted by Apple. Could this benefit from any of the old iMac's RAM? As a slower machine it might benefit from it more.

  • What ATP category to use when loading from non SAP system

    Hi Experts,
    We are sourcing transactional data from SAP R/3 and using CIF to transfer these data to APO.
    Now we have new sets of material locations where we are going to source transcational data from non-SAP system. We are going to extract file from non-SAP system and load it to APO. My question is, do I need to create new categories (non SAP categories) for all these transactional data (sales order, production order, purchase order, etc...) Or can I just use existing SAP categories that are getting populated when data are coming from R/3 through CIF.
    If its possible, can I use RLCDELETE to delete previously posted transactional data? because we are planning to do full refresh and reload everyday.

    If i undersood your question correctly, you are trying to upload transaction data into APO system using file interface.
    You can use custom or standard ATP categories to upload any type of transaction data and deletion of those orders also possible for both the ATP categories using RLCDLETE report (except salesorder and fixed planned orders, they can be deleted by SDORDER_DEL & DELETE_PP_OREDER reports respectively).
    Custome categoires will be used in case additional data needs to get stored in APO system along with the standard transaction data coming from ECC system . For example, salesorders coming from ECC and uploaded from file.
    If the transaction data coming from only one source system then it is better to use standard categories.

    I see that using PU12 you can export only PCL2 Clutsers. Are there any ways to move the other clusters like PCL4 ?

    As far as data transfer, If have all normal configuration settings in your targeted system you can use LSMW (Use T.code AS91 in LSMW for recording)  to transfer your data in your both cases.

    We are discussing about the Daylight Saving time changes in USA for 2007 and its effect on SAP Systems.
    <i>"Beginning in 2007, most of the U.S. will begin Daylight Saving Time at 2:00 a.m. on the second Sunday in March and revert to standard time on the first Sunday in November."</i>
    Wondering, if we need to change any variable settings to take into effect? If so, could anyone give details on it.
    Wondering if SAP systems time is getting sync with Database servers or O/S ?

    Hi,
    The beginning of daylight saving time is normally not a problem as the time will jump from 2:00 to 3:00, so seen from SAP that no problem. You will only have a 1 hour hole, as the system had nothing to do for one hour.
    So there are no settings or so to maintain or change. Just let SAP system run...
    But it is different when switching back to "normal" time, as there you will have the so called double hour, and even as SAP is working on a solution to this, it is still recommended to shut down the SAP system for this period.
    (searching for the term "daylight saving time" in OSS should give you some notes explaining how SAP is handling it)
    As i know SAP system is taking the time from OS, but you can se what time the SAP system has, by in the GUI menu to select the "system" => "Status"...
    (In the Popup you can se it in upper right corner)

    I'd like to know how to connect two sap systems via RFC. The two systems are in the same network and I'd like to know how to set up the SM59 in order to create the destination to the RFC.

    This step is to create the Logical system for the remote system.
    A logical system allows SAP internal functions to interface with external systems, either an SAP system or a non-SAP system. We also need to have a logical system name for the SAP system,.
    SALE is the transaction.
    Expand the Sending and receiving Systems and then the Logical systems click on define logical system.
    You will receive the informational message, “The table is cross-client.” Click the green check icon to continue.
    Now click on the New Entries.
    The Screen appears like this here you will be giving the LS name and the description of that.
    After u click on the save button a window will be displayed like the bellow asking for the Request ID. Here we can create our own  or we can use the existing one.
    After that we see the message blow as DATA SAVED.
    Now the step is to Link the LS to the client.
    Click on the Assign Client to LS .
    The Screen as below will be appearing. 
    Double click on the client on which u r going to work and there specify the SAP LS(IDS47800) and you also need to specify the City and Std Currency and the client role as Test for the drop down box.
    Register the RFC server module with the
    SAP gateway
    The RFC (Remote Function Call) destination is a logical name used to define the
    Characteristics of a communication link to a remote system (in our case, LS for the remote system) on which a function needs to be executed. In ALE, the RFC specifies information required to log on to the remote SAP system to which an IDoc is being sent.
    To register the RFC Sever Module as the RFC destination:
    SAP transaction code: SM59 – Type /nsm59 on the SAP input window and press the
    Enter key.
    Expand the TCP/IP connections directory.
    Give some name to the RFC Destination (ALESERVER), Connection type as T. and fill the Description field.
    In technical settings give the program name as you desired.
    Click on save

  • Reload archived file on another sap system

    Dear Experts,
    We have multiple plants in sap system maintained with different clients.  For example Plant A , Plant B, Plant C. Is it possible to migrate plant data from one SAP System to new sap system. we have a Plan to provide separate systems as per plant. For example If i do archiving Plant B of customizing data and  belonging dependent data records( SO,PR,..) and  reload in to new sap system ?  If so how can i access on new system ?
    Any advice on techniques or procedure would be greatly appreciated.

    This is unfortunately a little bit to naive.
    Archiving is only possible for master and transaction data, but not for customizing
    Archiving is only possible for closed business cases.
    In most Archiving objects it is not foreseen to reload it into the database.
    Archiving is not a 1:1 copy of your data, SAP is collecting data from many tables and put this together into 1 archiving record, this record is even reduced to the necessary data, many flags will not go into the archive as they are only needed to control the execution during runtime. If the archive is missing this data, then it cannot be expected to reload the data from the archive.
    What you want is as complex  as a new rollout, and it usually requires exact the same steps (except training), you need to create master data (extending existing records) like in a migration.
    Within the same client it can be a little less effort than in different clients, but even this depends on the skills of those who execute the migration. Some have less issues creating new record than extending existing records.
    Depending on the volume and the scope of migration objects we usually have smaller projects which can be from a few days to several months.

  • Access SAP Data Archival file from outside SAP

    I have a requirement to archive the SAP data, dump that outside SAP in some other system like ILM or BI and build a reporting tool on top of that data.
    So, basically customer want to shutdown the SAP and want to retain data for legal and audit pourpose.
    I was doing some RnD and done archiving of MM_EKKO using SARA. the file got generated with extention .ARCHIVE. I donwnloaded teh file but it is encoded file with all special character in it.
    My question is:
    1. How can I read the archieved SAP data from outside SAP system.
    2. Can we decode the .ARCHIVE file to get it in .DAT format?
    3. Or Is there any other way to access the SAP data outside SAP in a report format.

    As per my knowledge,it's not possible to decode or move to .DAT format.
    3. Or Is there any other way to access the SAP data outside SAP in a report format.
