Archiving Mac Mail emails per year

hello
is there an easy way ( read: automatic, by script ;-) to archive my Mac Mail emails per year ?
thx in advance
Henny

As I looked back at my test Smart Mailbox, you could use something like that to group them all and then move them into the new Year hierarchy which would sort of semi-automate the process.
Build your 2010 hierarchy and then create the 2010 smart mailbox for a particular folder in your archive. Select all in the smart mailbox and move to the new 2010 folder of same name. Edit the smart mailbox for each folder and repeat. Sounds a bit tedious, still, depending on how many subfolders you have and how many years you go back.
And more ideas. I created a 2010 Smart Mailbox that got all emails for 2010. I then typed in one of my Archive folder names in the Search box and selected Mailbox as the criteria type from the search dropdown. So, for instance, if I wanted to look at my online orders from 2010, I selected the 2010 smart mailbox, and then typed Online Orders into the search field. When the various matching criteria popped up, I selected Mailboxes.
This method would allow you to keep your Archive grouping neatly organized and not have the hierarchy duplicated each year. Smart Mailboxes can be grouped by dragging them on top of one another, so you could keep the Year mailboxes neetly organized, also.

I need to copy some archived  Mac Mail to my Android phone.
Is there a method for this?

nevermind, figured it out.  d&d within Mac Mail from Archive to gMail.
though I wish I could figure a way to support the archive sync as I go.
when a message comes in and I move to a sub-box in Archive, I wish it would sync to the same sub-box in Android.

  • Archiving mac mail onto a cd

I am trying for the first time to archive thousands of emails from Mac's "mail" program.  Can seem to drag them into Toast, as I used to do with Entourage, can't get Snow Leopard to burn them to cd under "File",  A "Burn Folder" will only accept the emails one at a time, and - as I wrote - I have thousands to copy and then delete from my active email.
I am not clear about archiving into an .mbox file.  Is this my solution?  Is it tightly packed and takes up substantially less room on my hard drive, but can be reimported if I need to look back?
Any assistance will be much appreciated, and noted.
    Thanks,
    Josh

Addendum:  typo, meant to say I CANNOT  drag them into Toast

I am pretty sure they aren't deleted because no ther confirmation came up making sure I wanted to delete anything. I beleive they are hidden somewhere but I can't figure out how to get them back. Please help I need info out of them.

Disable your antivirus and firewall, and try again.

  • Archiving Mac Mail for later retrieval

I have several users who insist on saving emails stored in Mac Mail to their local hard drive.  If they drag messages to the local folder, the emails are saved with a .eml extensions.  They can click on the file later and it open and appear as the original email did in Mac Mail.  The other option is some of them use File/Save As to save them to the local drive.  If they don't select "Raw Message Source" when saving, the files saved as Plain or Rich Text.  When that happens, the emails open unformatted in TextEdit.  I have instructed them to save these emails properly moving foward.  However, one of our big wigs has quite a few emails that are no longer in Mac Mail that he saved to his local drive as Plain or Rich Text.  Is there a way to convert those to .eml files so that they open back up in Mac Mail properly.  I know it is not as simple as just changing the file extension.
    Thanks for any help.

No. They are no longer email messages. They have lost the headers and no longer have the structure of an email message.

  • How do I mask my email address to my outgoing Mac Mail emails?

I use [email protected] for all of my email.
I have a forwarding email address through GoDaddy that is [email protected] that is linked to [email protected]
My Mac Mail app is configured for [email protected]
I would like to be able to reply to emails through Mac Mail using [email protected]
I have figured out how to do this using Gmail itself, but I would like to be able to do the same using Mac Mail. I think the solution lies here:
How do I add the domain with my forwarding email address into the highlighted dropdown menu?
Any insight would be much appreciated! THANK YOU!

  • IMap Gmail and Mac Mail - email pileup.

I added my gmail account to mac mail as an imap acount thinking that it would be easier to keep my emails synced with the server. It was working well for a while, but then I started to notice something. On the sidebar in mail there is the MAILBOXES section with the inbox, sent, trash and junk folders. Then below that there is the section called MYACCOUNT and in it is the [Gmail] folder with the All Mail, drafts, sent mail, spam, starred, and trash folders.
I have found that over time the 'All Mail' folder in this section fills up with all my mail, including the spam. The spam stays there even after I have deleted it from the spam folder so that now, with only 3000 emails in my inbox, there are 14000 + emails in the 'all mail' folder.
Does anyone know why these emails seem to pile up like that or how I can stop it from happening?
    Thanks,
    Alwaysapple

Unless you need to access all your mail across several different computers or locations, IMAP is not the best solution. You should set this up as a POP3 account and be sure to set your preferences for each account to delete mail from the server (Gmail) after you retrieve it.
There are many reasons advantages to using IMAP as opposed to POP3 even if you're using a single computer.
    Online backups
    Saved drafts
Remote access via webmail and alternative clients if you don't have your computer with you
Faster--download meta data (subject, etc.) and then the message body
The list gets really long if you start looking at the advantages in the case of multiple email clients, which just about everyone has now. The majority of email users have computers and home and at work, and a pretty substantial chunk of them have portable (think iPhone) or web-based clients that they also use.
I'm sorry to say it, but recommending POP3 over IMAP as a better protocol demonstrates your lack of knowledge of subject matter. Thanks for piping in, but people here aren't looking that kind of help.

  • Applescript for Mac Mail Email Addresses

    Hey guys,
Bit of help with scripting here would be awesome:
I have been trying to collate all the email addresses located in my Mac Mail accounts. To do this I have used the following in Applescript:
    tell application "Mail"
set selectionMessage to selection -- just select the first message in the folder
set thisMessage to item 1 of selectionMessage
set theseMessages to (every message in (mailbox of thisMessage))
    repeat with eachMessage in theseMessages
set theFrom to (extract address from sender of eachMessage)
    do shell script "echo " & quoted form of theFrom & return & " >> ~/documents/extracted.txt"
    end repeat
    end tell
This has worked really well, but I would also like the addresses of people I have sent mails to (sent mail account) and also any addresses that are CC'd in emails.
I have played around with the script, but my little knowledge of the program meant I got only errors! Any help on obtaining these final email addresses would be much appreciated.
    Best regards,
    Simon

While the script works, two problems are that there are many duplicate email addresses and the list is not sorted.
The following addresses these problems (and avoids repeated do shell script calls):
    <pre style="
    font-family: Monaco, 'Courier New', Courier, monospace;
    font-size: 10px;
    font-weight: normal;

  • If you delete a POP mail account in Mac Mail can you get your mails back?

This has happened to a client of mine. She'd just set up a new account for her email as she'd moved servers. She had an old POP mail account on her Mac Mail for two years which she deleted and now all of her old sent mails are gone plus everything from the inbox that wasn't moved into folders.
How do you get those emails back? (I'm not sure if she has been using Time Machine to back everything up)
Will re-creating the old account help?

If she hasn't been backing up with Time Machine (or a full backup which hasn't been overwritten) they are gone. Recreating the account won't being them back.
If she has Time Machine, open (user)/Library/Mail in the Finder and then enter Time Machine. Navigate backwards looking for a folder named POP- and the name of the account. Use TM to restore that.

  • Incoming MAC Mail Bouncing

Half of my incoming emails are bouncing.
When I send an email through my MAC account to his MAC account, it bounces back at me.
I've had MAC mail for 3 years and have been experiencing this since May.
    What is going on?

    A 452 error typically means:
"SMTP Error 452 : The ISP server’s disk system has run
out of storage space, so the action had to be cancelled.
Unless you are with an ISP which is so slack that they
have not implemented Disk Full Alerts, this error usually
indicates that your ISP’s mail server is overloaded from too
many messages. This can happen even to the best ISPs
when, for example, there have been problems and none of
the ISP’s customers could send mail; as soon as the
problems are fixed there is almost always a situation where
thousands of users and organizations are trying to send
mail all at the same time, and those numbers can
occasionally result in the ISP’s mail servers’ hard disks
temporarily filling up, with SMTP Error 452 being the result.
The next attempt to send by your server may prove
    successful."
So if this continues, first check the status of .Mac or MobileMe on the Apple web site, and if there's no problem listed, or there's no resolution listed for this recent problem, call them and ask about it and when it's going to be resolved or how they can resolve it immediately.

  • Exchange mail in mac mail stopped working

I have been using a exchange IMAP mail on my mac mail for several years now. Recenty the volume of emails in my inbox was exceeding the size limit set by the administrator. I created seperate mailboxes on my mac to store old emails, which was working fine for sometime. However, all of a sudden one day, my mail stopped working correctly: The inbox is constantly thinking (the circiling bars are always circiling), it does not move emails to my offline mailboxes, it does not erase emails, it take at least 15 minutes to receive and/or send emails. I have tried to update the envelope index but no change. I have the same account on my ipad and iphone, and both work fine, only on my mac book (lion ISO) is it not working.
Any suggestions would be much appreciated.

  • Exporting from Mac Mail to Outlook 2003 (XP)

    Hi guys,
    odd one,
just bought the wife a cheap and cheerful wintel laptop, and now in the hope that I can get my mac back for my exclusive use (I've shared for too long now), I'm trying to get her emails from mac mail into a PC format.
I have an IMAP mail server I can use, but it's got a low limit and transferring from the mac mail, back to the imap server, then from the server to outlook on PC works - but is painfully slow.
If anyone is aware of a tool or a process that can turn the mac Mail emails into Outlook XP emails I'd appreciate it. I've taken a look through the forum but everyone (not surprisingly) is doing this the other way around...
    Any ideas/assistance appreciated.
Running a 3y.o. iMac 1ghz, 10.4.7 build. Wintel machine is a stock standard Acer running XP, mail program outlook 2003.

  • 2 .Mac Mail Acounts?

I have a .Mac account with an E-mail address, which I check through Mac Mail ([email protected]). Can I create a second E-mail address for my wife (e.g. [email protected]) so that we can have separate E-mail accounts, both with the mac.com address, and both using Mac Mail to send and receive messages?
Also, I plan on setting up Mac Mail to receive my G-mail. Will that interfere with anything?
    Thanks !

Yes, if they are separate accounts and not just one account and an alias. An alias is just another name for the same account, so the mail all gets delivered to the same place. You can get multiple .Mac accounts by upgrading to the Family Pack, or I believe they also have e-mail only accounts.
Also, I plan on setting up Mac Mail to receive my
G-mail. Will that interfere with anything?
Nope, it will work just fine. You can have an account in Mail for your .Mac address as well as your GMail address. I used to have six separate accounts in Mail.

  • Mac Mail Importing Question

First, I could not find a better place for this topic as it is not a covered application on the forum, so I thought I would start here.
I set up one of my email accounts using Mac Mail.  I then imported the mail from Thunderbird over, but it will not load into the email account.  It shows as a separate folder under "on my mac"  I would like my sent emails from Thunderbird to be in the new Mac Mail email account.  I have tried dragging the "sent" email folder to the new Mac Mail acount, but it will not do it. I have tried several importing options, but to no avail.
Below is a screen shot of the what I am talking about and trying to accomplish.  I would like the "send" folder next to the red arrow to be move the folder where the green arrow is (green arrow is a little off, should point to "sent" folder.  How do I do this???  Thank you in advance for any assistance.

    Adam,
Thank you for the suggestion and quick response, I did try that multiple times and just couldn't get them to move.  After walking away from the issue for a couple of hours, I did figure out the answer.  Perhaps it's a Lion issue, who knows.
What I did was click the folder for the imported "sent" mail folder, clicked Edit, Select All and then clicked on the "sent" folder under the new email account and clicked Edit again and then Paste and miraculously they all moved over.
    Thanks again!

  • SMTP problems in Mac MAIL

I have been experiencing huge problems with sending emails through my POP3 smtp server. My service provider has run checks from the broadband mailzone and tells me that everything is OK. Which leads me to think that there is a corruption in the Mac MAIL email client software.
Is there anyway of checking this and if necessary removing it and then re-installing it?

You could try to clear the mail cache. ~/Library/Caches/com.apple.mail/Cache.db
You will probably have to secure empty the trash.
Have you tried remaking the account?
Mail Preferences > Accounts. Click the minus button to delete the account and click the plus button to create a new account
I believe that you can boot from the OS dvd that came with the mac and reinstall mail that way.
